Preface
We sincerely thank you for your willingness to assume the role of Team Manager. Weston FC
Teams would not function efficiently without you serving in this vital role. We appreciate the
countless hours that you will contribute for the good of your team and for the overall benefit of
the club. We also realize that while you will enjoy many rewarding moments, you will also
experience some frustration. However, your altruism in volunteering for this position will not go
unnoticed. We truly appreciate you and all that you do.
The purpose of this Manual is to provide the Team Manager and the coach with a
comprehensive source of information to assist you with the administrative responsibilities of
managing a competitive travel team. The coaches and their respective Team Managers will
work together in an effort to ensure that the each team performs smoothly within Weston FC
and league guidelines. As Weston FC (WFC) continues to grow and increases its visibility in
competitive soccer, on and off the field, the professionalism brought forth by those behind the
scenes becomes even more evident and important.
Team Managers are appointed annually by Weston FC and selected based upon their ability to
organize, communicate, and manage the various aspects of the team activities relating to
administration, planning, fundraising, and travel. All Team Managers must be approved by the
club.
The Team Managers are an integral part of WFC. These individuals continuously work and
interact with coaches, players, and club staff. Team Managers truly make a difference for
everyone. They handle the administrative duties involved in the operation of their assigned
team allowing the coaches to focus on the technical aspects of the training sessions and
games. Teams would not be able to perform efficiently without your valuable contributions.
From time to time, you will experience conflicts, issues, difficult questions and problems in your
team. As an example, a parent may not understand a coach or referee’s decision, or believes
they are being treated unfairly; a player may feel that he/she is not getting sufficient playing
time; or, administrative issues will be questioned. WFC has implemented an escalation
methodology which will allow you to guide any issue or potential issue to its prompt and
favorable resolution. Do keep in mind that technical issues are strictly the purview of the WFC
technical staff. Accordingly, the first person to contact to resolve these type of issues or
conflicts is the team’s Head Coach. Should the parent still required to speak with someone
else or escalate, the next contact will be respective Director of Coaching. Please see list of
Club Contacts for information.
Your purview is administration. If you have questions or need to refer someone to another
person, the first person to contact would be your Program Liaison; the next contact would be
the appropriate administrative staff and finally, the appropriate program’s Vice President.

Team Manager
Job Description
The Team Manager is a volunteer position within the Weston FC organization whose primary
responsibility is to serve as a liaison and facilitator between its assigned team, coaches, other
team volunteers and the WFC management, to ensure that all the communications,
requirements and administrative responsibilities of their individually assigned team are
successfully handled in a timely and appropriate manner.
Duties















Organizing all paperwork necessary for registration in the club, tournaments and
leagues, including player passes and roster creation.
Ensuring all referee fees are collected and paid for each game.
Coordinating field marshals for games, when applicable.
Ensuring team roster, players & coaches’ passes are presented before each game.
Obtaining, confirming, and communicating game schedules, directions, and uniform
details to players, families and coaches.
Reporting score via e-mail to League Representative by Sunday night following the
weekend’s games.
Applying to and managing necessary paperwork for tournaments.
Collecting and managing team funds to cover team expenses.
Coordinating team funds with the WFC Team Accounts Manager
Communicating club news to appropriate representatives (COD, Web Master, Club
Administrator, etc.)
Updating applicable website information and confirming accurate info on league sites.
Reporting Injuries to WFC Management.
Reporting misconduct and violations of Club’s moral / ethical code of conduct.
Coordinating team volunteer obligations for Weston FC events including, but not limited,
to the Weston Cup & Showcase.
Enlisting other volunteers to assist in the smooth operation of the team, this could
include:
o Equipment Coordinator (Tent, first aid kit, field marshal vests, etc.)
o Team Nourishment
o Publicity (Photography, articles, website, etc.)
o Tournament Liaison
o Fundraising
o College Liaison U16/U17/U18 (Player profiles, team brochures, networking, etc.)
o Statistician to keep track of record, etc.
Documentation
Create a Binder to hold the following information:
 Laminated Player Passes - (FYSA and US Club, if applicable).

Rosters – FYSA, US Club and League (SFU/Flugsa) - encased in sleeve protectors.
Medical Releases for each player - encased in sleeve protectors.
Referee fees, in correct denominations, secured in game day envelopes.
Signed rosters from league games with referee notes and scores.
Guest Player Forms.
Club Forms – Check requests, deposit forms, expense reimbursement requests, etc.
Financial Reconciliation.
Communications
Create a group e-mail list to communicate with parents and players. Create and utilize a phone
group chat when necessary. These methods may save a lot of time!

Team Managers should assist players with the registration process, if needed.
Detailed instructions regarding the registration procedure can be found on the website,
www.westonfc.org, for both new and returning players. For specifics, access the website then
go to the links section on the left hand side of the screen, click on tryouts & registration, and
then click on the link that says Online Registration – Selected Players Only.
What do teams need to register?
The team manager cannot register the team until every player and coach’s paperwork is
complete. No team may begin practicing or be given permission to enter tournaments until all
of their online registration has been processed by the WFC Registrar. Teams cannot be
registered with FYSA until their paperwork has been cleared. There is no insurance until the
team is registered with FYSA. There can be NO exceptions to this requirement.
It is the team manager’s responsibility to expediently collect all of the required paper work,
check it for completion and accuracy, and then submit it to the appropriate WFC
representative. All coaches, managers and players are required to register online. Required
paperwork should be submitted to the Registrar: Engrid Spence.
Registering a team is a two step process.
STEP 1 – Players must register online.
What constitutes a complete player registration? Online Electronic Signature for

7. Proof of payment, either their online receipt or a check, if they did not pay online
8. Recent Passport size photograph uploaded into the FYSA Got Soccer account which will
then print onto the pass – This is mandatory requirement.
9. Copy of Birth Certificate - for players who are new to FYSA
If the player is over the age of 10 and has a foreign birth certificate, they must provide proof
that they lived in the United States prior to their 10th birthday. Proof may be a report card from
a school in the United States, Doctor’s records, Immunization records, Certificate of Baptism,
or previous registration history with a sports program. The player must also complete the
International Clearance Form, which can be found on the WFC website and must be submitted
to the Registrar.
What constitutes a complete coach registration packet? (This includes assistant
coaches, team managers and any other carded members)
1. Completed Online Coach Registration with Weston FC through Got Soccer
2. FYSA Risk Assessment Form (Background Check) must be done online through Got
Soccer. Be sure to read it carefully and complete the form with accuracy.
3. CDC Concussions Test completed online at www.gotsoccer.com, it takes 30 minutes to
complete and must be done in one sitting.
4. Passport size photographs of the coach or manager being registered must be uploaded to
their Got Soccer account to be printed on the pass. This is mandatory.
What constitutes a complete Team Registration?
1. Completed Weston FC Team Uniform Jersey Order Form for, which may be obtained on the
website or from the Uniform Coordinator. Jersey numbers must be updated in gotsoccer
team account.
2. Completed Online Registration for each player, coach, and team manager/volunteer.
3. Uploaded pictures in profiles.
4. Verification of Payment made.
5. Complete International Clearance Documentation submitted if requested.
STEP 2 – Once all of this information is verified, players/coaches/managers are considered
fully registered. Team managers should keep the Medical Releases. The Registrar will verify
the birth dates, review all roster data, and then upload the complete team to FYSA, which will
generate the FYSA passes and rosters. You must allow at least ten days for the registrar and
FYSA to complete this process, so please plan accordingly.
All players, coaches, and team managers must have a laminated pass to participate.
This year Got Soccer, FYSA’s registration system, is generating new I.D. numbers for players,
coaches, and managers. Once the new FYSA pass number is generated that number will
remain the individual’s number while in FYSA.
The Registrar will print passes and rosters for each team. Each team will have a team code.
Team codes will look like this: A2-WES-_ _ _ _-_C_. A2 is the district code, WES is the club
code, the next 4 digits are the team designation by birth year for the age group (i.e. 04/05 for

U10 through 96/97 for U18), then F for female or M for male, C for competitive and a number
for your hierarchy in the club (i.e. 1 for Premier Black or Pre-Academy, 2 for Premier White , 3
for Premier Blue, 4 for Premier Gold, 5 for Premier Grey, 6 for Premier Green, 7 for Premier
Silver).
Once the passes are printed they will be laminated and turned into the TM if pictures are in the
profiles. If not, then picture needs to be glued in the top left corner, and then laminated.
Once this is done, the registration process is completed.
NOTE: Parent gear and other club merchandise is available through the online club store.
TIP: It is a good idea to punch a hole in the corner of the passes, not where it
interferes with any information, and to place all of the passes on a secure ring in
alphabetical order.
*IF a coach is coaching multiple teams they will receive a pass for each team, showing only
that team code. They must make sure they use the correct pass for the correct team, so it is a
good idea to also keep their pass on the ring.
How do I register a new Player, Coach, or Volunteer during the season?

Provide the Registrar with the name of the player and have them register online, make
payment, and upload picture and birth certificate and submit the completed New Player
Questionnaire Form.
Note if the player is moving from one team to another within Weston FC the completed Player
Movement Form must be submitted to the Registrar.



Player has to order uniform at soccer.com
Registrar will upload the person into the FYSA system and return their pass and a new
roster to the team, and then laminate.
If the player is born outside the U.S., they also require a birth certificate and if they are U10
and above, they need to fill out a Proof-of-Entry before Age 10 Form, provide supporting
documentation and fill out an International Clearance Form. This process takes anywhere
between 5 to 10 business days to clear.
Please note that there are approximately 70 teams in the WFC. It may take anywhere from 3 to
5 days to complete this process. Please plan accordingly, allowing adequate time for
participation in upcoming events.
How do I add an existing Weston FC coach to my team?
If a coach is already carded to Weston FC on another team and needs to be added to your
team, e-mail the Registrar a request to add the person to your team. Include in your request
his/her name, pass number, and date of birth. The Registrar will then add the person to the
team and provide you with the new pass and roster, which you will need to show the addition
of that person.

Passes are the property of FYSA not the player, coach or volunteer. The Registrar is NOT
permitted to issue more than one pass to anyone, so please do not give passes to individuals
and be careful not to lose passes. If you do lose a pass, please e-mail the Registrar with all the
pertinent information and she will arrange for a replacement pass. The team or individual will
be responsible for payment, if a fee is required for reissue.
All requests of the Registrar must be made via e-mail only and must include all of the
necessary information. Do not utilize phone contact or text messaging for requests. Please
allow a minimum of 3 to 5 days to process requests.
Please remember players must be registered and paid in full, or have an online signed
payment contract in place, before uniforms may be ordered or passes issued.
US Club Soccer Registration

Teams that need US Club Soccer passes should e-mail her the following information:
1. The name and date of the tournament you will be attending.
2. An excel spreadsheet with your team name and age group at the top of the sheet.
Then separate columns for each of the following fields: each player’s first name, last name,
date of birth, street address, city, state, zip, phone and gender. On the bottom of the sheet
the name, address, phone number and e-mail address for each coach, assistant coach,
and team manager. Please e-mail Christine if you would like her to send you the template.
3. A birth certificate or passport, in pdf or jpg format only and a headshot in jpeg only (both
filed under 2 MB), for any player who has not previously been registered with a US Club on
a Weston team. If they were registered with US Club through a different club, she/he will
still need the birth certificate. Please send each birth certificate in a separate file named
with the player’s last name.
4. Please submit the information for your entire team at one time NOT a few pieces at a time.
5. Please make sure you have a current US CLUB SOCCER medical release for each player.
Do not send her copies of the medical releases; she just needs to ensure that you have
them.
6. Please submit your information at least 7-10 days before you need the passes back. US
Club is very busy during the fall registration and needs ample time to process players.
7. Teams participating in the NPL will be US Club carded and the club will take care of the
fees. If your team needs to be US Club carded for a tournament, it will be the responsibility
of the team to pay for the passes. For players up through 11 - $14, players 12-19 - $18 and
staff passcards are $15.
8. Players must be current on all club payments before a pass can be issued to them.
9. All coaches and managers must complete a background check. To do this, go to
www.usclubsoccer.org. Click on the green Registration tab at the top. Click on Staff

Background Check and then click on the link for Staff Background Check Application.
Follow the online instructions to complete the background check. Passes will not be issued
to your team until the manager and coach have completed their background check.

Please remember US Club registration fees are the responsibility of the team, except for the
teams participating in FPL league.
UNIFORM REQUEST PROCESS:
Once a player is registered with the club, has paid the registration fee, they should receive an
email from soccer.com with instructions on how to order uniforms online. Please allow for a 7
day turn around as jerseys must be logoed and numbered.

Rosters:
State Generated Rosters:
Once a team is uploaded to FYSA, a state generated roster listing all the players and coaches
is available to print. It too will have the team code on it. The Registrar will automatically print
and give each team one roster via email and can be accessed through Gotsoccer team
accounts in team profile, in documents tab. If you change something or lose your original, at
any time, please e-mail the Registrar a roster request, allowing adequate time for the request
to be processed.
This roster will remain the same unless a player or coach is either added or removed. Please
keep the original and make copies when your team is participating in any tournament, event,
etc. The Registrar does not need, nor want to, print you a new roster for every tournament in
which your team participates. When a new player/coach is added to or deleted from a team,
the Registrar will give you the pass, if applicable, and a new roster, reflecting the change. TM’s
will have access to retrieve their FYSA Rosters through their Gotsoccer team accounts, by
going into Team Profile, in the Documents tab.
The State Generated Roster is usually used when your team is participating in a tournament.
It is NOT used for league games, leagues have their own rosters which they require to be
utilized.
A team may only have a maximum of 12 players on their roster if you are an U9 - U10 (6 v 6)
team, a maximum of 14 players if you are a U11-U12 (8 v 8) team, and a maximum of 22
players if you are an U13 - U19 (11 v 11) team.

Event Rosters:
There is no specific Event Roster for use this year. Most tournaments do however allow guest
players. If you are taking a guest player from Weston FC to an event, then the player needs to
apply as a guest to the tournament, if it is a gotsoccer tournament, or if not the registrar will
add the guest player through the system. Some tournaments also accept the name written in
at the bottom of your roster with a guest player form completed and signed by the Registrar,
attached.
If the guest player is from another club, they must obtain a guest player form from their club.
The WFC Registrar cannot generate guest player forms for players from other clubs.
To obtain a Weston FC guest player form; e-mail the Registrar the name and dates of the
tournament, your team name and code, player’s name, date of birth, pass number and current
team code, along with applicable permission. Also please advise her if any player is not
attending. It is imperative that you include this information in your request. Please allow
sufficient time to get the requests, do not send requests that are due on the same day.
Always make sure you have the proper permission to use any guest player.
You must obtain permission from WFC to use guest players from outside the club.
We do not encourage the use of guest players from outside WFC and only grant permission in
special circumstances.
US Club Rosters
US Club Soccer is a different governing soccer organization then FYSA, with different rules,
passes, rosters, budgets, fees, and other related items. Some teams may be required to
register with US Club Soccer due to specific tournament or league requirements. Refer to the
US Club Soccer information on page 10. Rosters and guest player forms for US Club must be
requested from the US Club Registrar.
WFC Calendar:
Coaches are expected to compile a calendar at the beginning of the season, to be approved
by the Technical Director. The calendar should include tournaments they plan on attending,
league dates, meetings, and other relevant information. Each “Team Calendar” will be specific
to that team’s needs and abilities. It will also serve as a reminder of administrative deadlines,
club events and other planning issues.
Parents and players should be advised of all team activities, tournaments, and events as early
as possible. This should assist team members in planning non-soccer activities, such as
religious school and family vacations. Developing and implementing a calendar for the entire

organization will allow WFC to become more professional and improve the overall planning
process, which will inherently be better for our players. Any and all changes to the calendar,
tournaments, leagues, and events must be pre-approved by the Technical Directors.
Leagues
Teams will be declared to participate in the appropriate leagues and divisions, as determined
by the Technical Staff, via the appropriate Boys or Girls program V.P. The program V.P. will
inform you of the league registration process which varies from year to year. See below.
Seasons
Early season is for Girls U13 through U18 and Boys U13 through U18. The early season starts
in August and ends in October, after which most players begin their high school soccer
season.
High School age players generally return to their respective club teams in February to prepare
for State or Region Cup competition and sometimes to participate in a Late Season. Cup play
begins in February or March and can continue through July, if a team wins State Cup and
continues competing all the way through Nationals. When a team wins Region Cup they
progress to Presidents Cup, then Directors Cup and on.
Regular season is for teams, ages U-9 through U18. Regular season teams generally begin
practicing in August. League play begins in November and ends with playoffs in February.
After league playoffs, older teams, U13-U19, compete in either State Cup or Region Cup.U11
and U12 teams can elect to play in Region Cup. U9 & 10 teams have local events through their
respective leagues and festivals through the Region.

You may want to have a tent, especially during extremely hot times of the year
You may want to have an extra uniform in case someone bleeds on their uniform. It can
also be used for guest players.

Game Day
Boys & Girls
Contact opposing team’s managers to ensure the site directions on the SFU or US Club
Soccer website are correct and confirm uniform selections to avoid conflicts. Remember, the
home team must change in a conflict. Before the season starts, every team registered must
complete the online Team Registration form, located on the SFU website. SFU Club Reps,
Christine Thomas or Engrid Spence, will provide you with your login id and password. This is
vital for State Cup teams, as this will be considered the first league roster for State Cup
purposes, see FYSA website for further explanation.
Before the start of each game, the Team Manager will need to present the following items to
the Referee:



League Referee Fees in correct denominations (See Finances on SFU Website)
Signed, completed with game number SFU Triplicate Roster, make sure every game form
has the game number on it, as SFU will fine teams who do not number the game reports.
Laminated players and coaches passes
At the end of the game, you will receive:




Signed SFU or US Club Roster from opposing team and a copy of your own roster. Keep
every game report.
Your laminated player and coach’s passes.
Keep copies of all rosters especially the first game roster as this will be considered the first
league roster for State Cup purposes.
If you ever have a player or coach serving a red card suspension, make sure it is noted on
the game roster.

of scheduled game.

Tournaments and Travel
FYSA - Region Cup and State Cup www.fysa.com
U9 and U10 teams will participate in Region Festivals if the DOC’s so decide. U11 and U12
teams will participate in Region Cup. U13 and older teams will participate in either Region Cup
or State Cup. The DOC and Coach will decide which is appropriate for each team. Teams
participating in State Cup usually must complete the State Cup application in early December.
Teams participating in Region Cup must complete the application in January. We are waiting
to hear from FYSA what the process will be for this year. Do not contact the FYSA state office
or officials directly for any changes to passes, rosters, etc. Region Cup and State Cup rules
change from year to year. Check the FYSA website to make sure you are aware of the
timelines and follow all of the rules. High School age teams, please be aware of the play dates
and make sure your players schedule SAT and ACT exams accordingly. Games will not be
changed due to conflicts.
Tournament Participation
All tournament participation must be submitted to and approved by the WFC Technical
Directors, including 3v3 and 5v5 events. In some cases, WFC will apply to tournaments as a
Club, such as Weston Cup, Region Cup and State Cup.
Authorization to Travel is required from FYSA for teams traveling out of the state on a FYSA
roster. There are also specific rules and procedures which must be adhered to when playing
teams other than FYSA teams, including International Teams. To obtain the required
permission, specific paper work must be submitted to FYSA, approved and returned by FYSA.
Make sure you are aware of the requirements, timelines and fees and adhere to them.
Specifics are available on the FYSA website under Tournament and Travel.
Always make sure to check each tournament’s rules as they vary from event to event.
WFC Code of Ethics & WFC Code of Conduct for Travel
Each player/parent should have read, and signed electronically online, the WFC Code of
Ethics and WFC Code of Conduct for Travel upon registering and agreed to abide by these

rules. By signing, each player and parent agrees to act in a respectful manner at all activities;
practices, games, travel, etc, and serve as role models to others to maintain the integrity of
ourselves, our team, and all of WFC. WFC is a FYSA and US Club affiliated organization and
its players and parents will conduct themselves in accordance with and be governed by WFC,
FYSA, and US Club policies and rules at all times.
Make sure your parents/players are familiar with the rules, as WFC, FYSA and the leagues are
very strict about adherence. Foul or abusive language, entering the field of play, or touching a
referee will result in spectator ejection. Positive cheering and support is highly recommended
and appreciated. Weston FC reserves the right to sanction and discipline any person who
violates these principles.
Game Etiquette
Do NOT physically confront officials, curse at, or abuse them verbally, or interfere or impede
them either during or after the game. This is just not acceptable and may result in sanctions
against those who cannot keep themselves under control. As managers and coaches, please
advise your parents and spectators that they are setting an example for the players, no matter
their age.
The example MUST be positive.
Safety Rules
Players should NEVER be left alone at the fields. Coaches are responsible for players while
attending authorized practices and games. A responsible adult must stay with players until
they are picked up by an authorized person. If a family routinely fails to pick up a player on
time, please notify the club so we may deal with the situation.
Players should NEVER be allowed to leave practice and go to the bathroom or anywhere
alone. Always utilize the “buddy system”.
Goals
Parents or players should NEVER, ever move the goals, for any reason. Please do not allow
anyone to hang on the goals. Goals are to be anchored at all times. Coaches/Managers should
check to make sure they are anchored and notify either the technical staff or VP of Operations
if they are not properly anchored.
Inclement Weather
Please see the Club’s inclement weather procedure located at www.westonfc.org under About
WFC. WFC informs members of inclement weather and field closure through mass email,
facebook, website update and text. Field Information is not updated until after 4pm or as soon
as the city advises us of field closures. Please provide your parents with the information so
they can find out the field status themselves. Families who provide email addresses in the
online registration system will generally receive an email message when fields are closed.

Players/parents can also sign up for rainout through the website to receive a text notification of
field closures, this is highly recommended. Field Status is also updated on Weston Fc’s
Facebook page and coming soon, twitter.
The city has a couple of HARD and fast rules that we all have to comply with. When the
lightning alarms go off, the fields have to be vacated immediately. You should go to your
vehicles and wait for the all clear to sound. It will take at least 20 minutes, if there are no more
lightening strikes in the area. Whoever is on duty for the city has no control over this device
and has NO option but to enforce the city’s rule for clearing the fields. It is a city rule, there are
NO exceptions.
Privacy
Managers, or their designee, may coordinate team and individual pictures for website articles,
facebook, twitter and instagram. Anything you want placed on the website must be submitted
to Christine Thomas at [email protected] for approval. We try not to specifically
identity players’ names with their pictures. Do not put players’ names on their jerseys. Do not
share players’, families’, or club members’ personal information with anyone without their
permission. Financial matters are strictly confidential and are not to be shared with anyone,
including other team members.
Coaches are responsible for making sure safety rules are adhered to.
WFC Finances
Accounting Procedures for team funds
The WFC Team Administrator, Charmaine Mullings, establishes team accounts for each team.
All funds collected on behalf of teams must be deposited in the team accounts. Teams are not
permitted to keep funds outside of the team accounts. The Administrator will manage the
collection of checks from Team Managers and will process team check requests.
Check Requests




Please visit www.westonfc.org and go to About WFC then click on Club Forms to
download Check Request Forms. All check requests MUST be in writing, submitted on
the Check Request Form, clearly indentifying the team.
Fill in the requested information completely, including a description of the expenses,
and submit the receipts for the expenses along with the Check Request Form.
Receipts are to be submitted for all expense reimbursement requests. In unusual
instances where receipts are not available, include a detailed explanation of what the
expense is for.
Coaches should submit an Expense Report for travel reimbursement when traveling
outside Region A on behalf of the team. These expenses are paid on a reimbursement
basis and are not paid in advance. Coaches are entitled to a $35 per diem, if they are

out of town for the entire day or part of the day and their meals are not otherwise
provided for.
Coaches who have children on the team are entitled to be reimbursed for their
expenses if they choose to request them, but their child is required to pay their share of
the coaches expenses, the same as any other player on the team.
All check requests must be signed by the Coach and Team Manager. It is not always
possible to have checks available upon your immediate request. Please allow sufficient
lead time when requesting checks for tournament entries or other time sensitive
requests. All checks received must clear bank before any checks are issued out.
Deposits & Donations




A properly completed Check Deposit Form is required for all deposits. Please visit
www.westonfc.org and go to About WFC and then into Club forms for the form.
Please make sure that you put your team name and the player name, if applicable, on
each check to be deposited (i.e. U13GPBlack, U14BPGreen) in the memo section of the
check.
It is strongly recommended that you place all deposits in a sealed envelope. Cash
deposits are strongly discouraged. If possible, please replace cash with a personal
check.
Never mail cash.
If a check is returned to the club for any reason, the player will be charged a $25.00
return check fee. The amount of the check and the fee will be subtracted from the team
account. Team managers should make every effort possible to collect this amount, from
the team member involved, to redeposit into the team account. If it is not paid, efforts to
collect should be documented, so we can take further action if warranted.
Fees
League Referee Fees
The league and referee fees for Premier teams are paid by WFC for one league per season
only.
The WFC Treasurer will provide each team manager with a check for these referee fees at the
beginning of their league season. Cash the check and obtain money in the required
dominations for each game, so the referee can easily distribute the money. Place the
appropriate amount for each game in a separate envelope marked for each game.
2015-2016 Player Registration Fees
Registration fees for Premier teams are in a tiered structure again for the 2015-16 seasonal
year:

U13-18 Region Cup teams - $1,250
Pre-Academy & Academy teams - $ 2,050
All Competitive Teams - $ 600
The uniform cost for all players is $150 plus tax is paid separately to Soccer.com by the player
and includes two jerseys, two shorts, two pairs of socks, two practice shirts.
These fees are all inclusive and provide:
 Team Coaching Fees including Goalkeeping Training, Technical Sessions and where
appropriate Fitness Training for Premier teams
 Field Usage Fees
 Florida Youth Soccer Association Fees
 League Fees for one season
 Season Referee Fees, including Region or State Cup for Premier teams
 Region or State Cup Fees
 Excess Insurance
Please note that there are no separate training fees to be paid by the players.
Important Note: Coaches are not permitted to train their own players for any additional
compensation. Coaches are only permitted to train Weston FC players and not players from
other clubs.
Based on the quality of our facilities and coaching, this is an outstanding value, one which can
only be made possible through our continued commitment to fundraising.
Financial Aid
Families of Premier players requesting financial aid must submit a financial aid application to
the Weston FC Treasurer or Administrator including the required documentation.
Please refer to the Weston FC Financial Aid Policy on the website. If approved, WFC
scholarships may be awarded up to 50% or less of the player registration fee less the
fundraising deposit. If financial aid is granted, a commitment exists for volunteer hours to be
performed in correlation to the amount of the assistance. If the player leaves the club prior to
completion of the seasonal year, repayment of the scholarship amount will be required prior to
the player being released.
Fundraising/Volunteer Program
Even though per player costs continue to exceed the registration fees charged, we are able to
offer this significant value due to the outstanding fundraising efforts of the club and the
volunteer assistance the membership provides. Continued fundraising and sponsorships

efforts are a necessity in order to be able to provide the high level of programming offered.
Participation from the membership plays a significant role in controlling per player costs.
Although the fundraising and volunteer obligations are rather modest, they are an absolute
necessity to be able to continue the high quality programs in Weston FC., to continue to recruit
quality coaches, to improve our programming, and for the club to operate effectively.
We thank you for your support and look forward to our continued improvement as a club.
Team Fundraising
Guidelines
Team are encouraged to engage in fundraising activities to raise funds for such things as first
aid supplies, tents, coolers, warm ups, bags, travel gear, training equipment, tournament fees
and expenses. Funds raised are to be deposited into your team account to be spent at the
discretion of the team. ALL FUNDRAISING ACTIVITIES MUST BE PRE-APPROVED BY
WESTON FC prior to engaging in them. Please contact Dave Sanderson, for this approval.
Teams may solicit business or corporate sponsors for the team account only if they have a
personal relationship with the sponsor, i.e. player’s parent or relative is employed by the
sponsor, and WFC would not receive a benefit from this sponsor, except for this relationship.
WFC solicits local businesses and corporate sponsors for the benefit of the overall Weston FC
program and all of its players. Sponsors are offered advertising opportunities that are not
available for team sponsors such as signage at Regional or Vista Park and links on the
website. Please provide any potential club sponsor information to Dave Sanderson.
Ideas
From time to time, the club may offer team fundraising opportunities incorporated into club
fundraising activities such as a golf tournament, raffles, or merchandise sales. Please advise
the VP of Fundraising of any fundraising endeavors by e–mailing a completed fundraising
request form (available at www.westonfc.org) to the VP of Fund Raising at
[email protected].
Tax ID Number
WFC is a Non-Profit 501 (C) (3) tax exempt organization. If the tax ID number is needed,
please coordinate with the club treasurer, Tony de Castro, to obtain this information. It is the
responsibility of the team to provide their team sponsors with thank you letters, certificates,
plaques etc in recognition of their contributions.
Please make sure that you provide the name and address of any individual or company who
donates more than $250.00 to your team. A thank you letter needs to be sent to the individual
or business to acknowledge the donation and provide the donor with Weston FC’s tax
identification number for their tax purposes.

Volunteers
Club
Volunteers are imperative to the success of Weston FC. You are the most important volunteer!
From time to time you will be asked to recruit and organize other volunteers to assist with
various club events. Without volunteers, the club would not be able to run effectively or operate
the very successful Weston Cup Tournament, or many other activities
.
In addition to volunteering to help your team, the club needs volunteers to assist with duties
that benefit the club as a whole. Some examples of these club wide volunteer needs are
assistant registrars, assistant uniform coordinators, assistant webmaster, etc. Requests for
volunteers will be communicated to you via e-mail and will detail the volunteer requirements.
Field Marshals - If games are being hosted at our fields and your age group is participating in
these games (League Playoffs, State or Region Cup Tournaments) your team will be required
to provide the necessary volunteers to run the site even if your team is not playing. Most of
these volunteer needs will be for field marshals.
Leagues, such as SFU and FSPL also have specific field marshal requirements that must be
complied with.
Tournament Volunteers – Running a successful tournament requires participation from every
family in the club. Every team is required to volunteer time during the tournament. Volunteers
are needed for Field Marshals, T-shirt sales, Team Registration, Check in, field maintenance,
etc.

Facebook, Twitter, Instagram and two (2) email blasts to membership.
We recommend that you make these events fun for the players. Feel free to be
creative under the above guidelines. It is always best if we can provide a service
for money such as a car wash or homemade jewelry. Please remember that you
are representing Weston FC when you are hosting these events and as such, we
expect that you hold yourselves to the highest of standards of conduct and
behavior.

medical clearance to return stating that the youth athlete no longer exhibits signs, symptoms, or
behaviors consistent with a concussion or other head injury must be received from an appropriate
health care professional trained in the diagnosis, evaluation, and management of concussions. In
Florida, an appropriate health-care professional (AHCP) isdefined as eithera licensed physician (MD, as
per Chapter 458, Florida Statutes),a licensed osteopathic physician (DO, as per Chapter 459, Florida
Statutes), a licensed physicians assistant underthe supervision of a MD/DO (asper Chapters 458.347
