Ryan Person - Iowa City West High School Megan Reinking - Singer, Dancer, Actress (seen on HBO’s Boardwalk Empire) COMPETITION INFORMATION FEBRUARY 28, 2015 GETTING TO KENNEDY: FROM THE NORTH Entering on I-380: As you enter Cedar Rapids take the 42nd Street exit. You will hit a stop light at Blairs Ferry Rd. Cross Blairs Ferry and stay to the right. Take the ramp to 42nd St and turn right. Take 42nd St. approximately four blocks to the stop light at Wenig Rd. You will see Kennedy on your right. FROM THE SOUTH Entering on I-380: Take I-380 North through Cedar Rapids. Exit at the 42nd Street Exit. Take a left on to 42nd Street. Take 42nd St. approximately four blocks to stop light at Wenig Rd. You will see Kennedy on your right. BUSES ARRIVING AT KENNEDY Buses will unload in the North Parking Lot of the school. Drive past the school and enter the lot from the far north entrance. Drive back up the lot towards the school and drop students at the north doors. A parent volunteer will be there to meet and assist you. Your group’s student hosts will greet you on your bus and provide each student a hand stamp. Your host will lead you to the registration table where you should pick up your registration packet. You will then be escorted to your homeroom. Your hosts will be able to take you to the equipment storage areas and show you important places around the building. Once buses are emptied, they should proceed to the designated bus parking area. A parking attendant will give drivers instructions on where to park. A shuttle service will be available to take drivers from the building to the bus parking area. Important note: Buses and trailers will be parked off site. Make sure you have everything you need before they leave! EQUIPMENT TRAILERS Equipment trailers only will unload in the horseshoe drive in front of the school. Enter the horseshoe drive through the north entrance (past the flagpole). A parent volunteer will direct you. Once trailers are emptied, they should proceed out of the horseshoe and park in the designated parking area. DEPARTURE When your group leaves Kennedy, all buses will load in the North Lot of Kennedy High School (cafeteria exit). If you used your buses to transport any equipment, that equipment will need to be loaded through the North exit, and NOT THE HORSESHOE! All equipment trailers will use the horseshoe to load equipment. No buses will be allowed in the horseshoe for purposes of loading. Feel free to move your buses closer to the north exit when loading. STUDENTS ARRIVING INDIVIDUALLY Students being dropped off individually at Kennedy should be dropped off at the North entrance to the building (entrance farthest away from 42nd St). Students should proceed to the main lobby registration table to receive their stamp. They will then be escorted to their homeroom. RAISE THE ROOF! 2015 PARENT LETTER On our website at www.kennedyraisetheroof.com there is a letter to parents of participants explaining important information about attending Raise The Roof ! It is especially important that middle school families understand that they need to arrive well before their child’s performance time. COMPETITION INFORMATION FEBRUARY 8, 2015 AWARDS: WHAT IS THERE TO GET, AND HOW DO WE GET IT? At Raise the Roof, we offer a wide array of awards, all adjudicated by a panel of experienced judges. Placement trophies are awarded to the top 50% of competing choirs in each category: Middle School, Prep, and Open Class. The top scoring middle school is invited to perform in exhibition in the evening finals round. The top six scoring groups from the Prep, and Open Class categories will compete in the evening finals for the title of Grand Champion! Meaningful Awards Captions Judged by Experts Open Class groups competing during the preliminary round will be eligible for the following caption awards, which will be adjudicated by our Caption Judge, Bob Anderson: *Outstanding Male Soloist *Outstanding Female Soloist *Outstanding Technical Crew *Outstanding Ballad *Best Show Design *Best Costuming *Most Creative Number Open Class groups will also be judged to determine the winner of the Outstanding Instrumental Ensemble award. This award will be determined by daytime scores only. The band judge will also award an Outstanding Instrumentalist Award from the daytime performances. RAISE THE ROOF! 2015 Outstanding Vocals and Outstanding Choreography awards will be determined by scores in the Evening Finals Round. Prep Division groups competing during the preliminary round will be eligible for the following caption awards, which will be adjudicated by our Caption Judge, Bob Anderson: *Outstanding Male Soloist *Outstanding Female Soloist Prep Division groups will also be judged to determine the winner of the Outstanding Instrumental Ensemble award. Outstanding Choreography and Outstanding Vocals awards will be determined using scores during the preliminary round. Middle School Division groups competing during the preliminary round will be eligible for Outstanding Vocals and Outstanding Choreography awards, which will be determined using scores from the preliminary round. Caption awards given during the preliminary round decided by score will be determined by the Sum of the Ordinals method, explained later in this document. COMPETITION INFORMATION Q&A How many chaperone passes will we receive? How do we get them? FEBRUARY 28, 2015 Important Information For Directors Each group will be given five free admission passes for parent chaperones. This free admission is offered as a way to thank your parents for their help in monitoring your homeroom and your group’s belongings throughout the day. In your registration packet you will find wristbands to give to your chaperones. How much is admission? There are three classes of admission: General Admission, Middle School Only, and Finals Only General Admission tickets are $13/person and are good for admission to all performances during the Preliminary and Finals Rounds. Middle School Only tickets are $8 and are good for only the middle school performances. Middle School Only tickets can be upgraded at any time to general admission tickets for an additional $5. Finals Only tickets are $8.00 and can be purchased upon completion of the final competing group during the preliminary round. All admission classes include one free program per family! Can parents take pictures or videos? Each director will be provided with one DVD video of your group’s daytime performance at no charge. We ask that no school or personal video cameras be brought or used in the performance venue. Flash photography is also prohibited. Please feel free to use non-flash photography to take pictures of your own group. Audience members who fail to refrain from videotaping or using flash photography after a request to stop will be escorted out of the performance venue. Will pictures or DVDs be available for Blue Sky productions will make available for sale DVDs of all performing groups. Ordering tables will be located in the gym and the front lobby. purchase? Is there anything we need to know about our homerooms? Please remind your students that they are guests in a teacher’s classroom and to refrain from touching any of the items in the room. Homerooms can not be locked, so a parent or chaperone from the visiting school must be in the room at all times. The security of the belongings in your homeroom is the responsibility of each visiting school. Kennedy will provide parents to monitor your homeroom during your performance cycle so all of the people in your party can watch your performance. Middle Schools only have access to their homerooms until 1:00pm. Will there be programs available? Yes! All classes of admission will receive one free program per family. The cost for additional programs is only $3.00! They will include write-ups and pictures of each group, judges, judging sheets, rules, performance schedules, and a variety of other information for the day. What if there is a medical emergency? Paramedics will be in the building throughout the day to assist in any medical emergencies that may arise. They will be stationed in the nurse’s office at Kennedy and outside the gymnasium. We strongly encourage you to secure emergency information forms for all of your students to be used in the event of a medical emergency. What kind of food will be available? Our volunteers will be staffing the cafeteria and a snack bar throughout the day. a wide variety of food and beverages will be available for your consumption. RAISE THE ROOF! 2015 COMPETITION INFORMATION FEBRUARY 28, 2015 OFFICIAL RAISE THE ROOF! RULES 1. All performers, including instrumentalists, must be students of the participating school. The only exception will be an adult playing a bass guitar, drum set or keyboard instrument. (Persuant to IHSMA rules, adult bass and drum players must provide a statement from the school principal stating that no students were available to play those instruments.) PENALTY: Ineligibility for Outstanding Instrumental Ensemble caption award and Evening Finals 2. Choirs are free to present any type of performance they wish. There is no minimum or maximum number of songs a group must perform. Music need not be provided for the judges. A choir singing in the Evening Finals Round need not present the same program as during the day. 3. Directors may be on stage with their choirs and may direct if they wish. 4. No taped or recorded back-up music is allowed. Sequenced and other pre-entered synthesized rhythms qualify as “recorded”. The back-up ensemble is judged as an integral part of a group’s performance. PENALTY: Ineligibility for Outstanding Instrumental Ensemble caption award and Evening Finals 5. Equipment must be taken on and off the stage from stage right. Performers may enter and exit from either or both sides of the stage. 6. Parents or other adults may assist in the setup of equipment prior to the start of a show and the removal of equipment at the conclusion of a show, but may not in any way assist during the show. PENALTY: Disqualification from competition. RAISE THE ROOF! 2015 7. Chemical fog machines, pyrotechnics, smoke, and other open flames are prohibited. (Dry ice fog machines are allowed.) Strobe lights may be used, but the audience must be warned prior to the start of the performance. 8. Middle School and Prep groups will have 25 minutes to take the stage, perform and clear the stage. Open Class groups will have 30 minutes to take the stage, perform and clear the stage. There will be no penalties for violating the time limit, but please help us keep the day running smoothly and on-time by observing the limit. 9. No outside food or beverages other than water can be brought to or consumed at Kennedy during the competition. Exception: Food or beverages needed for individual students who have a health condition requiring special dietary needs. (Please inform competition director.) COMPETITION INFORMATION FEBRUARY 28, 2015 Q&A Staging and Equipment Information What staging equipment will be provided in the Gymnasium venue for the performers? Sixteen (16) 4’ x 8’ StageRight risers will be set up on a 40 ft. wide x 42 ft. deep x 32 inches high stage in the gymnasium. The risers will be in a 4 x 4 formation at heights of 8”, 16”, 24” and 32”. This set-up CAN NOT be altered, although you may add to it if you wish. Stair units (20 ft. wide span with railings on both ends) will be provided on each side of the stage. as well as stairs to the third and fourth riser levels. An additional stair unit is available for use behind the risers. These may be moved or removed at your request. The front row of risers will be placed 11’ behind the mic line. The gymnasium stage has no access from behind, although there is a narrow 3 ft. path behind the stage that can be used to pass unseen behind the stage during your show. The changing rooms used by Happiness will be available for use by all groups. There will also be a black curtain wall on both sides of the stage extending out from the front of the stage to the side walls of the gym. The curtains are fairly thin and are not fully opaque in stage lighting conditions. What is the traffic flow in each performance venue? Equipment will be brought into the gym from stage right and will leave stage right. Performers can enter the stage from whichever side they wish. Groups will drop off their equipment before going to their critique. What sound equipment will be provided in the performing venue? We will provide five (5) wireless (handheld) microphones. Choir mics will be placed to enhance the choral sound. There will be a monitor speaker provided upstage for the combo. The monitor speaker will have all solo mics coming through it unless otherwise requested. In order to ensure microphones are turned on for soloists, we recommend having one person from your group at the soundboard to alert the technician to where and when the soloists will enter. RAISE THE ROOF! 2015 What lighting will be provided? General stage lighting will be provided for all groups. No special lighting requests can be accommodated. Overhead lighting for the back of the stage will be in place to ensure adequate lighting for the instrumentalists. What musical equipment will be provided? An acoustic upright piano tuned to A440 will be provided in the performance venues and warm-up center. Power supplies for amps, guitars, keyboards, etc. will be provided and will be accessible across the back of the stage. If you have other power requirements downstage of the combo for your show, please make a special request for that power on your staging sheet. Music stands will be provided in the performance and warm-up areas. Kennedy will also have a drum set available in the performance center for use by schools who would rather not bring their own. (A drum set will not be supplied in the warm-up room.) Kennedy will NOT provide amplifiers, electric keyboards or any other musical instruments or equipment not listed above. If you have a request for us to provide something, please contact Mr. Ziegler. What equipment will be provided in the warm-up room? An acoustic piano and music stands will be provided in the warm-up room. No risers or other instruments will be provided for warm-up. COMPETITION INFORMATION FEBRUARY 28, 2015 SCORING HOW DOES IT WORK? At Raise the Roof!, we strive to put together a panel of vocal, choreographic, and instrumental experts that will provide you useful, constructive feedback on your show. We have also designed our scoring system with fairness in mind. Our scoring systems ensure that decisions can not be unduly impacted by a single judge; the results will reflect the consensus of the judging panel. We also have experts judging you in their area of expertise. The visual aspects of your show will be judged by nationally respected dancers, choreographers, and show designers, while the musical aspects of your show will be judged by expert, veteran music educators. Preliminary Round Information The daytime preliminary round will consist of two separate competitions, one for middle school groups, and one for the remaining participants. The middle school awards ceremony will take place in the gymnasium immediately after a performance by the Kennedy Chanteurs. All rankings and scored captions in the preliminary round only will be decided by the “Sum of the Ordinals” method. All groups will have their raw scores turned into rankings. The rankings of the judges will be added together. The group with the lowest total of ordinal ranks will be named the winner. Ties will be broken subject to the procedures outlined later in this document. Three Distinct Scoresheets Three distinct score sheets will be used by our judging panel throughout the competition. The two Vocal judges will use a sheet focusing on the vocal/musical aspects of the performance. They will also score general effect visual categories and show design categories. The two Visual judges will use a sheet focusing on the visual/choreographic/show design aspects of the performance. They will also score general effect musical categories. Finally, the band judge will score a third sheet that addresses only aspects of the show concerned with the back-up combos. The band judge’s score will be used to determine the winner of the Best Combo Award but will otherwise not figure in the tabulation of total scores for groups performing in the preliminary round. Groups will receive a live critique by one of our two critique judges. RAISE THE ROOF! 2015 Consensus Ordinal Ranking System For the Evening Finals Only, we will use the Consensus Ordinal Ranking System. The Consensus Ordinal Ranking System is a scoring method designed to prevent the overall views of the whole panel from being negated by a single judge. This system has been championed by David Fehr, director of Attaché from Clinton, Mississippi, who explains it this way: “Olympic Ordinals (or Consensus Ranking) simply takes point swings, by actual points or by rank points, out of the equation. For example, with 5 judges, if three of them have School A over School B, School A will finish ahead of School B. Obviously in actual points, this does not necessarily happen.” In traditional ranking systems this does not happen if a judge (or judges) ranks a school much lower than the norm. Example:School A - 1, 1, 1, 2, 4 = Total 9 School B - 2, 2, 2, 1, 1 = Total 8 Under traditional ranking systems, School B would win in this scenario even though more judges thought School A should win. “Using Ordinals (or Consensus Ranking) takes point swings out of the equation, hopefully keeping talk of “the judge who didn’t like us” out of the equation also. It is a protection for judges, who can truly judge knowing they didn’t single-handedly create the outcome. It is a protection for the participating directors. It is a protection for the host contest. It is a protection for the student participants. It is a protection for show choir. It is a protection for music education.” In order to understand fully how this system will be implemented at Raise The Roof !, please take the time to read through the example on the follow page. This system will be used to determine placement during the finals rounds. COMPETITION INFORMATION FEBRUARY 28, 2015 Consensus Ranking Example This is an example of how our Consensus Ranking system works to determine results for our Evening Finals round. This is a stepby-step explanation of how points translate to placements, and then how those placements transfer to a final result. For this example, we will use a five judge panel, which is what we use for our preliminary round. Step 1 - Give a ranking (1, 2, 3, 4, 5, etc...) of competing schools for each judge according to his/her scores. These individual judge’s rankings are to be used as a reference only. The order of perfor mance for the finals will be as follows: If a single prep group makes the finals, they will be the first group to perform. If more than one prep group makes the finals, all qualifying prep groups will perform in the first available slots of the finals round, with the order chosen by the directors of the groups in their order of finish in the day round. (1st place choses first, 2nd place choses 2nd, etc…) The performance order of qualifying varsity groups will be determined in similar fashion, with directors choosing their performance slot in the order of their finish in the preliminary round. The contest director reserves the right to alter finals performance order to allow for adequate spacing between two groups from the same school who share the same director and/or back-up band. In order to facilitate this process happening as quickly as possible, we ask that directors be in the gymnasium during the daytime awards ceremony at 6:25 pm. Finalists will begin their performance cycles 25 minutes apart, as indicated on the master schedule. The timing of the pre-performance sequence is the same for the Evening Finals as for the preliminary round. Groups will be allowed 20 minutes in the warm-up room. E Scores are tabulated after all groups have performed, with results announced in the gym as soon as they are available. Each group competing in the finals should have two representatives on stage to receive their award. Therefore, using Consensus Ranking, School C would be the winner, followed by A, F, D, and B. Seven judges will score the Evening Finals Round using the vocal and visual score sheets from the daytime round. Four judges will judge the vocal score sheet and three will judge the visual score sheet. 6th If using only point totals as the standard, School A would have finished in 1st Place with 444, followed by C - 443, F - 436, D 418, B - 403, and E - 374. Using the “Sum of the Ordinals” system, School A would have finished in 1st Place with 90, followed by C-88, F-86, D70, B-64, and E-52. Consensus Ranking tries to ensure that each judge has the same weight as any other judge, thus providing a truer consensus, unaffected by large gaps in points. In the event of tie, the tie breaker procedures outlined later in this document will govern the ranking of groups. RAISE THE ROOF! 2015 The Best Vocals and Best Choreography awards will be decided by the “Sum of the Ordinals” method explained earlier. We will use only the vocal scores from all seven judges to determine the Best Vocals winner, and only the visual scores to determine the Best Choreography winner. The highest ranked choir vocally will win the Best Vocals award while the highest ranked choir choreographically will be awarded the Best Choreography award. COMPETITION INFORMATION FEBRUARY 28, 2105 Tie Breaker Procedures In the event of a tie affecting preliminary round trophy winners or eligibility for the Evening Finals Round the following procedures will be used to break the tie and determine placement. 1) 2) 3) 4) Sum of Ordinal Ranks, smallest total wins. (e.g. allowed to perform in finals, trophy placement, etc…) In the event of a tie involving the Best Band caption award, the following procedures will be used to break the tie and determine the winner. 1) 2) 3) Highest total score by band judge. If tie exists; Highest total score of band judge plus instrumental total of vocal and visual judges. If tie still exists; Highest “Ensemble Sound Quality” score by band judge. If tie still exists, a tie will be declared, and all groups still in a tied state will receive the award. Please do not plan to arrive prior to that time. • We will provide two rooms for changing into and out of costumes. Please use them! Please do not use the homerooms to change. • Many of the homerooms have Smart Board projector/white boards installed. Please be aware that any damage to the projectors or boards that occurs on that day will be billed to the school using that room for the day. Please be diligent in monitoring your students in the homeroom. We will do our best to shield and secure the boards, but the projectors protrude out from the wall and can not be retracted.
