ARISTO MENU
GLOBAL TRAINING
A new feature has been added to Help on the Aristo Menu. When Users clicks on this menu
selection they will be able to view the Distant Training schedule.

ARISTO ACCOUNTING
Aristo Accounts Receivable
In order to facilitate the ability to post discounts and service charges to unique GL Accounts when
using Divisional Accounting, some of the setups in AR Module Options have been relocated to
the Chart of Accounts.
For each Accounts Receivable
account that is in the COA, you will
see a new A/R Setups button. If the
account is not designated as a
Control Type “Receivables”, this
button will not be visible.

When you click on the A/R Setups you will be able
to choose the discount and service charge
accounts. As well, you will have the ability to set up
Dunning Messages and AR Statement Emails for
each Division.
Choose Dunning Messages to
enter text that you would like to
have printed on each Division‟s
AR Statements.
Choose Statement Emails to
enter the subject line and test
that you would like to have
emailed with the AR Statement
if you are using the Statement
Email option.

Aristo Accounts Payable
In order to facilitate the ability to post discounts to unique GL Accounts when using Divisional
Accounting, some of the setups in AP Module Options have been relocated to the Chart of
Accounts. The cheque printing settings have been relocated to the Bank Manager Maintenance
setups. This will allow Dealerships to have the ability to have unique setting for their copies and
overflows pages when more than one location is printing cheques.
Use AP Module Options to for 1099
setups, duplicate and setting up for
multiple payables accounts.
For each Accounts Payable account that is
in the COA, you will see a new A/P Setups
button. If the account is not designated as a
Control Type “Payables”, this button will not
be visible.
When you click on the A/P Setups you will be able to
choose the discount account.

Aristo Bank Manager
The setup for Cheque Stub Overflow and Cheque Archiving has been moved to Bank Manager
Maintenance.
Please make sure to review the hover tips beside the Number of Archive Cheques and the
Number of Duplicate Cheques as these settings have changed.
When setting up to print cheque copies to a different printer than the cheque printer set the
Number of Archive Cheques. This setting will determine how many copies will print to a different
printer along with any overflow pages.
When setting up to print cheque copies to print immediately after the original checks set the
Number of Duplicate Cheques. This setting will determine how many copies will print right after
the cheque with any overflow going to a different printer.

Aristo General Ledger
When using Divisional Accounting, the ability to choose whether to warn that you are making a
posting across Divisions has been added.
To receive the warning each time you are making an Intercompany Posting, activate this flag. If
you do not wish to be warned, leave this flag turned off.

ARISTO PURCHASE ORDERS
Divisional Purchase Orders
The ability to create Divisional Purchase Orders has been added. To utilize Divisional Purchase
Orders, Divisional Accounting must be activated.
Aristo Security
A Division ID is tied to a User and the User
can be set up to have access to All
Divisions or one specific Division.

When a Multi Division User tries to access the Control File or create a PO, the User will be
prompted to select a Division
There is a Purchase Order Control File for
each Division and the GL Account fields
will only pull in the accounts that are
available for that Division. Also added is a
Tax Account for when the PO is transferred
to accounting.

Purchase Order Codes can be assigned to a specific Division, or to both Divisions.
If Divisional Purchase Orders is activated, there will be an indicator on the Purchase Order view
showing the Division the Purchase Order is in. Please note, once a Purchase Order is created it
can‟t be changed from one Division to another.

ARISTO PARTS
ARISTO FIXED OPS MAINTENANCE
A new field has been added to the Fixed Ops Control file to enable Interim Deposits. To access
go to Aristo  Fixed Operations  Fixed Ops Maintenance  Control File.
To use this feature, place a check
mark in the box beside Enable
Interim Deposits.

ARISTO PARTS
Aristo Parts Inventory
The ability to have more than one EPC (Electronic Parts Catalog) per site has been added. The
EPC Catalog Setup button has been added to the Parts Transfer Options.
Click on the
Electronic
parts Catalog
Setup button
to complete
setups.
For each manufacturer that has the flag enabled the User can set up the path/filename of the
EPC file to be dropped off.

ARISTO PARTS PRICE CODE MAINTENANCE
Added the ability to “Sample” a price code change to see how selling prices would be affected
before applying the change permanently. The sample printout will show original selling price
along with the revised selling price based on the price code changes.

Click on the Sample button located at the bottom of the Price Code screen. Enter in a date range
– this will choose historical repair orders/invoices so you can see how the change will affect the
selling prices on these items.
Choose Print and you can review the Parts Price Code Sample Report.

ARISTO SERVICE
Security
Separate Security has been added for
Closing and Cashiering on each Pay
Type of a Service Order. This allows for
additional permission customization by
user.
In previous versions Closing/Cashiering
was a combined security flag for all pay
types. In this release these permissions
may be separated by user to only allow
permission to close any pay type
without also giving them permission to
cashier.
Contact Defaults – Shop Supplies Exemption
A new flag has been
added to Contact
Management, Fixed
Operations view to
exclude specific
Contacts from
calculating Shop
Supplies on a Service
Order.
With this flag checked,
automated calculation
of shop supplies will
be disabled for any
Service Orders
created for the
Customer.

On the Cashiering View, no Shop
Supplies will show calculated.
Clicking on the Supplies hyperlink will
state that the Customer is flagged as
Shop Supplies Exempt.
Maintenance
Access to Labour Price Codes has
been added to the Aristo Service
Maintenance Menu.
The
Labour Price Code List and Labour Price Code
Maintenance will appear in an Aristo style view. Price Code Maintenance functionality remains
the same as it was in Titanium.

Reports – Gross Profit by Day
This new report has been added to
Aristo Service to show a breakdown
of Parts and Labour Sales and
Profits on cashiered Service Orders
for a specified date range.
Access the report through Aristo 
Fixed Operations  Service 
Service Reports  Gross Profit By
Day.
The date range for the report
will default to the current
Month to Date. The Calendar
selection in the drop down
lists can be used for „From‟
and „To‟ for a custom date
range.
Sublet amounts are only
included when „Print Sublet‟ is
selected.

The Day line will represent all Parts and Labour included on fully cashiered RO‟s for a specific
date. Values will only show when there was at least one RO cashiered. RO Count represents the
number of ROs included in the data. It is a hyperlink and will show a breakdown on the individual
ROs when clicked on.
Clicking on the RO link on the left side will take you to the actual Service Order. Use the back link
on the top of the report to return to the original page.
The MTD section will display the same information but each date will be an accumulation of the
previous day(s) values.

The ability to preview an Inspection has been added to the Inspection Package screen.

ARISTO SERVICE MARKETING
The ability to reprint letters once they‟ve been generated has been added.
To access go to Service Marketing 
Reprint Letters.
Choose the date from the calendar or enter the date you want to reprint letters for and click on
Preview. By default all items will be checked to Reprint. If you want all to reprint click on the
Print button. If you only want to choose a few to reprint remove the check from the letters you do
not want reprinted.

ARISTO DASHBOARD
DEPARTMENT TASK LIST GAUGE
This function of this Gauge has been modified to be the same as the Individual User‟s TODO
Gauge. You can Send Emails, Send Texts, Print Letter, Send Voice and Print To Do‟s as you
can from the TODO Gauge.

ARISTO WORKPLAN
The ability to set up Birthday Reminders has been added.
A TODO will get created with a document attached (to be printed, emailed, texted, etc.), for each
Contact in the system. The TODO will be created a specified number of days before the
Contact‟s birthday, and assigned either to a User or Department.
To activate this feature, go to Workplan  Control file  Birthday Communications.

When there is an ownership change on a vehicle, a message “Workplan follow up cancelled due
to change in ownership” will be displayed. This will detach all existing guides.

DOCUMENT MAINTENANCE
The ability to download all Workplan documents has been added to the software. Right click in
the Document Maintenance window and select the option Download All. This will add all
documents to the database.

ARISTO PROSPECT
PROSPECT SUMMARY
The ability to filter this information by date and/or by Sales Rep has been added.
Enter and Date From/To if you want to filter the information by a date range. You can choose to
run for All Sales Reps/One Sales Rep or a Department.

LOAD EXISTING PROSPECT
The ability to search for a Prospect by Stock Number has been added to the Find Prospect
screen.

DAILY REVIEW
Changes have been made to the Prospect Daily Review Manager. The ability show duration in
hours and minutes has been added. Items marked complete can now be accessed to continue a
review.

The ability to edit the finished reviewed status has been added. Right click on the Continue
Review button and you will see a list of reps that have finished items. Choose the rep and you
will be moved to the Prospect Summary Advanced screen.

ARISTO DEAL
If a Deal has been created with an Accessory, Protection or Warranty with no cost or price, an
indicator will display letting you know the item is suspect. This will not stop the ability to
Save\Deliver\Post the Deal; it is just a warning.
VW Credit
When opening up existing VW credit app, it will check to see if the Contact or Deal has been
updated with new data. If you answer yes, it will update the credit application data.

Aristo Deal
A notification will be displayed when Accessories are at $0 Retail.
There is no notification that there are any accessories on the deal screen when Accessories are
at $0 retail. When there are accessories on the deal with a retail amount it does show on the deal
screen. Deal will alert the User that there is not a retail amount assigned if Accessories are
attached at $0 retail. The same notifications will be displayed for Protections and Warranties.

DEAL QUOTES
The ability to create multi-scenario templates, that are applied when turning over a Prospect to a
Quote or a Deal, has been added to the software.
The User will be able to create a template to apply in the Prospect TO to a Quote or Deal where
pre-loaded Cash/Finance/Lease scenarios can be easily applied with selected Lender, Term and
Down Payment allowing the ability to present a quick quote to the customer.
Click on Quote
and the quote
generator
window opens.
Choose a
Template and
click OK. The
template set ups
will be
automatically
calculated in the
Quote.

IRR
The ability to see the best interest rates and residuals has been added to Aristo Deal for Used
Vehicles. This feature is available for VW and GM locations only. When you load a Deal the
rate will display a green icon with a check mark. When you click on the icon you will be prompted
that a new rate has been found and do you wish to update. Click yes and the best available IRR
for the vehicle will be loaded. If the icon is blue it means the residual has been overridden by
someone but you still have the ability to click on it to get the best rate.

DEFAULT SCENARIOS
Added a new level of Default Scenarios based on New or Used status. This can help with
warranty set ups, protections and some fees that differ between New and Used vehicles.
To choose a scenario template based on a New/Used vehicle, click “Apply” and choose the
scenario template. Based on the template chosen, the system automatically calculates the fees,
etc. as per the template setups.

VEHICLE BUILDS
When working with Vehicle Builds in a Deal, a hyperlink has been added to Options for Model
Number specific options.
Create a Deal, click on the Stock Number hyperlink and choose Add Build. In the build vehicle
screen choose the model # and then click on the Options hyperlink. This will link back to the
Model # Options. Click on the options drop down in the code column for the standard and model
specific options, select the required options and click OK.

In the Options drop down an indicator has been added to distinguish Model specific options from
Standard options.

CUSTOM FORMS REPORT
A new report has been added to the Deal reports allowing the User to have customized options
for the Forms.
From the Rpt icon in a Deal, choose Custom Forms.

Click on Create Form, fill in the necessary information and click on the Create Button; a new
custom form window opens.
Click on Design mode for further features (Fees, Protections, Accessories) available in Custom
Forms and the report will save to the Forms list.

To remove an existing form, first select the form and click “Remove Form”. You will receive a
prompt “do you really want to delete the Form”, click Yes to delete.

To save the Forms to a User‟s designated location, click “Save Backup”. Enter the file name and
browse to the location where you want to save the form and click on “Save”.

ADDING A TRADE
Adding a Trade has become an easier process.
There is just one button in Trade Manager to add a vehicle.
When you click
on Add, you will
be taken into a
screen similar to
the owned
vehicle control.
You can either
add a new trade
or find a vehicle
and attach the
customer.

If you add a trade and then later go back to add the VIN and the VIN already exists, there will be
a smartie that appears by the VIN with a message VIN already exists. If you click on it you will be
prompted to replace the trade with the found vehicle, changing ownership.

The ability to have the model number populate on a Trade when you click on the Trade hyperlink
from a Deal has been added.
When you click on the Trade hyperlink you will be taken to the Trades screen. Click on Add and
the Add Trade. You can click on the Model # hyperlink to choose the Make/Model/Trim.

DMV Fees
The registration fee for California (Used) vehicles has been added. It calculates as per California
vehicle registration fee. This makes it easy to calculate the registration fee for used cars.
In the Deal screen directly add a license fee type in Deal Maintenance to calculate the license fee
in Deal (Finance, Lease, and Cash) deals.

Click on the License Fee hyperlink to view the Used Car registration fee in Aristo Deal. This will
display the information from the California vehicle registration website. The VIN number is used
to calculate the DMV fees, it automatically pulls all necessary fields to calculate License fee for a
Used vehicle.

The ability to add attachments as well as pictures has been added.

In Gallery View you can attach images of the vehicle, browse the image, copy and paste the
image or upload the images.

The User can attach documents related to vehicle or view the attached documents. Double click
on the attachment to view the details in the document. The attachments can be modified.

To save a document in a local folder, click on the X in the upper right corner of the document.
Enter a file name for the document or choose and existing one to overwrite and browse to the
folder where the document should be saved.

SHOWROOM SEARCH
The ability to exclude conditionally sold units from the Showroom Search has been added. By
default this flag will be on. To see all vehicles remove the Exclude Conditionally Sold flag. Model
Number field has been added to this screen giving the ability to search by a specific model
number. Retail value has been formatted to 2 decimal places.

When a Deal is created for a sold vehicle, a message will be displayed letting you know the
vehicle is conditionally sold. You can continue by clicking yes or start over by clicking no. This
message will also display if the unit is attached to a Prospect or Quote.

MODEL NUMBER MAINTENANCE
The ability to attach Freight amount and Air amount has been added. This can be used on both
vehicle records and builds.

The ability to search the Contacts by Email has been added. Select the Email option and type the
email address in search field; it is not case sensitive.

Contact Merge
A new message box has been added when merging Contacts. When a Contact has open items
and cannot be merged, you will receive a screen listing the outstanding items. There will be a
hyperlink that will take you to the Open item(s).

the Quick Lube has been closed.

ARISTO SECURITY
Divisions and Departments have been added to the Employee Maintenance Menu.
DEPARTMENT MAINTENANCE
From the Users side of the screen, select a User to be deleted, right click and select “Inactivate”.
This option will re-assign all the User roles to the User selected.
To restore an inactive employee, click on the flag Include Inactive Users. These users will be
highlighted in yellow. Right click on the employee and choose “Restore Inactive Employee”.

BUSINESS DEVELOPMENT REPORT
The ability to choose the Service or Deal node after Contact or Vehicle has been disabled. The
Service or Deal node would need to be chosen first with the Contact and/or Vehicle chosen after.
The BDR will only report on Aristo Service Orders.
