Dear Vendor / Exhibitor:
Sigma Gamma Rho Sorority, Inc., a historically African-American sorority with a focus on community service,
will host its 55th International Boule in National Harbor, Maryland on July 18-22, 2014. A maximum
attendance of approximately 1,500 is expected over the course of the conference.
We are excited about the possibility of your participation! We invite you to join us at the Gaylord National
Resort & Convention Center as a vendor or exhibitor. It is our aim to provide special activities to increase
vendor/exhibitor traffic from all registered attendees. By participating you will receive:
 Access to a target market of African-American women, ages 18 and up
 Ample exhibition hours to provide an opportunity to showcase your product or service
 One complimentary 1/4 page advertisement listing in our convention souvenir journal
(Confirmation required by May 25, 2014)
 A convention schedule
 Booth space, 2 chairs and booth identification signage
If you would like to participate in the 2014 International Boule, please complete and return the enclosed
application with the appropriate fee in the form of a certified check, credit card or money order. Personal
checks are not accepted. A complete list of your products/materials must be submitted with your application.
No booth(s) will be assigned until full payment is received. Refunds are subject to a $250.00 service fee. No
refunds will be given after June 15, 2014.
Any vendor/exhibitor who plans to sell merchandise displaying the Greek letters, crest, symbols, trademarks,
service marks, trade names, or name of Sigma Gamma Rho Sorority, Inc. in whole or part must be a certified
licensed vendor of the sorority prior to submitting an application. Vendor certification guidelines are
located at www.SGRho1922.org or you can contact the vendor coordinator at 919.678.9720. A Sigma Gamma
Rho Vendor License must be displayed by Vendor at all times at the site where merchandise displaying
the Greek letters, crest, symbols, trademarks, trade names, or name of Sigma Gamma Rho Sorority, in
whole or part, is being sold, or business is being conducted.
We reserve the right to approve vendors/exhibitors based on the merchandise sold and material displayed.
Merchandise displaying inappropriate or demeaning language about any organization will not be permitted.
A Special Incentive for Attendees to Visit & Patronize Your Booth!
Our goal is to have the membership visit the vendor area as often as possible. Therefore we will be conducting
drawings during and at the conclusion of the Boule, with attendee chances to win tied to their exhibit hall
participation. We are asking each vendor to donate at least one “grand item” that will be used as a prize for
these drawings.

Each time an attendee purchases from your booth, they will be instructed to deposit their business card or name
in a fish bowl at your exhibit booth. Each purchase will increase the chances of their name being drawn.
If you are an exhibitor that is not selling merchandise, you will be asked to stamp the individual’s business
card or paper if they visit your booth to listen to your presentation or pick up materials. The attendee will then
deposit the stamped business card or slip of paper in a fish bowl at your booth.
Sigma Gamma Rho Sorority Inc., will supply you with the fish bowl, paper, and a stamp to validate attendees’
purchases and/or visits.
You will be contacted directly by a member of the Boule Vendor/Exhibitor Committee following receipt of
your application and payment, to secure the name and description of the item(s) you wish to donate for the
drawings. While we hope you are willing to assist in this endeavor, your willingness to donate items or not to
donate items will have no bearing on your approval or denial to participate as a vendor at our upcoming 55th
International Boule.

This agreement is entered into by Sigma Gamma Rho Sorority, Inc. and _____________________________,
as listed above (hereafter referred to as “Company”). Sigma Gamma Rho Sorority, Inc. grants the company
permission to set up booths for the selling, display and/or dissemination of merchandise and information,
during the 55th International Boule July 18-22, 2014 at the Gaylord National Resort & Convention Center.
In addition to the conditions set forth, the parties agree as follows:

That the company shall pay to the Sorority upon execution of the agreement a sum of the appropriate cost
for booth space. This secures space that includes two tables and surrounding booth space.
The company shall submit a detailed portfolio inclusive of photographs of all merchandise to be sold to
the International Headquarters NO LATER THAN May 15, 2014. The company acknowledges that the
Sorority reserves the right to approve vendors/exhibitors based on the merchandise sold. Exhibitors must
provide information about exhibit and literature prior to being approved.
A Sigma Gamma Rho Sorority, Inc. Vendor License MUST be displayed by an Vendor/ Exhibitor
who sells merchandise displaying the Greek letters, crest, symbols, trademarks, service marks, trade
dress or name of Sigma Gamma Rho Sorority, Inc. or its affiliates, at all times during the 2014
Boule. For more information or to secure a license, the application and guidelines are located at
www.SGRho1922.org or you can contact the vendor coordinator at 919.678.9720.
It is expressly understood and agreed by the company that Sigma Gamma Rho Sorority, Inc., its officers,
members, sponsors, employees or agents shall not be liable for loss or damage to goods or properties.
Your signature on this application is acceptance of the liability statement included in #10 below.
The company acknowledges Sigma Gamma Rho Sorority, Inc.’s title and its trademark and recognizes
that the trademark represents the Sorority’s goodwill.
Sigma Gamma Rho Sorority, Inc. reserves the right to inspect the company merchandise and display
material daily; if the sorority does not approve of the material, Sigma Gamma Rho has the right to have it
removed.

It is understood that this agreement may not be transferred or assigned without the written consent of
Sigma Gamma Rho Sorority, Inc. SUBLETTING IS NOT PERMITTED.
All refunds are subject to a $250.00 service fee. No refunds will be given after June 15, 2014.
Only tables provided by the sorority will be allowed in the vending area.
Vendor shall be fully responsible to pay for any and all damages to property owned by Gaylord National
Resort & Convention Center, its owners or managers which results from any act or omission of vendor.
Vendor agrees to defend indemnify and hold harmless, Gaylord National Resort & Convention Center, its
owner, managers, officers or directors, agents, employees, subsidiaries and affiliates from any damage or
charges resulting from Vendor’s use of the property. Vendor’s liability shall include all losses, costs,
damages, or expenses arising from or out of, or by reason of any accident or bodily injury or other
occurrences to any person or persons, including the Vendor, its agents, employees, and business invitees
which arise from or out of the vendor’s occupancy and use of the exhibition premise, the hotel or any part
thereof.
In addition to the above terms and conditions, Sigma Gamma Rho Sorority, Inc. has established the following
guidelines in order to provide vendors and exhibitors with standards and regulations regarding items within
our vendor/exhibitor hall:

Quality of Merchandise. All paraphernalia and merchandise bearing sorority’s marks shall be of good
quality and shall be presented in good taste and in the highest professional standards.
Non-Disparagement of Other Fraternal Organizations. The Sorority will not allow the sale or display of
merchandise that disparages other fraternal or social organizations in any way, including the use of
negative images, terms, phrases, or sayings on the merchandise.
Specifications for Using the Mark.
a. Use of Sigma Gamma Rho’s Name. No vendor shall use the name Sigma Gamma Rho Sorority,
Inc. or any derivative or shorten version of it or any other Sigma Gamma Rho Mark with
sayings, phrases, or artistic renditions unless the vendor has obtained advance written approval
from the In t e rn at i on a l G r an d B as i l eus o r t he Executive Director of Sigma Gamma Rho.
b. Use of Founders’ Picture or Founding Institution. No vendor shall use any pictures of the Founders
of Sigma Gamma Rho or the name/pictures of “Butler University” on any merchandise or
paraphernalia unless the vendor has obtained advance written approval from the International Grand
Basileus or the Executive Director of Sigma Gamma Rho.
c. Use of the Laurel Wreath. No vendor shall use the laurel wreath in their designs. The only designs
including the laurel wreath are reserved for the International Grand Basileus. The laurel wreath
represents the highest esteem of the membership.
d. Use of Greek Letters. The Greek letters of Sigma Gamma Rho (ΣΓΡ) should always be of equal
proportion. They should not be distorted.
No Electronic Media. No electronic media including but not limited to compact discs, tapes and software
may be created or sold without the written approval of the International Grand Basileus or Executive
Director of Sigma Gamma Rho.
No Degrading Use. No Sigma Gamma Rho Marks, including any form of Sigma Gamma Rho’s name,
its Greek letters, or any of its other symbols shall be used on alcohol or tobacco containers, material
of a sexual or graphic nature and/or material related to pledging and/or hazing.

Vendor Guidelines of Conduct. As a vendor of Sigma Gamma Rho Sorority, Inc. you are expected to:
a.
maintain the highest standards of professional and personal conduct;
b. supply the best quality materials and items for sale to Sorority members;
c.
refrain from any type of inappropriate or unwelcome solicitation during Sorority-sponsored events;
d. comply with rules and regulations established by the Sorority;
e.
comply with the terms of the Vendor Licensing Agreement, if applicable;
f.
verify that any manufacturer/vendor offering Sigma Gamma Rho merchandise for sale or resale
is a certified vendor and contact the Executive Director, if at any time you have questions or need
clarification on any matter related to being a vendor of merchandise bearing Sigma Gamma Rho’s
Marks.
Sigma Gamma Rho Sorority, Inc. reserves the right to cancel this agreement upon failure of the company to
comply with any conditions or provisions of this document, but said cancellation shall not relieve the company
of the obligation to pay the Vendor/Exhibitor Fee as provided for herein.

Nothing shall be posted, nailed, screwed, or otherwise attached to columns, walls, floors, or other parts
of the building or furniture.
Any exhibitor/vendor needing electrical outlets must note that on the application.

Space will be available only during the vending hours listed.
An application for advertisement in the souvenir journal is enclosed. There is an additional cost if
the company requests an ad larger than ¼ page.
Sorority/affiliate materials produced must adhere to guidelines and be in good taste and of good quality.
Companies selling merchandise from other Greek-letter organizations MUST hold a certificate/license
of approval from the particular organization and it must be on display.
Badges
All persons working in the vendor booth must wear a badge. Only one company name will be typed on booth
badge. Badges will be supplied by Sigma Gamma Rho Sorority, Inc.
Conference Logo/Trademark & Theme
The conference theme and logo are owned by Sigma Gamma Rho Sorority Inc. No items can be reproduced
with this logo without contract approval from the sorority.

1. RHOERS – high school girls 13-18, approximately 200 attendees;
2. PHILOS – women who assist in community work and fund raising projects, approximately 200 attendees;
