Equidays is your world class
equine event! While only heading
into its fourth year, Equidays
is determined to become a
renowned world class equine
event and will be continually
building on the positive
experiences and feedback we’ve
secured over the last three
years. Equidays is an exhibition,
education-based and competition
event that strongly focuses on the
extensive variety of commercial,
recreational and entertainment
aspects of the equine industry.
Equidays 2014 is going to bring
an even greater variety of equine
elements, exciting entertainment,
demonstrations, seminars and
clinics from highly reputable
clinicians and importantly an
increased number of exhibitors
creating a fantastic shopping
experience for our visitors – there
will definitely be something for
everyone spread over the full
three days at Equidays!
Mystery Creek Event Centre is
the ideal venue for Equidays,
with 113 hectares available for
event use and free visitor parking.
The enthusiastic and committed
Equidays team carefully plan
and transform the venue into
an equestrian paradise with
the full-sized world class indoor
sand arena, outdoor grass and
sand arenas, a new dedicated
Western area, training and
display areas and dedicated
indoor and outdoor exhibition
spaces to suit any preference,
requirement and budget. Add to
all this our extensive areas for
onsite camping, an entertainment
zone, plus the other extensive
amenities and facilities at Mystery
Creek Events Centre.

NEW Hyundai Horse Derby
was a huge crowd pleaser, with
a mix of show jumps and natural
styled fences set over more than a
kilometre of good footing. It was a
great test of speed, endurance and
accuracy for 40 of our top NZ show
jumpers and eventers.
The high intensity course was
professionally designed by top
course builder Gerrit Beker. The
Derby course will be further utilised
over the three days at
Equidays 2014.

FOR EQUIDAYS 2014
Increased variety
No subletting fee for smaller
businesses wanting to share
a site
We will cater for a wider
range of equine interests,
and therefore boost visitor
numbers, by introducing a
greater variety of disciplines and
high quality equine elements.
With highly reputable clinicians
and participants being actively
involved throughout Equidays
2014, and the likes of the NEW
dedicated Western Area which
will be a fantastic draw-card, our
event will be sure to appeal to
many!
Event layout
The layout of Equidays 2014 has
been further improved for our
valuable exhibitors, clinicians
and visitors, acknowledging
feedback received. We have taken
considerable steps to ensure the
site map is condensed so visitors
experience all areas of the event
easily and exhibitors receive
high volumes of foot traffic in
all locations. The introduction
of the dedicated Western Area
will prove very popular for both
exhibitors and visitors.
Reserve Site allocation
In recognition of the valuable
support received, we are
delighted to offer Equidays 2013
exhibitors an exclusive reserve
site application opportunity. They
are able to retain and confirm
their previous site or most
preferred new site. Exhibitors
that attended Equidays 2013 and
would like to take advantage of

this special offer must submit
their site application form and
deposit by 14 February 2014.
We welcome NEW exhibitor
site applications and these will
be allocated from Monday 17
February 2014 onwards.
Reintroduction of smaller
exhibitor sites (indoors &
outdoors)
After listening to feedback
received we have reintroduced
a far greater number of smaller
exhibitor sites both within the
indoor Mystery Creek Convention
Centre (inclusive sites) and also
outdoors (space only). We hope
this will encourage and enable
smaller businesses to consider
exhibiting at our event and
heighten their ability to showcase
their range of products and
services to all.
Breeders Expo area
We are excited to further improve
the exposure and ability for breed
studs, associations and societies
to showcase their particular
breed, mare or stallion. The
dedicated Breeders Expo area will
be in a prominent high traffic flow
area being close to the outdoor
arenas. Breeders within this Expo
area have a site to setup a static
display, the valuable opportunity
to be part of the outdoor
Breeders Display parade (much
like a stallion parade) AND the
new opportunity to participate in
and display their breed in a free
jumping display.
Hyundai Derby area
After receiving big crowds during
the Hyundai Derby action in 2013,
we will be further utilising this
fantastic Hyundai Derby course
throughout the full three days of
Equidays, to ensure an exciting
range of activity within this crowd
drawing prominent area.
Discounted tickets for Exhibitors
Acknowledging how important
exhibitors support is to our
growing Equidays event, we
will offer discounted to tickets
available for our exhibitors,
hoping to encourage their
attendance and support at
varying events happening at
Equidays 2014. Discounted
general admission tickets, night
show tickets and additional
exhibitor tickets will happily be
extended!
Exhibitor passes
We will be introducing both 1
day and 3 day exhibitor passes,
with exhibitors having the option
dependant on what works best
for their site and staff working at
the event. Also, we appreciate
that some exhibitors require
a greater number of exhibitor
ticket passes given the number of
employees they have working on
their site throughout Equidays.
We want to extend greater
flexibility to our exhibitors and
will open the opportunity for
exhibitors to advise the number
of tickets they would ideally
require for the three day event,
this will be dealt with on a case
equidays 17 - 19 october 2014
Again we would like to highlight
how much we would love smaller
businesses to be part of our event
and have the ability to exhibit.
We appreciate some small or
newer businesses may not have
the income to confirm one whole
site for themselves, so we want to
encourage smaller businesses to
share a site (sublet) with another
smaller business with no subletting
fee being charged.Both small
businesses will receive individual
directory listings within the
Equidays programme and on the
Equidays websites. Please contact
the friendly Equidays staff to see if
you qualify.
Kaimanawa Challenge
A select group of trainers will be
invited to compete in the ‘Major
Milestone’ at Equidays 2014. The
trainers will compete for both
cash and prizes as they showcase
their skills while displaying the
trainability of the Kaimanawa
horses. The horses will be fresh
out of the 2014 muster.

Introduction of a collaborative
art gallery
Acknowledging the immense
artistic talent surrounding us
and also acting on a valuable
recommendation received, we
will be introducing a collaborative
art gallery within the indoor
Mystery Creek Convention Centre
for a variety of artists to display
their artwork, all with a strong
equine focus. This is sure to be
of real interest to all attendees
able to view the artwork and
potentially talk with the talented
artists too.
Free camping onsite for exhibitors
Non-powered camping sites and
facilities will be available free of
charge for all Equidays exhibitors.
This is a highly convenient
accommodation option, with plenty
of room available and located
within very close proximity to the
event zone. Good networking and
socialising opportunities available!
Powered sites available if required
for a small one-off charge.
Increased advertising and signage
Ensuring we are encouraging
maximum awareness and
attendance at Equidays 2014,
there will be an increased amount
and greater variety of advertising
leading up to the event, along with
increased signage surrounding
Mystery Creek and also onsite at
Equidays 2014.

INDOOR SITES
Indoor exhibitor sites are located
within the fantastic Mystery
Creek Convention Centre. All
indoor sites are carpeted and
partitioned. Promotional
material can easily be attached
to the partitions, which are 2.3m
high, using velcro dots and strips.
Spotlights, a 10 amp power
point and a 4 way multi-box are
all included. Indoor sites also
include one trestle table and two
chairs for your convenience.

HEALTH & SAFETY
All Exhibitors must comply with the
requirements of the Health and Safety
Act (1992).
All practical steps must be taken by
exhibitors to ensure the safety of
their staff and the public. Exhibitors
must submit a list of identified
hazards posed on their site, along
with remedies to eliminate, isolate or
minimise these.
All exhibitors and contractors working
on site need to familiarise themselves
with the Health and Safety procedures
of the venue, these are available from
Equidays HQ.
Partitions (2.3m high) will be provided
for the indoor sites and the Breeders
Expo marquee sites, and will be
postioned vertically on the back
and side boundaries on each site.
Promotional material can be attached
to these partitions using velcro dots
or strips. If you would like to change
the type of partition on your site,
please contact the team.
Outside sites: All outdoor sites will
receive a standard 16amp power
point. Exhibitors can request a 4-way
multi-box to be included with the site.
All outside exhibitors must supply their
own 25 metre extension cord.

SHARING A SITE (SUBLETTING)
Subletting is when an exhibitor
(primary) invites another exhibitor
(secondary) to display or demonstrate
their secondary products or services
on the primary exhibitor’s site.
Equidays want to encourage a greater
number of smaller businesses to
exhibit at our event, so we would like
to extend the new option of sharing
a site at no charge, so two exhibitors
are able to share an exhibitor site and
share all relevant prices, this hopefully
making it a lot more appealing and
financially viable for them to exhibit
and be a valuable part of our
Equidays event.
Both exhibitors sharing a site are
required to ensure full payment is
received for the one exhibitor site
and that both exhibitors complete
the online hazard identification form.

Allocations of sites will be initially
offered to returning 2013 exhibitors on
a preferential placement basis. New
exhibitor applications will be allocated
from Monday 17 February 2014.
SITE AWARDS
All exhibits are automatically eligible
to compete for an Equidays site award.
The two site award categories are
Best Indoor site and Best Outdoor
site. Exhibits will be judged on Friday
17 October 2014 and the awards
presented at the exhibitor function on
the Friday evening at 5.30pm. Prize
includes 10% off their 2015 exhibitor
site.
SOCIAL EVENT FOR EXHIBITORS
An Exhibitor Function will be held
on Friday 17th October 2014 from
5.30pm to 6.30pm. Complimentary
refreshments will be available and
the Exhibitor Site Awards will be

VEHICLES AND TRAILERS

PARTNERSHIP WITH EQUIDAYS
EXHIBITOR CONDITIONS
1.0 General
Equidays shall be the sole judge of whether the following
items have been adhered to in a proper manner. The decision
of Equidays shall in all respects be final and conclusive. If, in
the opinion of the organisers, a serious breach of these terms
and conditions has taken place, an exhibitor may be required
to remove their exhibit. In such a case all fees paid or due
to Equidays shall be forfeited. Notwithstanding anything
contained in this Prospectus, the organisers reserve the
unrestricted right to make such rules or orders for the proper
conduct of the exhibitors, as circumstances may warrant,
either before or during the event.
2.0 Application for exhibition site
2.1 All applications for exhibition sites should be made
promptly on the application form and returned to Equidays
HQ with the required $500 deposit. The balance payment
of the total site fee is due by 19 September 2014. If for any
reason the exhibitor fails to make any of the nominated
payments by the due dates, Equidays may proceed to relet
the site without being liable to account to the exhibitor for
any sum already paid or due from them. The exhibitor will
continue to be contractually liable for any outstanding funds.
2.2 Site fees must be paid in full before site occupation and
ticket allocation.
2.3 The site plan shown in the prospectus is indicative and
may be altered depending on sales. Organisers reserve the
right to alter the site plan if considered necessary.
2.4 A high standard of display is required. The exhibitor shall
not permit any other organisation to share any part of their
exhibition site unless subletting (refer Clause 3 – Subletting).
3.0 Subletting

10.0 Legal Requirements
Exhibitors must provide a fire extinguisher for their site.
Notwithstanding anything contained in any part of these
terms and conditions, it shall be the express responsibility
of each exhibitor to ensure that their exhibit complies in all
respects with such legal and local government requirements
as may be enforced at the time of the exhibition. All
exhibitors must comply with all provisions of the Health &
Safety in Employment Act (1992).
22.0 Photographic rights and media coverage
11.0 Competitions or Contests
Exhibitors desiring to run any form of competition must
gain prior written approval from Equidays. Competitions or
contests must be free of charge to patrons. No raffles or fund
raising shall be run.
12.0 Power Cables
Power cables will be marked with red paint on the ground.
There is to be absolutely no digging or tent pegs in the power
cable area. DANGER - NO DIGGING BETWEEN THE RED LINES.
13.0 Selling of Food
Photography (still and video) taken by representatives
of Equidays or accredited media during the event will
remain the property of the organisers and may be used
for promotional purposes. Any exhibitor who wishes to be
excluded from media exposure or being photographed or
filmed must advise the Event Executive in writing at least
one week prior to the event. Any images purchased or
commissioned by Equidays remain the property of the event
organisers
23.0 Young Persons on Site
23.1 A condition of entry to Mystery Creek Events Centre is
that all activities must comply with the Health and Safety in
Employment Act of 1992 and Health and Safety in
Employment Regulations 1995 (SR 1995 / 167) (as at 01 April
2009) which deals specifically with the presence of young
person’s on site during set up;
a) no person under the age of 15 years shall be present in
any area at the place of work:
d) at any time when any logging operation or tree-felling
operation is being carried out in that area;
No exhibitors shall permit their exhibition stand to be used
in such a manner as to conflict with the purpose of the
exhibition or the rights of other exhibitors. In the event of
any dispute arising between exhibitors such disputes shall be
given consideration, and the decision of the organisers shall
be accepted by all parties as final and conclusive in
all respects.
To comply with liquor license requirements, exhibitors are
not permitted to bring alcohol onto site, nor give away, sell or
distribute alcoholic beverages for cash or for vouchers.
e) at any time when any work is being carried out in that
area that is likely to cause harm to the Health and Safety of a
person under the age of 15 years.
15.0 Fire Retardant Materials
23.2 Persons under 15 years of age can be present on site
when:

If the event is cancelled by the organiser rental monies paid
(inclusive of deposit) will be returned in full. If site(s) are
cancelled by the exhibitor after the 19 September 2014, site
fees paid to date will be forfeited. In all cases, cancellation
must be confirmed in writing.
8.0 Advertising
Exhibitors have the right to advertise within the confines of
their own stand, but Equidays reserves the right to prohibit
any such advertising material or equipment which obstruct
aisles, interferes with or obstructs neighbouring stands or
is, in the opinion of the organisers, a source of annoyance
to others. No exhibitor, or employee thereof including
equidays 17 - 19 october 2014
Equidays shall not be liable for any consequential loss which
may arise out of any association with Equidays
14.0 Alcohol
Under no circumstances will Equidays accept any
responsibility whatsoever for any loss, damage or theft to
any exhibitors’ display, property or equipment by any cause
or means whatsoever. Exhibitors are required to provide
supervision for the whole time that the exhibition is open to
the public. It is requested that all displays, fixtures, fittings
and equipment shall be adequately insured. The exhibitor
should hold appropriate public liability insurance at a
recommended level no less than $3 million (three million
dollars), however this does not in any way suggest liability
is limited to this level for any loss or damage caused by
exhibitor negligence.

If exhibitors intend to use amplifiers and loud speakers on
their exhibition site, prior written approval must be obtained
from Equidays. The organisers reserve the right to withdraw
such approval if use of such equipment proves disruptive to
other exhibitors.
The organisers and promoters of Equidays reserve the right
to amend any part or parts of the herein described.
If an exhibitor applies for site space and invites another
organisation to exhibit on their site the secondary exhibitor
must fill in a separate application form. Equidays will
consider removing the sublet fee of $350.00 + GST for small
businesses to encourage their presence as an exhibitor at
our event and ability to share a site and necessary costs with
other small businesses.
Extra lights and power points on display sites can only be
supplied by the organiser’s electrician on application and at
the exhibitor’s expense.

19.0 Amendments
Exhibitors are not permitted to distribute food from their
exhibition site without prior written approval from Equidays.
Only approved food distributors will be permitted to sell
food in designated food areas. Such food distributors must
comply with all legal and local authority regulations in order
to handle, prepare, sell or display food. Food distributors may
be required to install sink and hot water systems. Consent on
this matter should be obtained from the Health Division of
the Waipa District Council.
6.0 Utility Service Charges

promotion in car parks on site is prohibited.

In compliance with the NZ Building Code (C3/ASI Table 4)
exhibitors are informed that curtains, drapes or backdrops
are to be restricted to fire retardant materials with a
flammability index no greater than 12. Further information
may be obtained from the Building Inspectors Department,
Waipa District Council.
16.0 Security
Equidays will have security on site from 8:30am Tuesday 14
October 2014 until 5pm Monday 20 October 2014. Exhibitors
shall not rely on the security guards for the security of their
products. Exhibitors shall make certain they are sufficiently
insured for sole risk.
b) at any time when goods are being prepared or
manufactured for trade or sale in that area;
c) at any time when any construction work is being carried out
in that area (set up and breakdown times);
a) under the direct supervision of an adult in that area; or
b) on a guided tour of that area; or
c) in any office in that area; or
d) in any part of that area used only for selling goods or
services.
23.3 If young persons are going to be present on site
under any of the above clauses this must be noted on your
hazard ID form complete with a plan on how they will be
supervised.
17.0 Removal

Exhibitors must not remove items from their site until after
4pm on Sunday 19 October 2014. All exhibitor property must
be removed from Mystery Creek Events Centre site by 5pm
Monday 20 October 2014, unless alternative arrangements
have been made. Any property remaining on site after this
date will be removed at the exhibitor’s expense. Exhibitors
will be responsible for ensuring their site is left in its original
condition.
A Hazard Identification Form must be completed and
submitted to Equidays HQ prior to site set up and exhibitor
pass allocation.
18.0 Vehicles
All vehicles must be removed from the exhibition site, and
parked in the car park, by 8.30am each morning. Vehicles
remaining on the exhibition site after 8:30am will be
removed at the exhibitor’s expense. Vehicles will not be
permitted into the show area while the show is open to the
public without the written permission of the organisers.
