FINAL) ii Logging in to GradeSpeed Open an internet browser and navigate to your school’s GradeSpeed login page. Log in with your network username and password. The main Admin Menu will appear: IMPACT Gradebook for School Administrators (v1.0 FINAL) 1 GradeSpeed Monitor NOTE: GradeSpeed.NET is a web-based application. To prevent data loss, some familiar browser tools are not available with GradeSpeed. For example, GradeSpeed.NET hides the “Back” button on your browser – this helps to keep you from accidentally clicking “Back” and losing data that you have not yet saved. (Full Access) The GradeSpeed Monitor allows administrators to view schedule and grade information by teacher or by student. Administrative users can view a student's schedule or a teacher's schedule, and can filter these lists by activity code, if assigned. If students and/or teachers have been assigned activity codes, administrative users can choose an activity code to view only students and/or teachers who are associated with that activity code. Select the desired code from the Activity dropdown list. To view all students, simply leave the Activity list set to "All." Student To display grade information for a specific student, select a student from the Student drop-down list. IMPACT Gradebook for School Administrators (v1.0 FINAL) 3 NOTE: GradeSpeed.NET uses the generic term “cycle” to describe marking periods/grading periods/quarters in the gradebook. You may sometimes see this abbreviated along with the marking period number (ex: “C2” is the second marking period). The following page will appear: The first column contains the names of the teachers who have the selected student in their classes. The second column contains the names of the courses that the student is scheduled in. To view all students in a course, click the hyperlinked course name. The next two columns display the course section and period. The cycle averages, semester exam grade, and overall semester average are displayed for the current semester. To view another semester, select the correct semester from the Semester drop-down list. The semester average will be color coded as described on the page. This color coding allows the user to distinguish between a semester average that is based on the grades contained in GradeSpeed.NET and a semester average that has been posted back from the SMS. Since the SMS is the current record, it is important to identify any discrepancies between GradeSpeed.NET and the SMS. Any comments currently assigned to the student will be displayed in the Comments column. Additionally, the GradeSpeed Monitor displays the time and date stamp from the last time the teacher updated his or her gradebook. To view the student's profile, which gives access to special characteristics, attendance records, and student data, click the Profile button next to the student's name in the list. IMPACT Gradebook for School Administrators (v1.0 FINAL) 4 Teacher To view grade information for a specific teacher, select a teacher from the Teacher drop-down list... The following page will appear: The first column contains the teacher's name. The second column contains a list of the students in each course and section. The remaining columns contain the cycle averages, semester exam grade, and overall semester average, followed by any comments that the teacher may have entered for the student's Progress Report. When viewing grades by teacher, the user can click a student's name on the left to transfer directly to the "by student" view described earlier. To return to the Admin Menu, click Return. IMPACT Gradebook for School Administrators (v1.0 FINAL) 5 View Gradebooks (Read-Only Access for Principals) Note: The Technical Coordinator role does not have permission to View Gradebooks. Administrators can use the View Gradebook feature to view teachers' gradebooks. Administrators can access gradebooks in "read-only" mode. To view a teacher, select the correct teacher from the drop-down box. IMPACT Gradebook for School Administrators (v1.0 FINAL) 7 Once the correct teacher has been selected, that teacher's gradebook will appear: To view assignments and grades, select the desired course from the Class drop-down list. The students, assignments, and any grades for that class will appear in the gradebook, as shown above. The Navigation Ribbon is available at the top of the screen. Administrative users can now navigate the basic functions of this teacher's gradebook. IMPACT Gradebook for School Administrators (v1.0 FINAL) 8 Teacher Profile To view the teacher's profile, click on the teacher's name on the left side of the page. The following page will appear: The teacher's profile contains basic information about the teacher and course. To view more information select Display Student Fields from the drop-down list above the profile. The following page will appear: IMPACT Gradebook for School Administrators (v1.0 FINAL) 9 The Display Student Fields page can be used to customize the appearance of the gradebook. To get back to the main gradebook page, click the Grades icon on the taskbar at the top. To view a different cycle, use the Cycle drop-down list to select the desired cycle. IMPACT Gradebook for School Administrators (v1.0 FINAL) 10 To view information about a student, click on the student's name from the main gradebook page (Grades icon). The following page will appear: To view a student's grades individually, click the desired student's average from the main gradebook page. The following Grades by Student page will appear: To return to the Admin Menu, click Return. IMPACT Gradebook for School Administrators (v1.0 FINAL) 11 Record Marking Period (Report Card) and Progress Report Grades Elementary and High School Grade Coordinators will continue to use SIM to record marking period and progress report card grades for those teachers who may not have access to SIM nor Gradebook. Enter Previous Marking Period (Report Card) Grade Changes Elementary Schools ES Grade Coordinators will continue to enter previous marking period grade changes in SIM. After the end of the marking period, after teachers have verified grades, the Grade Coordinator can make marking period grade changes in SIM. All grading information is moved to SIM once verified by the teacher as it is the system of record for historical grading information that feeds the ES Cum Card. Reference the ES Grading Use Case, located on the IMPACT website, if more information is needed. High Schools HS Grade Coordinators will continue to enter previous marking period grade changes in SIM. After the end of the marking period, after teachers have verified grades, the Grade Coordinator can make marking period grade changes in SIM. All grading information is moved to SIM once verified by the teacher as it is the system of record that feeds the HS Transcript and also calculates Class Rank and GPA measurements. Reference the HS Grading Use Case, located on the IMPACT website, if more information is needed. Note: ES and HS Teachers are not allowed to make changes to marking period grades AFTER they (the grades) have been verified in Gradebook. Schools should follow the established procedures for changing grades. GradeSpeed's Attendance Clerk module allows administrators and office staff to view and modify attendance data - both easily and efficiently. The Attendance Clerk module has several key features: Display Teacher Progress This report allows administrators and office staff to create a list of all teachers who have completed their attendance submissions for a given day or period. Read on for more information. Daily Attendance Summary This report allows administrators and office staff to view attendance records for a teacher or all teachers for a specified date range. Read on for more information. Attendance Change Report This report allows administrators and office staff to track changes made to each student's attendance entries over a given date range. Read on for more information. IMPACT Gradebook for School Administrators (v1.0 FINAL) 13 Attendance by Teacher This report allows administrators and office staff to view and modify a teacher's daily attendance submissions. Read on for more information. Attendance by Activity Code This report allows administrators and office staff to view attendance records for all students associated with a particular activity code. Read on for more information. * Attendance Letter This feature is used to generate predefined, printable letters for each student who meets certain attendance criteria, such as having a certain number of a specified attendance code on record. For example, it can be set to generate a letter when a student hits 3 instances of the "Absent" attendance code. *CPS will not be using the Attendance Letter at this time. Mass Attendance Entry This feature allows administrators and attendance clerks to run a campus-wide search for a student or group of students. Then he or she can record attendance for all selected students for any given date range with just the click of a button. Read on for more information. Teacher Verification Report This report allows administrators and office staff to print a sheet that displays the teacher's attendance submissions for a day or date range. The teacher can then sign off on these attendance submissions. Read on for more information. Attendance Totals by Code This report allows administrators and office staff to produce a list of the number of instances of a specific code per teacher or per student. Read on for more information. * Multiple Submit Report This report compiles a list of all multiple attendance submissions for a particular student. This only applies for districts with Multiple Submit turned "on." *CPS will not be using the Multiple Submit Report at this time. Attendance by Student This report allows administrators and office staff to view all attendance records for a specific student by time code and period. Read on for more information. * Attendance Export This feature allows administrators and office staff to export attendance data to the third-party scheduling application. *CPS will not be using Attendance Export at this time. IMPACT Gradebook for School Administrators (v1.0 FINAL) 14 Substitute Class Roster This feature allows administrators to print out the class rosters of any teachers that will be gone for the day. This feature compiles a list of all a teacher's class rosters for the day, as well as a blank attendance form that can be used for substitute teachers to take attendance manually. This prevents substitute teachers from having to receive access to gradebooks. Read on for more information. Excessive Absence Report This report allows administrators to pull a list of students who have more than the designated number of a specified attendance code. This is highly useful for tracking students who have excessive occurrences of a particular attendance code ("absent," "tardy," etc...). Read on for more information. IMPACT Gradebook for School Administrators (v1.0 FINAL) 15 Display Teacher Progress Overview The Display Teacher Progress feature allows you to view teacher attendance submissions, per period, for a given day. From within this area, you can also automatically send an email out to all teachers who have not yet submitted their attendance - with just a single click of the mouse. First ensure that the District and School are set properly. Enter the desired date in the Date: field. To choose the date from a calendar, click the "..." to display a mini-calendar. Select the correct period using the Period: drop-down list. Click Ok to display the following page: This page shows the time that each teacher finished making their attendance submissions for the selected date and period. There is also a column titled "Note." In the attendance section of the teacher gradebook, there is an option for teachers to send a note to the attendance clerk. This is where that note appears. Once the records are displayed, an E-Mail button will appear at the top right corner of the page. Click E-Mail to send a notification email to each teacher who has not yet finished submitting the day's attendance records. The notification email template can be edited in Email Settings on the Tools and Settings menu. To return to the Attendance Menu, click Return. IMPACT Gradebook for School Administrators (v1.0 FINAL) 16 Daily Attendance Summary The Daily Attendance Summary allows you to view individual teachers' attendance records by day. To view a teacher's daily attendance records, first ensure that the appropriate school and district is selected, where applicable. Use the From and To fields to define the date parameters for the attendance report. To choose the dates from a calendar, click the Calendar button [ ] to display a mini-calendar. To just view a teacher's attendance records for one given day, choose the same date for both the From and the To fields. To view the daily attendance records for all teachers, set the Teachers drop-down list to "All Teachers." To view the daily attendance records for a specific teacher, select that teacher from the Teachers drop-down list. Click Ok. To view the daily attendance report for all students, set the Students drop-down list to "All Students." To view the daily attendance records for a specific student, select that student from the Students drop-down list. Click Ok. IMPACT Gradebook for School Administrators (v1.0 FINAL) 17 The following page will appear: In the case of the screen shot above, the report was run on a single day for one teacher and for all students in that teacher's classes. Each student that the selected teacher has submitted attendance for will appear in the list shown above. The list also shows the date that the attendance was submitted for, as well as the attendance code (e.g., present, tardy, absent) that was submitted for the student. A legend displaying the available attendance codes and their descriptions is located at the bottom of the page. The time codes specified in the legend are created in Define Attendance Time Codes within the Database Manager. To return to the Attendance Menu, click Return. IMPACT Gradebook for School Administrators (v1.0 FINAL) 18 Attendance Change Report The Attendance Change Report allows administrative users and attendance clerks to track any changes that have been made to a student's attendance records. To create the report, first use the "From" and "To" calendars to define the date range that the report should cover. Next, select the appropriate student, or allow the report to run for "All Students." Click "OK" to run the report. The finished report will appear as shown below: Note that each modification to a student's attendance records is displayed. Note that each record displays both the date of the attendance event (Date) and the date of the change (Date Modified). The Modified By column displays the teacher ID of the person who made the modification to the student's attendance records. It will also show if a change was made by an administrator or attendance clerk. This tool will track changes to a student's attendance records even when the Multiple Submit option is enabled, allowing teachers to submit multiple times for a single period. A legend of the available attendance codes is also displayed below the report. Use the browser print command to print the report. To return to the Attendance Menu, click Return. IMPACT Gradebook for School Administrators (v1.0 FINAL) 19 Attendance by Teacher The Attendance by Teacher feature allows the attendance clerk to view and edit individual teacher attendance submissions. To view or modify attendance submissions for a specific teacher, select that teacher's name from the By Teacher dropdown list. Once the teacher has been selected, use the drop-down lists to indicate the appropriate time code and period. To set the desired date (the date on which the teacher submitted attendance), click the calendar icon, located next to the current date in the top right corner. The calendar will expand, allowing the user to scroll between months if necessary and to select the desired date. IMPACT Gradebook for School Administrators (v1.0 FINAL) 20 Once all the parameters have been set, click Get Attendance. The following page will appear: The Student column contains the student names. The Teacher Code column contains the code that the teacher entered for each of those students. The Admin Code column contains drop-down lists that allow the administrator or attendance clerk to set a second attendance code that will supersede the teacher-entered attendance code. The administrator can also enter a note next to each attendance submission. The note will be viewable by the teacher when the teacher goes back to view his or her attendance records. Once the submissions have been verified or modified, click Submit Attendance for Teacher. The fields will remain open because the Attendance Clerk module allows administrators to submit attendance multiple times per day. Any teacher's roster may be printed out using the Print Roster icon at the top right of the page. The icon will only appear once a teacher has been selected from the By Teacher drop-down box. To return to the Attendance Menu, click Return. IMPACT Gradebook for School Administrators (v1.0 FINAL) 21 Attendance by Activity Code Overview Activity Codes are assigned to any student activities or groups that your school offers, like "football," "science team," or "band." You can also create an activity code for other student groupings you'd like, for example: "special education," "at risk students," etc. Activity codes allow administrators to view reports on student groups, coaches to monitor the eligibility of their players, attendance clerks to work on just one particular group or activity, and more. The Attendance by Activity Code feature is a very helpful tool for attendance clerks. It allows him/her to view and edit teacher attendance submissions for a group of students by activity code. To do this, first select the appropriate date using the mini calendar at the top of the page. To set the desired date (the date on which the teacher submitted attendance), click the calendar icon, located next to the current date in the top right corner. The calendar will expand, allowing the user to scroll between months if necessary, and to select the desired date by clicking on it. Select the appropriate time code from the Time Code drop-down list. Next, select the desired activity code from the dropdown list. IMPACT Gradebook for School Administrators (v1.0 FINAL) 22 When the activity code is selected, the associated students will be displayed below. Next, use the Attendance Code drop-down list to select the attendance code that should be submitted for these students. Once the appropriate code has been chosen, click Select All to assign that code to each student in the list. This method allows the user to indicate any exceptions by entering different attendance codes for specific students in this list. For example, if one of the students in the list above did not participate in the activity specified for that date, the user can simply click in the cell for the appropriate period and enter the correct attendance code for that student. If a student on the list already has an attendance submission for the current date, a check box labeled Override Existing Attendance will be available. To override the existing attendance code, check this box. Within the Attendance By Activity Code form, students may also be marked absent just for periods missed. For example, say that band students missed the last period of the day so they could get to a football game on time. If that's the case, the students assigned to the Band Activity Code would be marked down for an excused absence for the final period of that day. Once all the attendance codes are set properly for the students in the current activity code, click Submit. To return to the Attendance Menu, click Return. IMPACT Gradebook for School Administrators (v1.0 FINAL) 23 Mass Attendance Entry The Mass Attendance Entry feature allows administrators and attendance clerks to run a campus-wide search for a student or group of students. Then he or she can record attendance for all selected students for any given date range with just the click of a button. To access the Mass Attendance Entry feature, click the icon in the Attendance menu. The main control panel will appear. There is a very powerful search feature at the top of the page, above the horizontal line. First, the user must run a student search on the desired criteria. There are 6 different search parameters that can be used to find a student (or group of students). All 6 of the parameters can be used together to fine-tune the student selection. For example, a search can be run on - "all students assigned to the BAND activity, in the 10th grade, with the last name of Robertson." IMPACT Gradebook for School Administrators (v1.0 FINAL) 24 Student can be searched in a variety of ways: 1) To search students by Activity Code, use the "Activity" drop-down menu and choose the appropriate selection. 2) To search students by Grade, use the "Grade" drop-down menu and choose the appropriate selection. 3) To search students by Course, use the "Course" drop-down menu and choose the appropriate selection. 4) To search students by Gender, use the "Gender" drop-down menu and choose the appropriate selection. 5) To search students by Section, first choose the desired Course from the "Course" drop-down menu. If the course is not chosen first, the "Section" drop-down list will not populate. Once the appropriate course has been selected, use the "Section" drop-down menu to choose the desired section. IMPACT Gradebook for School Administrators (v1.0 FINAL) 25 6) To search for a specific student name, use the Search box. Using this feature, an administrator or attendance clerk can type a specific student's first and/or last name. He or she may also search using just part of a name. For example, if the student has a rather long or hard to spell name, just the first few letters may be entered. Once the desired search criteria have been specified, click the Get Students button. At this point, all students who meet the specified criteria will appear in the Unselected Students list box on the left side of the page. Specific students must be selected from the list on the left in order to submit attendance for them. To do this, simply click the desired student. If multiple student selections are needed, hold down the Control (CTRL) key when clicking. Once all desired students are selected, click the "Select >" button. IMPACT Gradebook for School Administrators (v1.0 FINAL) 26 The selected students will now appear in the Selected Students list on the right. If a student has been accidentally selected, he or she may be unselected by highlighting his or her name in the Selected Students list and then clicking "< Unselect." The students name will be removed from the Selected Students list. The Mass Attendance Entry tool allows for multiple student searches to be performed, all while keeping the Selected Students list intact. For example, if all band students and choir students were out 8th period on a given day for a function, a search for all students assigned to the "Band" activity code could be run. All band students could be selected. Next, a new search could be run for all students assigned to the "Choir" attendance code. After running the second search, the Selected Students list will remain populated with all selected band students. Once the Selected Students list displays all desired students, mass attendance entry for those students may be performed. There are 3 more fields that need to be defined to complete this process - the desired Attendance Code that is to be applied to all selected students, the Period(s) in which the attendance code should be applied, and the Date(s) of the attendance code application. IMPACT Gradebook for School Administrators (v1.0 FINAL) 27 To define the desired Attendance Code, use the Code drop-down list to choose the appropriate selection. To choose the desired Period, use the "Periods" list on the right side of the page. To select multiple periods, press and hold the Control (CTRL) key while making selections. To choose the desired Dates, use the "Dates" list on the right side of the page. To select multiple days, press and hold the Control (CTRL) key while making selections. Once all desired students have been selected and all appropriate attendance fields defined, click the Submit button. IMPACT Gradebook for School Administrators (v1.0 FINAL) 28 The following window will appear. If there is an error during submission, simply follow the instructions on the resulting dialog box. For example, if the submit button is clicked before a student has been selected, the following dialog box will appear: IMPACT Gradebook for School Administrators (v1.0 FINAL) 29 Teacher Verification Report The Teacher Verification Report will produce a printable list of a teacher's (or group of teachers') attendance submissions for a given time period. The reports can then be presented to those teachers to get their signature, therefore having them "sign off" that their attendance for that time period is correct. To run the Teacher Verification Report, first ensure that the District and School are set properly. Use the From and To fields to indicate the date range. To choose the dates from a calendar, click the "..." to display a mini-calendar. Any teacher attendance submissions made within this date range will appear on the report. Use the Period drop-down list to set the period that the report will draw from (e.g., attendance submissions from all periods, or only a single period). IMPACT Gradebook for School Administrators (v1.0 FINAL) 30 Use the Teacher drop-down menu to choose the teacher (i.e., report for all teachers or for a specific teacher). Once all the drop-down lists have been set properly, click Ok. The following page will appear: The student information is listed on the left under the ID and Student columns. The period for which the attendance was submitted is listed in the center under the Period column. The Code column contains the attendance code that was submitted. The Date column contains the date the attendance was submitted for. The Teacher Time column contains the date and time that the teacher actually submitted the attendance. If the administrator or attendance clerk submitted attendance or attendance revisions, the time will be listed under Clerk Time and the changes will be separated from the teacher submission by a "/" and highlighted in yellow, as shown below: The report will be generated in a separate window. It can be printed using the browser's print command. The teacher can then sign the sheet to verify that the attendance submissions are an accurate reflection of those entered by the teacher. This window can be closed once it is no longer needed. To return from the Teacher Verification Report to the Attendance Menu, click Return. IMPACT Gradebook for School Administrators (v1.0 FINAL) 31 Attendance Totals by Code Attendance Totals By Code is a report you can pull up that shows you how many students were marked with each Attendance Code over a given time period. To create this report, first ensure that the District and School drop-down lists are set properly. Use the From and To fields to indicate the date range. To choose the dates from a calendar, click the "..." to display a mini-calendar. Select the desired student from the Student drop-down list. To run the report for all the students at the current campus, select "All Students." Select the desired teacher from the Teacher drop-down list. To run the report for all the teachers at the current campus, select "All Teachers." IMPACT Gradebook for School Administrators (v1.0 FINAL) 32 Set the desired period using the Period drop-down list. Click Show Report. The following page will appear: This report displays the total number of instances of each attendance code for each of that teacher's students over a given date range. In the screenshot above, there were two students marked "Absent" and two students marked "Tardy" for the specified date range. To return to the Attendance Menu, click Return. IMPACT Gradebook for School Administrators (v1.0 FINAL) 33 Attendance by Student The Attendance by Student feature allows the attendance clerk to view and edit teacher attendance submissions for a particular student. To view or modify attendance records for a specific student, select the desired student from the By Student drop-down list. To set the desired date (the date on which the teacher submitted attendance), click the calendar icon, located next to the current date in the top right corner. The calendar will expand, allowing the user to scroll between months if necessary, and to select the desired date by clicking on it. IMPACT Gradebook for School Administrators (v1.0 FINAL) 34 Select the appropriate time code from the TimeCode drop-down list. Set the Period drop-down list to the desired period. Once all fields have been set properly, click Get Attendance. The following page will appear: The Period, Teacher Name, and Course information are listed in the columns on the left. The Teacher Code column contains the attendance code that was submitted by the teacher. The Admin Code column contains a drop-down list for each period/course that contains the attendance codes that are available to the administrator. If an administrator or attendance clerk has already entered an alternate (other than what the teacher entered) attendance code, it will be preselected in the drop-down list. The administrator can also enter a note next to each attendance submission. The note will be viewable by the teacher when the teacher goes back to view his or her attendance records. Once any changes have been made and notes have been entered (if necessary), click Submit. To return to the Attendance Menu without making changes, click Return. IMPACT Gradebook for School Administrators (v1.0 FINAL) 35 Substitute Class Roster Overview The Substitute Class Roster allows administrators to print out the class rosters of any teachers that will be gone for the day. This feature compiles a list of all a teacher's class rosters for the day, as well as a blank attendance form that can be used for substitute teachers to take attendance manually. This prevents substitute teachers from having to receive access to gradebooks. The Substitute Class Roster feature can be found in the Attendance menu. Simply click the icon to access the report. Once the icon has been clicked, the main Substitute Class Roster screen will appear. The control panel is very simple. On the right, there is a list of all teachers at the campus. On the left there is a Generate button. Simply check the checkbox next to the teacher's name whose roster needs to be pulled. Multiple teachers may be selected if needed. Click the checkbox(es) next to the appropriate teacher(s). Then click the Generate button. IMPACT Gradebook for School Administrators (v1.0 FINAL) 36 GradeSpeed will then produce a printable, daily class roster for all selected teachers. These rosters can then be given to substitute teachers, rather than giving them access to teachers' gradebooks. IMPACT Gradebook for School Administrators (v1.0 FINAL) 37 Excessive Absence Report The Excessive Absence Report allows administrators to pull a list of students who have more than the designated number of a specified attendance code. This is highly useful for tracking students who have excessive occurrences of a particular attendance code ("absent," "tardy," etc...). This report is accessed through the Attendance admin menu. Click the Excessive Absence Report icon and the main control panel will appear: Use the From and To fields to specify the desired time range in which absences should be checked. Click the "calendar" buttons to pull up a calendar for easier selection of dates. Use the Period checkboxes to specify the period(s) in which student absences should be checked. There is also an "All" checkbox that allows the report to search all periods. If the Daily checkbox is checked, the Period checkbox selection will be ignored. Use the Codes checkboxes to specify the particular attendance codes to run the report against. "All" attendance codes may also be selected. The codes listed here are the universal attendance codes that are defined in the Database Manager --> Attendance Codes. Use the Absences dropdown menu to select the desired number of absences. The report will only display students whose absence totals are above the specified threshold. IMPACT Gradebook for School Administrators (v1.0 FINAL) 38 The Daily checkbox next to the Absences dropdown menu is used to specify whether the report will be run on daily attendance, or per period. Checking this box will cause any Period selections to be ignored. Conversely, if no period is selected and Daily is unchecked, the software will throw an error. Finally, use the Grade dropdown list to select the appropriate grade level of students to run the report on. "All" grade levels may also be selected. Click the "Ok" button to run the report. Below the control panel, all students who meet the designated criteria will be displayed. IMPACT Gradebook for School Administrators (v1.0 FINAL) 39 Reports (Full Access) The Reports menu gives administrators access to the various reports that they can run using GradeSpeed. Certain reports may not appear for all users because of the rights associated with each user's account. Keep in mind that additional custom reports may also appear on this or other menus. * CPS will not be using at this time. * CPS will not be using at this time. Honor Roll Report The Honor Roll Report allows administrators to identify students with average grades above a certain point. Read on for more information. Failure Report The Failure Report allows administrators to identify students with course grades below a certain point. Read on for more information. Blank Grade Report The Blank Grade Report allows administrators to identify any teachers who have failed to create entries for all grades (missing grades should be entered as "M"). Read on for more information. * Campus-wide Progress Reports Administrators can produce campus-wide Progress Reports. *CPS will not be using the Campus-wide Progress Report at this time. IMPACT Gradebook for School Administrators (v1.0 FINAL) 41 Custom Progress Reports Administrators can produce custom or generic Progress Reports for each student. Read on for more information. Report Cards Administrators can produce custom or generic Report Cards for each student. Read on for more information. Failure Rate Report The Failure Rate Report allows administrators to calculate the failure rate for specific teachers or for a campus for each cycle. Read on for more information. Grade Activity Report The Grade Activity Report allows administrators to track teachers’ compliance with grading policies related to the number of assignments that should be created in the gradebook. State Objective Report The State Objective Report allows administrators to track completion of state objectives based on the entries in each teacher's gradebook. Read on for more information. * Eligibility Report The Eligibility Report allows administrators to view reports that show students' current and future eligibility for extracurricular activity participation. This report can be customized to fulfill any state's participation requirements. *CPS will not be using the Eligibility Report at this time. Custom Reports GradeSpeed.NET 4.0 allows administrators to define, generate, and distribute custom reports. Read on for more information. IMPACT Gradebook for School Administrators (v1.0 FINAL) 42 Honor Roll Report The Honor Roll Report allows administrative users to produce a list of all students with all their grades above a designated threshold. Before attempting to generate the honor roll, users should first adjust the settings on the page so that the report contains the desired data. First, set the grade definitions as determined by district policy; define what constitutes an "A" and a "B." The Grade Levels drop-down list can be used to limit the results to honor roll students from a specific grade level. Similarly, the Activity Codes drop-down list can be used to limit the results to honor roll students from a specific activity code. Use the Cycle check boxes to indicate which cycles the honor roll should be generated for. Users can choose whether to report an "A" honor roll, a "B" honor roll, or an "A/B" honor roll. If "A/B" is selected, the user must enter the number of "A's" that are required to qualify the student for the honor roll. For example, if the "A/B" check box is selected, and the drop-down list is set to "3," then a student with five B's and two A's would not be eligible for the honor roll. Lastly, the report can be pulled for students who have an overall "A" average. This function works differently based on the Cycle checkbox selection 1) If only one Cycle checkbox is selected, the report will pull all students with an overall grade point average at or above the "A" definition specified. This setting averages all course grades together and pulls students based on that one grade. This grade point average is displayed in the AVG column of the resulting report. IMPACT Gradebook for School Administrators (v1.0 FINAL) 43 2) If more than one Cycle checkbox is selected, the report will average the selected cycle grades for each course and pulls up student grades per course, rather than by their overall grade point average. Each overall course average will appear in the AVG column of the resulting report. The Honor Roll Report can be generated by teacher, by student, or can be run for an entire campus. To generate an honor roll for a specific teacher, select the teacher's name from the Teacher drop-down list, then click OK. To determine if a student should be included on the honor roll, select the student's name from the Students drop-down list, then click OK next to either selection. The honor roll can be produced in two formats, short and long. The "Short" honor roll report displays only student names, as shown below: The "Long" honor roll report shows much more detail. Each course's grade for each completed cycle is displayed, along with teacher names, course names, grade level, student and teacher ID's, as well as whether the student qualified for the "A" honor roll or the "B" honor roll. Once the report has been generated in the desired form, it can be printed using the browser's print command. It can also be saved to a Microsoft Excel file using the Save to Excel button that will appear once the report has been generated. To return to the Reports menu, click Return. IMPACT Gradebook for School Administrators (v1.0 FINAL) 44 Failure Report The Failure Report allows administrative users to create a report for each campus containing all students who are failing one or more classes. The report can be set to return data that makes it easy to see if a student is failing a single class but doing well in all others. It can also be configured to simply show all failing students, which classes he/she is failing, and the teacher of that class. To run the Failure Report, first ensure that the correct School is selected at the top of the page. The Mode drop-down box gives the user the option to force the report show either cycle averages, semester averages, or final averages on the report. Indicate the desired cycle using the Cycle drop-down list. Use the drop-down list to indicate whether the report should return students for one teacher or for "All" teachers. Next, use the radio buttons to indicate whether ALL courses for students taught by the selected teacher should be returned, or only failing courses. If the report is set to return "All courses for students," it will be easy to see if a student is failing a single class but doing well in all others. If the "Only failing courses" option is used, then the report be more concise and will give less context as to the student's performance in other classes. IMPACT Gradebook for School Administrators (v1.0 FINAL) 45 The administrator can choose to run the report only for students who have been assigned a specific activity code. Select the activity code from the Activity drop-down list. The administrator can choose to restrict the report to a specific grade level or to run the report for all grades. The administrator can choose whether to report on grades Above or Below a specified score. The administrator can then set that specified score in the field to the right. Once all the fields have been set properly, click Generate Report. The report will appear, along with a couple of extra buttons that weren't available from the main screen: Once the report has been generated in the desired form, it can be printed using the Print button that will appear once the report has been generated. It can also be saved to a Microsoft Excel file using the Save to Excel button. To return to Admin Menu, click Return. IMPACT Gradebook for School Administrators (v1.0 FINAL) 46 Blank Grade Report The Blank Grade Report was designed to allow administrators to see if any teachers have blank student grade entries in their gradebooks. This prevents teachers from creating a large amount of assignments and leaving the grades blank. These blank fields will appear in the ParentConnection module, which can be confusing for parents. To access the Blank Grade Report, click the appropriate icon in the Reports area. The Blank Grade Report control panel will appear. It is a very simple interface. First be sure that the appropriate district and school is selected. Next, select the teacher for whom the report will be run using the "Teacher" drop-down list. If the report should be run for all teachers, select "All." The Blank Grade Report will then appear for the desired teacher(s). Any blank grades will be displayed on a new row within the report. The teacher, teacher ID, student, student ID, grade level, course name, course ID, section, and period for each blank grade will be displayed. IMPACT Gradebook for School Administrators (v1.0 FINAL) 47 Custom Progress Reports Generate Progress Reports Though this option appears first in the drop-down list, most users will only use it after all the other settings have been finalized. However, once the other settings are in place, the Generate Progress Reports feature will be the most frequently used tool in the Progress Report Template Designer. Set the drop-down lists to limit the progress reports that will be generated. To generate the progress reports, simply click “Generate Report.” View Progress (of Progress Report Generation) Depending on the number of students, the process of generating report cards can take quite some time. The View Progress page allows the user to monitor the progress of the reports while they are being generated. Click Refresh to reload the page and view updated progress information. IMPACT Gradebook for School Administrators (v1.0 FINAL) 48 View Progress Reports This page allows users to view report cards that have already been generated. The progress reports will be organized by cycle, by teacher, and by student. To limit the progress reports that are displayed, make selections from the drop-down lists at the top of the page. For example, if a student is selected from the drop-down list, only that student's progress reports will be displayed below. To download an individual progress report, simply click on the highlighted name or cycle in the center column. Choose to either "Save" or "Open" the progress report. To delete all progress reports from the database, click Purge. Please note that if this action is taken, each progress report will have to be generated again before it can be viewed. Click Refresh to view the most recent version of this page. IMPACT Gradebook for School Administrators (v1.0 FINAL) 51 Failure Rate Report The Failure Rate Report allows administrative users to track the failure rates of each teacher at a campus. This information can be used for discipline, training, or reporting purposes. The Failure Rate Report can only be generated for a single cycle. Select the desired cycle using the Cycle drop-down list. The Failure Rate Report can be generated in two formats; by teacher, and by course. The "By Teacher" format will display the failure rate of students in a teacher's classes. The "By Course" format will display the failure rate of students in a single course. To limit the results to a single teacher at the current campus, select a name from the Teachers drop-down list. To return results for all teachers, leave the drop-down list set to "All." To limit the results to a specific grade level, select the desired grade level from the Grade Level drop-down list. IMPACT Gradebook for School Administrators (v1.0 FINAL) 52 To limit the results to a specific activity code, select the desired activity code from the Activity Codes drop-down list. If an activity code is selected, then the failure rates displayed for each teacher and/or course will be specific to the current activity code. Users must set a low grade threshold. This threshold will be used to calculate the failure rate. The Low Grade setting on the Failure Rate Report is NOT to be confused with the "Default minimum passing grade" on the School Settings page or the high/low grade filters on the Export Grades page. Users can generate a report by setting each parameter described above to the appropriate choice. Once the options have been selected, and the Low Grade has been set, click OK. The following report will appear: The Failure Rate Report can be printed using the browser's print commands. To return to the Reports menu, click Return. IMPACT Gradebook for School Administrators (v1.0 FINAL) 53 Grade Activity Report GradeSpeed allows administrators to run a report to determine which teachers have created a certain number of assignments, or have entered a certain number of grades in the gradebook. This report can be used to enforce campus grading policies related to the number of grades a teacher MUST enter in the gradebook. Set the minimum number of grades that should be entered by the current date (for example, according to your grading policy, each teacher should have 6 grades entered by XX date). Choose whether to eliminate classes meeting the criteria from the report (which would leave only classes that are not in compliance with the grade minimum). Also choose whether to focus on a specific teacher or run the report for “All Teachers” using the drop-down list. Click Show Report. The teachers and courses that appear on this list in black have met the minimum number of grades for the current cycle. Teachers appearing in red have not entered ANY grades for the class yet. Teachers appearing in green (there are none in this example) have entered less than 50% of the required grades to meet the minimum setting. IMPACT Gradebook for School Administrators (v1.0 FINAL) 54 State Objective Report Note: The State Objective Report is available to the Principal role only. The Technical Coordinator role does not have permission to view this report. The State Objective Report allows administrators to generate a report showing the state objectives that have been associated with assignments in teachers' gradebooks. To generate the report, Select the desired teacher, or leave the Teachers drop-down list set to "All." To generate the report, click OK. The following report will appear: To print the State Objective Report, use the browser's print commands. To return to the Reports menu, click Return. IMPACT Gradebook for School Administrators (v1.0 FINAL) 55 Custom Reports (Read-Only Access) To view a custom report, select the desired report from the Select Report drop-down list. Once the report is selected, the user can View, Edit, or Delete the report using the three buttons below. The Delete Report button simply deletes the report. The Edit Report button brings the user back to the page described above where the report parameters can be modified. The View Report button will display the report results, using the viewer selected when the report was created or on the Edit Report page (the example below uses the "Standard Report Viewer"). The user can click Return to return to the Custom Reports main page. IMPACT Gradebook for School Administrators (v1.0 FINAL) 56 With the report selected in the drop-down, the administrative user can also save the report in several file formats, including Excel, txt, .xml, and .xsd. The file can be saved to the hard drive or desktop of a user's computer. The file can then be saved to the user’s computer. When the user opens the report, he or she will be prompted to enter his or her GradeSpeed administrative username and password. This allows the report file to authenticate with the GradeSpeed database, ensuring that even if the report file was saved to the computer months ago, it will pull current data each time it is opened. To return to the Reports menu, click Return. IMPACT Gradebook for School Administrators (v1.0 FINAL) 57 Database Manager Database Manager gives administrative users a variety of ways to access and manipulate the information in the Gradebook. To choose one of these methods, select a mode as instructed on the main Database Manager page. Select a mode using the drop-down menu at the top right. These modes allow administrators to control the way Gradebook handles data by giving them access to teacher- and admin-entered codes, course information, and more. Note: Depending on users’ roles and permissions, they may have read only access to one or modes. Most modes are configured at the district and pushed down to schools. IMPACT Gradebook for School Administrators (v1.0 FINAL) 59 Activity Codes (Read-Only Access) Activity Codes are assigned to any student activities or groups that your school offers, like "football," "science team," or "band." A user with full access may also create an activity code for other student groupings you'd like, for example: "special education," "at risk students," etc... Activity codes allow administrators to view reports on student groups, coaches to monitor the eligibility of their players, attendance clerks to work on just one particular group or activity, and more. This page simply allows you to see which codes have been defined at your campus. Existing activity codes will be listed below: To return to the Admin Menu, click Return. To select another mode from the Database Manager, select the new mode from the drop-down list. IMPACT Gradebook for School Administrators (v1.0 FINAL) 60 Assign Attendance Time Codes (Read-Only Access) Attendance Time Codes are codes you designate that determine when a particular course meets on a regular basis. For example, time code "A" could signify that a class meets Monday through Friday every week. Time code "B" could signify that a class only meets on Mondays, Wednesdays, and Fridays. Time code "C" could signify that a class only meets on Tuesdays and Thursdays NOTE: Before Assign Attendance Time Codes can be created, the time codes must be defined. Be sure to read the section on how to Define Attendance Time Codes. Each course will be displayed with its section, period, and teacher information. The Attendance Time Code should be entered in the far left column. These time codes will correspond with the time codes entered in the Time Code Calendar utility and will reflect the Time Codes that are assigned to each course in the SIS. Most schools will leave the Post to Daily Attendance box unchecked for all courses. This checkbox will be used if a campus has a designated "attendance course" that does NOT occur during the same period every day. This checkbox should remain unchecked for all other scenarios. To return to the Admin Menu, click Return. To select another mode from the Database Manager, select the new mode from the drop-down list. IMPACT Gradebook for School Administrators (v1.0 FINAL) 61 Attendance Codes (Read-Only Access) Attendance Codes define how a teacher can mark students' daily attendance within his or her gradebook. These codes include things like "absent," "excused," "unexcused," "present," "extracurricular," "religious," etc... To view attendance codes, first ensure that the District and School drop-down lists are set properly. Any existing attendance codes will be listed below on the left. IMPACT Gradebook for School Administrators (v1.0 FINAL) 62 Attendance Times (Read-Only Access) The Attendance Submission Times you can view here designate the time range, per period, where teachers can submit attendance. Attendance submission times for each period will be displayed as shown below: The Start Time and End Time fields represent the time frame - the "window" - during which the teacher can submit attendance for the class that meets during the corresponding period. For example, in the image above, you can see that teachers can submit attendance for period "01" between 8:00 AM and 9:00 AM. If a teacher attempted to submit attendance for period "01" after 9:00 AM, the submission buttons would be grayed-out, and no attendance data could be submitted. Important: Attendance clerks must always be aware of the attendance times. In most cases, the attendance data can only be exported one time per day. If the teacher is allowed to submit attendance more than once for a given day, the Multiple Submit check box will be checked. The Submit Days column states the desired number of days that the given day's attendance submission will be valid. For example, if it states “3”, then a teacher could still submit corrections to Monday's attendance records on Wednesday. To return to the Admin Menu, click Return. To select another mode from the Database Manager, select the new mode from the drop-down list. IMPACT Gradebook for School Administrators (v1.0 FINAL) 63 Comment Codes (Read-Only Access) Comment Codes are codes that allow teachers to comment on students' performance on progress reports and report cards. Codes can be positive or negative. They can also be customized. Any existing comment codes will be listed below. The Admin Code field can contain a separate code that will be exported to the Student Management Software. If a comment should appear on Interim Progress Reports, the appropriate box in the column labeled IPR will be checked. If the comment should appear on Report Cards, the appropriate box in the column labeled RC will be checked. *The Admin IPR field should be ignored. To return to the Admin Menu, click Return. To select another mode from the Database Manager, select the new mode from the drop-down list. Conduct Codes (Read-Only Access) Conduct Codes are codes that allow teachers to comment on students' classroom behavior on progress reports and report cards. Codes can be positive or negative. They can also be customized. Any existing conduct codes will be listed below. To return to the Admin Menu, click Return. To select another mode from the Database Manager, select the new mode from the drop-down list. IMPACT Gradebook for School Administrators (v1.0 FINAL) 64 Course Properties (Read Only Access) Each course will be listed below, along with specific information about each course. The course ID and Name are listed in the first two columns. The next column (Alpha Code) contains the alpha grading style. You may view the Grade Conversion table in Database Manager to see the grading system. The course's calendar type can be seen in the Calendar Type column. View the course's exam weight in the appropriate field in the Exam Weight column. If no entry is made here, the default exam weight (entered on the School Settings page) will be used. View the report card position in the appropriate field in the RC Position column. Note: this feature is only for customers who will be creating their report cards using GradeSpeed. If the course will not be graded, the Non-Graded box will be checked. IMPACT Gradebook for School Administrators (v1.0 FINAL) 65 Category Group allows you to view the category group for the course. If the course belongs to a report card group, you may view which group in the Report Card Group column. To return to the Admin Menu, click Return. To select another mode from the Database Manager, select the new mode from the drop-down list. IMPACT Gradebook for School Administrators (v1.0 FINAL) 66 Define Attendance Time Codes (Read-Only Access) Attendance Time Codes are codes that determine when a particular course meets on a regular basis. IMPACT Gradebook for School Administrators (v1.0 FINAL) 67 Grade Conversion (Read Only Access) The Grade Conversion table allows the gradebook to convert numeric averages into alpha grades and alpha assignment grades into averageable numeric values. It also must be set up properly to allow number-driven reports like the Honor Roll, Failure, and Eligibility reports to display correct results. The following page will appear, displaying the existing grade conversion types and details: The numeric-to-alpha table defines the alpha grade that should be calculated when a teacher enters a specific numeric grade in the gradebook. The alpha-to-numeric table defines the numeric grade that should be calculated when a teacher enters an alpha value in the gradebook. Allowed Override Values must be comma delimited, and can include both alpha and numeric values. The default entry is 1-100, Inc., N/G, and Exc. To view a different grade conversion type, select the desired type from the drop-down list at the bottom right corner of the page. To return to the Admin Menu, click Return. To select another mode from the Database Manager, select the new mode from the drop-down list. IMPACT Gradebook for School Administrators (v1.0 FINAL) 68 Student Characteristics (Read-Only Access for Principals) Note: Student Characteristics are available to the Principal role only. The Technical Coordinator role does not have permission to view. Student Characteristics, once defined, appear inside each student profile within teachers' gradebooks. From there, teachers may view any characteristics and personality traits that have been associated with each student. These are only shared between teachers and are for internal use only. The following page will appear, displaying existing student characteristic codes. To return to the Admin Menu, click Return. To select another mode from the Database Manager, select the new mode from the drop-down list. Student Contact Info (Read-Only Access) Administrators can view student contact information. This information will be displayed under the student profile in the teacher's gradebook. The following information will be displayed in a list below: The user can view phone numbers in the Home Phone, Work Phone, and Cell Phone fields. To return to the Admin Menu, click Return. IMPACT Gradebook for School Administrators (v1.0 FINAL) 70 Teacher Properties (Full Access) To change the teacher properties, first ensure that the District and School drop-down lists are set properly. The following page will appear: The teacher's email address can be entered in the blank field in the Email column. If the teacher enters an email address in the Teacher Profile in his or her gradebook, it will automatically populate this field. If the teacher wishes to group students by period rather than by course ID, check the Group By Period box at the end of the row. If this option is selected, the teacher's gradebook will display "Period 1; Period 2; etc" instead of the course name in the course selection drop-down list. *The Attendance Type drop-down list is only for customers who use Pentamation's scheduling software. To view the page in a "read-only" format, check the box marked Read-Only at the bottom of the page. The following read-only information will appear: To save any changes to the teacher properties, click Update. To return to the Admin Menu, click Return. To select another mode from the Database Manager, select the new mode from the drop-down list. IMPACT Gradebook for School Administrators (v1.0 FINAL) 71 Tracks (Read-Only Access) Tracks are used for the Multi-track Schools. This page lists the type of Track and Calendar Cycle information for the school. IMPACT Gradebook for School Administrators (v1.0 FINAL) 72 Tools and Settings The Tools and Settings menu gives the administrator access to additional tools and campus-level configurations. IMPACT Gradebook for School Administrators (v1.0 FINAL) 73 School Settings - All (Read Only Access) This page is used to control basic GradeSpeed settings and preferences for each campus. The Mode dropdown list allows you to view the settings for basic school information, attendance, grading, and any interfaces (such as SIM). IMPACT Gradebook for School Administrators (v1.0 FINAL) 74 School Settings - Grading (Full Access) Principals can use the School Settings - Grading page to modify the grading parameters for their campuses. The district may provide default settings for each of the items on this page; the campus administrator is able to modify those settings, as long as the settings chosen remain in compliance with any applicable district policies. To set the default weight for semester exams, provide the appropriate percentage value in the Default exam weight field. Set the Default minimum passing grade to reflect the lowest passing grade allowed at the campus. Set the Lowest cycle grade allowed and the Highest cycle grade allowed to correspond to the highest and lowest grades that should appear on reports, report cards and in the parent portal. Grades outside of these limits will be lowered or raised to meet the parameters. Finally, set the Final exam weight to match the appropriate weight of the final exam grade within the course average. Check the Average previous semesters box to allow GradeSpeed to calculate previous semester averages in addition to the current semester. If this box is left unchecked, the previous semester(s) will be averaged in the SIS, and the average will be imported into GradeSpeed. Check the Average semesters separately box to allow GradeSpeed to average semesters separately. If this box is checked, GradeSpeed will average the semesters individually, then average the semester averages together to gain the overall average. If this box is unchecked, GradeSpeed will calculate the overall average by averaging all cycles together. This box will be checked at most secondary schools, and unchecked at most elementary schools. Check the Allow extra credit for semester box to allow teachers to create assignments that count for extra-credit that can be applied to the semester average. Check the Allow final exam box to give teachers the option to assign a final exam. RSCCC users should leave this button unchecked, as RSCCC does not allow a final exam grade to be posted. Check the Allow semester exams box to give teachers the option to assign a semester exam. This semester exam grade can then be posted into the SIS. IMPACT Gradebook for School Administrators (v1.0 FINAL) 75 Check the Hide semester averages box to hide the semester averages within the gradebook. Check the Allow Assignment Multiplier box to allow teachers to use the assignment Multiplier feature when creating assignments. When the Multiplier is allowed, Students Advantage is automatically turned ON. The Multiplier is used to weight individual assignments within their respective categories. For example, if a quiz grade should count for two grades within the "Quiz" category, the Multiplier should be set to "2." If the “Quiz” category’s weighting method is also set to “Multiple,” the two multiples are multiplied together to calculate the total number of times a specific assignment will be counted. For example, if the “Quiz” category is weighed at 2 (grades count twice) and the Multiplier for a particular assignment is “3,” then that assignment will be worth a total of 6 grades. NOTE: If the Allow Assignment Multiplier checkbox has been turned “on” and teachers have been using this feature, turning it off will cause student averages to change. They will be recalculated based on a default multiplier of 1 for all assignments. However, if turned back “on,” teachers’ Multiplier settings will revert to their original settings. Check the Force Student's Advantage box to require GradeSpeed to use its Student's Advantage algorithm when calculating which grades to drop for students. The Student's Advantage method drops the grades that, considering the total points and weight of the assignment, results in the highest possible average for the student. If the Student's Advantage method is not used, grades will be dropped based solely on the raw points or percentage score. For example, if a student's average is 89, and his two lowest grades are a 70 in a category weighted at 10% and a 75 in a category weighted at 50%, the Student's Advantage method would drop the 75 in order to cause the least reduction in the student's average. IMPACT Gradebook for School Administrators (v1.0 FINAL) 76 Email Settings (Read-Only Access) Administrators can use the Email Settings page to view the email SMTP server information, as well as view many universal email templates. The Email Settings control panel can be accessed by clicking the icon in Tools and Settings. Once the icon is clicked, the main Email Configuration control panel will appear. GradeSpeed.NET can generate several different automated emails that can be sent out. These emails include "grade/attendance triggers," "teacher attendance notifications," etc... The Configure Email feature allows every template to be 100% customized. Click the Configure Email button and the following page will appear: IMPACT Gradebook for School Administrators (v1.0 FINAL) 77 There are several generic email messages that can be generated within GradeSpeed.NET; "Attendance Notification," "Password Notification," "Progress Reports," "Grade Trigger," "Attendance Trigger.” Select which automated message is to be viewed using the Type drop-down list. System-generated Email Messages • The "Attendance Notification" email can be sent to teachers who have not submitted attendance on time. This email can be sent out by clicking the "Email" button in the Display Teacher Progress feature. • The "Progress Reports" email template is used when progress reports are sent to parents via email - the actual progress report will be an attachment, and format of the email is defined here. • The "Grade Trigger" and "Attendance Trigger" email templates are used when parents set up trigger notifications in ParentConnection. These templates are also used when an administrator sets up triggers for campus/district personnel. For each type, the following information can be viewed: To return to the main Email Settings page, click the Mail Settings or Return button. IMPACT Gradebook for School Administrators (v1.0 FINAL) 78 Teacher Verification (for Grade Submissions) (Full Access for Principal role only) Note: Teacher Verification is available to the Principal role only. The Technical Coordinator role does not have permission to view. Verification performs two functions at a school. - First, and most importantly, it allows a teacher to digitally "sign" his or her grade submissions and verify their accuracy. - Second, and less importantly, it locks the teacher's gradebook and prevents them from making changes after the submission date. Each teacher should verify his or her gradebook at the end of each grading cycle to confirm that reports can be run and final exports can be performed. Administrators can track and manage teacher verification clicking the Teacher Verification icon within the Tools And Settings page. Once the icon is clicked, the main Teacher Verification administrator control panel will appear. Administrators can use this page to monitor teachers' verification status. Note that the administrative user can view and modify verification status per cycle. A report of all verified or all unverified teachers can be pulled up by using the drop-down box at the bottom of the page. If a teacher has verified his or her gradebook, the row will reflect this. IMPACT Gradebook for School Administrators (v1.0 FINAL) 79 The verification history of any teacher can be viewed by clicking the View History button. The View History feature provides many helpful bits of data 1) You can see every change that has been made to any teacher's gradebook verification status, whether it was marked verified or unverified. 2) You can see the exact time and date that the change occurred. 3) You can see the class or classes that were modified. 4) You can see the administrator or user account that made the change. Administrators can also verify all teachers' gradebooks if needed. To verify all teachers at the current school, click the Verify All button at the bottom of the page. Once the button has been clicked, the administrator will be prompted to confirm the action. NOTE: In most cases, the administrator should NOT use the Verify All tool. The purpose of verification is to confirm that the teacher has reviewed and approved the grades that will appear on the progress report or report card. If someone other than the teacher - the administrator, for example - places the verification stamp on the gradebook, confusion and conflict may result if the grades turn out to be incorrect. If the teacher has not personally verified, it is best to leave the gradebook unverified when exporting. Once a school has been verified, this can be undone by clicking the Clear All button. If the school's primary concern is keeping unverified teachers from making changes while report cards are printed, then administrators should use the Read-Only Gradebooks tool on the Cycle Calendar page. To save any changes to the teacher verification dates, click Update. To return to the Admin Menu, click Return. IMPACT Gradebook for School Administrators (v1.0 FINAL) 80 Student Activity Codes (Full Access) Administrators can use the Student Activity Codes feature to assign activity codes to individual students or entire course sections. This page can be accessed in Tools and Settings and by clicking the Student Activity Codes icon. Once the icon is clicked, the main control panel will appear: Use the Select Course drop-down list to choose the correct course. Use the Select Section drop-down list to choose the correct section. IMPACT Gradebook for School Administrators (v1.0 FINAL) 81 Click Get Students. The following page will appear: Select a student from the Select Student drop-down list. IMPACT Gradebook for School Administrators (v1.0 FINAL) 82 If any activities are assigned to this student already, they will appear in the Assigned Activities list to the right. Any available, unassigned activities will be displayed in the Unassigned Activities list to the left. To assign an activity to the student, select it from the list on the left, then click Assign. The activity will then appear in the list on the right for that student. To remove an activity from the student, select the activity name from the list on the right, then click Unassign. The activity will be moved back to the Unassigned list on the left. NOTE: The Delete Old Records checkbox at the top of the page is used to choose whether a new activity code assignment will take precedence over any existing activity codes. For example, let’s say "Bob" is in football. So we assign him to the FOOTBALL activity code. But Bob is also in Band. So we assign him to the BAND activity code as well. If Delete Old Records is checked when we’re assigning him to the BAND code, then the FOOTBALL code will be dropped from his record. If the checkbox is unchecked, then he will be assigned both the FOOTBALL activity code and the BAND activity code. Once all information is correct for this student, click Update to save any changes. The Report link under the Get Students button is used to pull a report of all activity codes and the individual students assigned to each. To return to the Admin Menu, click Return. IMPACT Gradebook for School Administrators (v1.0 FINAL) 83 Teacher Activity Codes (Full Access) GradeSpeed.NET 4.0 allows administrative users to associate activity codes to groups of students. These activity codes make it possible to run reports for specific groups of students (for example; an honor roll report for all volleyball players). Administrative users can also associate activity codes with the appropriate teachers (for example; the "Volleyball" activity code with the volleyball coach). This gives those teachers access to specific tools and reports that would not normally be available in their gradebooks. To assign an activity code to a teacher, either select the course taught by that teacher, or select the teacher's name from the drop-down lists. Once a teacher has been selected, a list of available activity codes will appear below. Any activity codes that are not currently assigned to the teacher selected are shown in the box to the left, and any activity codes that are already assigned to the teacher are shown in the box to the right. IMPACT Gradebook for School Administrators (v1.0 FINAL) 84 To assign an activity code to the teacher, select the activity codes in the box to the left, then click Assign. Click Update to save the association. The teacher will now have access to additional administrative reports including the Honor Roll Report, the Failure Report, and GradeSpeed Monitor. These tools will be accessible from the teacher's normal Reports menu item. IMPACT Gradebook for School Administrators (v1.0 FINAL) 85 Category Groups (Read-Only Access) Category Groups are basically the different types of assignment categories a teacher can specify. These categories can include "tests," "homework," "quizzes," "labs," "projects," "presentations," etc... Administrators can view Category Groups that can be applied district-wide, as well as for each individual campus within the district. The category groups can be assigned for each course on the Course Properties page under the Database Manager. The categories defined in Course Properties will then be automatically pre-loaded to the teachers' gradebooks, allowing them to begin entering assignments immediately. Any categories that are set up here can either be required for all teachers to use, or teachers may be allowed to enter their own. To view a category that is already set up, click on the category group name from this list. The category information will be displayed in the table to the right. To return to the Tools and Settings menu, click Return. IMPACT Gradebook for School Administrators (v1.0 FINAL) 86 Cycle Calendar (Read-Only Access) The Cycle Calendar feature is where you specify the start and end date of each cycle or grading period. To view the cycle calendar, first ensure that the District and School are set properly. Administrators will use the Cycle Calendar to view the Start Date and End Date of each cycle, and to view which cycle is the current cycle. Mark the Current cycle by selecting the radio button beside the Cycle number. To return to the Admin Menu, click Return. IMPACT Gradebook for School Administrators (v1.0 FINAL) 87 Time Code Calendar (Read-Only Access) Administrators can use the Time Code Calendar to view the time code (for example, "A" days or "B" days) for each day of each cycle. Before the Time Code Calendar can be used, time codes must first be defined in the Database Manager (click the dropdown box in the upper right-hand corner of the page and select Define Attendance Time Codes). First, ensure that the District and School are set properly. Use the Select Cycle drop-down list to select the correct cycle. The following page will appear: A legend explaining the available time codes is displayed on the left. The legend reflects any and all time codes that have been defined in Define Attendance Time Codes within the Database Manager. To return to the Admin Menu, click Return. IMPACT Gradebook for School Administrators (v1.0 FINAL) 88 Triggers (Full Access) NOTE: Before triggers will be sent out, you must activate the "Triggers" scheduled task. A user with write access may go to Tools and Settings, select Scheduled Tasks, and enable the "Triggers" task by clicking the "Enabled" checkbox. For more in-depth information on the other options listed on the page, read the Scheduled Tasks chapter in this documentation. Administrative users can set triggers that will send notifications to a specific recipient when a student's grade crosses a specified threshold. Triggers can also be set to send a notification when a student is marked "Absent" or "Tardy." The Triggers module is designed to work in conjunction with ParentConnection and the GradeSpeed Voice Server. ParentConnection allows parents to set up triggers on their own from within the parent interface, and enables email notification and text messages. The Voice Server enables phone notification. The above screenshot is the main Trigger admin control panel. The student name, enabled status, watch criteria, notification methods, creator of the trigger, and how many times the trigger has been tripped are all visible at a glance. To create a trigger, click Add New Trigger. The following new window will appear: Administrative users have the option to select which campus and which student to create the trigger for. Use the School and Student drop-down lists to make these selections. Next, set the Trigger Options. If the trigger is needed immediately, check the box labeled Enabled. Leaving this box unchecked will "disable" the trigger, and notification will not be sent, even if the grade or attendance event occurs. IMPACT Gradebook for School Administrators (v1.0 FINAL) 89 If the trigger should monitor a student's grade average, check the box labeled Watch Grades. This will activate the grade parameter options. The grade trigger can be customized to send a notification if a grade crosses a high OR low grade threshold. Enter the desired parameter using the radio buttons and the "an average of" field. For example, if the "Below" radio button is selected, and a "70" is entered in the "an average of" field, GradeSpeed will automatically send a notification to the specified recipient when the student's average drops below a "70." If the trigger should also monitor a student's attendance records, check the box titled Watch Attendance. This option will cause GradeSpeed to send notification if the student receives a "Tardy" or "Absent" attendance code. If the trigger is to be temporary, set the expiration date using the Expires calendar tool. Next, specify the type of notification that should be sent when the trigger event occurs. Use the Notifications check boxes and choose which notification types should be sent out when the criteria are met. The trigger can be set to notify an Email Address, Call A Phone Number and/or Send A Text Message. Note that the Phone Call notification type is only available if the GradeSpeed Voice Server is used. Finally, enter the contact information for the person who should receive the notification. Enter the email address of the recipient if Email notification is used, and the phone number of the recipient if Phone Call notification is used. Note that if the contact info fields are left blank, the student guardian contact info will be used. To save the trigger information at any time, click Apply. To save the trigger information and return to the main Triggers page, click OK. To discard the current trigger info and return to the main Triggers page, click Cancel. NOTE: To edit the content of the trigger notification emails, go to Tools and Settings, Email Settings, and then click the "Email Configuration" button. The use the dropdown menu to select "Grade Notification" or "Attendance Notification" to edit the existing template for those emails. Once you have created a trigger, you can edit it on the main Triggers page by clicking Edit next to the appropriate trigger. Click Refresh to view the most recent triggers on the page. To return to the Tools and Settings menu, click Return. IMPACT Gradebook for School Administrators (v1.0 FINAL) 90 Restore Teacher Backup (Read-Only Access) This page will be used to retrieve grade information from backed up copies of the teacher's gradebook. Restore Teacher Backup will be done at the District-level based upon notification to the IMPACT HelpDesk. The IMPACT Helpdesk will select the appropriate school, teacher, and cycle to restore. A cycle will only be available if the teacher has logged into that cycle. The specific backup instance will be selected from the Backup drop-down list. Note: selecting the backup from this list does not load this information as the current information, but will only allow the user to view the contents of the backed up gradebook. IMPACT Gradebook for School Administrators (v1.0 FINAL) 91 Once the backup instance has been selected, the following page will appear: Again, the backup does NOT become restored until the Restore button in the top right-hand corner is clicked. This page merely allows the backup to be viewed prior to the actual restore. This is very useful for finding the exact backup to revert to. Once the backed up gradebook has been opened, the user can browse through the grades and attendance records. To view a different backup, simply change the selections using the drop-down lists mentioned above. If the user needs to restore a previous backup and make it the current gradebook (for example, in the event of data loss or incorrect data, the previous version of the gradebook could be loaded to reset the gradebook to the last known good information), the user should click the button titled Restore at the top right corner of the page. Once a backup has been restored as the live gradebook, the information contained in that backup will be displayed as live data the next time the gradebook is viewed, whether by the teacher or by the administrator.
