Each lady told of the passing on of the cross they were wearing to the next Diocesan President. Each told of the history behind the cross. Jane Pressly, my predecessor as ECW Diocesan President of the Diocese of Georgia, and I decided that we, too, in Georgia needed to have a President’s Cross to wear proudly as President and to hand down to each ensuing President. Our ECW in the Diocese of Georgia have a lovely and unique sterling silver alms basin which is used across the Diocese for our UTO offering. The Ladies Auxiliary of the Episcopal Church (the predecessor of our ECW) crafted this basin in 1956. Ladies giving their silver pieces donated the silver across the Diocese. We were thrilled with this idea and decided to invite ladies across our Diocese to donate gold pieces that were unusable, to fashion a cross for our President to wear. Women joined hands across our Diocese and donated gold pieces for the cross. I tems such as single earrings, rings, broken bracelets and chains and even dental crowns were put into the cross. The cross was designed by the 2003-2006 ECW President, Marcie Cherau, and immediate past ECW President, Jane Pressly, 2000-2003. The cross is 14K and 18K gold, 2.5” by 1.5” and is engraved with “ECW” on the triangle of the cross. I n the tradition of the Celtic cross, the cross is in the shape of the fleur-de-lis with arms outstretched to create the cross. The circle on the cross symbolizes the great endlessness of God’s love shown through Christ’s crucifixion. The woven latticework on the cross is symbolic of the fish “be ye fishers of men”. The gold triangle in the center symbolizes the trinity, “Father, Son and Holy Spirit”. A smaller cross in the form of a lapel tie tack, a replica of the original cross, is being created. I t measures 1.25” by 1”, and may be presented to our outgoing presidents as a memento of service to the Diocese of Georgia, ECW. We are blessed to be meeting at the beautiful and historic St. Paul’s Church in Augusta. A big THANK YOU to Margaret Lester Jordan of St. Paul’s , Augusta, Chair of the Augusta Convocation’s Annual Meeting Planning Committee, and to you who worked so diligently with her on the various committees to make this event possible. Your efforts are most definitely appreciated. Four of our board members attended the Episcopal Church Women’s triennial meeting in Indianapolis this past July and I attended as an alternate delegate from the Diocese of Georgia to the National Convention being held at the same time. It was a wonderful opportunity for us to represent you and to learn, share and gather information with other like minded women from across the country. Our theme for the next three years is “Many Paths, One Journey; Prayer, the Basis of All Women’s Ministries.” We have three years to study and learn and work within this theme. “The greatest tragedy in life is not unanswered prayer, but unoffered prayer.” F. Meyer Our speakers for this meeting are Sister Carol Andrew from the Convent of St. Helena here in Augusta who will speak to us Friday evening about prayer and Ms. Judy Woodruff, co-anchor of the PBS News Hour, who will be speaking to us on Saturday. Ms. Woodruff is an Augusta native who now resides in Washington, DC. In addition to her current work with PBS, Ms. Woodruff has covered politics and other news for more than three decades at CNN, NBC and PBS. She is a popular speaker and we are pleased that she has chosen to accept our invitation to speak. I plan during the next year to visit with as many of you as possible; to learn what you’re involved in and to bring us together as a Diocese through shared ideas. Please let me know when and where you meet and I’ll do my best to be there. I pray that each of you will receive a special blessing for being here and that you will relax and enjoy your meeting as you learn more about prayer and how each of us can better serve Christ in our respective communities. In His Love, Carolyn Baker, President Diocese of Georgia ECW (2012-2015) 5 Organization of Diocesan ECW Board The Diocesan ECW Board is composed of four officers (president, vice-president, secretary and treasurer), convocation representatives (currently six) and the chairwomen of the various committees. Committees currently established are the United Thank Offering (UTO), the Church Periodical Club (CPC), Worship, Nominations, and Communications. Members shall be elected for a term of three years unless appointed by the President to fill an unexpired term. Board members are not eligible to serve in the same office for a consecutive term. The officers and committee chairwomen constitute the Executive Board. These board members represent every woman in our diocese. All ECW members are welcome to attend a board meeting to learn more about the diocesan ECW business. There are budgets to oversee and programs to supervise, as well as arrangements for the Convocation Days of Sharing and the annual meetings. The diocesan work is shared and the process of making friends and networking is accomplished at these meetings. Amen Diocesan UTO Alms Basin A very large and beautiful alms basin, made of sterling silver donated by women of the diocese many years ago, is used for the United Thank Offering Ingathering at the Diocesan Episcopal Church Women’s Annual Meeting each spring. Any parish in the diocese may borrow this alms basin for use at its ingatherings. The UTO alms basin can be reserved b y contacting the Diocesan UTO Coordinator. It is kept at the Diocesan House in Savannah and anyone borrowing it is responsible for collecting and returning it to the Diocesan House. What is United Thank Offering? The United Thank Offering is a personal and family devotional program of The Episcopal Church. It is a practice in our life in Christ that begins with daily pra yers and gifts of thanksgiving. These gifts of thanksgiving – coins and bills dropped in the UTO Blue Box – from each individual (man, woman and child) are combined with others at parish and diocesan celebrations and finally within all of The Episcopal Church. The Offerings totaling nearly $3 million each year (January through December 31) are given awa y in the form of grants. These grants continue to support and strengthen the mission and ministry of the Church throughout the world. Every penn y of the Offerings is allocated each year for granting. Who provides the leadership for United Thank Offering? The Church UTO Coordinator. Almost every parish in the 7,000 + Episcopal congregations has a volunteer who is the church UTO coordinator. This volunteer provides the education and programs to her parish and plans the spring and fall ingathering services. Church UTO coordinators play a vital role in educating their parishioners to the prayer and practice of the United Thank Offering. 16 The Diocesan UTO Coordinator. Each diocese has a UTO coordinator who supports the parish UTO coordinators with materials and information. They also help screen the grant requests within their diocese and research those that are forwarded to the UTO Committee. Here in the Diocese of Georgia, the coordinator receives the spring and fall ingathering offerings from the churches in the diocese, records these offerings, and mails a check in the amount of these offerings to the New York office. She holds a UTO workshop in conjunction with the ECW Annual Meeting each spring and represents UTO at the Diocesan Convention each February and the Province IV Women’s Conference each June. Also, she attends the Triennial Meeting of the Episcopal Church Women where she attends UTO and other leadership workshops. On the national level, members of the UTO Committee establish policies and make granting decisions. Each triennium, the UTO Committee is made up of one person selected from each of the nine provinces of the Episcopal Church USA (ECUSA) and three members elected b y the former Committee to serve as members at large. UTO Committee expenses are paid from trust fund earnings, which are separate from the offerings. The UTO office and staff are supported by the general budget of the Episcopal Church USA and are located at the Episcopal Church Center in New York City. UTO Materials UTO materials are available for you to use to help encourage participation in the United Thank Offering. Twice a year (February and August) an envelope containing a letter, order form, and sample UTO materials is sent to each church. Current materials available can be viewed on the UTO website. They are found by clicking on “The UTO Store”. You ma y also view color samples and order them online at www.episcopalparishservices.org or call Episcopal Parish Services toll free at 1-800-903-5544. Remind them that this is a women’s ministry of giving thanks to God for daily blessings * Publish your parish’s latest giving amount * Let the congregation know where the money is used * Name the UTO in the Prayers of the People; say, “for the mission and ministry of the United Thank Offering.” * Distribute bookmarks * Compile a list of thanksgivings for your parish * Ask the choir director to sing the UTO h ymn * Use the UTO pra yer * Set up a UTO table at an upcoming function * Ask your rector or vicar to promote UTO * Go to the UTO web site, www.ecusa.anglican.org/uto (this is a super resource!) * Call the Episcopal Parish Services at (800) 903-5544 to order UTO materials. Many of these are free, the rest are extremely inexpensive. The mission of the United Thank Offering is to Expand the circle of thankful people. To achieve this mission, we encourage daily prayers, offerings, and awareness of the abundance of God’s blessings. 18 Guidelines for Church UTO Coordinators Guidelines for church UTO coordinators can be found in the United Thank Offering HANDBOOK. This handbook is a treasure of information about UTO. The following is a suggested timetable for important church UTO coordinator tasks and events unique to the Diocese of Georgia: INGATHERING DATES (Suggested) Fall Spring Ingathering – Sunday before or nearest Ascension. Ingathering – Sunday closest to All Saints Day. UTO Workshop This training and sharing time for church UTO coordinators and supporters of UTO is led by the diocesan UTO coordinator and is held during the ECW Annual Meeting each spring. It is important that all church coordinators attend this meeting. As Soon as Possible Coordinate the dates for your Ingathering Services with your priest and/or worship committee. Be sure the dates are included on the church calendar! Request that a separate offering for UTO be collected and that a sermon be given on mission (UTO). Order the supplies that you will need for Spring and Fall Ingatherings at least six weeks in advance. Publicize – it is your responsibilit y to inform the congregation about United Thank Offering and what it does throughout the world. Have UTO Blue Boxes, brochures and other materials available at all times. Put announcements in your church newsletters, bulletins, and website often. Post lists of UTO grants and posters on the church bulletin board. (More suggestions can be found in the UTO Handbook.) Month Before Ingathering Include a paragraph about the UTO Ingathering in your church newsletter and enclose a Blue Offering Envelope. Ask parishioners to make checks payable to your church or ECW and earmarked for UTO so offerings can be deposited in your local account. Secure ushers for the UTO collection. Arrange to use the Diocesan UTO Alma Basin, if desired. 19 Sunday Before Ingathering Ask your priest to announce at all services that UTO Ingathering will be held the following Sunda y and that Blue Boxes and Blue Offering Envelopes will be collected at that time. Have extra UTO Blue Boxes and UTO Blue Offering Envelopes available now. Ingathering Sunday Place extra UTO Blue Offering Envelopes in each pew. Provide ushers for UTO collection (identify b y having them wear the UTO emblem and/or blue ribbons or UTO scarves. After the service, collect the UTO envelopes, boxes, checks, and cash. Make an accurate record of the collections. If possible, list names and amounts of contributions (this is for your church and ECW records). Deposit collection, plus any late contributions, in a UTO, ECW, or church account earmarked FOR UTO ONLY. NOTE: Some people will be late in giving, so check with your church secretar y or treasurer to be sure you have received and recorded any late offerings. One Month After Ingathering Within one month after your Ingathering, you are responsible for sending (or seeing that your ECW or church treasurer sends) ONE CHECK ONLY for the total amount collected for UTO and made payable to United Thank Offering. Your check should be mailed to: Dr. Marcie Cherau 382 Balboa Dr. Poinciana, FL 34759 Deadlines for Ingathering checks to be sent to the diocesan UTO coordinator are: Spring Ingathering - June 30 Fall Ingathering – November 30 It is ver y important that checks reach the diocesan coordinator in plenty of time for her to record and deposit the checks and send one check from the Diocese to the national UTO office in time to be included in the current year’s grant awards. (Spring ingathering monies earn significant interest when deposited into UTO investment accounts as early as possible. This interest earned increases the amount of monies available each year for granting.) 20 Apply ing For a Grant The Episcopal Church Women's United Thank Offering (UTO) fund annually awards grants to numerous worthy organizations and projects throughout the Church. The bishop may submit up to two application s from the diocese. There are often more than two organizations that would like to submit an application. In order to prioritize, the bishop meets with the UTO Grant Committee of the Diocesan ECW in November to review the short form applications. The two applicants meeting all the prerequisites of the UTO grant polic y and who, in the committee's opinion, have the greater need, will be sent the long form applications to be completed and submitted from the Diocese of Georgia. The following timetable is currently applicable: September - October Short form applications to be submitted to the Diocese and UTO Grant Committee November The Diocesan UTO Grant Committee and the bishop select two applicants to complete the long form application (which will be mailed from the diocesan office) December - Mid-January Long form applications are to be returned to the diocesan office for bishop's signature and comments Mid to Late January Applications submitted from diocesan office to national UTO office (postmarked no later than 31 January) SHORT FORM APPLICATION If the project/organization wishing to request a UTO grant falls within the perimeter of the prerequisites listed in the grant polic y, it will need to provide the Diocesan UTO Grant Committee the following: • A brief outline of the project or organization, including the financial support and • • • • • participation of the local Episcopal churches; the specific reason for this grant. Policy statement of the organization. A brief financial statement, summarizing the current year's budget. Past UTO grants received, if any (include year & purpose). Other foundations from which grants for the upcoming year are being requested. Information should be sent to the bishop at 611 E. Application may be emailed to [email protected] 21 United Thank Offering Grant Criteria (As of 2005) United Thank Offering monies will be granted in support of programs within Anglican provinces and dioceses: 1. That implement actions within the requesting diocese or province to a. Address compelling human needs and/or b. Expand mission and ministry 2. That are expended during the twelve months following grant award; 3. That are new work, a new phase of work, or an expansion of existing work; 4. That give special attention to disadvantaged persons, places, organizations; 5. That are a part of provincial or diocesan planned mission strategy; and 6. In which the United Thank Offering participation is clearly identifiable. Every application must: • • • • Demonstrate involvement by an entity of the Episcopal Church USA and/or world wide Anglican Communion; ecumenical or interfaith ventures may be included. Show financial support by an entit y of the Episcopal Church USA and/or the Anglican Communion. Be complete. Include a proposed income and expense project budget for the year following the grant award. The United Thank Offering will not fund: • • • • • • • • Combined projects without separate budgets for each in addition to the total budget. Capital fund campaigns or debt reductions. A capital fund campaign is understood to be a general campaign to raise money for a large or comprehensive project in which it is not clearly evident what difference a UTO grant will make and/or in which it is not clearly evident the project will be completed within the twelve months for which the award is made. Continuing operational budgets, meaning the proposed budget and program is the same as the year before, the only difference being the United Thank Offering as the new source of funding. Debts obligated or incurred before the date of the grant award. Purchase of consumable supplies (e.g. food, medicine, paper goods, toiletries, fuel) Contracted services for individuals or families where the relief service remains the same but individuals or families may change; however, the United Thank Offering W ILL support program activities in which temporary help is offered directly to individuals and families in accordance with Criteria #3 above. A commercial venture or enterprise, a for-profit body, or a non-profit individual or group without a legally responsible governing bod y. Scholarships or tuition either directly for individuals or indirectly through organizations. 22 • • • Proposals that can find adequate funding elsewhere, including capital improvements for which loans are available and possible. Emergenc y response. 15-passenger vans, due to liabilit y and safet y issues. In the Episcopal Dioceses of the USA, the United Thank Offering will not fund: • • • • Previously funded requests. Capital improvements that do not expand capacit y to meet compelling human need or mission and ministry need in disadvantaged situations. Programs regarded to be Diocesan operating budgets. Entities that are not clearly non-profit or not-for-profit. 23 Church Periodical Club What is CPC? • • • The Church Periodical Club, founded in 1888 An independent, affiliated organization of the Episcopal Church The only organization of the Episcopal Church dedicated solely to providing both religious and secular literature and related materials without charge to those who need and request them and cannot obtain them otherwise. Wh y CPC? Because the need is great for • Books, periodicals, audio/visual materials and other printed tools. • To spread the Good News • To encourage literacy • To supply essential tools to seminarians, teachers, clergy, and missionaries • To train leaders • To nurture a fuller life. Who Can Help? You can! How Can You and Others Help? • • • • • • By promoting observance of CPC Sunday in your parish By offering to be a parish representative By contributing material and money By encouraging your vestry, ECW, and other church organizations to participate By distributing inspirational literature in jails, nursing homes, hospitals, homeless centers, By providing fellowship and book grants for deserving students The diocesan ECW board has voted to disburse our diocesan CPC funds in equal annual grants to our seminarians. This ministry has been greatl y appreciated. Local chapters are also encouraged to sponsor campers. Such financial assistance is particularly helpful (and appropriate) for children from low-income families and for foster children. [Note, camp scholarships are also available from the EYCS] 25 Communications Remember that publicit y and reporting are not a form of self-aggrandizement but a means of sharing the faith. So don’t be timid about communicating what you are doing, what’s coming up and how an event or project turned out. Think about including your ECW, your parish and your communit y when planning events. Publicizing an Upcoming Event Just remember the Trinity and you can’t go wrong! Advertise events THREE times in THREE different ways beginning THREE months ahead. Create your flyer, bulletin release, announcement, etc with your target audience in mind. Remember that people take in information and respond to it in basically three levels: • Level One – Headlines & subtitles; graphics & captions (80% of readers) • Level Two – Short cop y; boxed information; charts etc. & captions (1060% of readers) • Level Three – Bod y cop y (1-10% of readers) Let the local newspapers and TV stations know about your event. Reporting After the Event Plan ahead! When planning an event, designate one or two people to take photographs and write a report for your parish bulletin or newsletter, the diocesan newspaper and the local newspaper. Follow the same “Three Level” rule Identif y what’s happening in a photo as well as the people. Action photos are good. Keep body cop y brief Submit the article/photos in a timely fashion after the event 26 Diocesan Website: Send your news and events to [email protected], so we can feature them in upcoming issues of From the Field. Writing a Press Release Who? What? When? Whew? Why? How? 1. Use 8 1/2 x 11 sheets of paper, preferably bearing your church's or group's letterhead. If letterhead stationery is not available, use plain white paper and include your organization's name, address, phone and FAX num 2. List your name or that of a designated individual as the contact person who is responsible for answering an y questions a writer or editor may want to ask before, during or after your event. 3. Write a headline for your release; it should be a short phrase or sentence telling what the release is about. 4 Keep the release as short as possible - ideally, not more than a page or two. 5. Include onl y essential facts (who, what, where, why; when and how). Avoid adding extra details that are not Important or relevant to what you're writing about If someone calls to interview you or ask for more information, you can always provide more details, if necessary. NOTE: A press release is a way to convey factual information; if you are looking to express an opinion, give thanks, do a critique, enlist support or promote a worthy cause, the best way to do it is through a letter to the editor. 6. Alwa ys send out a professional looking release: it should he typewritten or word-processed, and double-spaced in format. Leave a sizable margin (also called white space) on the top and bottom of the page. 7. Proofread the release before photocopying and mailing, checking for spellings of names, reviewing phone numbers, addresses and dates. Check grammar and punctuation, too. If you find errors or misspellings, redo the release. 8. I£ your release is longer than one page, the word MORE should appear at the bottom of the first page. At the end of the release, place a “30” or a series of three number signs (###) to indicate there are no more pages to follow. 9.
