This is a ONE TIME process, you will use the username and password
that you create from now on.
Create Login – Step 1
•Get your employee number from the trainer.
•Enter your number e1234567 in the username field
•Do not enter anything in the password field.

Create Login – Step 2
•Enter your birthdate mm/dd/yyyy – note that you must use 4-digit year
and slashes in the date
•Enter the last 4 digits of you SSN
•Click on Continue
Create Login – Step 3
•Enter a username that you will remember – Suggestion,
use the same user name you use to login to the school
network.
•Enter a password you will remember.
•Confirm your password by entering it again.
•Click on Continue
From now on, you will use the username and password you just made up.

Setting Up Your Gradebook
Main Menu
To set up grade book – Click setup wizard
Setup Wizard
The setup wizard will walk you through the steps in setting up your
gradebook. Start at the left and work through each step across the
wizard. When all of the steps are complete, you will be able to use your
gradebook.

This page lists all the grade scales that are available to you. It will contain
some district default grade scales and allows an unlimited amount of custom
grade scales that you define. You will also be allowed to define a grade scale
that can be selected and applied on a per student basis.
Click Add New to define one of your own grade scales if the District Default
won't work for you.
Once you have one of you own grade scales defined you can modify that
grade scale at any time by clicking edit.
You will be allowed to delete a grade scale as long as it is not already
associated with a concept or a student.
Description is the friendly name assigned to the grade scale. This is for your
use only. It is not displayed to parents or students or in any reports.
Under each Description is the listing of the symbol/value combinations that
are associated with that grade scale.
The custom grade scales that you define are owned by you. This means that
if you moved schools that your grade scales would go with you. They will also
persist from year to year.

Create a Grade Scale
Be sure to

•When you click on “Add New”, this screen comes up.
•Here you can create a grade scale specific for your class.
Using the Select
a Template popdown menu, you can start with one of the district default
grade scales and tweak it as you would like.
•Give the grade scale a name. You are the only person who will see this name.
•Determine whether it will be a “points” grade or a “letter’ grade.
•Assign a symbol, a value, and a description (if desired)
• Click on “Save”

This page allows you to link the grade scales that you defined
on the previous step to your sections/concepts.
The gradebook for a specific section/concept will not be
accessible until a Grade Scale has been selected.
Click Save once you have designated the links between grade
scales and sections/concepts.
If you use
the same
grade scale
for all of
your
courses, you
can use the
fill function.
Be sure to
Save ! !
•You must assign a grade scale to each section/concept you
teach.
•Click on the pop-down arrow by each section/concept and choose
the appropriate grade scale.
•When all sections/concepts have a grade scale, click on “Save”.

This page lists all the Assignment Category Groups that you will use for
your concepts. District defaults have been provided if you only require a
simple setup.
Click Add New to define your own custom Assignment Category Groups.
Once you have added a custom Group you will be allowed to Edit that
group.
You will only be allowed to delete a group if none of its categories have
been linked to Assignments.
The Description is the friendly name that you define. This is only for
your use and doesn't show up on reports. It's recommended to use a
name the will describe what it will be used for.

Under the description you will see that actual categories. Example:
Homework, Tests, Quizzes. If you have selected that your Group will use
a weighted system, it will display the percentages that you have defined.
When you are satisfied with the Groups you have defined, go to the next
step.

Once all steps in the setup wizard have been complete, click on
Next Step.
Then click on the link to Main Menu to begin using your
gradebook.

Attendance
Attendance is entered from the District Mainframe (HP
System). You will not have to enter your attendance at this
time.

Using Your Gradebook
When on the Main Menu screen, click on the word
“gradebook “next to any concept to which you wish to add
grades.
NOTE: If you do not see the word gradebook next to a
course, you have not completed all of the steps in the Setup
Wizard. You will need to click on the Setup Wizard button
and go back through the steps to see which one you have
missed.

Add Assignment
Click on Add Assignment

Enter a title for your assignment.
Assign the correct grading period.
Choose the category (i.e., Assignments, Quizzes, Tests,
etc.)
Specify a due date.
Specify points possible.
You may add a description of the assignment if you wish.
Make sure you click on SAVE when you have finished
these steps.

Entering Grades

The assignment will then appear in the gradebook
(spreadsheet) window.

Click on the sheet of paper and you can begin entering grades
for the assignment.

Entering Grades for Assignments

Score/Code: You can enter each score and then use the Enter key or the Down
Arrow to move to the next name.
„
Codes: E means that the student will be given full credit for the assignment, but
is excused from completing it. X means that the assignment is not counted toward
a student’s grade (useful for students who enter in the middle of a term).

Tab takes you to the next field (Code) horizontally.
„
Key: You can enter codes for each of the scores as well. These can be for an
individual or for the whole class.

You can type the first letter of a student’s last name, This will move the cursor
to the first student whose name begins with that letter.
Populate All: If all scores are the same, you can enter the score in the Populate
All Field and then click on Fill.
Repeat the steps on pages 16 to 18 in order to add additional
assignments.

Viewing Information about Assignments
Moving the mouse over a student’s score will bring up a
window with all of the information about the assignment.

Adding Grades for Students Entering
Mid-Term
You can access all of the assignments that have been made
up to the time a student enrolls by clicking on the detail
button found to the right of the student’s name.

Reports
„ This is where you come to print reports.
„ The additional information is in pop-down menus on each
report.
„ Additional information includes alphabetical or high/low, show
all concepts, mid-term or end of term, etc.
„ The reports generated here will only have information on one
course per student.

Options
The Options Menu allows you to change things such as
class overview or passwords, set up an account for a
substitute teacher, or make global assignments, and post
grades at term end.

Edit Class Overview
The link to Edit Class Overview takes you to the screen where
you can add information about Syllabus, Fees, and Supplies.
When you are finished, click on the Save button.
This information will appear on the web for parents and students
to view.

Assignment Modification Codes
This screen gives an explanation of the Assignment Modification
Codes that can be used in the Gradebook.
Global Assignments
Global Assignments are those assignments that will be used by
more than one class section. This feature allows you to set up the
assignment once and use it in multiple classes. To access the
feature, click on Add Assignment.

On this screen, fill out the information about the assignment.
Link the assignment to specific classes by clicking in the
checkbox(es) for the class and grade period to which the
assignment should be applied. Be sure to click on the Save button
when you are finished.
The Global Group field allows you to group assignments together.
Click on the Add/Edit link. Fill in the information and this will
make a Global Group to which assignments may be added.
If you chose to delete or detach an assignment, click on the link
on the right side of the calendar icon. Detaching the assignment
removes it from the global list for that course. Deleting the
assignment removes it from the course.
Global assignments will show up in the gradebook in green.

As you build your global assignments, they will be added to the
list available. You can modify any of the assignments by clicking
on the name (link) of the assignment.
Change Your Password
If you need to change your password, you reach this screen by
clicking on the Options > Change Your Password. Type your
password twice to confirm the change. Be sure to click Save.

Substitute Accounts
Substitute teachers may be given access to enter grades and
attendance if you set up an account for them. Click on Options >
Substitute Accounts. Then click on the link Add Account.
Fill in the required information: Description, User Name,
Password, and Confirm Password. Select access dates and check
the boxes next to those classes to which you want to give access.
Then click the Create Account button to finish the task.

Posting Grades – Mid-Term
Log into your Gradebook. At the main screen click on the Options choice on
the menu bar.
From the Options Page, click on Post Progress under Grade Posting.

The next Post Progress Screen you see lists the trimesters. You need to
click on the active icon next to the term you wish to post. Only one button
will be active for you to post grades. (It will be highlighted in blue on the
screen).
On this screen, click on the Icon next to each class.

This will take you to a list of your students along with the grades and
citizenship and comment codes. Fill in the appropriate codes for each
student. Be sure to click on the Save button after completing all student
grades.

Log into your Gradebook. At the main screen click on the Options choice on
the menu bar.

Other Features
Show/Hide
In order to see more on the screen, you can hide the student number and
grade level columns and the assignment details. Clicking on one of the hide
buttons accomplishes this.
To bring the columns or rows back, click on the Hidden Items link.

On this screen, uncheck the items you wish to see. Click on Save. It will
return you to the gradebook with the columns and rows showing.

Sort Students
To do a student sort, click on the icon to the left of the words Student
Name.

Find Sort Type and click on the down arrow. The pop-down menu will show
you two ways to sort: Alphabetical and Custom
You can custom sort your students in any order you wish but highlighting a
student name, then clicking on the Top, Up, Down, or Bottom buttons. If
you want a new student to appear at the bottom of your list, click on the link
Sort Date Entered. This will order the students by the date they enrolled
at the school.

Assignment Filters

The assignment filter button is located at the top of your
screen below the navigation bar.

Clicking on the Show Filter button to the right displays the
ways you can arrange the assignments on the screen.

All Assignments show all of the assignments for the year.
You can see assignments with a certain time period by
choosing start and end dates.
If you click on show all assignments from a previous grading
period, you will not be able to change the grades once the
grading period has been closed.
Click manage assignments to see the list of your assignments.
