Dear Colleagues,
Dear RDA-Workshop Exhibitors,
the RDA-Workshop 2011 approaches the start line under the following
motto: ‘Creating trends, generating groups’.
It is more necessary than ever before that our branch sets trends.
Society is changing, and with it, people’s travel desires and
requirements.

The older generation – one of our core customer groups – has different
holiday travel wishes and demands compared to a number of years ago.
We have to consider and embody these when creating and pricing new
holiday offers.
Re-structuring is occurring in many coach companies due to economic
reasons. This process occasions a re-orientation towards new trends and
travel destinations. A fresh breeze is blowing in our highly competitive
world. A generation change is also talking place in the management
structures of many companies. This process almost always reconciles the
tried and trusted with the new and innovative.
That innovative stimuli are generally welcomed, is documented yearly in
the RDA-Workshop Visitor Survey. Boundaries are increasingly overcome
– especially when it comes to the internationalisation of our branch.
Please use the RDA-Workshop 2011 to broaden your horizons in tandem
with the coach and group tourism branches and to set new trends for the
coach and group travel business. Stagnation is always a step backwards –
we can do much better!

No deposit has to be paid when booking a standard stand. The bill for
the stand fees is to be fully paid upon receipt of an invoice.
When you book an ‘open-stand area’ a deposit of 30 % of the stand fees
is due. The registration deadline is 8th April 2011.
In any case, please make sure you secure an early booker’s rebate by
booking your stand up until 18th March 2011 and saving up to 15% of

Exhibition stands
Equipment, dimensions and layout
of standard stands.
The ground area of every standard stand is 10 m²
minus the pillar area.
The pillar area (40 cm x 40 cm) is usually concealed
by the storeroom and cannot be seen from outside.
Requests for pillar-free standard stands can unfortunately not be entertained because of the nature of the
hall architecture and pillar density.
Standard stands are generally placed in blocks of four
so that each standard stand is a corner stand with two
aisle fronts.
The RDA-Workshop GmbH offers suggestions for
attractive group stands in which main exhibitors and
co-exhibitors and regions can optimally present themselves. Please contact the exhibition organisers should
you have any suggestions or wishes regarding the
layout and design of a common standard stand.
New-look standard stands may be rented in 2011,
including an electricity connection sufficient for six
halogen spotlights.

Exhibition stands
How many exhibitors per
standard stand are permitted?
When reserving a standard stand (approximately 10 m2
surface area) please make a distinction between simple
occupation (a maximum of one exhibitor per 10 m2)
and a reservation with 1 or 2 exhibitors (a maximum
of 2 exhibitors per 10 m2).
You will find the relevant prices on the adjoining
reservation form.

Each standard stand has a single-coloured service board
on which you can, for example, give a brief explanation
of the products and services you have to offer.
This single-coloured service board is free of costs and
included in the price of the stand. The service board has
blue lettering and will be mounted on your stand before
the exhibition begins. You only need to send us the text;
the organiser will add the hall and stand number.
It is not possible to display photographs and logos on
this board.
We also offer service boards with a picture or logo in
four colours as an additional accessory for your standard
stand. This costs 79,- E + VAT.

Exhibition stands
The layout plan of open stand areas
in the exhibition halls
Should you reserve an open stand area, the stand fee includes only the
surface area; no partition walls, furniture or carpeting. The exhibitor or
stand builder is completely responsible for the erection of their stand.
Each co-exhibitor must be an RDA member on its own account.
In addition to the stand fee, a participation fee of 215.00 E is payable by
each co-exhibitor. The main exhibitor will receive the invoice.

hall and stand number if the main exhibitor has registered all the co-exhibitors with their company names and complete addresses (see the reservation form on page 15).
RDA-Workshop Touristik-Service GmbH reserves the right to invoice

Exhibition stands
The dimensions of the open stand areas
There are a number of fixed stand alternatives for open stand areas to
choose from that enable the clear overall planning of the exhibition hall.
It is generally not possible to deviate from these stand dimensions.
The minimum size of open stand areas is 40 m2. Due to the fact that the
height of ceilings is not uniform, the maximum permitted height depends
on where your stand is located.
Prices per square metre for the different types of stand may be found in
the reservation form for “open stand areas” on page 23. Please refer to
the organiser as early as possible should you have questions on the dimensions of your stand.
Please note that the complete erection of stands in the open areas must
be carried out by the exhibitor or by a stand builder appointed to do the
job. The organiser also does not provide walls for the exhibition area.
Please ensure too that your stand is erected exactly in accordance with
your reservation.
Please also note the technical rules for the erection of stands on page 58.

The exhibitor is responsible for the complete erection of the stand (open
stand areas). Important: Please note that your stand will be built analogue to
your order. Deviating dimensions are not possible. (In-line-stand: 1 corridor
side; Head stand: 3 corridor sides; Block stand: 4 corridor sides)
IMPORTANT: As a fundamental rule, only 1 exhibitor is permitted per exhibition stand.
However, you have the possibility of presenting your exhibits with co-exhibitors on a
joint stand. In this case, max. 1 co-exhibitor is permitted per 10 m2 exhibition area. Every
co-exhibitor must be a member of the RDA. For every co-exhibitor, an additional attendance fee amounting to 215,- E is to be paid; the corresponding invoice is sent to the
main exhibitor. Please note fig. 3 last sentence (penalty) of our Terms of Exhibition.
PLEASE NOTE: A down payment of 30% plus statutory VAT is to be made on placing
the booking, the remaining amount is due for payment after invoice receipt. Statutory
value added tax must be added to all prices. Foreign exhibitors can be possibly reclaim
the itemised value added tax from the Federal Finance Office. Stating a VAT ID-No.
does not exempt you from paying value added tax.
You herewith undertake not to organise a parallel event outside exhibition hall 10
during the opening hours of the RDA-Workshop. Otherwise subject to the Terms of

Depending on the type of stand, you will receive free exhibitor badges as

Podiums are included in the scope of work of the stand building
contractor. When pipes are installed under the podium, they must

The invoice is issued by the installation contractor immediately on
completion, based on material and hours worked. Complaints are
only possible during the event. We are aware of the fact that in the
buildings without basement, the hall floor may only be cut open
to a depth of 5 cm by an official contractor of Koelnmesse. In
parts of the buildings with basements and in the upper storeys,
cutting the floors open is generally not allowed.
The water consumption is included in the

In the event of cancellation less than one week before
the order is due to start, 80% of the total fee for guard
services for the stand is due for payment.
General terms and conditions for the provision of a guard service for exhibition stands
§ 1 Object:
VSU offers to guard exhibition stands by providing security
personnel. The service begins at the agreed time and ends with
the arrival of the personnel manning the stand the next morning.
§ 2 Exhibitors’ obligations:
the exhibitor is required to provide the keys necessary for security
purposes on time and free of charge. He is also required to
confirm to the security company each guard service provided.
The security employee will be notified of any damage and/or
losses at the time of the handover. A written note must be made
of damage and/ or losses and signed by the personnel manning
the stand and by the security employee.
§ 3 Invoicing:
VSU will invoice in accordance the signed vouchers confirming
services provided.

Your order is confirmed subject to the proviso that it is possible to carry
out the security service order with the number of personnel stated. The
performance of the security service on your stand is conditional on the
following: The transfer of your stand by the client or his authorised representative to the security firm’s employees before the guard service begins.

the security firm’s employees at the end of the guard service.
Special agreement:
An additional employee must be provided should plasma, TFT or LCD
television sets or monitors or similar objects be located such that the
security employee cannot see them. This is especially so should plasma
screens or similar objects be attached in or on the external walls of the
stand or should, due to the design of the stand (partition walls etc.), a
single employee be unable to guard several appliances simultaneously.
A general exclusion of liability will come into force should you as client
choose in such a case to dispense with the provision of an additional
security employee.

published as part of the visitor PR campaign. The magazine informs coach companies, travel agencies and tour
operators about the exhibition, the Workshop itself and
much more besides.
The 1st issue of the trade-fair magazine will be mailed to
32,500 potential Workshop visitors at home and abroad
before the RDA-Workshop.
The 2nd issue will appear on the 1st day of exhibition; it
will be distributed free of charge to visitors; it will also be
available and on display at the box offices and at the RDAWorkshop information counter.
The trade-fair magazine is published in DIN A4 format,
print area is 190 mm wide x 275 mm high, printed in offset printing with 60 screen and Euroscale colours. No special colours from the HKS or Pantone scale are possible.

Since most exhibitors prefer their own mobile/cell
phones to fixed telephones on the stand, we will not
be issuing any registration forms in 2011 for teleand data-communica-tions equipment on stands.
Connections, cables and service should be requested
30 days before the beginning of the exhibition from
Net-Cologne using forms which must be applied for
beforehand. Forms received after this date will be processed in the order in which they are received and invoiced with an express mark-up of 20% on the rental
fee. Applications can only be processed as long as the
required resources are available.

Technical regulations
concerning the erection of stands
Motor vehicles and containers
The presence of motor vehicles and containers in the
exhibition halls requires prior approval.
Consent by Koelnmesse to erect a stand:
Assuming that the technical regulations are complied
with in designing and erecting the stand, it is not n
ecessary to submit drawings for approval in the case
of one-storey stand constructions. Beyond that,
all other stand constructions, mobile stands and special buildings and constructions must be approved.
The following documents are required
(in duplicate) in German at the latest six weeks
before the beginning of the event
for the approval of the following:
- two-storey constructions
- rooms used as a cinema or for audiences
- external buildings, platforms/raised seats
- special constructions:
a) Audited static calculations in
accordance with German norms
b) Building description
c) Drawings of the stand construction
to scale 1:100 (floor plans, side
views, cross-sections), with
construction details on a larger scale.
d) Points a) and b) are not applicable
should a type test or test log be
submitted.
The costs of issuing the building permit will be
invoiced to the exhibitor/builder of the stand.

Inspection and authorisation of structures
requiring approval by the organisers.
Plans of the stand and measurements, at least 1:100 in
scale, together with floor plans and views must be
submitted to the organiser for approval in duplicate
and in German at least six weeks before the beginning
of the event. Following the review process, one copy
confirming approval will be returned to the exhibitor
or stand constructor. The construction of the stand
may not go ahead until confirmation of the organiser’s
approval is received.
Alterations to parts of structures not in compliance
with regulations.
Stands that have not been approved and/or do not
comply with the law may possibly have to be changed
or removed. Should this not be done within the time
specified, the organiser himself is entitled to carry out
alterations at the exhibitor’s expense. The partial or
complete closure of a stand may be ordered should
important reasons, particularly serious safety defects,
require this.
Height of structures.
The permitted heights specific to such events is generally 5 metres at the edge of the exhibition hall and
5.5 metres in the centre. This will be determined by
the height measured on the spot. Stands immediately
next to other exhibitors must be neutral in appearance
from a height of 2.5 metres.

General Business and Exhibition Terms of the
RDA-Workshop Touristik-Service GmbH
The organizer of the RDA-Workshop is RDA Workshop Touristik-Service GmbH (hereinafter referred to as RDA WTS GmbH). Only RDA members who have paid their membership dues for the respective exhibition year are allowed to participate in the Workshop. This will also apply
to all co-exhibitors and sub-exhibitors in standard stands or on open area stands.
1. Registration
6. Use of Stand
1.1. Registration may only be carried out on the original pre-printed form of RDA WTS GmbH. The RDAmember number must be quoted on the registration form. The registration form must be signed by the
registering party in a legally binding manner. Registration constitutes an irrevocable contractual offer to
RDA WTS GmbH to which the exhibitor will be bound up until the start of the RDA-Workshop.
6.1. Only one exhibitor is permitted per standard stand. Exceptions to this are standard stands with
double occupancy. In such a case the stand rental fee for a standard stand will increase by 50 %.
The entire stand rental fee is to be paid by the main exhibitor.
1.2. Upon registration, the exhibitor acknowledges the General Business and Exhibition Terms, their annex,
as well as the terms in the exhibitor documents as legally binding.
2. Conclusion of the Contract
6.2. The main exhibitor may present himself together with co-exhibitors and sub-exhibitors at joint
stands on open stands. In such cases maximum 1 co-exhibitor will be permitted on the exhibition
area. Every co-exhibitor and sub-exhibitor must be an RDA-member. For every co-exhibitor and subexhibitor, additional co-exhibitor or sub-exhibitor rental fees of 215- Euro will be due. The payment
duty for co-exhibitors and sub-exhibitors must be satisfied toward RDA WTHS GmbH by the main
exhibitor, who will also receive the corresponding invoice.
2.1. The contract will be formed upon its acceptance through a written order confirmation by RDA WTS
GmbH. Any deviations from the subject matter of the contract, amendments and subsequent ancillary
agreements will only be legally binding if confirmed by RDA WTS GmbH in writing.
6.3. An exchange of stands with other exhibitors as well as a partial or whole provision of the stand
to third parties will only be possible with the prior written consent of RDA WTS GmbH.
2.2. RDA WTS GmbH may exclude individual exhibitors from participation on legitimate objective grounds
(e.g. in the case of insufficient space). Moreover, RDA WTS GmbH can limit the event to specific exhibitor
groups if this is necessary for attaining the purpose of the event.
6.4. In the case of breach of the above Items 6.1., 6.2. and/or 6.3. a contractual penalty of 2,500Euro will be due. The contractual penalty will be due on the payment date of the respective contractual penalty invoice of RDA WTS GmbH.
3. Payment Terms
6.5. The stands are to be occupied during the entire duration of the RDA-Workshop. Premature
abandonment or disassembly of the stand will incur a contractual penalty of 2,500- Euro. The contractual penalty will be due on the payment date of the respective contractual penalty invoice of RDA
WTS GmbH.
3.1. Upon registration, stand rents for standard stands are to be paid immediately after receipt of the invoice, 30% for open stands after receipt of the down-payment invoice. The remainder of the stand rental
fee will be due immediately on the date specified on the invoice.
3.2. VAT at the statutory rate will be due additionally on all prices. International exhibitors may claim
reimbursement of the recorded VAT from the Federal Finance Office. Reporting a VAT ID No. will not entail exemption from payment of turnover tax.
6.6. All exhibitors will undertake not to carry out any parallel event outside of Exhibition Hall 10
during the opening hours of the RDA Workshop. In the case of a breach hereof, RDA WTS GmbH reserves the right to assert damage compensation claims.
7. Stand Arrangement
3.3. Assignment of claims against RDA WTS GmbH is excluded. The set-off of claims is only permissible with
uncontested claims or claims that are res judicata.
3.4. Objections against the invoice by RDA WTS GmbH must be lodged in writing to RDA WTS GmbH within 2 weeks after receipt of the invoice. Objections lodged after this date cannot be taken into account.
4. Rescission/ Cancellation by the Exhibitor, Rescission by RDA WTS GmbH
4.1. Rescission/cancellation by exhibitor: where the exhibitor rescinds the contract or cancels participation
or fails to participate in the Workshop without cancellation, the entire stand rental fee will be due. Where
RDA WTS GmbH is able to rent out the stand elsewhere the original exhibitor will be obligated to pay 30%
of the stand rental fee charged to him as a share in the costs/processing costs. Where RDA WTS GmbH is
able to rent out the stand space that was booked, but the total rental space of the stand is reduced, the
total stand rental fee charged will be due. The exhibitor must prove that no costs were incurred to RDA
WTS GmbH or that lesser costs were incurred.
4.2. Rescission by RDA WTS GmbH: RDA WTS GmbH will have the right of rescission where
4.2.1. the down payment and/or residual payment has not been received by the latest on the date specified in the corresponding invoice and the exhibitor fails to pay within the stipulated period of grace even
after a payment reminder and stipulation of a period of grace;
4.2.2. the exhibitor violates the house rules and does not change his behaviour even after a warning;
4.2.3. the prerequisites for issue of the exhibitor’s admission to the Workshop are no longer given or reasons subsequently become known which , if they had been known at the time of the issue, would have prevented the issue (e.g. insolvency, instatement of insolvency proceedings).
7.1. The prescribed measurements for open stands ( see order form open stands) must be observed. In the case of open stands, due to planning-related reasons, it is not always possible to allocate the desired type of stand to every exhibitor (Row, head or block stand). In such a case RDA WTS
GmbH reserves the right to make an alternative suggestion.
7.2. The construction heights for the specific event are normally 5.00 m on the margins of the hall
and 5.50 m in the centre of the hall (changes are possible and will be announced in good time by
the exhibitor/ stand constructor). Stand fixtures on the demarcation lines to the neighbouring stands
must have a neutral design above 2.50 m. A building plan, which must be approved in writing by
RDA WTS GmbH, must be submitted for all stands set up on open stand areas by April 15th of the
respective year of the event. Weights and measurements of objects for the stand areas should likewise be reported in good time to RDA WTS GmbH. Independently increasing the stand areas is
not permitted. In the case of a breach of this, RDA-WTS-GmbH will have the right to subsequently
charge a stand rental fee and an additional contractual penalty of 2,500- Euro.
7.3. Posting on the stairwells, hall or walls is not permitted. The outside areas of the standard stands
may not be used for advertising purposes. Removal of inadmissible stickers, etc. will be carried out
at the expense of the exhibitor. Stickers and similar decorative material affixed inside the stand must
be affixed in such a way that they can be removed effortlessly without damaging the walls
7.4. Arrangement of the stand must be in such a way that there are no angles that are difficult to
inspect. Adjacent rooms may not be locked off through doors. The insertion of bolts and hammering in of nails, tacks, hooks or affixation of screws, etc. on walls, doors, supports, beams, columns,
ceilings and floors is not permitted. Hanging flags, signs, etc. from the hall ceilings is only permitted with the approval of RDA WTS GmbH.
5. Stand Allocation
7.5. All materials used for assembly and equipment of the stand must be impregnated or otherwise
treated to render them non-flammable. This provision will also apply to flag decorations. The fire
department may demand presentation of the relevant certificates upon the building inspection (pursuant to III/2) and take random samples. Fire alarms, fire extinguishers, hydrants and warning notices on these devices must be visible at all times.
5.1. RDA WTS GmbH will allocate the stand taking into account the available hall space, the theme and
arrangement of the Workshop. Placement requests will be taken into consideration as far as possible but
cannot be guaranteed.
7.6. Electrical connection boxes, installation connections for telephone, gas, water drainage, compressed air and chimney exhaust must be accessible at all times and will be available to neighbouring stands where necessary. Welding work (electrical and autogenous) is not permitted in the halls.
5.2. The exhibitor must take into account that at the time of the start of the Workshop the location of the other
stands and exhibition areas has changed in comparison with what it was upon conclusion of the contract.
7.7. Additions to standard stands such as the affixing of labelling strips or installing lights and water
connections may only be carried out by the companies authorized by RDA WTS GmbH.
RDA WTS GmbH may assert compensation claims in the cases set out in Item 4.2.1.- 4.2.3. Item 4.1. will
apply accordingly.

8. House Rules and Order Regulations
10. Force Majeure
8.1. During the Workshop, the exhibitor will be subject to the house rules of RDA WTS GmbH and the
Koelnmesse (Cologne Fair) on the entire trade fair grounds. During the event, RDA WTS GmbH and Koelnmesse and its staff will supervise the halls and trade fair grounds. The orders, regulations and instructions of the employees and parties authorized by RDA WTS GmbH and the Koelnmesse are to be
obeyed. The main exhibitor will be liable for his co-exhibitors and sub-exhibitors. All special requests in
connection with and during the Workshop that go beyond the normal framework will require approval.
Likewise, instructions, regulations and orders by the Zoning Office, Technical Monitoring Association, Public Order Department, police, fire department, structural engineers, Trade Supervision Office and health authorities must be obeyed.
10.1. Where RDA WTS GmbH is unable to carry out the Workshop due to circumstances for which neither it nor the exhibitor is liable (such as natural disasters, war, consequences of war, terrorist attacks,
corresponding threats, imminent or perceived imminent risks, corresponding caution and preventative
measures, etc. the claim to the agreed stand rental fee will not apply. However, RDA WTS GmbH may
charge the exhibitor work ordered by it to the amount of the costs incurred unless the exhibitor proves
that the work performed does not concern him.
8.2. Any necessary official permits must be obtained by the exhibitor himself. The exhibitor is responsible for ensuring that all provisions in commercial law, police law, health law and other statutory provisions are complied with.
8.3. The trade fair shipping agents will be provided with special areas for storing boxes, packaging material and other empties. Storage of empties in the trade fair halls and safety zones is not permitted according to fire department regulations. All exits and halls fixed according to plan in the hall must be kept
free to their full breadth. The exits may not be blocked or rendered unidentifiable through the hanging
of obstacles. Information stands or tables may not be set up directly at the entrances or exits or stairwells.
8.4. Musical performances are not permitted. The playing of any kind of background music, e.g. including from the user’s own CDs, MP3, hard-drives, etc., at the stand will be subject to GEMA-fees. A current table of fees can be found at the GEMA homepage at www.gema.de. A GEMA permit (Society for
Musical Performing Rights and Mechanical Reproduction Rights) is necessary for musical reproductions
of any kind according to the statutory provisions (copyright law). Musical reproductions that have not
been registered may entail damage compensation claims by GEMA. Registration is to be addressed to:
GEMA-Bezirksdirektion NRW. The registration form for the devices will be sent to you by RDA WTS GmbH
after registration to the Workshop.
8.5. Any type of artistic performance is prohibited.
8.6. Performance of special events of any kind before, during and after opening hours will only be possible after prior written approval by RDA WTS GmbH.
8.7. The preparation of warm meals at the stands is prohibited due to the associated nuisance of cooking smells.
8.8. The marking off of hallways for receptions, etc. is not permitted. Roofing over the hall areas with
signs, flags, etc. as well as carpeting of the hall areas is only permitted with the written permit of RDA
WTS GmbH. Carpeted hallway areas will be charged as regular exhibition areas at the respective square
metre price. Distributing and laying out prospectuses and advertising material outside of the rented
stand, i.e. in the halls, entrance area, escalators, etc. is not permitted. Violations of this rule will incur a
ban from entering the premises.
8.9. During the entire exhibition period no assembly and disassembly work may be carried out.
10.2. Where the Workshop that was cancelled due to force majeure is carried out at a later date, the exhibitor will be informed of this immediately by RDA WTS GmbH. The exhibitor can cancel his participation in the make-up Workshop within one week after receipt of notification of his participation. In this
case, the claim by RDA WTS GmbH to the agreed stand rental fee will not apply.
10.3. Where the Workshop has to be shortened or cancelled due to a given circumstance or onset of force
majeure there will be no claim to reimbursement or reduction of the stand rental fees.
11. Data Protection
The exhibitor declares that he consents to the storage, processing and transmission of his personal data
for business purposes in accordance with the Federal Data Protection Act, also using automatic data processing. The exhibitor further consents to the storage, processing and transmission of the business data
by RDA WTS GmbH, also using automatic data processing, to the extent that this is necessary for the purposes of RDA WTS GmbH or the organizations associated with RDA WTS GmbH or there is otherwise a
legitimate interest.
12. Statute of Limitations
Claims by the exhibitor against RDA WTS GmbH will expire in 6 months unless there are statutory provisions to the contrary.
13. German Law
All rights and claims arising from the contract itself and in connection with the contract will be subject
exclusively to the laws of the Federal Republic of Germany.
14. Place of Performance and Jurisdiction
The place of performance is Cologne. The place of jurisdiction for businesspeople, legal entities in public
law or exhibitors who do not have any general place of jurisdiction within the country is Cologne.
Annex
Opening hours 2011
9. Liability, Insurance
9.1.RDA WTS GmbH will be liable for damage caused by wilful or gross negligent conduct by RDA WTS
GmbH and its representatives. Where the damage is caused due to gross negligence by simple vicarious
agents, RDA WTS GmbH will be liable for this damage in principle, but with regard to the amount limited to foreseeable damage typical of the contract.
Tuesday:

Thursday:
28/07/2011 9.30 a.m. – 3.00 p.m.
9.2. RDA WTS GmbH will be liable in principle upon the infringement of cardinal contractual duties, the
compliance of which is of special significance for attainment of the purpose of the contract. Provided that
there is no case as set out in Item 9.1., liability will be limited to the amount of foreseeable damage typical of the contract.
Assembly of the exhibition stands 2011: Assembly of the stands is permitted as from
July 20th, 2007 after 8 a.m., ending at around 8 p.m. A special exception will apply to coaches;
it will be announced in good time to the respective exhibitors. Standard stands will be set up
on Saturday, July 23rd, 2011 after 12 noon. You may begin with the decoration from this
time on.
9.3. In the case of liability for the lack of guaranteed features, liability in accordance with the Product
Liability Act and liability in the case of injury to life, limb or health, the liability restrictions set out in Items
9.1. and 9.2. will not apply.
Dismantling of the exhibition stands 2011: All standard stands will be dismantled on
Thursday, July 28th, 2011 after 3 p.m. and must be vacated by then. The entire dismantling of
the stand (open stands) must be completed by Saturday, July 30th, 2011 at 6 p.m.
9.4. No-fault liability by RDA WTS GmbH for initial defects of the rented property is excluded.
9.5. The exhibitor will be liable according to the statutory provisions. Should special cleaning measures be
necessary at the respective stands after termination of the Workshop, the expenses incurred in this case will
be charged to the respective exhibitor. It is recommended that an exhibitor insurance policy be taken out.

Exhibitor service
Exhibitor badges: According to the “Terms of Exhibition”, you
are entitled to a fixed number of exhibitor badges. If you need additional exhibitor badges please use the order form on page 27.
If you need additional exhibitor badges at short notice, you can
purchase these for a price of 20,- Euro in the exhibitor’s office
in the entrance area of the hall 10.
Erection times: You can start stand erection from 8.00 hours on
Wednesday 20th July 2011 until 20.00 hours. Normal stands will
be erected on Saturday 23th July 2011 as from 12.00 hours. You
can start decorating the stands from then on.
Dismantling times: You can start dismantling your stand at the
earliest on 28th July 2011 after the RDA-Workshop has officially
finished.
IT IS CERTAINLY NOT POSSIBLE TO START
DISMANTLING ANY SOONER.
Exhibitor parking
1. Construction and dismantling
Exhibitors in Halls 10.1 and 10.2 who arrived by car should drive
to the parking level of Hall 10 for loading and unloading. Goods
lifts go down to the halls from this level.
2. Parking
As an exhibitor with a car you have the opportunity to park in the
immediate vicinity of the exhibition hall in which you are exhibiting. You will find clear instructions how to get to your parking
place on the parking permit, which you are asked to show clearly
on the inside of your windscreen. Your exhibitor badges are also
valid as parking permits.
Parking places will, as far as possible, be allocated close to the
exhibition hall. There is however no right to a particular parking
place. Only vehicles up to a permitted total weight of 2.5 tonnes
may use the park deck (halls 4/5/10).
We urgently ask you to take all your advertising and decoration
materials and the rest of your stand fixtures and fittings away with
you immediately after the end of the trade-fair, because we cannot
assume any liability for your stand material not even during the
dismantling period. Goods lifts and exits for dismantling will be in
operation or open after the end of the RDA-Workshop.
The dismantling phase finished at 18.00 hours on Saturday,
the 30st July 2011.
It is not permitted to park lorries, advertising vehicles, caravans and
campers on exhibition car parks. Koelnmesse or staff appointed
to direct traffic and handle logistics will, on request, indicate parking places for lorries, trailers and containers.

For reasons of general safety, it is not permitted to park on areas
within the exhibition site not designated as car parks. Vehicles
endangering and/or hindering safety or traffic flow may be
towed away at the owner’s risk and expense.
Stand security and stand insurance
Security surveillance is being provided for the halls for 24 hours
a day in the interests of the exhibitors. At the same time, we cannot assume any liability for exhibition stands, advertising material, video systems or similar. Please note that we therefore
explicitly ask you to lock away any valuables such as video system,
TV sets etc. in the evening. You’ll find the order form for the stand
security on page 39. We also recommend that you take out stand
insurance (you will receive the reservation form after your registration for the RDA-Workshop 2011).
Power and water connections
Please check once again whether you have already sent in an order
for power and water connections (see page 29 + 31). Otherwise we
recommend that you do so without any further delay. Orders received at the last minute are usually subject to delays and higher
costs.

Vehicles of all types used in the construction of stands are prohibited from parking next to the exhibition halls on all the days on
which the event is taking place.
All internal areas, approach roads and roads immediately adjoining the exhibition halls must be cleared by 8 p.m. of the last
construction day before the start of the fair.
Exhibitors’ own events
In view of the fact that the RDA event will be held on the 2nd day
of the Workshop, we recommend that you use Tuesday 26th July
2011 for your own events, for you to invite visitors and colleagues
to visit your stand during the early evening until 8 p.m.
Distribution of advertising materials and magazines
Please note that you are only allowed to distribute advertising materials and magazines actually at your stand or immediately in front
of it. Advertising materials and magazines must not be distributed in

No musical events during the opening hours
The RDA-Workshop serves primarily for information and sales
talks. In recent years, musical events have caused understandable
annoyance among exhibitors and visitors. Please therefore note
that during the 3 trade-fair days, musical events are only permitted
after the trade-fair has officially closed. No exceptions are possible.

General information
The first-aid station on the exhibition grounds is manned by a
paramedic from 26th to 28th July 2011.

In 2011 once again, RDA-Workshop offers the following services

Press diary
All events which could be of interest to journalists (e.g. press conferences, raffles and draws, „events“ at your stand etc.) will be

Floral decorations
You can purchase flowers for decoration during the erection
phase at the flower stand in the entrance area to hall 10.
Additional stand wording
During the trade-fair, you can order additional stand wording (in
limited quantities) in the wording studio in hall 10.1. Information
and forms are available in the Workshop management office in
the entrance foyer on the 1st floor. Please submit your order in
good time.
The Copy Shop is in the entrance foyer on the first floor. Here you
can have copies made and also send faxes. Koelnmesse offers you
the possibility of an internet access with the high-speed WirelessLan network of NetCologne. The corresponding access data can
be procured in the Copy Shop (entrance foyer, first floor).
You can receive or send E-Mails free of charge at the Info Points,
again in the entrance foyer on the first floor.
There is a Cash machine in the entrance area on the ground floor.
SENDING BROCHURES AND ADVERTISING MATERIAL
Please do not send any brochures and advertising materials to
RDA-Workshop GmbH in Cologne.
There are absolutely no storage possibilities or transport facilities
for bringing such materials to the trade-fair. If you want to have

The press diary will be sent to all the trade press before the RDAWorkshop. The closing date is 5th July 2011. Any announcements
received after this can only be included in the updates which will
be published in the evening before each of the three trade-fair
days.
Press conferences
Various rooms of different sizes can be used for a fee to hold your
press conferences, after checking the dates in advance. Catering
and technical aids will also be charged as stated in your order.
Self-catering is not allowed because of the catering laws. We can
naturally also arrange for you to use other rooms if you so require. A collection of addresses for your advertising is available
free of charge on request.

Please remember
Journalists are always under pressure! Only invite them to a press
conference if this is really justified by the events and topics (hold
a press conference for example to introduce someone of celebrity status; refrain from holding a press conference if the topic
can be presented in a press folder or during individual talks). In
view of the lack of time, keep your press conference to just 45 minutes, and don’t hold it outside the exhibition grounds.
Press releases
Texts intended for press releases and submitted to the RDAWorkshop press office by 5th July 2011 will be checked by our
journalists, revised where necessary and then printed in the daily
trade-fair press bulletins.
You can tell the press office any urgent news on the first and second day of the event; these will be printed if possible.
You can place individual press infos or press folders in the stands
in the press club. However, the press office reserves the right to
reject any purely or primarily advertising materials.
