Hj Julaihi Contributors: Mark Hessels, and Dk Hazlenayaty Pg Sallehudin Other important achievement in the Board Meeting is the endorsement and approval of budget for continued Refinery studies in Seria, which will allow us to better define the future direction of investments in the refinery capacity in Brunei. Reliability and availability of the BLNG plant continue to be world class. Availability is on target and we only had one (1) train trip in 2007. The Annual Delivery Plan (ADP) is progressing as per plan. In 2007, we have produced 213 cargoes, two (2) short of the Business Plan (BP) due to gas supply shortages in Q1. The plant rejuvenations and the efforts to increase its integrity are taking shape and underpin a continued high reliability and availability performance. Project delivery is steady. The new cooling tower cells and the power-project are approaching completion, whilst the coating rejuvenation program has been successfully started. The remaining rejuvenation effort has been fully mapped and an initial site master plan is being established. An added advantage to this rejuvenation projects is the opportunity to increase our plant efficiency and reduce the green house gas emissions. Further information on this is featured in this issue of BLNGema. In the light of a very high activity level due to all the major running projects and preparation activities for contract extension, we have recorded a good HSE performance, but it still remains fragile. We have achieved a great milestone through the achievement of 12 Million safe man-hours (1st time ever in BLNG) added with the successful roll out of the Stepback 5x5 program and a review of the HSE critical positions and associated training. HSE remains high on the agenda with continuous structured site visits and a number of safety time-outs including the safety week in October. However, the challenge remains. On people, we have fully completed the 2007 training program, and reviewed all competence profiles and job descriptions to allow for more structured people development. In addition, the e-learning project is operational and the cooperation with Institut Teknologi Brunei (ITB) to train operators and engineers continues. We will also continue in promoting Healthy Lifestyle Programme (HLP) for our people through various sports activities and HLP road shows and exhibitions in 2008. Overall, BLNG is clearly getting ready for the contract extensions, also highlighted by our new-refreshed logo. The overall goals and challenges for 2008 will be similar to 2007 with more focus on process safety and environment. Our motto for 2008 therefore remains unchanged: “We deliver our promise.” Energy Efficiency Improvement – The history The drive toward energy efficiency in Brunei LNG (BLNG) has started back in the late 1980’s, when a new 140 Mega Watt electric (MWe) Combined Cycle Power Generation Plant (COGEN) was built next to the BLNG plant. This is the first Co-generation plant in Brunei whereby the exhaust gas from the frame 5 Gas Turbo Generator (GTG) is recovered to generate high-pressure steam via seven (52 tonne / hour) waste heat boilers. The steam generated from these boilers is used to supplement steam produced from the direct-fired steam boilers, which drives steam turbines drivers in the plant. The implementation of this project leads to the reduction of fuel gas consumption equivalent to 175-kilo tonne-fuel gas per year at current LNG production level. This project also brings benefit to the environment in term of reduction of Carbon Dioxide (CO2) emission to atmosphere, which is in the order of 440 kilo tonne CO2 per year. back pressure turbines, whereby the Low Pressure (LP) steam exhaust is no longer condensed but utilised as LP steam feed to Deaerator which reduce High Pressure (HP) steam letdown and utilised the heat which otherwise wasted to atmosphere via cooling tower. As part of the Brunei Shell Petroleum (BSP) Ampa Rationalisation Project, BSP installed three 8 Million Cubic Meter per day onshore gas compressor to compress HP natural gas from offshore to feed BLNG plant. The three centrifugal compressors were driven by frame 5 gas turbines. BLNG installed three-heat recovery steam generators (HRSG) of 100-tonne / hour HP steam each to recover waste heat from the exhaust of the gas turbines. The implementations of this project reduce further the overall BLNG fuel gas consumption equivalent to 144 kilo tonne -fuel gas per year and reduction of some 362 kilo tonne CO2 per year emitted to the atmosphere at current LNG production level. Bhd.’ 01 continuation from page 1 BLNG’S REJUVENATION PROJECT – OPPORTUNITIES FOR INCREASING EFFICIENCIES Replacement of the Main Cryogenic Heat Exchangers (MCHE) In 2001, BLNG started the implementation of the identified ARP project. Based on priority, the first ARP project initiated was the replacement of the four MCHE with the key driver to increase plant reliability while stretching the plant life for another 30 years. The process optimization study indicated that increasing the area in the new MCHEs could reduce the plant’s power demand and yield a higher production rate without any need for modification to the existing compressor. The addition of approximately 15 percent more on the surface area in the MCHE also does not lead to major cost impact compared to replacement with a bigger refrigerant compressors. Linde MCHEs was selected based on their technical and commercial competitiveness. In 2005, replacement project were completed successfully. Performance test shows that the new MCHE can produce 5 percent extra LNG for the same power. Replacement of the power plant In December 2005, the second major activity under the ARP project is the execution of the new power plant. The completion of this project will build a new combined-cycle Power Plant to replace the existing 30 years old power plant (steam turbo generators) which approaching the end of its design life. The new power plant project will be installed in phases. Phase I will increase the present power generation capacity from 40 MWe to about 47 MWe to enable retirement of two steam turbo generators. The new power plant is a combined cycle power plant comprising of a 21 MWe gas turbine generator with 100 tonne / hour HRSG and two 13 MWe each back pressure Steam Turbo Generators (STG). BLNG will be able to generate approximately 6.5 MWe extra power without increase in plant fuel gas consumption through this upgrade. The majority of this additional power will be used to cover the additional demand of the rejuvenated cooling water system, which in turn will yield a plant efficiency improvement. The first phase of the replacement of power plant will be completed in early 2008. A study currently ongoing for the second phase, which will install an additional combined cycle power plant comprising of a 21 MWe gas turbines and the associated 100 tonne / hour HRSG. The second phase will introduce a reduction of total fuel gas consumption by approximately 22 kilo tonne / year, equivalent to a CO2 reduction of approximately 54 kilo tonne / year. Rejuvenation of the existing cooling water system At present the rejuvenation of the existing cooling water system is in progress. The scope includes building five new counter-flow cooling towers to enable rejuvenation of the existing thirty-five cross-flow cooling towers without impacting LNG production. Other scopes include replacement of thirteen large cooling water circulation pumps. The overall Cooling Water System Rejuvenation (CWSR) project is scheduled to complete in 2009. The project is expected to generate around 4 percent 02 improvement in either energy use or production of LNG due to the reduction in cooling water supply temperature resulting in improved efficiency of the refrigeration cycle. This rejuvenation project including new additional cooling tower cells is expected to reduce cooling water supply temperature by more than 2 degC. Other Efficiency Improvement Projects Advanced Process Control (APC) One of the non-ARP related project, which has some potential to improve plant efficiency or increase LNG production is the implementation of Advance Process Control (APC) project. APC is a multivariable control (i.e. simultaneous control of multiple targets with multiple handles) that systematically takes consistent actions minute after minute despite the multi-interaction of the process. By stabilizing a process unit, APC enables a controlled variable to be operated closer to its specification. Thus, the main motivation to implement APC at BLNG is to either drive the plant to its best efficiency or to push the throughput (LNG production) to its physical constraints. Shell Multivariable Optimising Controller (SMOC) is the tool used to implement APC in BLNG. APC benefits which has been implemented on other LNG plant and potential benefit for BLNG are as follows: Sites BLNG OLNG WLNG APC benefits 1-2% more LNG/efficient 3-4% more LNG 1-2% more LNG In BLNG, the main benefit have been identified in three areas: • Heavies Removal Column (HRC) overhead: Maximizing the LNG production within the C5+ specification. • Refrigerant Make up Unit (RMU): Improve efficiency with respect to C2 (Ethane) and C3 (Propane) recovery. • Main Cryogenic Heat Exchanger (MCHE): Stabilizing the LNG production and maximization of LNG with respect to Conclusions - At present 20% C3 (Propane) / MR - Post ARP project 35% compressors. This project is expected to be completed in 2008. BLNG RECEIVES ITS 6TH CHARTERED SHIP FOR 2007 By: MKS1 – Lenny Hj Ishak On 25th September 2007,BLNG received its 6th chartered ship for delivering LNG to its buyers in Japan. The ship named “S/S Pacific Notus”; that is belonged to Pacific LNG Yuso Limited is currently in service for Tokyo Electric Power Company (TEPCO). BLNG has a Master Ship Charter Party agreement with TEPCO and is also one of BLNG’s long-term Japanese Buyers besides Tokyo Gas (TG) and Osaka Gas (OG). In commemorating the “S/S Pacific Notus”; first loading in Lumut, a brief ceremony was held onboard the ship. Representing BLNG at the ceremony was Mr Mohamad Burut, Head of Shipping and Commercial Operations who presented a memento to the vessel’s master, Captain Mitsuru Ito. The ship was completely loaded with LNG and departed to Japan on 26th September 2007. The first charter arrangement in 2007 was made with the Energy Progress - a company owned by Tokyo LNG Tanker and a subsidiary company under Tokyo Gas (TG). There were two voyages made for this charter arrangement in which, one was made in June and the other one was in July. Later in August and September 2007, two ships were chartered from Malaysia LNG Sdn. Bhd (MLNG), the first one was Puteri Intan and the second one was Puteri Zamrud Satu. These ships were chartered in by BLNG to help supplement the Seven B class and the ABADI in delivering its contractual obligations and to ensure a stable and reliable supply of LNG to its LNG buyers in Japan and Korea. PLANT MANAGER COURTESY VISITS TO BUYERS By: Lenny Ishak MKS1 In early September 2007, Hj Matsatejo Sokiaw BLNG Senior General Manager (Plant) made his annual courtesy visit to each of BLNG’s long-term Buyers in Japan namely: Tokyo Electric, Tokyo Gas, Osaka Gas and Korea: KOGAS. The objectives of the meeting were to foster closer relationship with Buyers, and at the same time to identify any general or specific issues from the respective Buyers. In addition, the meeting was also intended in updating Buyers with BLNG plant status. During the visit, Ms Kam’ainun Hj Abd Karim, BLNG Business Analyst, delivered a presentation to both Buyers particularly highlighting on the status of BLNG rejuvenation project or Asset Reference Plan Projects (ARP). Also presented was BLNG’s new logo delivered by Ms Lenny Ishak from the Marketing Department. The Senior General Manager (Plant) intends to keep Buyers well inform on the progress in the next meeting. 03 BLNG LAUNCHES SHELL SAFETY DAY 2007 By Diana Dua HSEQ/4 On 23rd October 2007, the four Joint Venture Companies namely BSP, BLNG , BST and BSM launched the Brunei Shell Safety Days 2007. The launched was aimed at improving HSE compliance in all the respective organizations. The Shell Safety Day is a group wide campaign to improve compliance with the rules, procedures, good practices that we need to ensure effective HSE management and it is about each of us reinforcing personal responsibility to ensure we comply with the rules or standards that have been set up by the company. In BLNG and Seria Refinery, the event was held for one week which comprised of group discussion with staff and contractors on Compliance to HSE rules or standards and a roadshow to increase everyone’s awareness on the importance of compliance and intervention. The launched at BLNG began with an opening speech by the acting Managing Director, Mohamad Awg Damit. In his speech, 3 safety elements were mentioned in which they have been highlighted by the Shell Group Leaders during a recent teleconference, i.e. Personal or behavioral Safety, Process Safety and Road Safety. 04 On Personal Safety, BLNG has provided a proper guidance on the effective application of step back 5x5 and a basic hazard identification tool for all individuals. Based on incidents and near misses statistics, 80 percent were related to non-compliance when carrying out routine tasks. On Process Safety, BLNG have developed the process safety framework which is aligned with the new group guidance. With reference to the business plan, the way forward is the implementation of the asset integrity management, in which BLNG will continue to implement the present management practices. Touching on Road Safety, BLNG will continue to support Brunei Road Safety Council in helping to raise road safety awareness across the country. The closeout of the Brunei Shell Safety Days 2007 witnessed the presentation of the awards to those staff and contractors who have done a great deal in making a positive difference to BLNG HSE performance. The award was handed over by BLNG Managing Director Mr Fred Smeenk. In his remarks, Mr Fred Smeenk highlighted that more than 300 personnel of BLNG and Refinery were involved in the engagement sessions. And approximately, 1200 workers from various contractors in BLNG attended for engagement sessions. Among the highlight of the one-week event was a roadshow, supported by BLNG main contractors namely Zainal Daud, HMM, SKS, AWE and Sahid. The purpose of the roadshow was to cultivate everyone’s awareness towards the importance of HSE. A safety quiz and spot the hazards competition was also organised during the Brunei Shell Safety Day 2007 week. On the worldwide scale, the launched of Shell Safety Day introduced ‘Goal Zero’. This goal believes that we can operate with zero fatalities (no LTI), zero accident and zero significant incidents. In BLNG this goal will be implemented in 2008. BLNG OPENS ITS NEW SECURITY BUILDING In line with BLNG’s commitment for an improved standard of working environment in carrying out the security responsibilities, whilst upholding the reputation of Enterprise First to all stakeholders, on 26th November 2007 BLNG officially announced the opening of its new security building. The building is built to house the security and the Royal Brunei Police Force personnel in protecting the plant and managing the movement of vehicles and people in and out of the plant. Present to officiate the new security building was Yang Di-Muliakan Pehin Datu Kerma Setia, CP Dato Paduka Seri Awang Zainuddin b Jalani, the Commissioner of Police. Prior to the official opening of the new building, Mr Fred Smeenk, Managing Director of BLNG, in his speech stated that, the completion of this project marks a significant milestone for Royal Brunei Police Force and BLNG. The project has been executed with zero safety accident and without impacting the routine security controls and personnel access. In addition, Mr Fred Smeenk mentioned that one of the critical aspects of BLNG’s activity in the Proactive Security Management is the implementation of the security plans or inspections and carrying out of internal and external audits. The outcomes of these audits are essential where they can be used as a measurement for security performance. He further highlighted that, due to the crucial importance of the business to the country, and in line with relevant standards as a protected and gazetted place, besides this new security building, BLNG has also implemented several projects. Among them were the renovations of the Badas station security guard house and the provision of CCTV monitoring facility; the construction of the new security guard house at LPG Plant; and BLNG wide CCTV with central monitoring project. Several proactive joint security inspections were also implemented in BLNG which resulted in successful finding of noncompliance. This kind of operation will continue to be implemented to demonstrate the continuous security vigilance in BLNG. In compliance to the group security competency requirement, BLNG has also provided the International Ship and Port Security (ISPS) Code awareness and relevant safety training for Oilfield Police Security Officers (OPSO) personnel. The Managing Director of BLNG, Mr Fred Smeenk, then accompanied the guest of honour Pehin Dato Zainuddin Jalani touring the facilities at the new security building which include offices for OPSO, BLNG Security personnel and EKawal room, induction room, toilet facilities and top tower office. The guest of honour also visited the mini exhibition held at the vicinity. The officials attended the event were from the Belait District office, the Royal Brunei Police Force, and management and staff from Brunei LNG and contractors. The event is aimed at enhancing the close and excellent relationship between BLNG and members of the Brunei media as well as to recognize the cooperation from the media community in publishing BLNG’s stories to the general public. In his welcoming remarks, Mr Fred Smeenk , BLNG Managing Director recognized the continuous support and co-operation from the Media in Brunei Darussalam through various BLNG’s stories that have been featured in the local and international media. “By reporting our activities, the public will have a better understanding of our operations and our people and more importantly, for them to be informed of our aspiration for the future”, stated Mr Fred Smeenk. He further highlighted that, with almost 40 years in operations, revenues from oil and gas industry have brought prosperity and development to the people of Brunei Darussalam in all aspects and it creates opportunities for Brunei to actively pursue its economic diversification programmes. BLNG will continue to remain one of the most reliable LNG suppliers in the world through its rejuvenation projects which has been carried out since 2005 for the next few years. The projects aim at extending BLNG’s plant life for another 20 years beyond 2013 when the current contract expires. The BLNG contingent led by its Senior General Manager (Plant), Haji Matsatejo bin Sokiaw participated in five games which was hosted by Malaysia LNG. The Games, which used to be played between BLNG and MLNG, saw the participation for the first time this year by PT Badak LNG from Indonesia. A total of 300 participants from the three Asian LNG giants competed in the three day Games. MLNG emerged as the overall winner and clinched the Challenge Trophy. MLNG also won the Challenge Trophy in the Golf Tournament. On the conference, which was held at Eastwood Valley Golf and Country Club, each of the participating company presented 10 topics ranging from human resource, operations and maintenance to health safety and environment. The day-long conference in the form of panel discussion and plenary sessions was attended by some 60 participants. The first Borneo LNG Conference, hosted by BLNG was inaugurated in Brunei Darussalam in 2006 and PT Badak LNG from Indonesia participated for the first time. The three LNG companies host the Annual Conference and Games on a rotational basis. The events aim to foster goodwill, friendship and sportsmanship among employees of the three companies. PT Badak will host the next event in 2008. 8 BLNG PRESENTS DONATIONS TO FIRE VICTIMS AND ORPHANS IN BELAIT DISTRICT On 10th October 2007, the recent five victims in Belait district received donations from staff of BLNG. Present to hand over donations to the victims was Hj Matsatejo Sokiaw, Acting Managing Director of BLNG. The event took place at VIP Lounge of the Liang Lumut Recreation Club. More than $17000 was handed over to 173 people from 36 families who were affected in the fire incidents in 2007. A cheque worth $2000 for the Belait Orphans Fund was also presented to Belait District Officer, Hj Mohammad Hj Abd Rahman, who is also the Adviser of the Belait District Orphan Fund. Both donations were collected through employees’ contribution as part of BLNG’s Corporate Social Responsibility to the community. This is in line with the company’s Social Performance Plan for the involvement of BLNG and its staff in community and charitable activities. Hj Matsatejo highlighted in his speech, the involvement of BLNG staff in such activities that demonstrate their caring attitude and responsible citizenship, particularly in relieving the burden faced of the fire victims and orphans. It also gives the staff an opportunity to make contribution for a worthy cause. Senior officials from the Belait District Office, Community Development Department, Penghulu, Village Heads and members of staff from BLNG were among those who attended the event which ended with a doa Selamat. BLNG PRESENTS DONATION TO MUKIM LIANG ORPHANS In supporting the community within the area and as part of the company’s commitment in assisting the orphans for the 2008 new school year preparation, more than 40 orphans in Mukim Liang received donations from BLNG during the Hari Raya get-together between BLNG staff and Mukim Liang Orphans held at Jalan Kecil Sg Liang. The donation was handed over by BLNG Corporate Affairs Manager, Hjh Zainab M.A Omar. Apart from this event, BLNG is also actively participating in fund raising activities for other charitable voluntary organisations in the country. Last September BLNG participated in the Pusat Ehsan Carnival and proceeds from the event were donated to Pusat Ehsan. BLNG also made similar contributions to Smarter and victims of recent fires in Kuala Belait and Seria. The donations and involvement of BLNG staff in such activities are part of the company’s Corporate Social Responsibility (CSR) programme aimed at giving support to the needy in the country. 9 FINANCE DEPARTMENTS ORGANISE ADDING VALUE TO THE BUSINESS ROADSHOW Inculcating better awareness amongst all in BLNG as a service provider and updating the BLNG community on the recent and upcoming development within Finance were among the objectives being highlighted by BLNG Finance Manager, Pg Hj Ali Pg Hj Matarsat at the Finance Roadshow opening at BLNG. The roadshow that was held for three days beginning 27th November 2007 incorporated with a theme of “Finance Adding Value to the Business” received a good response from BLNG community. The roadshow comprised of exhibits and scheduled presentation sessions from all departments in BLNG Finance function namely the Business Support team (FPR), SAP systems (FSS), Contracting Services (FCS), Finance Controller (FFC), Project Support (FPS), along with the BSP Treasury Division (FAC/2), BLNG Managing Director Mr Fred Smeenk consented to open the roadshow. In his speech, he recognised the positive initiatives that Finance and other service providers in BLNG have shown through the setting up of exhibitions and presentation sessions. It is recognised as a positive step toward enhancing knowledge of the various services provided by the Finance function. He further mentioned that with the best three prizes for the best constructive feedback on how to improve service within Finance would give an added advantage on the way forward for Finance function in delivering its service. This feedback would coincide with the roadshow’s theme of “Finance Adding Value to the Business”. The roadshow and presentation session was also participated by HSBC, which showcased the available services and facilities provided by the bank. The closing of the roadshow witnessed several staff winning various lucky draw prizes for answering quizzes. BLNG PRESENTS DONATIONS TO KACA ASSOCIATION On 3rd December 2007, BLNG handed over donation worth $3000 to the “Persatuan KACA” in Belait district. Present to hand over the donation was BLNG Senior General Manager (Plant), Hj Matsatejo Sokiaw, while Dato Paduka Hj Zainal Hj Momin, the President of KACA received the donation on behalf of the association. The event took place in conjunction with the official opening of the new headquarters for KACA in the Belait district, which is located at BSP Bungalow, KB- 10-X26, Simpang 7 Jalan Maulana and also in conjunction with the official World Disabled Day 2007. The donation was collected through BLNG’s Fun Run / Walk held monthly in 2006, in which every kilometre run or walk contributes $2 from each staff participation. The contribution is part of BLNG’s Corporate Social Responsibility to the community. This is in line with the company’s Social Performance Plan for the involvement of BLNG and its staff in community and charitable activities. The event ended with a tour to the new building facilities. 10 BLNG MANAGEMENT AND LIANG LUMUT COMMUNITY TEAMS VISIT MUKIM LIANG LEADERS It is a tradition for BLNG where members of the management and the Liang Lumut Community visited the Penghulu and Head of Villages in Mukim Liang during the Hari Raya. The visit which began at the residence’s of Yang Berhormat Hj Shafie, Lumut 1 Head of Village aimed at enhancing the existing relationship between the community and BLNG Management and at the same time to know any concerns arise from BLNG’s day to day operation. The visit became more fruitful when leaders share their team aspirations for the development of the local area. Among others mentioned was the development of youths and the establishment of special team looking at promoting local handicrafts. BLNG plays an important role in this area where a souvenir shop has been allocated at the Liang Lumut Recreation Club (LLRC). The leaders also recognised the long term relationship and the support given by BLNG in the development of the Mukim Liang. The existence of BLNG in the community could help upgrade the status of the Mukim. The visit ended at the residence of Hj Azmi Ketua Kampong Sungai Liang. BPPI ORGANISES MAJLIS KHATAM AL-QURAAN As one of the activities during the Fasting month, BLNG and Refinery through the “Badan Pekerja-Pekerja Islam” (BPPI) organised a Majlis Khatam Al Quraan for its staff and family members. The event was held at the Multi-purpose Hall, Liang Lumut Recreation Club. Present as the guest of honour was BLNG Senior General Manager (Plant), Hj Matsatejo Sokiaw. The event was organised in conjunction with the Nuzul Al Quraan which was celebrated on the 17th of Ramadhan 1428 Hijriah, and at the same time giving an opportunity to staff and family members to complete reciting the 30 juzu of the Al-Quraan during the holy month. More than 20 personnel and family members of BLNG and Refinery took part in this event. Neither do employees in about half of all American and international organizations. Almost half of companies have failed to effectively explain to employees the purpose of their jobs and the mission and strategy of their businesses, according to a recent survey by Right Management Consultants and the International Association of Business Communicators (IABC) Research Foundation. According to the report, Best Practices in Employee Communication: A Study of Global Challenges and Approaches, 48 percent of 472 organizations surveyed worldwide said their management has not effectively communicated their business strategies to employees and engaged them in living it in their daily jobs. As a result, only about one-third i.e 37 percent of organizations reported that their employees are effectively aligned to the missions and visions of their businesses. According to Paul Sanchez, chair of the IABC Research Foundation, Management often sends inconsistent messages to employees, and isn’t as visible as it should be, especially during turbulent periods. Many managers, including senior-level leaders, lack the necessary skills to effectively engage employees, or don’t understand the roles they need to play. “Effective leadership communication means that an organization’s leaders have taken the time to clearly and succinctly articulate the vision of the business, show how employees can contribute to it, and demonstrate how it can be lived in their daily jobs. At the senior leadership level, ongoing, consistent communication is critical even when there is nothing new or vital to communicate. This builds trust and credibility,” said Chris Gay, one of the study’s authors. Here are ways to address this problem: 1. Make sure top leaders are visible and are not hiding in their offices. They should mingle with staff in the cafeteria, the offices, the shop floor, the parking lot, and in company events. 2. Conduct regular town meetings for all employees to talk to and listen to top management. 3. Make sure top leaders all read from the same page. Make sure they understand the organization’s strategy themselves so they can explain it to employees. 4. Get the communication staff to be with you and on your side by involving them in the decision-making process. They can do a better job if they are explaining decisions they have been involved with at the outset. 5. Discuss with the training staff how to include the organization’s strategy in most training programs. Get top leaders to attend and speak at training sessions. 6. Deliver messages that are candid, credible, and compelling. Don’t put out a message that can get you out of troubles in the short run but creates a credibility problem in the long run. 7. Don’t use legalese or ‘management speak.’ Use the language people use at work. Use your listeners’ language, not your own. This is the only way they will understand you. Better Manager-Employee Communication: Follow These Rules Domeyer offered these tips for better communication at the office: • Don’t fuel the rumor mill. It exists in every organization and goes into overdrive when managers limit top-down communication. If your staff doesn’t hear the news from you, they will likely get it from another source. • Hold all employees to the same performance standards. Be consistent in communicating and maintaining your expectations for quality. Letting certain employees or situations fall under the radar can fuel speculation of favoritism. • Observe and listen during meetings. How do others speak to and about your staff? If people are being questioned unfairly or criticized, speak up in their defense. • Be accessible. Don’t let e-mails and voicemails stack up without acknowledging them. If you can’t address questions immediately, tell your staff when you can. • Ask questions. One-on-one, impromptu discussions with team members can give you an indication of any political issues brewing before they escalate.
