CAMP CHECK-IN
Registration (Prior to Camp)
Final Payment
FINAL PAYMENT SHOULD BE MADE BY CHECK.
Please mail your check to: Passport, Inc., 3421 Sierra Drive, Birmingham, AL 35216. Please clearly
mark on your check your church name, city, state, and the location and session you are attending.
If you must pay this final bill by credit card, please contact our office. A 3% credit card processing
fee will be added to each transaction for balance payment made by credit card.
Changes to your Registration
Changes to your registration should be made by your Final Payment Date.
• Go online to www.passportcamps.org/registration.
• Click on "Login & Modify An Existing Registration" at the bottom of the page.
• Enter the username and password used for your original registration.
• You can:
o Modify your registrant numbers;
o Update any group or individual information;
o Inform us of Special Needs that require advance preparation (e.g., dietary
restrictions, mobility limitations, language needs);
o Request 3X or 4X T-shirts (must be requested by April 1);
o Pre-order optional items such as worship packets and passport holders as available;
o View an updated account statement.
Groups are allowed three drops from the registered total prior to the final payment due date. The
deposits for these drops will not be immediately refunded but will apply to the final balance. All
drops in excess of the three allowed prior to the final payment due date result in the forfeiture of
those deposits. All drops after the final payment date will result in forfeiture of those deposits and
incur an additional $75 late drop charge for each drop.
Passport's preparation for camp begins well in advance of the date final payment is due as we hire
summer teams, purchase supplies, and contract with host campuses. Forfeited deposits and late fees
help us share the financial burden of last minute cancellations. All registration policies are available
at www.passportcamps.org.
Please call the Passport national office to check for available space if you wish to add a camper after
final payment is due.

Camp Check-In
Check-In Location
Please follow the PASSPORTkids! signs to the Check-In area indicated on the Campus Map
(see Addenda). PASSPORTkids! staff will be there to greet you.
Check-In Time (12:30 – 2:00 p.m.)
Please plan to eat lunch before you arrive. Staff will be available to assist
you beginning at 12:30 p.m. While you and one of your adult chaperones
check in, our PASSPORTkids! staff will engage your campers in some fun
activities.
Please note that Camp

this year. Opening
Celebration begins
at 3:00.
Late Arrival
Late groups will be asked to wait until the end of Opening Celebration to check in because so much
information is given out at that event. It is important for groups to be on time.
Bring the following to Camp Check-In:
1.
Camp Check-In Form (see Addenda) – Please record At Camp Totals and Shirt Size Totals as
well as camper and chaperone information before you arrive. Note that we can only special
order 3X and 4X shirts that are requested by April 1.
2.
Medical Release Forms (see Addenda) – PASSPORT requires that a Medical Release Form for
each camper and chaperone be submitted to us at Check-In. Campers without a Medical
Release Form will not be permitted to participate in certain camp activities until the form is
received. See Emergency Care for more details.
3.
Chaperone Screening Certificate (see Addenda) – signed by a church ministerial staff
member, to certify that your group has conducted a statewide criminal background check
for all adults staying with your group at camp.
4.
Special Needs Information Form (see Addenda) – for each camper or adult who may require
special attention (e.g., Asthma; Seizures; Hearing, Sight, or Mobility Differences; Learning or
Behavioral Differences; Dietary Restrictions; English as a Second Language). If a camper
requires individual adult supervision at school, please assign one of your chaperones to
accompany the camper at all times and include the chaperone’s name on this form.
5.
Bible Study Assistant Volunteer names (see Adult Volunteers in the Camp Basics section of
this packet) – for groups bringing 10 or more campers.
6.
Variety Show Participants for your group (see Variety Show in the Camp Basics section of
this packet) – their names and a brief description of the act they will present. We will assign
them a screening time during Camp Check-In.
Please think ahead about which campers you want to room together and which campers should
be placed in Bible Study Groups together (or apart) for any reason. Please give us this
information when you receive your passports.
Although you will have already paid your balance in full, payment for any outstanding balance
(e.g., for late additions) is due within 7 days of invoice receipt. Payment must be sent to the
Passport national office and will not be accepted at camp. Checks should be made payable to
Passport, Inc.
You will receive at Camp Check-In:
1.
Room Assignments (along with keys and/or meal cards at some campuses). Be aware that
all host facilities charge a lost key fee due before you leave camp. We strongly recommend
that adults keep up with all keys rather than distribute them to campers.

T-shirts for you and your campers (included in your camp fee).

Printed instructions to help you get started.

Your Passports (each camper’s guidebook, also used as a meal ticket and campus ID).

New this year! Each participant receives a PASSPORT Lanyard with a hook to hold your
passports. There is no need to pre-order and purchase these. You may still choose to preorder passport pocket holders for purchase.
Registration Refund Options:
If you have paid your balance in full and arrive at camp with fewer campers than you have
registered, Passport will refund the difference between the camp cost and the deposit paid, minus
a $75 late drop fee, for each camper not in attendance. Should you have a credit after settling your
account balance, you may:
1. Donate your refund to the Passport Camp Scholarship Fund.
2. Request a refund check. The national office will issue that check within 3 weeks following
your camp session.
3. Apply your refund to next year’s balance. Once you register for a 2017 program, your
balance will be credited with the refund from this year. This option will allow you
to reduce your 2017 balance by the amount of your refund due. You will not be guaranteed a
certain week or location of camp. This amount will remain fully refundable until
January 1, 2017, or until your group registers, whichever happens first. Registration for 2017
opens November 1, 2016.
After Check-In
Move-in: You can move in to your lodging at any time after you have received your room
assignments (however, the group leader will stay and complete the Check-In process).
Swimming: Groups that check in with time to spare before Opening Celebration may enjoy the
use of the swimming pool. Campers must be accompanied by their Group Leaders at the pool.
Opening Celebration: Opening Celebration begins promptly at 3:00 p.m. in the Theater. All campers
and adult chaperones must be in the Theater by 3:00 p.m.
Campus Information
Camper Mail
Mail to campers is distributed daily. Parents and friends may write your campers at the address on
the Camp Essentials page. Be sure to give parents the address prior to camp and tell them that it will
be best to mail letters early to ensure that they arrive during camp. Any mail that comes after a
group has left camp is marked “return to sender” if there is a return address included.
Housing
We will make an initial housing assignment before you arrive at camp, but adjustments must
sometimes be made. Please be flexible! Campus personnel will inspect each room for damage on the
final day of camp. In most cases, host site personnel will collect payments for lost keys or damages
on site before your group departs. We recommend that you do a quick search of all your assigned
rooms before you move into them. Please report any problems to our Assistant Director. For more
information about our housing policy, please see Adult/Minor Rooming Requirements in the Preparing
for Camp section of this packet.
Meals
All meals from supper on Opening Day through lunch on the last day of the session will be served
on campus and are included in the camp registration fee. If you have a camper with special dietary
needs, please note this in the Special Needs box on our registration website by May 1 or contact us at
our national office at least 2 weeks prior to your camp session.

Phone & Internet Connectivity
We understand that we live in a digital age; however, campers are not permitted to have cell phones
at Passport. We are asking that you help your students disconnect from the distractions and connect
with each other and God. Students will be asked to turn their cell phones/iPads/tablets over to their
Group Leaders prior to camp Opening Celebration. These items may be returned after Closing
Celebration for the trip home. If staffers see a student with any of these devices during the week,
they will be collected and given to the group leader. Please help us in enforcing this rule, as it will
enrich the camp experience.
Limited wireless Internet is available on campus. Adults are permitted to have cell phones and other
electronic devices; however, we would ask that you use them with discretion. Celebrations and
Worship services may not be recorded.
Emergency Care
Medical Release Forms
In order to provide the best and quickest care for your campers, we require two Medical Release
Forms for every camper and adult (one copy for Passport and one copy for the Group Leader). These
forms are included in the Addenda at the end of this packet and on the Group Leader page of our
website.
If your church has a separate medical form, then a second copy of Passport’s form is not required. In
any case, group leaders must bring two Medical Release Forms to Check-In: two copies of Passport’s
form OR Passport’s form and your own form.
First Aid
We will have very general first aid supplies (such as adhesive bandages, cold packs, etc.) in the camp
office. You or a designated adult chaperone from your group must keep and administer any and all
medicines. Neither PASSPORT nor the campus provides a nurse for camp use, and our staff is not
permitted to administer medication to campers. We strongly encourage you to bring first
aid supplies of your own, including pain relief and itch relief medicines.
Transportation to Medical Facility
PASSPORT will help you locate medical facilities by providing maps, which will be available in the
camp office. If transportation is unavailable for your group, PASSPORT will provide a ride for your
camper and a chaperone from your group to the nearby medical facility of your choice.

Our intention is to provide a holistic camp experience for each child. Every activity is designed to
help campers understand the theme and integrate Jesus’ teachings into their daily lives. You will
see in the following pages how we plan to incorporate the theme into Bible Study, Worship, and
the nightly parties.

Camp Theme: This Wild Life
The word “wild” means to live in a natural state. For children, that means being exactly who God
created us to be. It means that Jesus sets us free from fear, forgives us when we make mistakes, and
gives us all that we need to live with trust and love.
The big question is—once you have claimed this precious life Jesus has given you, how will you live
it to make the world more like what God intended from the beginning? Here’s our theme verse:
“… I came so that everyone would have life
and have it in its fullest.” John 10:10b (CEV)
Daily Themes & Bible Study
Living the wild life is a journey of discovery that our lives are precious to Jesus. Campers will learn
that God works in all our life, even our struggles, to help us let go of our fears and grow stronger as
followers of Jesus. They will be motivated to love generously, as Jesus does, in response to God’s
love for us.
Bible study and worship will be devoted to scripture, and the daily Bible verses are as follows:
• Wild & Precious (Day 1): “Look at the birds in the sky. They don’t sow seed or harvest grain
crops into barns. Yet your heavenly Father feeds them. Aren’t you worth much more than
they are?” Matthew 6:26 (CEB)
• Wild & Wonderful (Day 2): I’m sure about this: the one who started a good work in you
will stay with you to complete the job by the day of Christ Jesus. Philippians 1:6 (CEB)
• Wild & Free (Day 3): “You will know the truth, and the truth will set you free.” John 8:32
(CEV)
• Wild at Heart (Day 4): We love because God first loved us. 1 John 4:19 (CEB)
This summer’s Bible Study was written by Cathy Anderson. While she currently serves as a
palliative care chaplain in Atlanta, GA, during 20 years of local church ministry Cathy blazed the
trail for those who work with children’s ministries in the Cooperative Baptist Fellowship. She
founded the Children’s Ministry Network and is a popular speaker at churches and conferences. A
graduate of Carson Newman College and the Southern Baptist Theological Seminary, Cathy is a
PASSPORTkids! veteran and has served on our Children’s Advisory Council. She says her best times
are spent with her husband and two beautiful daughters.
Free Time
Following afternoon rotations on Days 2 and 3, your group will have some Free Time to spend
together and “do your own thing.” You may want to hang out together as a whole group or organize
your campers into smaller groups to enjoy some of the options available during Free Time. Please
note that campers must be escorted to and from all Free Time activities. You and your adult
chaperones are responsible for campers that do not attend staffer-led activities.
Here are a few of the things you might choose to do during Free Time:
• Swimming – The host campus provides trained lifeguards for your children’s safety, but adult
chaperones must supervise your campers at the pool.
• PASSPORTkids! Store – T-shirts and other fun and useful items to enjoy and share. Cash,
checks, and credit cards are accepted.
• QuickCrafts – simple and brief crafts, such as “Bandanarama” wristlets.
• Outdoor Fun – a scheduled activity each day (e.g., Frisbee or kickball).
• Variety Show Screening – only on Day 2; please see details in the Camp Basics section of this packet.
• Many groups like to use this time to relax, shower, and dress for the evening.

Parties
Each evening, PASSPORTkids! will enjoy a fun, interactive party. Although we reserve the right to
change the order (or even the party), here is the basic plan:
Night 1: World Wild Games Rec Party
Just in time for the 2016 Summer Olympics, Passport is hosting the World Wild Games. Not
your ordinary Olympic events, these games will challenge you to use your strength, mind,
and team spirit. Be prepared to get wet from head to toe! The Rec Party is held outdoors
(weather permitting), and campers may want to bring an extra swimsuit, comfortable shorts,
and T-shirts that can match the color of their Bible Study Group—red or green. All campers
must wear closed-toe shoes. They will be allowed to remove shoes for some of the games,
but we still recommend extra shoes that can get wet and dirty.
PASSPORT tends to follow a four-year cycle for our Rec Parties—every second year includes
wet games, and every fourth year includes sloppy games. We may, however, vary from this
schedule if a particular theme invites messiness. Every summer, we hope you will enjoy the
fun of creative new games.
Night 2: Balinese Festival & Night Market
Welcome to the colorful and artistic world of Bali. Nearly every day is a festival day, and the
entire village gathers to celebrate. Our talented staff will personify Balinese women and men
to represent some of the traditions and lifestyles of this amazing and unique Indonesian
people. Throughout the festival, campers will engage in a scavenger hunt to earn points for
their Bible Study Group. The festival will end with a demonstration of Balinese dance,
drama, and shadow puppetry. Campers will see the Christian faith interpreted through
traditional Balinese art forms. The event is fun, informative, and a great photo op, so be sure
to bring your camera!
Night 3: Wild West Variety Show
Head on over to the Wild West Variety Show! Singing, dancing, instrumental groups, poetry
or drama recitations, magic acts…you name it. WANTED: group skits that allow everyone
in your group to shine. These will take top priority at this year’s show, so start gathering
your act together now. Everyone (audience and performers alike) is invited to put on your
boots, your chaps, your ten-gallon hats, or any other fun western costumes you care to
bring.
This year, we will have group leaders sign up your group’s acts for a designated screening
time. Please note that not every act can be included in the Variety Show. Please prepare
your campers for the possibility that their act may not be chosen due to time constraints.
And be sure you know in advance what acts your campers plan to present. Songs with
suggestive lyrics will be cut, as will any act deemed inappropriate by the PASSPORTkids!
staff. Help your campers learn the importance of discretion. In the interest of time, acts may
be given a time limit (e.g., only the first verse and chorus of a song). For more details and
Variety Show Screening information, please see the Camp Basics section of this packet.
Camp Mission Offering
This summer students will learn about the Island of Bali and an arts community called Narwastu.
They will hear about the work of Jonathan and Tina Bailey, who have served in Bali for twenty years
working to create meaningful community through the arts. Their work extends the love of God to an
international community, to children at risk living on the streets, and to people within the prison
system. Campers will be invited to share an offering that will help the Baileys love this wild and
wonderful part of the world.
Please make your campers aware of this time of offering during worship on the last night
of camp, and please join us in praying for this opportunity to give.

PREPARING FOR CAMP
In the Addenda to this packet, we have provided several items to help you prepare for camp. Please
be sure to examine all forms and handouts thoroughly. Here are a few key things to remember as
you plan:
Group Leader Checklist & Camp Planning Meeting
In the Addenda, you will find a checklist of tasks to complete and a suggested timeline for their
completion. We recommend that you hold a camp planning meeting at least two weeks prior to your
departure date. Many groups prefer to meet before school ends and families begin to take summer
vacations. You will find a suggested template for such a meeting also in the Addenda.
Items for the Group Leader to Bring
In addition to your personal items, we recommend that the Group Leader bring a few things that
will make your life (and your group’s experience) easier.
• Portable First Aid kit (including pain relief and itch relief medicines)
• Extra insect repellant and sunscreen
• Extra pens and pencils for your group
• Some snacks and bottled water to “tide campers over” between meals
• A backpack or duffel bag
Dress Guidelines
We have provided packing lists as well as our Dress Guidelines on the Parent and Chaperone
Essentials Page. Campers and adults should dress modestly and appropriately, according to their size
and developmental stage, the entire week of camp. While at camp, please take into consideration the
following guidelines:
• Modest shorts, shirts, and swimsuits
• Properly fitting clothes
• Please avoid low-riding and/or revealing clothes
• No clothing with inappropriate language/advertising
PASSPORTkids! empowers the individual Group Leader to monitor clothing according to the cultural
norms of their community. Passport staff will not monitor clothing choices.

Camper & Chaperone Requirements
• Children eligible for PASSPORTkids! must have completed grades 3 through 6 at the time of camp.
• Chaperones must have been out of high school for at least one year.
• The Group Leader is the lead Chaperone, and will be responsible for the camp registration and
participants. Group Leaders must be at least 21 years old at camp.
• The Chaperone to Camper ratio in each group must be at least 1 Chaperone per 5 Campers of the
same gender. For example, if you bring 8 female and 3 male Campers, you must bring 2 female
Chaperones and 1 male Chaperone.
• On occasion groups may need to have special non-participating guests attend camp with them.
Although participants should always be registered with the group, you can request for others to join
you at camp even if they are not participating. These requests must be made by email to
[email protected] or calling 800-769-0210 by April 1. A camp coordinator will discuss the
expectations and accommodations with the Group Leader in addition to any fees that may be added.
Some of these situations may include:
o Babies and young children: For chaperones who need to bring babies or young children
under camper age to camp, please contact [email protected] so a camp coordinator
can let you know of the specific guidelines, expectations, and any additional fees.
o Pastors and other non-participating adults: For those who wish to visit camp or a portion
of a camp session, please contact Passport so that we can discuss options with you.
Safe Harbor Policies
Passport requires that every adult attending camp with your group have a background check
completed through the church’s normal screening process. If your church does not currently require
background checks on all adults who work and volunteer with minors, we suggest you contact to
your denominational office to get help and resources to begin this important ministry of care and to
meet the requirement to attend a Passport program.
On the Chaperone Screening Certificate (in the Addenda), you are asked to list the full name of every
adult accompanying your group and check a box indicating that you have conducted a criminal
background check for each person listed. Any official statewide background check that you have
conducted within the past three years is acceptable. A ministerial staff member of your church must
sign the certificate to be presented when your group arrives at camp for Check-In. See more details
about our safety policies in the Camp Basics section of this packet.
Adult/Minor Rooming Requirements
As you plan rooming assignments for your group, please keep several things in mind:
• Housing Reminders on the Camp Essentials page;
• Placing adult chaperones strategically to monitor campers;
• Flexibility—campus arrangements sometimes change.
Passport, Inc.’s policy regarding Adult/Minor Rooming requires that an adult cannot sleep in the
same room alone with a minor unless that adult is the parent or legal guardian of the minor. In
cabins or other lodging where there are multiple beds, we will arrange for at least two adults who
are not married or related to stay with multiple minors. This may occasionally necessitate placing
more than one group in a cabin or apartment. If there are separate bedrooms, an adult will be given
their own room or may share with another adult.
In the event that your group’s policy is stricter than this, Passport, Inc. will follow your policy to the
best of our ability; however, it is the group leader’s responsibility to make specific rooming issues
known to Passport in writing prior to the date final payment is due so that we can adequately plan.
This may be done through the Special Needs section when you modify your registration online. You
may also email your request to us at [email protected]. Special rooming issues can usually be
accommodated, although in some instances, this may require additional payment based on single
room costs from our host facilities.

CAMP BASICS
This section of the packet is designed to offer a more detailed glimpse of camp and to offer triedand-true tips that will help you better prepare yourself and your children for camp. Please read
thoroughly to be prepared.
Camp Schedule Details
Devotion Zone
Each camper receives a passport during Opening Celebration that includes a daily Morning
Devotion. The devotion helps the camper learn the value of spending personal time in prayer with
God every day and starts them thinking about the day’s theme. Before breakfast each day, you (the
Group Leader) will supervise your campers as they work on their devotions independently. We
recommend that you do this in the same place you choose for your Worship Response time (see
below).
Bible Study
Your children will be divided into different Bible Study Groups with campers from other places.
This will allow for new group dynamics and fresh perspectives. Bible Study Groups are divided by
age to allow for a more developmentally specific learning environment. Campers should bring a
Bible with them to camp—any translation is fine. Our staff will use the Contemporary English
Version (CEV) or Common English Bible (CEB) in Bible study and worship. We will have a few extra
Bibles available in each Bible Study Group.
Adult Devotion & The Daily Grind
The Adult Devotion and Daily Grind are designed to give you the information you need for the day
as well as a coffee break to relax and mingle with other adults and the PASSPORTkids! Program
Staff.
Sixth Sense
Whether they’ve just finished elementary school or just begun middle school, Sixth Grade campers
are our “seniors,” and we want to celebrate that accomplishment with them. During the other
campers’ rest time, our Pastor and Recreation Coordinator will lead the Sixth Graders in special
activities on Days 2 and 3. The events are designed for fun, discipleship, and peer support. Please
note that Sixth Sense is only for Sixth Graders for whom this is their last year to attend
PASSPORTkids!
Color Zones
Everyone reports for each Color Zone at the Camp Checkpoint where there are flags that match the
Bible Study Group colors (Green: 3rd & 4th graders and Red: 5th & 6th graders). Signs will direct
campers to the appropriate activity. On Days 2 and 3, campers participate in:

Missions Activities: Hands-on, experiential activities help campers learn about and
appreciate the work of Jesus Christ being done among the Balinese people of Indonesia.
•
Camper’s Choice: At Check-In, campers will sign up for elective activities. They have the
freedom to choose a different activity every day or to stick with a favorite. Activities such as
basketball, soccer, Ultimate Frisbee, dance, crafts, video crew, and Worship art will be
offered.

Worship
Worship includes a variety of age-appropriate, creative and multi-sensory elements ranging in style
from liturgical to celebrative. Campers will be led at varying times to move interpretively to music
and to observe moments of stillness. Reflecting the theme and Bible verse for each day, worship
will help integrate the camper’s experiences in morning devotion, Bible study, missions, and other
activities. While the brief sermon each evening will challenge campers to take action as followers of
Jesus Christ, the utmost of care will be practiced to avoid manipulating or coercing any child. Our
purpose and prayer is to provide a truly meaningful worship experience that will lead your campers
to respond in appropriate ways (see Worship Response below).
We will be looking for help from the campers in several areas: processionals, prayers, scripture
readings, drama, and music. Dramas and processionals are rehearsed during Camper’s Choice,
while other worship leaders are recruited during Bible study. All campers participating in worship
leadership gather for a Worship Preparation meeting at 6:00 each evening.
Every year, we publish a Worship Packet, a resource available for you to preorder at registration or
purchase from the Passport online store. The packet includes materials that you are welcome to use
at your church after camp, for your camp report or at any time.
Worship Response
Each night, worship will build toward a time of camper response. Campers will be asked to gather in
their church groups for this response time, which you will facilitate for your group. The response
time has a threefold purpose: 1) to allow you to help campers debrief and interpret what they have
experienced that day in morning devotion, Bible study, the day’s activities, and worship, according
to the traditions and perspectives of your faith community; 2) to place the campers in a familiar,
safe context for individually and collectively asking questions, considering choices, and making
decisions; 3) to empower you in the long-term relationship you will have with your campers as
they grow as followers of Jesus Christ.
In April, we will send you the Worship Response Guide that will help you connect your discussion to
the biblical and worship focus of the day. You may use the guide as a springboard, or facilitate the
response time with your own plan and purposes. In either case, we want you to use your creative
instincts and the leading of the Holy Spirit. Most groups like to gather outdoors for Worship
Response, but you may request an indoor location at Check-In. We do ask that you not meet in the
Theater (worship space) so that staff can set up for the next event.
Variety Show Screening
Campers who wish to participate in the Variety Show must attend this screening during Day 2 Free
Time. Group Leaders must sign up your campers for a specific time slot (sign-ups are during CheckIn and Day 2 Daily Grind). The purpose of the screening is to be certain that every presentation is
appropriate for camp, to ensure that the same song or skit is not duplicated, and to gauge the
amount of time for each act. Camper(s) must be completely rehearsed and prepared before arriving
at camp. For the screening, campers must have all materials, including any costumes and props they
will use for their presentation. When selecting acts, preference is given to:

Acts involving multiple campers for maximum inclusion;
Older campers for whom this is the last year at PASSPORTkids!;
Theme-related acts;
Representation by as many churches as possible.
Songs may be limited to one verse and chorus. What types of acts work well in the Variety Show?
Skits that are funny, in good taste, and well rehearsed are always HUGE hits. Juggling, magic,
gymnastics, dance, puppetry, and so on offer novelty and fun. Brief instrumental pieces are popular.
We will have an electronic keyboard, but campers must bring any other instruments. Unrehearsed
acts or improvisation comedy will not be permitted.
Bedtime Devotions
Bedtime Devotions will be available in April and are written to help campers “wind down,” end the
day reflecting on what they have learned, and finish the way they have begun—by spending time

with God in prayer. The ideal is for campers to be in bed for the devotions, ready to go to sleep. The
guide is easy to follow and requires only that the adult read directly from the pages. Like the
Worship Response Guide, use or adapt the devotion guide as you please, or feel free to substitute
a devotion of your own. You may want to recommend to the adults you have designated as
Devotion leaders that they bring a reading light or flashlight so that overhead lights may be turned
off. Devotion leaders may also choose to bring a small portable music player to play soothing music.
Adult Volunteers
The Adult Chaperones who accompany our PASSPORTkids! campers are extremely important to us.
We recognize the sacrifice these adults make to help provide a positive summer ministry experience
for the children of your faith community. From the beginning of PASSPORTkids! our Adult
Chaperones have made it clear that they want to be part of the ministry that is happening at camp.
For that reason, we have built into our program volunteer roles for many of our activities. We
depend on these volunteers to help provide the safety and attention campers need. Here is an
overview of the volunteer positions:
Bible Study Assistant: assigned to help one Bible Study Group during Bible Study for the entire
camp session. Please remember that for every 10 campers you bring, we need you to provide
1 adult to serve as a Bible Study Assistant. Please be prepared to give us their name(s)
when you check in at camp. Note: the Group Leader should not volunteer for this position, because
you will need to hear the announcements made during Daily Grind and convey them to your other
chaperones.
Missions Activity Assistant: assists the leader in one of the missions activities.
Camper’s Choice Assistant: assists the staff leader of an interest group (such as soccer, crafts, etc.).
Rec Party Assistant: helps set up equipment, monitors one of the Rec Party events, tallies the scores,
and helps take down equipment when this Night 1 Party ends.
Night Market Assistant: helps set up the Night Market, assists with some of the games and activities,
and helps take down the Night 2 Party when it ends.
The only volunteers we need you to recruit prior to camp are the Bible Study Assistants. Other
volunteers will be recruited and given instructions at camp. We also ask that everyone pitch in with
cleanup after all activities. We hope you and your chaperones will sense our appreciation as we seek
to minister to you, too!
Safety & Discipline at Camp
The safety of your campers is a top priority for Passport. We have established “Safe Harbor”
protection policies, building on the journey metaphor that is central to Passport and suggesting a
shelter from danger. Passport requires a thorough application, interview, reference forms, and
criminal background check for each of our staff members. We provide them with written policies
and train them about appropriate ways to interact with campers.
Having fun is one of our goals for campers at PASSPORTkids! Equally important to us is the safety of
every child and adult who takes part in our ministry. We emphasize Three Safeties:
1. Safety of Yourself
2. Safety of Others
3. Safety of Property
Safety, in the first two instances, includes both physical and emotional safety. Our goal is for campers
to internalize these principles and use them to practice self-discipline. If a camper requires attention
beyond simply redirecting their choices and behavior, we will ask you as the group leader to be
involved. We do not anticipate any camper at PASSPORTkids! practicing behavior that is continually
or extremely unsafe, but we do reserve the right to contact a parent and ask them to pick up their child
immediately if such a circumstance arises. You can help prepare your campers for the best possible
camp experience by emphasizing the importance of making safe choices even before you arrive!

Camp Follow-Up
We want your session of camp to be a fantastic experience for you and your campers. We also want
your camper parents to rest at ease while you are away. We will email your parents during camp to
thank them and offer a glimpse into what their students are learning and doing. The email will
include suggested questions parents can ask their campers upon their return to debrief the
experience and help them continue their spiritual growth.
We will also email group leaders at the end of the summer to report the amazing ways students at
all our camps have grown in their faith and served God through mission action and mission

CAMP PLANNING MEETING
We recommend that you hold a camp-planning meeting at least two weeks prior to your departure date.
Many groups prefer to meet before school ends and families begin to take summer vacations. Consider
including the following as you plan.

Distribute Forms Early
We recommend distributing all the camper and chaperone Medical Release Forms prior to the meeting.
Ask adults to fill out the forms only with black or dark blue ink and bring the completed forms with
them. If your church has a separate medical form, then a second copy of Passport’s form is not required. In
any case, Group Leaders must bring two Medical Release Forms to Check-In: two copies of Passport’s
form OR Passport’s form and your own form.

Generally, a Camp Planning Meeting will last from 20-40 minutes, depending on group size.

Campers should dress modestly and appropriately, according to their size and developmental
stage, the entire week of camp. While at camp, please take into consideration the following

• Be sure you have everything you need for 4 days of camp, but pack lightly. Heavy or bulky
luggage is no fun to carry.
• Remember to bring a pair of long pants, Variety Show costume, and clothes to get messy in!
• Parents, send an encouraging note in your camper’s luggage, or mail one in advance
(be sure to mail it before they leave to arrive in time).
• We recommend that you discourage calls home during camp. Trust our experience
that your child will have the most positive time by focusing all his or her energy and
attention on the fun at hand. Plan to talk about the exciting camp session when your
camper gets home!
• Pray before, during, and after camp—for your camper’s faith to grow, for the many
wonderful children and dedicated adults who will share the camp experience, for the
caring PASSPORTkids! staff, and for the Narwastu community in Bali.
The word “wild” means to live in a natural state. For children, that means being exactly
who God created us to be. It means that Jesus sets us free from fear, forgives us when we
make mistakes, and gives us all that we need to live with trust and love.
The big question is—once you have claimed this precious life Jesus has given you, how
will you live it to make the world more like what God intended from the beginning?

Mission Offering:
This summer students will learn about the Island of Bali and an arts community called
Narwastu. They will hear about the work of Jonathan and Tina Bailey, who have served
in Bali for twenty years working to create meaningful community through the arts. Their
work extends the love of God to an international community, to children at risk living on
the streets, and to people within the prison system. Campers will be invited to share an
offering that will help the Baileys love this wild and wonderful part of the world.
Please make your children aware of this time of offering during Worship on the last night of camp,
and join us in praying for this opportunity to give.

This year’s Variety Show is Wild West! Campers wishing to present an act must attend
a screening with full costumes, props, etc. Please remember that any songs must be
karaoke-style—no singing to someone else’s vocal track allowed.
Everyone is encouraged to dress up in western costumes. See your Group Leader about
costume ideas and ways your child can participate!
To Adult Chaperones - Thank You for Serving!
We appreciate the time and effort you are giving to make a difference in the lives of
your church’s children. Your number one priority as a chaperone is to build healthy
relationships with the campers in your group, modeling Christ’s love to them. We also
ask that you ensure every camper’s safety. Once you arrive at camp, we’ll provide you
with details about how you can make the most of your time at PASSPORTkids!
For the well-being of campers and adults, PASSPORTkids! requires all participating
churches to conduct a background check on their chaperones. Your group leader will
