Happiness is drawing, dancing, finger painting. Happiness is modeling with clay, making music or a poem, performing a play.” ‐Mary Lou Anderson, founder of National PTA’s Reflections Program Reflections Program Structure State PTA Local PTA Council PTA National PTA MD PTA Deadlines for Reflections Program: PTA/PTSA MUST BE IN GOOD STANDING TO PARTICIPATE IN THE REFLECTIONS PROGRAM Local Unit Artwork submissions in counties with an active council: Each PTA Council will set their own deadline. (must be on or before Jan. 4, 2016) My Council Deadline is __________ Local Unit Artwork submissions in counties without an active PTA councils: Entries must be received at the Maryland PTA office by close of business January 4, 2016. Council Artwork submissions to Maryland PTA: Entries must be received at the MD PTA Office by close of business January 29, 2016. Local Unit Theme Search Contest: Entries must be received at the Maryland PTA office by Fri., Nov. 6, 2015. (Paper form only, not available online.) Reflection Art Categories Dance Choreography Film Production Get started with one or more arts categories. Literature Music Composition Photography Visual Arts Encourage students to explore all the arts categories. INSERT SLIDE ON 3D Artwork 3D Forms: Architectural model, carpentry, ceramics, design, dioramas, fiber work, jewelry, kites, metal etching/punch work, mobiles, sculpture and wind chimes. • Artwork must be able to move for display purposes. • Must include packaging materials and 3 photos of the entry (a combination of angles) for judging, ID and exhibition purposes (entries that require assembling/repairing from transporting will be disqualified). Submission Process: • Submit 3 photos of artwork with student entry form. • Bring artwork to school for exhibition and return home following local exhibit. • Council, State and National PTAs may exhibit photos of artwork. Reflection Art Divisions Primary Grades Pre‐K‐2 Intermediate Grades 3‐5 Middle School Grades 6‐8 High School Grades 9‐12 Special Artist All Grades Get started with one or more divisions. Encourage all grades and abilities to explore the arts. State Award Levels Outstanding Interpretation Award of Excellence Award of Merit Certificate, Trophy, 3 Complimentary tickets to the Awards Celebration in July and $75; Certificate, Ribbon and $50; and Certificate and $25 National Award Levels Outstanding Interpretation Award of Excellence Award of Merit Certificate, Trophy, Medal; $800, $200 for Local PTA; Trip to National Convention ‐ Orlando, FL in June 2016 $200 Prize, Certificate, Medal Certificate, Medal General Rules for Entry ELIGIBILITY. Students must be affiliated with a PTA/PTSA in good standing, as determined by State PTA. ARTS CATEGORIES. Students may submit entries in more than one arts category (Dance Choreography, Film Production, Literature, Music Composition, Photography, Visual Arts). GRADE DIVISIONS. Student may enter in only one division (Primary, Intermediate, Middle School, High School, Special Artist). HOW TO ENTER. Entrants must submit their artwork and student entry form to their local PTA/PTSA program according to local and state PTA procedures. 5.1 Appendix C: Rules Rules Continued ENTRY REQUIREMENTS. Only new pieces of artwork inspired by the theme may be submitted. Each entry must be the original work of one student only. Entry must contain a completed student entry form with artwork title and artist statement. Use of copyrighted material is prohibited, except for recorded music in dance choreography and film production entries when the title, composer and performer are cited in the submission. PowerPoint presentations are prohibited. FINALIST SELECTION AND NOTIFICATION. Each PTA determines its own judges for the program. Entries will be judged primarily on how well the student uses his or her artistic vision to portray the theme, originality and creativity. Under no condition may parents or students contact the judges to dispute the status of any entry. Awards will be announced according to local and state procedures. The PTA in its sole discretion will select finalists for exhibition and provide awards/prizes. 5.1 Appendix C: Rules Rules Continued OWNERSHIP AND LICENSE. Ownership in any submission shall remain the property of the entrant, but entry into this program constitutes entrant’s irrevocable permission and consent that PTA may display, copy, reproduce, enhance, print, sublicense, publish, distribute and create derivative works for PTA purposes. PTA is not responsible for lost or damaged entries. Submission of entry into the PTA Reflections program constitutes acceptance of all rules and conditions. PARTICIPATING ENTITIES. This program is administered by the National Parent Teacher Association (PTA) and PTA affiliates. Please use Maryland PTAs Reflections Guide to plan and implement the program which includes the National PTA contest rules. All PTAs must register online at PTA.org/Reflections. This can be done at the completion of your Local PTAs Reflections Program. This form asks for: • Contact information for the Local PTA Reflections Chair and your local PTA unit, such as the PTA ID number, PTA address. A look up link will be available on the form to help you find this information; • Information about your school including address, principal’s name and total student enrollment. A link to Greatschools.net will be available on the form to help you find this information; and • The number of students participating for each division in each arts category. The chair will receive a confirmation e‐mail with completed registration form and should be printed to use at a later time. Follow the directions regarding sending artwork with the printed registration and student entry forms to the next round of the contest. Please check with your council for deadline information. Ensure that all entries reach the council level for judging by the due date. Please check with your Council for details. Make Copies of Everything It is imperative that the Reflections Chair make & keep copies of the original Student Entry Forms and of the art work that is submitted to the next level of judging in the event of questions. Originality All entries should be artwork inspired by the current year’s theme and created expressly for the program. Artwork created and used for another competition or program may not be submitted. Use of Copyrighted Materials and Plagiarism Please read these sections thoroughly. Required Artist Statement/Required Title for Art Work The statement must include at least one sentence, but may not exceed 100 words. The artwork is required to have a title (“Untitled” is not considered a title). The student and or the Reflections chair must fill out the sections of the Entry Form that pertain to the arts category in which the student is submitting an entry. Guidelines for Display of Art Work Maryland PTA will follow National PTA’s suggestion that when displaying artwork, only the following information about each piece will be displayed: Student’s Full Name Title of Artwork Award Title Arts Category, Division Local PTA Unit Name City, State Rules Sheets for all Six Categories and Special Artist Division Please take the time to read all of the National PTAs Reflections Program General Participation Rules and the Rules outlined in each Arts Division. All entry forms must be submitted to MD PTA no later than Fri., Nov. 6th.) Student Entry Form All local Unit PTAs must register online and submit student entries using the National PTA Reflections Online Registration at: www.pta.org/reflections. Register Your PTA Register Your PTA Online INSTRUCTIONS: • Upon activating your account / logging in, your home page will provide you instructions. • Step 1. Register Your PTA by clicking the green “register your PTA” button. NOTES: You may also start your registration by creating a new submission, selecting “PTA” and clicking “get started.” INSTRUCTIONS: To complete your PTA registration form: • Search & Select the National PTA 8‐digit ID number of your PTA. If you do not know your National PTA 8‐digit ID number, contact your PTA President or state PTA. • Enter Official PTA/PTSA Name, Address, City, State & ZIP Code. • Enter Reflections Chair Full Name, Title, Phone & Email. • Enter School Information (Optional) • Click “Submit” at the bottom of the page or click “Save” and finish later. • You will receive an email confirmation and the application name will change to its PTA Name, upon submitting this form. NOTES: • Double check responses for correct and complete spelling. All future correspondence will rely on this information. • Required information is marked with (*). Step 2. Submit Student Entry INSTRUCTIONS: • Your Student Submission Page will provide you instructions to complete the task below. • Click “Student Entry Form” to begin your student entry form. NOTES: • Create another new student submission by clicking “create new student entry.” • Submit Student Entry (step 2 of 3) Have the student’s original paper student entry forms available so you can easily transfer information online. Submit Student Entry Online INSTRUCTIONS: To complete your student entry form, please submit the following: • Search & Select the National PTA ID number of the PTA you are submitting the student form to. • Select your State. • Enter Local PTA Name. • Select Division & Arts Category. • Enter Title of Artwork; Artist Statement & additional artwork information. • Click “Next” at the bottom of the page. NOTES: • Double check responses for correct and complete spelling. • All future correspondence and recognition will rely on this information (including your use of upper and lower case letters). • Required information is marked with (*). INSTRUCTIONS: Student Entry Form (Page3 of 3): • Read acceptance of program conditions and rules; • Enter Your Full Name • Click “Submit” at the bottom of the page or click “Save” and finish later. NOTES: • Click “view” to download/print a copy. • You will receive an email confirmation for completing your form. Also, your “Student Entry Form” task status on the Student Submission Page will be “Complete.” • All submitted student entry forms are locked for editing to ensure consistency and fairness of the entry’s review. If you discover a mistake on the student’s form, contact your State PTA Reflections Chair to make corrections and notify the next judging round. Step 3. Report Participation Report Participation Online INSTRUCTIONS: To complete your participation form, please submit the following: • Select Local PTA Unit/Council PTA/District PTA/Region PTA/State PTA. • Search & Select the National PTA ID number of the PTA you are reporting on. Local PTA Units will submit the following: • Select all divisions your PTA Reflections Program offers. • By division, enter student participation totals for each arts category. Your grand total will populate for you. • Select how you celebrate Reflections. • Click “Submit” at the bottom of the page or click “Save” and finish later. NOTES: • Required information is marked with (*). INSTRUCTIONS: Participation form continued: Council PTAs will submit the following: • For their area, total number of PTAs and total number of PTAs participating in Reflections. • Enter the total number of students participating in your Council, District, Region or State. • By division, enter the total number of entries your PTA receive and advanced in each arts category. Grand total will automatically populate. • Click “Submit” at the bottom of the page or click “Save” and finish later. NOTES: • Required information is marked with (*). Next Steps 1. Recruiting Volunteer Judges Increase the credibility & expand the visibility of your program! Sources may include professional artists and administrators from artistic companies and local arts organizations and colleges and universities, galleries, museums and design firms, etc. Examples: • Newspaper Editors/Arts Reviewers & Local TV News Producers • College/university Professors, Graduate Fellows, Undergraduate Students National PTA Reflections submissions are reviewed by experts in the visual, literary and performing arts. Judges look for personal interpretations on the program theme that best exemplify creativity and technical skill. Sample Judging Rubric Interpretation of Theme How closely the artwork communicates the theme, based on the artwork itself and the artist statement 20 pts Artistic Merit/ Creativity How creative and original the artwork is in its conception of the theme and its presentation 10 pts Mastery of Medium The level of skill demonstrated in the basic principles/techniques of the artistic discipline 10 pts Report Participation • Complete the PTA Participation Form provided by your State PTA Reflections Chair • Submit the form with your winning artwork to the next round. All other artwork will be given to the Councils for return to the participants within the year following the submission to Maryland PTA. MD State Reflections Awards Announcement and Entry Return Policy Maryland PTA will announce its winners by April 1. Please do not plan for entries to be returned prior to this date. If you want entries to be included in your Local Awards Celebration then please plan accordingly being sure to make your celebration date after April 1, 2015. Maryland PTA will make every effort to return all entries with the exception of Outstanding Interpretation Winners and Literature.
