Ladies Auxiliary to the Veterans of Foreign Wars
Sisters,
We have an exciting year ahead. There have been changes to the programs, so
please review them carefully. Start with Patriotism in your heart.
Within this program book you will find the way in which to help our Veterans
and their families. Each program chairman was chosen with care. They in turn
have written a program that should be simple enough for all to follow. We are
Honoring those who have gone before by continuing and improving our work as
we go. Your President, District President and Chairman should be able to help in
understanding these programs. If help is needed, please ask. Take a chance on
something new. Honor those who work so hard for this organization.
Remembering those who have had cancer, who are ill, who are studying to
improve themselves and most of all those we have served this great nation all
have a part in this program year. Membership is needed to keep our Auxiliaries
strong.
Remember the established member, as we welcome the new members. Strive to
Be 100% in reporting, it's very important.
"Patriotism Begins at Home" so take the time to be Patriotic, make it a way of
life. If you follow the information as it is laid out, we will all succeed.

Americanism is an unfailing love of country, loyalty to its institutions and ideas, eagerness to
defend it against all enemies, undivided allegiance to the flag and a desire to secure the blessings
of liberty.
It is our duty as well as an honor, being a member of the Ladies Auxiliary to the Veterans of
Foreign Wars, to see that our community understands and never forgets the sacrifice our
Veterans have made. Celebrate all the Patriotic Holidays. Join the community projects.
Examples; Independence Day Celebration, welcome everyone at the entrance with an American
Flag. For your local County Fair, decorate a float and hand out American Flags, for Flag Day,
hold a city wide contest. Honoring our Gold Star Mother! Blue Star Mother invite them to a
meeting. And take every chance you can to honor and remember a Veteran.
As we should always move forward to educate, we should never forget the past, remind the
community we have over eighty thousand POW/MIA service men and women, have a
Remembrance Ceremony, and invite the community. Also that the suicide rate for our military
Veterans is one a day, I even read that could be as high as twenty two per day. Wear the blue
teardrop, explain about our concern about the high rate of military suicide.
Go to your schools and work with the teacher’s administration. We must teach our youth to
respect the American Flag, honor our traditions, our principles, and our love of country. Bring a
"Young American Award "certificate to hand out to the children for saying the Pledge of
Allegiance to the Flag. We also recognize our educators with the Smart Maher VFW National
Citizenship Education Teacher Award.
Work with your local media, they can be a wonderful help with getting the word out. Please
remember to use the VFW Auxiliary forms for your monthly reporting.

As the Patriotic Instructor, you will educate and promote Patriotism.
Instruct members how to salute, stand at attention, parade rest and the raps of the gavel.
Your role at the School of Instruction and Initiation of new members is very important.
It will make everyone feel a part of the Auxiliary.
At each meeting you should speak during the Good of the Order, educating the members
on the Flag etiquette, remind them of legislation that is up for a vote, and ask them to call
their representatives. Work with your members and your Post for all the Patriotic Holiday
and report on each.
Educate the public. Work with your local media, hand out literature, and go to the schools.
Please remember to report monthly on the VFW Auxiliary form.

The Ladies Auxiliary Cancer Aid and Research program supports research in approved
institutions throughout the country and also presents grants to Auxiliary members and Jr.
Girls who are stricken with this dreaded disease.
Applications for Cancer grants may be obtained from the Ladies Auxiliary Treasurer, National
Headquarters, or the National Ladies Auxiliary Website, www.ladiesauxvfw.org. After the
application is completed by the member it is sent to National Headquarters.
Ladies Auxiliaries should have educational Cancer programs for their members and the public
making them aware of warning signs. By having speakers and passing out pamphlets our ladies
will be more aware of how to detect the first signs of cancer.
Promote Postdoctoral Fellowship Grant Applications. Which are presented each year by the
National Ladies Auxiliary to Cancer Research Centers.
Auxiliaries are encouraged to donate $2.00 per member or more to the Cancer Aid and Research
Fund. Donations may also be given to this fund as Memorials in lieu of flowers.

$2.00 per member -­‐ Postdoctoral Fellowship Grant Application – (4) NICE GIFTS from each District for Mid -­‐ Winter-­‐Cancer Pin Sales – Promotion of Statewide and Special Statewide Projects. STATEWIDE PROJECT:
Promotion of Neuroendocrine Tumor (NET), which is a very rare and aggressive cancer that
arises from the cells of the Endocrine (hormonal) and nervous system. This type of cancer can
form in any part of the body. The color of the cancer ribbon is zebra. Why the Zebra? Physicians
are taught when you hear hoof beats think of horses. Go for the obvious diagnosis; sometimes
they need to think of ZEBRAS.

SPECIAL STATEWIDE PROJECT:
We want to see your zebras in a big way! We would like each District to hold an event to raise
awareness as a whole. Everyone wants to have FUN. So what better way to bring in the
community and raise awareness, (ex. Bike runs, dances, walk a thons etc.). This project is to get
Districts working with their Auxiliaries together. There should be a report sent in by the District
Cancer Aid and Research Chairman to qualify for this award.
We will have a special T-Shirt promotion, these shirts will be worn at Mid -Winter. We are
hoping to really see these, and we will be looking and seeing which Districts are represented.
We are hoping to have one day that these will be worn and we will get that date out as soon as
possible.

As we begin this new Auxiliary Year, our goal is to institute as many new Auxiliaries as
possible. While it is very important to organize new Auxiliaries, please do not forget those
current Auxiliaries who may be struggling. We must assign mentors to assist these Auxiliaries.
Schedule a time to attend their meetings and provide them with assistance in those areas they
may be weak in, such as Membership, Program Reporting, Audits, etc. Creating and helping
Auxiliaries is a key component of continuing the work for our Organization.
Now more than ever, we must continue to serve our Veterans, Active Duty Personnel, our
Youth, and our Communities. To be truly successful in this endeavor, we must reach out to
potential members, invite them to join us. We must be visible in our Communities and
present a positive image. We are proud of our Organization, and we need to share what we
do with each eligible member. As I have stated many times, it is' an honor to be a member.
District Presidents, inspections are a huge part of your responsibilities, except for your own
Auxiliary. The State President has appointed Deputy Chiefs of Staff to assist you and the
Department Chief of Staff. This position is one of great importance, as the District President
depends on the knowledge and experience of this person to help organize new Auxiliaries,
and assist Auxiliaries that are having problems. It is a must that the Deputy Chiefs of Staff
have a strong working knowledge of the current Bylaws. If an Auxiliary cannot be saved, it is
imperative to save the members by transferring them to another Auxiliary.
We want to make this the best year ever and through the leadership of our State President
Dorthy Bennett and our National President Ann Panteleakos, we will be successful.
AWARDS
1. $25.00 to Organizer of each new Auxiliary whose Charter is received by the
Department Treasurer between July 11, 2014 and February 28, 2015.
2. $50.00 to every new Auxiliary instituted between July 1, 2014 and February 28, 2015.
Paperwork must be received by National by March 31, 2015.
3. Award to Outstanding Deputy Chief of Staff (Award to be based on report from the
District President received by me by April 1, 2015.
4. Certificate to Outstanding "Mentor of the Year" from each District. District President
to submit entry from her District to me by April 1, 2015.

Patriotism, Honoring, Remembering, our logo for the 2014-2015 year. Is this not a
wonderful way to embrace the feelings of all we do as an organization? What a great
organization we have the honor to belong, the VFW Ladies Auxiliary, as Historians I
would like very much for you to keep good recordings of all your events when the
Department President makes her official visit to your District. Start from the time she
arrives to the departing of her visit. Then within 15 days please submit to me Linda J.
Henry your entry. Please, put into a folder when submitting, so I can put together by
District's her photo books for her "MEMORlES" of her year as Department President.
Be neat and organized when putting the story together. 'This is such a fun chairman
position and I am looking forward to doing this for her just as I am looking forward to
you for me... you can begin with her Installation, Homecoming and Mid-Winter. I will
also be taking pictures as well . lf I cannot be present at some of her functions I will try
and have someone taking pictures for me, you can e-mail to me or use CD's or just
camera shots, I will try to work with you on most ways you can afford.

could do the position and I know you can. There will be one winner on the local level
and one winner on the District level. Please be sure and include Aux No. and all names
in the pics and who is submitting the folder for the award. This can be done on a sheet
of paper (8 ½ X 11), double spaced typed report. Number of picture is unlimited.

Hospital volunteer work is the second National Program adopted by the Ladies Auxiliary
to the VFW as one of the ways of Honoring our Veterans. Remembering our aging
demographic of Veterans, and the myriad of wounded warriors still returning from recent
wars;
who will need medical care for many years to come, is a way of giving thanks to those who
have
sacrificed so much. Hospital Volunteers of the Ladies Auxiliary to VFW continuously
demonstrate their Patriotism which is reflected in their compassion, unselfish caring,
patience, and love for one another. Volunteering under the Hospital Program is a
unique way of recognizing and fulfilling the needs of our hospitalized Veterans and
their families.
HOSPITAL PLEDGE
The hospital pledge of $.50 per member, is due in August of each year, if possible, and is
based
on your membership as of June 30, 2014. Earmark and send your check to Department
Treasurer. Sending your pledges as soon as possible determines how soon VAVS
Representatives receive their funds to help our Veterans.
PATIENT DAY IN/OUT PROJECTS
Plan an Auxiliary visit to your local facility or bring the patients to your VFW Post for a
luncheon or dinner and fun. If a patient is unable to leave a facility, or is homebound, still
do something special for them in their home or at their facility.
ITEM AND GIFTS
Ask your Veteran Affairs Volunteer Services (VAVS) Representative or Deputy what is
needed
at their facility. Include your homebound members, as they may be happy to be asked to be
involved. All members, if asked, can get involved by donating or making items that Veterans

NATIONAL SALUTE TO HOSPITALIZED VETERANS
February is the month to spend with our hospitalized Veterans. Visit our hospitalized
Veterans.
Let them know that you are Honoring and Remembering them for their sacrifices.
VISITS
Substitute Caregivers – Even an hour can help a regular caregiver cope and gives them some
time off. Spend some time with a Veteran. Remember them on their birthdays, Veterans Day,
Thanksgiving or Christmas.
The Hospitalized Veterans Writing Project – This project “is a therapeutic writing program
that helps Veterans express themselves and communicate in a creative way”. During your
visits talk to Veterans about this project and assist in writing, recording or typing, if they
desire
to
participate.

RECRUIT YOUTH VOLUNTEERS
Recruit youth volunteers for your VA hospitals and non-VA hospitals, nursing and
convalescent
homes, and any facility where Veterans and/or their dependents are patients or residents.

youth groups are looking for ways to perform community service.
RECOGNIZE VOLUNTEERS
Show them how much their services are appreciated with a certificate or party.
STATEWIDE PROJECT
The Statewide Project is Homemade/Handmade Items and Gifts for VA and non-VA
facilities;
or Sweat Suits to VA Hospitals. Involve your youth volunteers in these projects.

1. A plaque will be given to one Auxiliary in each division for the BEST “Patients Day In or
Out”. A Citation will be given to second and third places.

The VFW issues new Legislative Priority Goals every year about important issues that affects
our Veterans, active-duty military and their families. As members of the Ladies Auxiliary to the
Veterans of Foreign Wars it's our responsibility to voice our opinions, educate our communities
and elected officials about the importance of these Priority Goals.
Our Veterans and active-duty military signed a blank contract to fight for our freedom. We must
ensure that all elected officials are aware of the entitlements and benefits due to our veterans and
active-duty military. In this election year for local and state officials we need to make our voice
heard all the way to Capitol Hill. This can be done through phone calls, email, letters and
personal contact to your Representatives, Legislators, Congressman, Senators and the Governor.
Auxiliary members can subscribe to the Checkpoint Newsletter, join the Action Corps and sign
up for free VFW Washington Weekly email newsletter at www.vfw.org. It covers weekly
updates on all veteran issues, what's happening on Capitol Hill plus reports from Department of
Defense on recoveries of MIA's.
Remember this is an election year, encourage everyone to register to VOTE. There are young
people turning 18 that will be eligible to vote, offer assistance if they need help to register.

Membership is the key to keeping the Ladies Auxiliary growing. As a Ladies Auxiliary member,
we have the opportunity to take part in patriotic, community service and youth programs as we
continue to help veterans, widows and children. We gain satisfaction in knowing that we are part
of an organization that supports veterans’ rights and a strong national defense.
Membership is “where it’s at”!! Membership provides scholarships and funds for many different
programs. It is very important that we recruit new members, reinstate by bringing former
members back and retain by collecting members’ dues. TEAM means “Together Everyone
Achieves More”. As we begin this 2014-2015 year, let’s work together for the common goal of
growth and a strong organization.
In the Ladies Auxiliary we have Life members, Reinstated members and Continuous members.
• The Life member is self-explanatory.
• A Reinstated member is one who failed to pay dues last year, but paid for this year.
• A Continuous member is one who pays each year.
When the Auxiliary Treasurer sends money for dues to the Department Treasurer, it is called a
“Transmittal” because dues are “transmitted” to her. You will find more information about
“transmittals” in your Training Manual.

Each Auxiliary in Texas has a “Quota”. That quota is the total number of members you have on
your roster as of June 30 of each year. Our Ladies Auxiliary VFW year is from July 1 of one
year through June 30 of the following year. We strive to collect dues for each member before
December 31 of each year. If the dues are not paid by that date, the member is no longer a
member in good standing and is not allowed to attend meetings or receive benefits (i.e. Cancer
Grant). It is important to report deceased members as soon as you learn of them. New members
need to be recruited to replace them.
RECRUIT, REINSTATE & RETAIN….What does this mean?
Recruit – Begin by planning a fall recruitment drive. Make your goal attainable. Plan and
organize your drive. Select your volunteers to help with this endeavor. Each member should
ALWAYS carry at least one Membership Application. Steps for planning a successful
Recruiting Campaign can be found in your National Program Book.
Reinstate – Don’t forget about the members who have become inactive. Go through old
membership rosters to identify them. Put a committee together to call or visit those members.
There may be someone who is struggling and is too shy to let anyone know they cannot pay their
dues. Also this is a good way to learn of deceased members who may have been missed or
overlooked.
Retain – Don’t forget the active members you have—keep them involved and:
• Send out your dues notices as soon as you receive your Treasurer’s packet from
National.
• Send out dues reminders in August.
• Use your Committee to call to follow up with those members who do not respond by
November 1. Is there a reason they haven’t paid their dues—do they need help?
Your Relief Fund may be used to pay another sister’s dues.

IMPORTANT DUE DATE: 15th of EACH MONTH
Transmittals must be into Department by the 15th of each month in order to be eligible for
awards. Competition will begin July 1, 2014 and end May 31, 2015. Verification will be
through the Department Treasurer. All awards will be presented at Mid-Winter and or
Department Convention.
TRANSMITTAL AWARD
Each Auxiliary who has one transmittal by September 15, 2014 will get their name in a $50.00
drawing at Mid Winter.
AUXILIARY AWARDS:
1. The established Auxiliary securing the largest number of new and reinstated members
from July 1, 2014 through April 30, 2015 will receive a $50.00 cash award at the

Department Convention.
2. The “new” Auxiliary instituted since last convention (July 1, 2014) making the greatest
gain in Membership will receive a $50.00 cash award at the Department Convention.
3. Each Auxiliary to reach 100% by December 18, 2014 will be entered into a $200.00 cash
drawing to be awarded at the Mid-Winter Convention
4. Special Invitation to the “Red White and Blue” Celebration at Mid-Winter to each
Auxiliary President and Treasurer or Membership Chairman when the Auxiliary reaches
100% by December 18, 2014.
DISTRICT PRESIDENT’S AWARD
1. Special Invitation to the “Red White and Blue” Celebration at Mid Winter to each
District President and Treasurer or Membership Chairman when the District reaches 91%
by December 18, 2014.
2. The First (3) District Presidents to reach 100% of her Membership Quota will receive a
Cash Award to be presented at Mid Winter. 1st Place is $100.00; 2nd Place is $75.00 and
3rd Place is $50.00
VFW AWARD
1. The VFW Post Member who secures the most new or reinstated members for the Ladies
Auxiliary from July 1, 2014 through May 31, 2015 will receive a Cash Award of $50.00
at Department Convention. In case of a tie, there will be a drawing to determine the
winner.
2. Each District Commander who recruits one new or reinstated member for the Ladies
Auxiliary from July 1, 2014 through May 31, 2015 will receive a personal gift from the
Department President.
STATEWIDE PROJECT
The Auxiliary in each Membership Division with the Most LIFE MEMBERSHJIP gain during
2014/2015 will be entered into a drawing for $100.00. This money is to be used in the future
towards new life memberships.

SCHOLARSHIP PROGRAMS
Any parent knows the struggle of trying to gather the necessary funds for sending a student to
college. You can't start too early. We have numerous scholarship programs available for students
and those are: Young American Creative Art Contest, Junior Girls Scholarship, Voice of
Democracy Contest, Patriots Pen Essay, and Continuing Education Scholarship.
The key to success with all of these scholarships is promotion in your community and schools.
Auxiliaries should contact local schools early so that teachers can add the program into their
curriculum.
Don't forget the home school students. Utilize your local newspaper and the internet to promote
interest in all of our scholarship programs. You can also talk to church youth groups, parent
teacher associations, youth sports teams and youth focused organizations.

YOUNG AMERICAN CREATIVE PATRIOTIC ART CONTEST
This scholarship program is open to all students in grades 9th – 12th including Home Schooled
Students. The artwork must be on a canvas or paper and no digital art work is accepted.
Judging is on patriotism and technique. One department winner is forward to National

As the population grows, so does the need for nurses. Nursing is as much a life commitment as a career.
It takes special people to become nurses. As we all get older, we will be needing the help of nurses more
and more. We will need them during doctor visits, hospital stays, or maybe just to help when the doctor
is too busy. We, as Ladies Auxiliary members can show them our appreciation for what they do for us
and our families.
Our Ladies Auxiliaries have been generous over the years, so we are able to give Nursing Scholarships.
Again, the year we will be awarding three scholarships. First place will receive $2000.00, second place
will receive $1500.00, and third place will receive $1000.00. The winners will be invited to attend our
Department Convention to receive the scholarships and be introduced to the Great Ladies of Texas for
making this possible through your donations.
You need to contact the directors of all accredited nursing education schools and provide them with all
the details and requirements. I will ask them to make all the information available to all Junior Nursing
Students. Application forms will be available for all needing them. If you know a student, give them a
packet. Tell them you are proud of them.

“OPERATION CHANGING LIVES”
VFW Commander-in Chief John Stroud and Ladies Auxiliary VFW National President Ann Panteleakos
are joining forces during 2014-2015 to support the VFW’s premier program National Veterans Service
(NVS). The goal is to raise one million dollars for the program. Their motto is “let’s get back to
basics. Let’s build the #1 Veterans Service Organization into a powerhouse for Veterans and their
Families”. Patriotism begins at home. In order to follow the prescribed program changes are needed.
Statewide Project
The first change is Grab Bags. I am asking that each auxiliary in the great state of Texas donate at
least four (4) grab bags worth between $3.00 and $5.00. Grab bags will be sold at Mid-Winter. Your
District President will bring them to Austin.
The second change is “My Favorite Hero Walk”. In the past we had a Cancer walk remembering all
that had or still have cancer. This Hero Walk is similar, instead of honoring a cancer patient we will
bestow honor to your favorite Military Hero. For example I will honor my father, a WWII Veteran and
donate $10.00. This Hero can be living or may be deceased. He or She may be a family member or
someone from your post, another veteran’s organization, the field is wide open. Your auxiliary or your
district may nominate a Hero and hold a fundraiser and donate the monies at Mid-Winter for “My
Favorite Hero Walk”. All donations are earmarked for “OPERATION CHANGING LIVES”. We, in
the State of Texas are definitely going to do our part of raising funds toward the million dollar goal. PS:
You don’t have to wait for Mid-Winter, donations can be made anytime.
VFW NATIONAL HOME
Not too many members are familiar with the VFW National Home “Helpline”. This program was
created for the growing number of veterans that need help. Some just need a caring person to listen,
others need someone to get to the heart of their problem, and to find them the right kind of help in their
local communities. The number for the helpline is 1-800-313-4200. I am asking that all auxiliaries
make a donation to this worthwhile cause, even if it is only $10.00. Our Veterans need your support.
Earmark your check “National Home Helpline” and mail to “VFW National Headquarters, 406 West
34th Street, 10th Floor, Kansas City, MO 6411. As always I need a copy of your check.

Remember your ten cent donation per member to the “Health and Happiness fund is needed by October
based on your June 30th membership. If you would like a certificate from the National Organization,
please help by donating twenty five cents (.25) based on your June membership. Don’t forget to
purchase a “Life Membership to National Home” for only $35.00. They make a nice gift for someone.
Last but not least, have your whole family get involved with the Campbell and other related label
program. Labels purchase much needed transportation and other items for the children at the National

Buddy Poppy
Any day can be Buddy Poppy Day. This little red flower has been around for over 90 years. The nice
part of this little red flower is, that it can be transformed into another flower to be used in a decorative
manner. Make a buddy poppy bouquet and take it to a nursing home, hospital, a veterans home, etc. I
need pictures of your flowers.
Plan a Buddy Poppy Drive either with your Post or in your own Auxiliary. Some Post’s and Auxiliaries
have certain times of the year such as Memorial and Veterans Day to get out and distribute the symbol
of the VFW. Remember all monies raised go into the relief fund. We “Honor the Dead by Helping the
Living”.

The purpose of the Texas VFW Foundation is to assist disabled and needy veterans and their families.

Today's youth are tomorrow's leaders. As members of the Ladies Auxiliary VFW, it is up to us
to nurture the youth of our community. We must teach them the foundations of PATRIOTISM.
We should instruct them in HONORING our veterans, and REMEBERING the responsibility
that goes with the incredible freedoms and privileges our nation enjoys today, thanks to the
sacrifices made by our veterans from the American Revolution to The War on Terror.
STATEWIDE PROJECT
A healthy mind begins with a healthy body.
According to the USDA, 18.4% of Texas
households (or one in five) experience “food insecurity." An estimated 1.8 million Texas
children, or 27.1% (one in four) live in these households. To help these young people grow and
reach their potential, our Texas Food Bank Network has developed four (4) basic programs to
help ensure at risk children receive adequate caloric intake and promote a healthy life style for
their future. Food4 Kids includes weekend back-packs of healthy snacks for school age children.
Kids Cafe is an after-school program that includes a second hot meal for the day, along with
nutrition education aimed at improving their food choices for a lifetime. School Pantry is a
program that targets at-risk youth and their families, and provides supplements for the family diet,
often consisting of fresh seasonal produce. Summer Food Programs provide assistance outside
the school year. Anyone or all of these programs are worthwhile and will qualify as your
statewide project. Specific variations may be found based on the locale, and are acceptable. Find

JUNIOR GIRLS
Junior Girls is part of our National Programs. The Junior Girls units are an asset in completing
programs, and a great way to start tomorrow's leaders on a path that will include
PATRIOITISM,
HONORING our veterans, and REMERBERING the responsibility that goes with our
freedoms.
In addition, Junior Girls are eligible for one cancer grant under our Cancer Aid & Research
program, and can apply for the Junior Girls scholarship.

On a daily basis. The Chaplains in the State of Texas do an awesome deed for their
Community every day and I am so proud to recognize them for all their hard work. I
Know it is not about awards but the love and passion they show each day for someone
in need deserves some pat on the back of some kind. I know as a Chaplain it is part of
your duty to perform random acts of kindness. So this year again I will recognize any

This Auxiliary year we have some new “Ideas” and hope that each of you will help us. Madam
President has chosen someone new to the team. You all know and love the Auxiliary’s number one
volunteer. Bubba is here to help the Ladies Auxiliary to the Veterans of Foreign Wars and me. It is
my honor to have him assisting with this program and we promise to do the very best for the
Department of Texas Ladies.
Now lets get started and have a great year of success and raise lots of money for the Department of
Texas. It takes money to run a Department. The monies raised will help pay for things such as
printing of the “Program Book”, Rosters, other printed material for distribution, and it helps to pay a
little bit of the District Presidents’ traveling expense to Mid-Winter and to Department Convention.
There will be a Night “Lotto Calendar” that will be sold and the calendars will be $20.00 each. This
will be one evening drawing only. That means a limited number of calendars available, so buy early.
Your District President will distribute calendars. So show your “Patriotism Honoring Remembering”
self by purchasing tickets and calendars to help the Department of Texas. A “SURPISE” will be
given to the 1st District who sells “ALL TICKETS AND CALENDARS” and turns in all the
monies to the Department Treasurer.

PURPOSE OF GENERIC REPORTING FORM

To provide a tracking document for purpose of showing use of members’ time, mileage and
money spent or valued.
All Projects approved at the Auxiliary level affect our veterans, their families and our
communities, which makes all projects part of community service.
This report form will simplify categories, avoid double reporting, reduce double dipping and
provide information on activities performed by Auxiliary members only.
DEPARTMENT CHAIRMAN…
…will compile the numbers listed on the front page of each report from all Auxiliaries in each
program.
…will prepare a report form, consisting of page 1 of the Report Form, completing the page in its
entirely for the period covering either May-October or November-April.
…will turn this completed form with compiled numbers over to VFW Department Community
Service Chairman for the purpose of fulfilling the request made of the Ladies Auxiliary VFW.
This will be done twice, turned in during the months of October and April.
The Program Report Form is to be completed for each program in which a project or projects
have been completed. For your convenience you may report as often as you like during the
official report year. (The report year is May1-April 30 of the following year) We have asked that
you report at least quarterly in order to track the projects throughout the year. If it is easier for
your Auxiliary Chairman to report as the projects are completed, they may do so. Timely reports
are crucial to the VFW Community Service Chairman. Do not provide your reporting information
to your Post. Do not include Post members, hours, miles or expenses in your reports.
(WARNING: If you wait and send all reports about all of your projects at the end of the year, it
may jeopardize your chances for an award.)
The process of reporting for Auxiliaries is as follows:
1. When project(s) or activities approved in an Auxiliary business meeting are completed the
Auxiliary Chairman fills out a form. Make TWO (2) copies of the report (if Department
Chairman have e-mail, you may e-mail your completed report form.)
2. If a project applies to more than one program, a separate report must be completed for each
applicable program. For example: If your activity is reportable to Youth and Americanism,
complete two report forms for EACH program, dividing the numbers to avoid double reporting.
3. The original report goes to the Department Chairman. The totals from the report title page and
description will be recorded for use by the Department Chairman to complete the National YearEnd Report for her Director.

report form in the box beneath this title on the table. DO NOT include projects that have been

Number of Members Participating: Report the total number of members who anticipated on
ALL of the projects included with the report. If you are reporting six (6) projects and one lady
participated in all of them, you count her six times, because she participated in six separate
projects. BUT, if one member participated in 4 meetings on ONE project, she is only counted as
1 member participating.
Total Hours Worked: Count all the hours that went into PLANNING, PREPARING,
PARTICIPATING and COMPLETING the project. Enter the total number of hours for ALL
the projects reported on this report in the box.
Total Number of Miles: This is the total number of miles driven to participate in the projects
included on the form. (Notice this says driven, not traveled, therefore, if 3 people travel in a car
and go 50 miles for a project, the number of miles driven is 50 miles, NOT 150.)
Total Value or Dollars Spent: Include the value of donated items, or the actual dollars spent on
