North Chapel Board of Trustees Annual Retreat February 7, 2016 12:00- 12:20 Check in 12:20-2:00 Interview with Doug Zelinski Break 2:15- 2:30 Board self-assessment -- how have we done in living our covenant? -- any changes desired or required? 2:30-3:45 North Chapel SWOT Analysis -- brainstorm the NC’s SWOT (strengths, weaknesses opportunities, strengths) -- implications for our future ** ministry ** staffing ** services/programs ** building ** finances 3:45-4:00 Closure and next steps North Chapel Board of Trustees Meeting January 19, 2016 “We are the trustees of the spirit of the North Chapel” Present: Susan Inui, Denise Lyons, Ann Wynia, Anne Dean, Anne Macksoud, Anne Marinello, Deborah Rice Absent: Chris Bartlett Visiting: Chris Lloyd 1. The meeting opened at 5:00 pm with the Ringing Bowl and Check-ins 2. Treasurer’s report and 2016 Budget worksheet: Chris Lloyd, for the Finance Committee, was invited in to discuss the budget worksheet. Some of the adjustments that were made to particular line items: -line 1 slight increase in -line 23 Admin Asst. Susan Inui proposed granting a 3% COLA increase effective in January, moving her contract anniversary to match our fiscal year. -line Office supplies has gone up to reflect a new computer and phone for Admin. and we need to authorize Caller ID should be $1500. -line 29 UUA fairshare is affected by number of members. NNED is adjusted down due to loss of members. -line Chris recommends $2500 for Search, to cover transportation of candidates to interviews here. Chris left the meeting after this discussion. 3. Consent Agenda *Anne Mari moved, Susan seconded, and the minutes of the 12/15/15 meeting were unanimously accepted. *Anne Mari moved, Anne Dean seconded, and all voted to approve minutes of the emergency meeting of the BOT on 1/8/16. 4.Next phase of the interim process - What we are hearing from the community (positive comments) - Details on Wendy’s severance. The contract required 180 days notice which will end on July 6, 2016. UUA has lawyers and we should have the contract checked. Susan and Denise will ask the UUA to share the blame for not vetting Wendy P properly . - Agenda for 1/22 call with Doug Zelinski - February 27 session with Doug Zelinski agenda will change, perhaps becoming another community meeting. AnnWynia’s Town Meeting Luncheon happens that day, so an alternate space will be found. - Board Priorities - strategic questions (I confess I must have missed these.) - Settled Search - Olaf Niewyar is assigned by the UUA to help congregations who are searching for a settled minister. He recommends not populating the Search Committee until he has been here to discuss the process with the Congregation. 5. Annual Meeting preparations -The board recommends Mary Jeanne Taylor for Nominating committee and Wendy Smith for “Unsung Hero”, to be honored at Annual Meeting on January 24. Wynia, Treasurer Membership Committee Meeting February 2 2016 Present: Pru, Ann, Fran, Sherry, Joanna, Joan Greeters for January: 7 Fran 14 Joanna 21 Pru 28 Joan The Circle dinner is Saturday, February 20th. Pru will begin to promote. The March date for this is the 19th. Four new members have signed the book: Gayle Smith and Matt Friedman Juris Kaugerts and Diana Perkett We combed the directory in order to prepare for the update. Many listed will be called, sent a postcard, or emailed. Geraldine will be posting the present directory list in the social hall for people to update before we again publish the next directory. Respectfully submitted, Sherry Music and Worship Committee Meeting Minutes Tuesday, February 2, 2016 Present: Don Ransom, Jenny Gelfan, Diane Mellinger, Carol Egbert, Judith Taylor, Anne Macksoud, Hugh Belton, Neil Marinello, Jess Stout, Hope Yeager Absent: Ben Fox, Kathy Astemborski Judith opened the meeting with a reading. Jenny led the group in a shared gesture exercise. Members and Neil checked in. Planning the committee retreat Sat., Feb. 6, beginning at 8:45 a.m. It will be held at Don Ransom's house. Delia Clark will be facilitating. Don asked people to bring things for snacks if they have favorite teas, or snacks. Retreat agenda: Governance issues Mix of reflection topics and people What we can manage without a minister and for how long New statement about minister during welcome during Sunday service Also info for ministerial contact Closure re: Interim Ministry How to manage initial interactions with next minister: communication between worship committee and the congregation Reflecting on the last retreat: what is still relevant and what is not? What is worship? What is sacred? Judith suggested that each member of the committee bring something to answer that last line of questions. Committee members present marked their first four choices from the list of ideas above for the retreat. Question from Delia: what would success look like coming out of this retreat? Or, if we are successful, what will we have accomplished? Committee member’s responses: Anne: feel happy and energized to be on the committee; filled with creative ideas Hope: structure on how to move forward without a minister Jess: direction on how to worship Don: questing for clarity on our mission as a committee; making sure we are all on the same page as a committee and have a sense of unity Jenny: guidelines for how to respond to the wealth of people in the congregation; clarity on interactions about inviting people to be part of a service Diane asked that when we are communicating with visiting ministers, not to invite requests for music. Diane will choose hymns unless Service Coordinator wants to do it, but Diane has veto power on obscure hymns. Jenny said she is currently booked with Sunday reflectors into July. Jess shared another approach of interacting with the children in the service where it is more of a conversation with the children instead of a story. The committee passed around the coffee sign up sheet. The committee voted to skip the March meeting and meet again the first Tuesday of April since so many will be away in March. Action points: Neil asked if the committee had a backup plan if a speaker cancels at the last minute. Diane mentioned that we have talked about reading a TED talk possibly but we haven't researched any copyright issues with that. Neil reminded the committee that Daniel's reflections are saved on CD. Sharing Progress on Initiatives VISITORS HANDOUT - Kathy has submitted new handout to Geraldine for printing. Action: Geraldine to make a few correction and then print. HAND OF FRIENDSHIP - reinstituted by Shoshana when she was service coordinator. Recommendation is to be continued by Weekly Coordinator if they wish. Action: Shoshana to contact head of Worship Committee VISITOR COFFEE MUGS – Naomi has purchased blue mugs for visitors. Announcement to be made by Weekly Coordinator at service when inviting visitors to attend coffee hour after the service. Action: Shoshana to contact head of Worship Committee BULLETIN BOARD - With the boards in place the Communications Director should decide the intention for the designated sections. One suggestion is to include a photo of the committee leader to be posted for easy identification. Action: Joanna will contact Deb Rice EASEL – for front foyer for upcoming church events needs to be followed up by Communications Committee. Action: Joanna will contact Deb Rice DESIGNATED GREETER – Recommendation is to continue with Rick’s greeting in foyer before receiving Order of Service from Membership Committee greeter. Action: Rick to ask Geraldine to invite people in the weekly ‘In Touch’ bulletin to sign up as a Greeter for one time or more if they wish. SIGNAGE – Kathy has been coordinating with Gina Auremia. Gina has bordered signs which she has asked Kathy to provide calligraphy for. Another suggestion is updating the sign in front of North Chapel with ‘time of service’ to replace name of minister. Action: Kathy will follow up. 2. Open Discussion POST SERVICE DISCUSSION – Richard is planning to set up at least once a month discussion after the service with the Speaker of the Week if they are willing to participate. Announcement should be made in the service and a table with sign set up for coffee hour. Action: Richard to follow up with Service Coordinator CIRCLE DINNER – Pru is planning circle dinner for Sat. February 20th and will make announcements at weekly service. Action: Pru to provide sign up sheet CARING/PASTORAL CARE GROUP – There is a need for making congregation aware of needs of others within the church but how to go about this is open for further discussion, “setting up a point person”. OTHER IDEAS – Shoshana suggested it would be helpful to have a way to highlight the upcoming weekly service for people who may not have time to read the ‘In Touch’ email. Action: Richard to ask Michael Stoner if he has any suggestions. NEXT MEETING - MARCH 3, 2016 SE (formerly RE) committee meeting Sunday, January 10, 2016 @ coffee hour Present: Ariel Brewer, Geraldine Fowler, Ben Fox, Naomi Malik, Shoshana Belisle, Hope Yeager, Jess Stout. Ariel called the meeting to order by making the suggestion that the committee change its name to Spiritual Exploration for Children and Families. Those present voted unanimously to do so, and the acronym SE will be used. Hope agreed to be secretary and took minutes until she left for the community meeting. Ben will be transitioning to working at Artistree and doing fewer Sundays as SE instructor. Angel and Ariel said they would each cover a Sunday. Ben asked that scheduling be fluid so that he is freed up to do other duties within the church. OWL Q&A will be held on Feb. 7th. This will be about the OWL program in general but also specifically for parents of children in grades 4-6. Ultan Doyle and Jenny Beaudin have been trained to teach the OWL program for this age group. They have previous experience teaching the OWL program for grades 79 at the Montpelier UU church. It was brought up that having kids go to Artistree once per month might be logistically difficult for some parents. Further discussion needs to be had on the subject. RE Notes January- February 2016 January 17 2016 K-3: 3 children w/ Jessica 4-6: 2 children w/Geraldine K-3: In the spirit of MLK Day, we shared knowledge with one another about who Martin Luther King was, the principles he stood for, and how he advocated for equal rights. Read the book "What does it mean to be kind" which explored various ways to extend kindness to others. Engaged in an craft that focused on the experience of giving and receiving kind words. 4-6: Children enjoyed a good conversation discussed various forms of meditation. Sunday Jan 24 2016 K-3 & 4-6: 10 children w/ Ben and Murray We had ten children today in SE and had a wonderful day of art, music, and reflection all together. As I reflect upon our process, it was rather nice to have creative processes ongoing and between children of various ages- Lucy rather liked spending time to with Tess and Lexi drawing - 'older girls' had such a wonderful influence for her. It's wonderful too to be able to work with Murray(and the other SE teachers/families) who are open to such kinds of open, creative discussion. Sunday Jan 31 2016 K-3 & 4-6: 5 children w/ Ben and Geraldine High School Graduate Jack Greene and Jason (CTWK) joined us to share information about the Rift Valley Children's Village (part of the Tanzanian Children's Fund - in Northern Tanzania). Jack will be leaving in a couple of week to volunteer at the Rift Valley Children's Center. The children watched a video and worked on a card for the children of the village. Our SE children will also be working on a video project during the week to share with the village children. Sunday Feb 7 2016 K-3: 5 children w/ Jess 4-6: 2 children w/ CTWK & Geraldine K-3: We first spent some time processing the story read in the sanctuary this morning, "My name is Sangoel". Then we read the book "I wonder" and explored themes related to curiosity, things we are able to figure out, things that remain a mystery, and what it feel like to wonder about something. Together we built a "wonder wall" made of many questions that the children have about the world. 4-6: CTWK spoke about the Anti Cabin Fever Dinners, why they host the dinners, what the money is raised for etc. The children also worked on making tissue paper flowers to decorate the tables! Sunday Feb 14 K-3 & 4-6: 5 children w/ Polly and Friends Morning check-in was wonderful with 5 birthdays clustered to cheer, and then the valentine fun was so soon over! But all left with at least one beautiful card replicating an historic wall stencil. Sunday Feb 21 K-3: 2 children w/ Jess 4-6: 2 children w/ Geraldine K-3: We had a small but lively group today! After Joys and Concerns and some catching up about vacation week, we read the book "What does it mean to be Present?". After exploring the theme a bit, we colored mandalas as an exercise in being in the present moment. 4-6: Our group enjoyed a really fabulous, jam packed with information video about the day in the life of an 11 year old Cambodian girl "Koun And Her Water Buffalo".
