HOLD PRESERVE•COMPLY Learning Center Module 13 The Review Process is the second core process in HOLD•PRESERVE•COMPLY. The Courts are empha.c that par.es regularly review their ESI preserva.on efforts—in our solu.on this is accomplished with Review Tasks. Review Tasks are unlike other Tasks in HOLD•PRESERVE•COMPLY. We make it really different when we setup the designGRID. When we add the Review Category we click the small box shown below. This is a one-­‐.me event handled by eDiscovery Counsel. AQer this box has been checked, we build the Review Tasks for the designGRID the same way we build other Categories and associated Tasks. In our example, we have seven Review Tasks. You see these as shown on the designGRID and also on the Category Pages. How Review Tasks are different is explained in the following pages. Review Tasks: designGRID Review Tasks: Category Pages HOLD PRESERVE•COMPLY Learning Center Module 13 Adding and assigning Review Tasks. What’s very different about Review Tasks is that you will add these Tasks to your Hold Program and then assign them outside of the usual process. Start on the Hold Management and Review Hub Page. You get there by clicking on the ‘Review and Manage’ buTon on the NavBar. Then use the ‘Schedule Review’ buTon on the right-­‐side menu. The Schedule Review buTon takes you the page shown to the right. You will want to use this page to Schedule all of your Reviews. This page is a combo page—you add the Review Task ands assign it all from this page. HOLD PRESERVE•COMPLY Learning Center Module 13 Note that the dropdown menu mirrors the Review Tasks from the designGRID. Indeed, the dropdown menu comes from the Review Category as it appears on the Client’s designGRID. While we strongly encourage Users to schedule Review Tasks using this func.on, it is possible to add Review Tasks directly from the designGRID. This, however, falls into the realm of ‘just because you can does not mean you should.” You add and assign a Review Task by selec.ng your Review op.on from the dropdown menu. Then, as with other Tasks, you may add a TaskName (op.onal) and TaskNote (op.onal). You next assign the Task; the op.ons are the familiar dropdown menus for individuals and teams. Add the Review Date and any special instruc.ons. Then hit the ‘Complete Review Task Assignment’ buTon. The result is that your Review Tasks are in the database and now appear in the All Task Report. Note that each Review Tasks is assigned a unique StageName—Review 1, Review 2, etc. HOLD PRESERVE•COMPLY Learning Center Module 13 Single MaMer Review and Review Queues Reviews are either single-­‐maTer reviews or mul.ple-­‐maTer reviews. A single-­‐maTer review focuses on just one MaTer. Hit the ‘Single MaTer Review’ buTon as shown below and you get the page to the right. This shows you the currently scheduled reviews. (If there have been prior, completed reviews, these also will be shown, but as ‘Completed.’ Click on the Review to be conducted (here the Case to Li.ga.on Review Task), and you summon the Task details. The assigned individual or Review Team tracks the Instruc.ons, and notes the progress. HOLD PRESERVE•COMPLY Learning Center Module 13 If the op.on is Review Queue instead of a Single-­‐maTer Review, the system produces a list of MaTers to be reviewed. The User can filter this so that only Reviews due in a certain .me period (i.e., all March 2001 reviews) appear in the queue. Or, there the queue may be limited to certain types of Review. The reviews can then be conducted one at a .me, with the Review Team working pa.ently through the queue. To conduct the Review, start by clicking on the record for a specific MaTer. This launches the standard Review Form that will include the Instruc.ons for the specific review at hand. One convenient feature when conduc.ng mul.ple reviews with the review Queue func.on is the ‘Return to Review Queue’ func.on on the Review Form. This will bring you back to the Queue and to the next MaTer in line. The Review Queue func.on is designed around the way eDiscovery Counsel and Legal Departments actually work. Assume there are several hundred MaTers in the system, and that 40 are due for review in March 2011. The Review Teams can schedule sessions, and for each session the Team Leader can arrange the queue of the MaTers to be reviewed. HOLD PRESERVE•COMPLY Learning Center The 4-­‐Tab Summary Report: StarRng Point for Most MaMer Reviews. The key informa.on on a specific MaTer will be summarized in what we refer to as the 4-­‐Tab Summary—no surprise, there are four parts to the report. AQer you have selected the MaTer, click on the ‘4-­‐Tab Summary’ buTon from the blue-­‐
panel menu. The main panel of the report appears below. This report pulls together the current status on Tasks, the Hold Notes, Hold Informa.on and Hold History. To navigate around the 4-­‐Tab Summary report use the tabs at the top. The combina.on of the 4-­‐Tab Summary Report and the All Tasks Report for a specified MaTer will provide a complete picture of the current state of the MaTer. The Review Process therefore draws from these reports. Module 13
