"The Ball Is Round!"
Admittedly, the world may have seen smarter statements
than this legendary insight voiced by Sepp Herberger. The
famous coach who led the German national soccer team to win
the 1954 World Cup was well-known for his non-sequiturs, getting right down to the essence of this popular sport. His observation that "the game lasts 90 minutes" is undeniably true, just
like the fact that, every single week, millions of fans enthusiastically watch their favorite teams in action, either live in the stadium or on TV. What a forum! We saw our chance and scored 1:0
for EASY, converting a forward pass that was fed to us by a delegation of Hertha BSC Berlin during this year's CeBIT trade fair.
Their quest for a powerful archiving system with an interface to Navision Software, which Hertha BSC uses within the
company, brought the Berlin delegation to the EASY SOFTWARE AG trade fair booth. Their enthusiastic reaction to our
software soon led to the concept of a more extensive partnership.
This issue will tell you all about how this partnership came to be,
and what exactly it involves. At any rate, do not be surprised to
find the name EASY SOFTWARE frequently featured during
this season's Hertha BSC games, either in the Berlin Olympic
Stadium or on your television screen.
In order to win the championship, you must always be a few
steps ahead of the competition. This is why, during the CeBIT
fair, EASY already demonstrated how archives can be accessed
via a cellular phone, even from your local soccer stadium if need
be. What we are doing now, however, means no less than launching the concept of knowledge management into a new and unique dimension. Remote archiving with WEB-@rchiving, implemented through our brand-new Internet portal myEASY.de with this completely new approach, electronic archiving will be
put into practice to a much larger extent in companies of all sizes.
myEASY.de will be one of our featured hits at the upcoming
trade shows. Among this year's larger events where EASY
SOFTWARE AG will be strongly represented as usual are DMSEXPO in Essen, September 5-7, and SYSTEMS in Munich,
November 6-10. You are, of course, invited to meet the Champions League of knowledge management, starring the new
EASYWARE 3.11. By the way: we flatly deny any rumors that
our employees all wear blue jerseys to work these days. We do,
however, own a very special Hertha jersey, sporting the number
11, which now adorns the reception area of our Muelheim headquarters: top goal-scorer Michael Preetz presented us with his
winning shirt that he wore during the 98/99 season. As usual,
EASY keeps the ball rolling for you.

Zugegeben, es hat schon klügere Sätze gegeben, als jenen
legendären Ausspruch von Sepp Herberger. Der Altmeister deutscher Fußballkunst war für seine unwiderlegbaren Weisheiten
bekannt, mit denen er den Volkssport Fußball auf das Wesentliche reduzierte. Denn auch, dass "das Spiel 90 Minuten dauert" ist
ebenso wenig zu bestreiten wie die Tatsache, dass jede Woche ein
Millionenpublikum in den Stadien und vor den Fernsehgeräten
den Spielen der Mannschaften begeistert zuschaut. Was für ein
Forum! Genau das dachten wir uns auch, und verwandelten
sofort zum 1:0 für EASY, als eine Delegation von Hertha BSC
Berlin uns auf der diesjährigen CeBIT eine Traumflanke zuspielte.
Auf der Suche nach einem leistungsstarken Archivsystem mit
Schnittstelle zur Navision-Software, die bei Hertha BSC unternehmensintern eingesetzt wird, landeten die Berliner auf dem
Stand der EASY SOFTWARE AG. Aus der Begeisterung für
unsere Software wurde schnell die Idee zu einer weitergehenden
Partnerschaft geboren. Wie diese Partnerschaft zustande kam
und was sie genau beinhaltet, können Sie in dieser Ausgabe nachlesen. Auf jeden Fall sollten Sie sich nicht wundern, wenn bei
Spielen von Hertha BSC im Berliner Olympiastadion und auf
dem Fernsehschirm in dieser Saison des öfteren der Name EASY
SOFTWARE erscheint.
Wer die Meisterschaft gewinnen will, muss den Mitbewerbern immer ein paar Schritte voraus sein. Deshalb hat EASY schon
auf der CeBIT gezeigt, wie man mit EASY-WAP per Handy auf
Archive zugreifen kann, und zwar selbst dann, wenn man gerade im Fußballstadion ist. Was wir jedoch jetzt tun, ist nichts
weniger, als das Thema des Knowledge Management in eine neue
und einzigartige Dimension zu katapultieren: Fernarchivierung
mit WEB-@rchiving, realisiert über unser brandneues Internetportal myEASY.de. Mit diesem völlig neuen Ansatz wird die
elektronische Archivierung noch weit mehr als bisher in Unternehmen aller Größenordnung Einzug halten.
myEASY.de wird einer der Stars auf den kommenden Messen
sein. Zu den größeren Veranstaltungen, auf denen die EASY
SOFTWARE AG gewohnt stark präsent sein wird, gehören die
DMS-EXPO vom 5. bis zum 7. September in Essen und die
SYSTEMS in München, die in diesem Jahr vom 6. bis zum 10
November stattfinden wird. Wir laden Sie ein, einen Blick in die
Champions League des Knowledge Management mit der neuen
EASYWARE 3.11 zu werfen. Übrigens: dass unsere Mitarbeiter
nun alle in blauen Trikots auflaufen, ist wohl nur ein Gerücht.
Ein ganz besonderes Hertha-Trikot haben wir jedoch tatsächlich,
es trägt die Nummer 11 und ziert den Eingangsbereich unserer
Mülheimer Zentrale. Torschützenkönig Michael Preetz hat uns
sein Siegerhemd der Saison 98/99 geschenkt. EASY bleibt also
wie immer für Sie am Ball.

Through myEASY.de AG, EASY has positioned itself as a
professional application service provider (ASP) in the field of
knowledge management. EASY SOFTWARE AG holds a 51
percent interest, while eurodata GmbH & Co. KG, which operates a high-security computer center, holds a 49 percent interest
in the company. In the joint venture, the competence of the software producer in the field of electronic document management is
combined with that of the EDP service provider in the fields of
data storage and secure data transfer in ideal fashion.
MyEASY.de is an Internet-based portal for company-wide
knowledge management and will market the outsourcing service
"WEB-@rchiving". This service provides central and revisionproof archiving of documents and data of all types. The customer
scans and indexes his documents on location and transfers them
through a Private Network or the Internet to eurodata's highsecurity computer center, where they can be retrieved at any time
and made available to third parties who have been given authorized access rights, such as tax consultants. At agreed intervals the
data will be stored on CD-ROM or similar media and handed
over to the customer, together with the retrieval software.

Über die myEASY.de AG positioniert sich EASY als professioneller Application Service Provider (ASP) im Bereich Knowledge-Management. An dem Unternehmen ist die EASY SOFTWARE AG zu 51 Prozent und die eurodata GmbH & Co. KG,
Betreiberin eines Hochsicherheitsrechenzentrums, zu 49 Prozent
beteiligt. In dem Gemeinschaftsunternehmen bündeln sich die
Kompetenzen des Softwareherstellers auf dem Gebiet des elektronischen Dokumentenmanagements mit denen des EDVDienstleisters auf den Gebieten Data Storage und sicherer
Datenübermittlung auf ideale Weise.
MyEASY.de ist ein internetbasierendes Portal für unternehmensweites Knowledge-Management und wird das Outsourcing-Service-Angebot "WEB-@rchiving" vermarkten. Diese
Dienstleistung bietet die zentrale und revisionssichere Archivierung von Dokumenten und Daten aller Art. Der Kunde scannt
und verschlagwortet seine Dokumente vor Ort und übermittelt
sie über ein Private Network oder Internet an das Hochsicherheitsrechenzentrum der eurodata. Dort können sie jederzeit
recherchiert und auch mit entsprechenden Zugriffsrechten ausgestatteten Dritten wie etwa Steuerberatern zugänglich gemacht
werden. In vereinbarten Intervallen werden die Daten auf CDRom o.ä. gespeichert und inklusive Recherchesoftware an den
Kunden übergeben.

erforderlich. Weil sich viele Nutzer die Ressourcen
im Rechenzentrum teilen, verteilen sich auch die

Was über das Netz archiviert wurde, kann auch
über das Netz wieder abgerufen werden, und zwar

through the ASP process the software functions are provided via
a network - the software no need to purchase. Thus the
acquisition costs for expensive hardware such as archive servers

system administration are also eliminated: since nearly all of the
hard- and software is located at the computer center, no staff are

einem elektronischen Archiv-gehören Zweifel an
der Sicherheit der Daten und Dokumente. Dabei
schlägt bereits ein "herkömmliches" elektronisches
Archiv jedes Papierarchiv in punkto Sicherheit um
Längen: Die digitalen Daten können nach der Speicherung auf WORM-Disks nicht mehr manipuliert
werden (revisionssicher entsprechend den gesetzlichen Vorschriften!), es lassen sich mehrere Sicherheitskopien ohne Qualitätsverlust und größeren
Platzbedarf erzeugen. Ein zerstörtes oder verschollenes Papierdokument dagegen ist meist unwiderruflich verloren. Zudem erlaubt die elektronische
Archivierung über die vielseitigen Recherchefunktionen ständigen zielsicheren und schnellen Zugriff
auf alle Dokumente, auch mehreren Anwendern
gleichzeitig. In einem Archiv mit Hunderten oder
gar Tausenden von Aktenordnern ist das undenkbar.
WEB-@rchiving bietet die gleichen Sicherheitsstandards, die Speicherung der Dokumente an einem
anderen Ort erfordert jedoch weitergehende Maßnahmen. So erfolgt die Übertragung über Private
Network (verschlüsselt) oder eine gesicherte Internetverbindung. Absolute Sicherheit bei der Übertragung garantiert die myEASY.de Security Box. Sie
wird im Hausnetz installiert und sorgt dafür, dass
nur dann ein Datenaustausch zwischen Unternehmen und Archiv aufgebaut werden kann, wenn eine
exakte und ausschließliche Verbindung zwischen
Unternehmensnetz und dem Archiv bei der eurodata aufgebaut wurde. Eine Ausgabe auf CD-ROM ist
jederzeit möglich. Um auch im Katastrophenfall
Datensicherheit zu haben, werden die bei der Eurodata archivierten Dokumente dupliziert und in
einem anderen Gebäude als Sicherheitskopie verwahrt.

In addition, WEB-@rchiving can be implemented in a company in almost no time and permits fast, uncomplicated adaptations to changing conditions, such as when the company is growing or merges with another firm.
As Safe as the Gold in Fort Knox
The most common objections to an external archive - especially an electronic archive - include doubts about the security of
the data and documents. A"conventional" electronic archive is,
however already, far more secure than any paper archive. After
being stored on a WORM disk, digital data can no longer be
manipulated (revision-proof in accordance with legal requirements!), and several safety copies can be generated without loss
of quality or large amounts of space. In contrast, a destroyed or
missing paper document is usually irrevocably lost. Moreover,
electronic archiving permits continuous, accurate and fast access
to all documents through the versatile search functions, even to
multiple users simultaneously. In an archive with hundreds or
even thousands of paper files, this is inconceivable.
WEB-@rchiving offers the same security standards, but the
storage of documents at aremote location requires more extensive measures. Thus, the transfer ensues through a private network
(encrypted) or a secure Internet connection. The myEASY.de
Security Box guarantees absolute security during transmission. It
is installed in the company network and ensures that a data
exchange between the company and the archive can occur only
when an exact and exclusive connection between the company
network and the eurodata archive has been achieved. The data
can also be issued on CD-ROM at any time. In order to ensure
data security even in the case of a catastrophe, the documents
archived at eurodata are duplicated and preserved as safety copies
in another building.
Always up to date!
The development of information technology is constantly
accelerating. Currently, three months in the IT sector correspond
to a real astronomical year in the rest of the economy, according
to the rule. This has resulted in drastically shortened investment
cycles due to rapidly occurring obsolescence of hard- and software. Not a few companies feel overwhelmed by this meteoric
development.
WEB-@rchiving avoids these negative effects: the software
lessor - in this case myEASY.de - automatically uses the most
current version of its product. The user never has to worry about
it. The same is true for the hardware: a large computer center is

Consolidated sales increased by 72 in the first
half-year / Extensive groundwork in the
expansion of the international distribution
network shows results
Muelheim a.d. Ruhr, August 17, 2000 - For EASY SOFTWARE AG
of Muelheim, the first half of 2000 was marked by a considerable increase in sales as well as high investments and intensified international growth both in Europe and overseas. This follows from the company's semiannual report that was published today.
Based on the half-year results and in view of the expansion of business activities, EASY also announced that its target figures for the year
2001 have been adjusted upwards.
Corporation-wide, the specialist for electronic archiving and document management systems (DMS), traded in the Frankfurt Neuer Markt,
achieved a 72 percent increase in sales compared to the same period in the
previous year (DEM 34.66 million vs. DEM 20.12 million).
This corporate growth is more than double that of the entire DMS
market and corresponds exactly to EASY's internal annual schedule. This
schedule emphasizes the second half of the year, as is typical in the software market, and projects the following expected sales for the next two
quarters:
3rd quarter - DEM 20.4 million / 4th quarter DEM 29.3 million.
The gross profit of the EASY group improved disproportionately in
the first half of 2000 by 83 percent to DEM 32.88 million (DEM 17.95
million in the previous year); this can be attributed mainly to the growing
share of the profitable software and service business.
The pre-tax profit from ordinary activities according to IAS comes
to DEM 2.54 million within the group. The comparable figure for the
previous year, i. e. without proportionate floatation expenses, was DEM
1.36 million.
The development of the core businesses of the German parent company EASY SOFTWARE AG and the EASY subsidiary ScanOptic
Gesellschaft für Scanner- und optische Speichertechnologie mbH in
Muelheim proved especially satisfactory.

SOFTWARE AG stand das erste Halbjahr 2000 im Zeichen kräftiger
Umsatzsteigerung sowie hoher Investitionen für verstärktes internationales Wachstum in Europa und Übersee. Dies geht aus den heute veröffentlichten Halbjahreszahlen des Unternehmens hervor.
Vor dem Hintergrund der erzielten Halbjahresergebnisse und mit
Blick auf die Ausweitung der geschäftlichen Aktivitäten gibt EASY
gleichzeitig erhöhte Planzahlen für das Jahr 2001 bekannt.
Konzernweit konnte der am Neuen Markt notierte Spezialist für
elektronische Archivierungs- und Dokumenten-Management-Systeme
(DMS) in den ersten sechs Monaten seinen Umsatz gegenüber dem vergleichbaren Vorjahreszeitraum um 72 Prozent auf 34,66 Mio. DM (Vorjahr: 20,12 Mio. DM) steigern.
Dieses Unternehmenswachstum ist mehr als doppelt so hoch wie das
des DMS-Gesamtmarktes und entspricht genau der internen Jahresplanung von EASY.
Die Planung hat, wie in der Softwarebranche typisch, ihren Schwerpunkt in der zweiten Jahreshälfte und sieht für die nächsten Quartale folgende Umsatzerlöse vor:

Das Rohergebnis des EASY-Konzerns verbesserte sich im ersten
Halbjahr 2000 überproportional um 83 Prozent auf 32,88 Mio. DM (Vj.:
17,95 Mio. DM), was vor allem auf den zunehmenden Anteil des profitablen Software- und Dienstleistungs-geschäftes zurückzuführen ist.
Das Vorsteuerergebnis der gewöhnlichen Geschäftstätigkeit nach
IAS beläuft sich im Konzern auf 2,54 Mio. DM. Der vergleichbare Vorjahreswert, d.h. ohne anteilige Börseneinführungskosten, lag bei 1,36
Mio. DM.
Sehr erfreulich entwickelte sich insbesondere das Kerngeschäft der
deutschen Muttergesellschaft EASY SOFTWARE AG und der EASYTochter ScanOptic Gesellschaft für Scanner- und optische Speichertechnologie mbH, Mülheim.
Considerable investments were made in the foreign market sector to
promote internationalization and open up new markets, as was already
described during the company's press and analyst conference in the
spring.
Im Auslandsbereich wurden, wie schon im Frühjahr anläßlich der
Presse- und Analystenkonferenzen des Unternehmens dargestellt, erhebliche Investitionen zur weiteren Internationalisierung und Erschließung
neuer Märkte vorgenommen.
These planned special investments have also shaped the DVFA/SG
result which shows a consolidated semi-annual surplus of DEM 840k, or
DEM 0.16 (EURO 0.08) per share. Adjusted for the high foreign investments in France, the UK and the USA, the result would lie at DEM 0.54
(EURO 0.27) per share, compared to DEM 0.36 (EURO 0.18) in the first
six-month period of 1999.

Ergebnis pro Aktie 0,54 DM (0,27 Euro) betragen, gegenüber 0,36 DM
(0,18 Euro) im ersten Halbjahr 1999.

employees (139 in the previous year) as of June 30, 2000.

Based on the results that were achieved during the first six-month
period, and in view of the usually strong second half of the year, the company's Board of Directors saw their current schedule for the year 2000
confirmed. This schedule expects sales proceeds of DEM 84 million and
a yield per share of EURO 0.76; these target figures for 2000 do not yet
include the new business areas EASY SOLUTIONS and "myEASY.de".

For the 2001 business year, EASY SOFTWARE has announced an
upward adjustment of the corporate sales target figures from previously
DEM 124 million to DEM 140 million, and a projected increase of profits from EURO 1.30 per share to EURO 1.37 per share.
These numbers include the new consulting and direct business of
EASY SOLUTIONS, the new Austrian EASY SOFTWARE company
in Vienna, and also the future Internet activities of "myEASY.de" as an
Application Service Provider.

Durily the SAP user fair "SAPPHIRE" from May 24-26 in
Berlin, EASY SOFTWARE AG presented its latest products for
the SAP environment. In addition to the classic archiving interface EASY LINK for SAP™ R/3®, the integration of EASY WEB
in the mySAP.com workplace was in this context of particular
interest. The exceedingly positive response from guests and trade
visitors once again underlined the outstanding position of EASY
as the No. 2 worldwide in the market for SAP archiving.

port in Walldorf since 1999. EASY LINK for SAP R/3, the proven interface for archiving data from SAP systems, was recently
certified for the current SAP version 4.5 as well. At the EASY

Weitere EASY-Anwendungen werden zukünftig Einzug in

In the end, Hertha found EASY. "Of course, the name is
well-known in the sector. We were intentionally looking for a
market leader, because we wanted high-performance software
and a maximum of competence." A further advantage for EASY
was the existing interface to the Navision software, which Hertha uses for its business transactions.

Shortly after the initial contact, a meeting was arranged
during which the idea of a partnership was born. "At EASY
everyone was immediately enthusiastic", commented Zinkhan
happily on the commitment of the Mülheim-based software
producer to soccer. UFA Sports was then drawn in by Hertha in
order to achieve an agreement advantageous for both parties.
Upon conclusion of the agreement in July, EASY began to
provide Hertha with archiving software. In return EASY is receiving an abundance of individual advertising services, including
banners at Hertha's home games, joint advertisements, events
and partner profiles, an EASY commercial on the stadium

What brings a soccer club together with a software company?
"A national league team such as Hertha BSC Berlin resembles a
mid-sized business. An abundance of correspondence, business
documents and other paperwork of all types accumulates every
day", as Andreas Zinkhan explains the situation. Zinkhan is the
sales and marketing manager of UFA Sports Berlin, which has
taken over the marketing for Hertha. "The Press and Public
Relations department at Hertha was particularly interested in an
easier, more efficient method of searching for older, filed press
reports and press releases. But we are also considering an implementation in the accounting department. The club wanted to
reduce paper usage to a bare minimum", according to Zinkhan.
An electronic archive was required in which the original documents could be stored in a safe yet easily accessible and spacesaving fashion. So a trip to this year's CeBit in Hanover was
undertaken to find a suitable supplier.

the banner in the Berlin Olympic Stadium will be carrying the resplendent

Was führt einen Fußballclub mit einem Software-Konzern
zusammen? "Ein Bundesliga-Verein wie Hertha BSC Berlin ist
wie ein mittelständisches Unternehmen. Da fallen täglich eine
Fülle von Korrespondenz, Geschäftsbelegen und weiteren Dokumenten aller Art an", schildert Andreas Zinkhan die Ausgangslage. Zinkhan ist Vertriebsleiter von UFA Sports Berlin, die für
Hertha die gesamte Vermarktung übernommen hat. "Besonders in
der Abteilung für Presse- und Öffentlichkeitsarbeit war Hertha
sehr an einer Möglichkeit interessiert, ältere, abgeheftete Presseartikel und -mitteilungen effektiver und leichter recherchieren zu
können. Aber auch über einen Einsatz in der Buchhaltung haben
wir nachgedacht. Der Verein wollte den Einsatz von Papier auf das
Notwendigste beschränken", so Zinkhan. Ein elektronisches
Archiv musste her, in dem die Originaldokumente ebenso sicher
wie leicht einsehbar und platzsparend verstaut werden konnten.
Also machte man sich zur diesjährigen CeBit nach Hannover auf,
um einen geeigneten Anbieter zu finden.
Und den fand Hertha schließlich in EASY. "Der Name ist in der
Branche natürlich ein Begriff. Wir haben uns bewusst nach einem
marktführenden Unternehmen umgeschaut, weil wir ein möglichst
leistungsfähiges Produkt und ein Höchstmaß an Kompetenz haben
wollten." Weiterer Pluspunkt für EASY war die vorhandene Schnittstelle zur Navision-Software, die Hertha für die Betriebswirtschaft
einsetzt.
Nach dem ersten Kontakt kam es bald zu einem Treffen, bei dem
der Gedanke an eine Partnerschaft geboren wurde. "Bei EASY war
man sofort von dieser Idee begeistert", freut sich Zinkhan über das
Engagement der Mülheimer Softwareschmiede im Fußball. UFA
Sports wurde von Hertha nun hinzugezogen, um eine für beide Seiten vorteilhafte Vereinbarung zu erreichen. Nach der dann im Juli
erzielten Einigung stellt EASY Hertha Archivierungssoftware zur
Verfügung. Dafür erhält EASY eine Fülle von individuellen Werbeleistungen. Dazu gehört Bandenwerbung bei Hertha-Heimspielen,
gemeinsame Anzeigen, Events und Partnerdarstellungen, ein EASYSpot auf der Stadionanzeige und nicht zuletzt ein Kontingent an
Freikarten. Für EASY ergeben sich fantastische Möglichkeiten, dieses Sponsoringpaket im Sinne der Kundenakquise- und -betreuung,
Imagepflege und durch parallele, kontinuierliche Werbemaßnahmen
auch zur Verbesserung des Bekanntheitsgrades zu nutzen.

on July 6, 2000. Over 1700 delegates helped to make this
event a real mark in the SAP UK calendar. The event was
dedicated to sharing ideas and solutions and offered an
excellent networking opportunity. This was especially
obrious in the conference where speakers focused on
turning Internet promises into reality. EASY SOFTWARE
UK, one of the 15 SAP Software Partners, really made an
impact both on attendees and perspective partners, with
the booth being busy at all times. The name EASY really
was talked about, and as a result of the event EASY UK
could established some very important contact with
potential customers and partners.

Simon Pearson as SAP Services Manager. Simon has

How the Excel Spreadsheet make it into the File Manager
Wie die Excel-Tabelle in den Mappenmanager kommt

It hardly needs to be mentioned that Excel is the best-selling
spreadsheet program in the world. So it's no wonder that thousands of EASY users archive their Excel tables using EASY
ARCHIVE. In most cases this is done with WinCold, the convenient function for importing Windows documents and tables to
an electronic archive. A TIFF file and a text file are added as
documents to the file. The problem is that an original Excel table
cannot simply be called up in the file.
But many users want to do exactly that therefore, we will
show you below how you can use a little trick to display your
original Microsoft Excel table in the file manager after all. The
solution to this problem can be set up very quickly through WinCold. See for yourself:
A reference to the path and file name must be built into the
Excel table. The easiest way to do this is using a header or footer.
There are two ways to do this:
1. The path and file name are variable.
2. The path is fixed and the file name changes.
In the first case, with variable path and file names, you must
first insert a field in a file in EASY ARCHIVE to receive the path
and file names.

TIFF-Datei und eine Textdatei als Dokumente der Mappe hinzugefügt. Das Problem bei der Sache ist, dass eine originale
Excel-Tabelle nicht ohne weiteres in der Mappe aufzurufen ist.
Genau das wünschen sich aber viele Anwender, weshalb wir
im folgenden zeigen, wie man mit einem kleinen Trick doch noch
seine Microsoft Excel-Tabelle im Mappenmanager im Original
anzeigen lassen kann. Die Lösung des Problems kann über WinCold sehr schnell eingerichtet werden. Sehen Sie selbst:
Innerhalb der Excel-Tabelle muss ein Verweis auf den Pfad
und Dateinamen hinterlegt werden. Am einfachsten lässt sich
dies über eine Kopf- oder Fußzeile einrichten. Dabei gibt es zwei

In the EASY ARCHIVE File Manager, three documents and
the file name of the Excel table will be displayed.

material assets, a decisive factor in the market value of a company. In order to preserve the knowledge within the company, to
make it available for use and to implement it as an aid in decision-making, technologies such as workflow management, document management and intelligent archiving are indispensable.
This philosophy led to the founding of EASY SOLUTIONS
AG. The partners of EASY SOFTWARE AG, who emphasized
strong indirect sales from the very beginning, will also profit
from the concentrated expertise of the new company. Markus
Hanisch, the EASY Sales and Marketing Director, explained this
on the occasion of the announcement of the founding of SOLUTIONS AG: "Our sales partners, especially the smaller ones,
often don't have enough capacity. For this reason, complex services such as the conversion to new software, take much too
long. With EASY SOLUTIONS AG, we want to offer these
partners competent support."
The nucleus of the new company, in which EASY SOFTWARE AG holds a majority interest of 90%, is the Dortmundbased consulting firm KÜHLING GmbH. As of its acquisition
on 1 July, KÜHLING is doing business under the logo of EASY
SOLUTIONS GmbH. The company, which has a long tradition
of its own, employs 60 people and is a member of the DMS
Group, an association of consulting firms specializing in document management. It has been a partner of EASY SOFTWARE
AG for years and is its largest distributor. At the official opening
of the newly remodeled and enlarged headquarters of KÜHLING on May 18th in Dortmund, the managing director and son
of the company founder, Uwe Kühling, explained the new company structure to 100 invited guests. Upon acquisition, KÜHLING GmbH would become EASY SOLUTIONS AG and
thus a member of the EASY Group. Uwe Kühling himself is now
Sales and Marketing Director at EASY SOLUTIONS AG, while
his co-director Peter Mautsch is the Financial and Controlling
Director of EASY SOLUTIONS GmbH. Both will retain their
offices in Dortmund for now.

Die traditionsreiche Firma mit rund 60 Mitarbeitern ist Mitglied
der DMS-Group, eines Verbundes von Consulting-Unternehmen, die auf Dokumenten-Management spezialisiert sind, seit
Jahren Partner der EASY SOFTWARE AG und deren größter
Distributor. Anlässlich der Einweihung des um- und ausgebauten Firmensitzes von KÜHLING am 18. Mai in Dortmund
erläuterte der Geschäftsführer und Sohn des Firmengründers,
Uwe Kühling, vor rund 100 geladenen Gästen die neue Firmenstruktur. Die KÜHLING GmbH werde künftig als EASY
SOLUTIONS AG zum EASY-Konzern gehören. Uwe Kühling
selbst wird Vorstand für Vertrieb und Marketing der EASY
SOLUTIONS AG, sein Co-Geschäftsführer Peter Mautsch

Markus Hanisch bezeichnete KÜHLING als "Zugpferd" für

the launch", says the EASY board member. "Software competence and project experience are ideally united at EASY SOLUTIONS AG." However, the planned stock market floatation of
the company will not take place this year. Markus Hanisch announced that the preparation period up to the initial public offering
will be used for the development of the new compan; top priority will be given to the development of the core competence in
document and knowledge management.
"E-Potentials of the Present" was subsequently the topic of a
distinguished discussion panel. In addition to Markus Hanisch
and Uwe Kühling, participants included Dr. Wilfried Materna,
President of the Dortmund Chamber of Industry and Commerce and Managing Director of Dr. Materna GmbH, Klaus C.
Plönzke, a member of the board of Plönzke Holding AG and the
EASY supervisory board, and Stefan Deutsch, company spokesman of the Internet provider UUnet Germany. The moderator
was Anja Kohl from the news channel NTV.
The conclusion of the discussion: the significance of the software sector and its products will continue to increase in the age
of the Internet. Those who fail to recognize the opportunities
offered in e-business endanger the future of their companies,
because the competition is only a mouse-click away. E-business
as a complement to the classical business halves the costs per
customer. Electronic marketplaces and mobile access to information via WAP and UMTS are becoming increasingly important.
Those who delay necessary investments too long will lose out,
because the growing flood of information can no longer be
managed without the support of intelligent electronic systems.
WEB-@rchiving by EASY facilitates an affordable move of
document and knowledge management to the Internet, which is
a great opportunity, particularly for smaller companies. Through
the new subsidiary myEASY.de AG, EASY is also entering the
market for Applications Service Providing (ASP), where software functions are provided to users through a network. The
panel members agreed that this is indeed where the future of
e-commerce and the Internet lies. Now is the time for the company visionaries to take up the challenge.

Das Fazit der Diskussion: die Bedeutung der Softwarebranche
und deren Produkte wird im Zeitalter des Internet immer mehr
zunehmen. Wer die Möglichkeiten des E-Business missachtet,
gefährdet die Zukunft seines Unternehmens, denn der
Konkurrent ist nur noch einen Mausklick entfernt. E-Business
als Ergänzung zum klassischen Geschäft halbiere die Kosten pro
Kunde, elektronische Marktplätze und der mobile Informationszugriff per WAP und UMTS erlangten immer mehr Bedeutung.
Wer notwendige Investitionen dabei zu lange hinauszögert,
bleibt auf der Strecke, denn die wachsende Datenflut kann ohne
die Unterstützung intelligenter elektronischer Systeme nicht
mehr bewältigt werden. Mit WEB-@rchiving von EASY lässt
sich Dokumenten- und Knowledge-Management kostengünstig
ins Internet übertragen, was gerade für kleinere Betriebe eine
große Chance darstellt. Über die neue Tochter myEASY.de AG

possible to retrieve these complete business cases directly from
the NAVISION interface.

What benefits does ScanOptic provide to
EASY ARCHIVE users?
As a distributor, we do not have direct contact with the end
users. Rather, they benefit indirectly from our expertise. EASY
partners distribute our selected, tested and supported hardware
solutions within the framework of their archiving projects.
Isn´t it possible to access just any arbitrary device with EASY ARCHIVE?
As a rule, every device is subject to a selection and integration process during which we work closely with the individual
manufacturers, who in turn adapt their devices as far as possible
to the requirements of our customers. The integration with the
software then follows - support and performance guaranteed.
What new scanners can EASY users expect this
year?
The Fujitsu company has brought out the 3092 (already available), which will acquire particular significance as a color duplex
unit in the lower-end segment (less than 500 documents/day).
The successor to the 3097 (4097) has become considerably faster
with 67 pages per minute. The new double feed control reliably
stops the scanning process when it encounters documents which
have been stapled or glued by mistake. This unit has also been
scheduled to appear in a color version at the end of the year. All
other manufacturers have also announced the pending introduction of color scanners.
Color scanning is definitely useful for applications such as photo archives. Is there any advantage at all to colored documents in pure document archiving?
In practice, colored highlighted passages or comments subsequently added to documents can be recognized as additional
information. And as soon as the color possesses informational
value, e.g. red figures on invoices, color archiving becomes indispensable. Likewise, company letterheads, invoices in typical
colors, etc. can be recognized much faster during scrolling in the
thumbnail view. And even without informational content, working with colored documents is considerably more convenient.

Scanner Bereich zu erwarten?
For the high-volume segment of more than 7,000 documents
per day, Fujitsu has just brought the new 4099 onto the market.
As a high-performance duplex scanner, it processes over 4,000
pages per hour. Bell & Howell are introducing their new 8,000+
models which have a redesigned feed and are cheaper than the
preceding models.

hat Fujitsu gerade den neuen 4099 in den Markt gebracht. Als
Duplex Hochleistungsscanner verarbeitet er über 4.000 Blatt pro

die einen überarbeiteten Einzug haben und gegenüber den Vormodellen preisgünstiger sind.
How are storage systems developing?
Wie sieht die Entwicklung bei den
Speichersystemen aus?
The entire storage industry expects an exponentially increasing demand for storage capacity in the market in the next two
years. After electronic document archiving, company and home
office photos and films will be completely digitized. Due to the
storage intensity of video files, for example, enormous storage
capacities are required. The e-mail data flood provides a further
example. If users receive 20-30 e-mails per day, which is not unusual, this adds up to 10,000 e-mails per year. And they often contain attachments, so that the storage capacity of a mid-sized company is rapidly exhausted.
Thus, swappable storage management with libraries, disk drives
and jukeboxes will become even more important. In the archiving
environment, well-known market researchers predict that the largest market share will continue to lie in optical
storage on MO, DVD or CD. The new networked storage segment
offers the interesting possibility to simply set up a jukebox as a
cost-effective "plug and store" mass storage medium in networks.
What role will DVD play in archiving?
Generell unterliegt jedes Gerät einem Auswahl- und Integrationsprozess, bei dem wir in einem engen Verhältnis zu den einzelnen Herstellern stehen, die wiederum ihre Geräte an die
Anforderungen unserer Kunden weitestgehend anpassen.
Danach erfolgt die softwareseitige Einbindung - Support und
Gewährleistung garantiert.
Welche neuen Scanner kann der EASY Anwender
in diesem Jahr erwarten?
DVD stores up to 4.7 GB (DVD-R) compared to the 650 MB
stored by CDs. Until now, the DVD could be overwritten as
RAM and thus was not a genuine alternative to the magneto-optical WORM because it was not revision-proof. Recently, however,
the first DVD R drives, (which can be recorded only once) have
become available, and are also entering the jukebox segment. The
DVD R will certainly replace the CD-R and become increasingly
important in the low-end storage segment. Plasmon is expacted to
introduce DVD-R boxes by the end of the year.

Die gesamte Branche für Speichertechnologie rechnet in den
nächsten 2 Jahren mit einem exponentiell wachsenden Speicherbedarf im Markt. Nach der elektronischen Belegarchivierung
wird in diesem Zeitraum der komplette Bereich Foto und Film in
Unternehmen und im Home Office digitalisiert. Aufgrund der
Speicherintensität von z.B. Videodateien sind enorme Speicherkapazitäten erforderlich. Die Datenaufblähung im Bereich der eMails ist ein weiteres Beispiel. Wenn pro User rund 20-30 Mails
am Tag anfallen, was noch nicht einmal ungewöhnlich viel ist, so
laufen im Jahr schnell 10000 Mails auf. Oft hängen noch Dateien
daran, so dass die Speicherkapazität eines mittelständischen
Unternehmens schnell erschöpft ist.
Daher wird der Bereich des Wechselspeichermanagements
mit Librarys, Laufwerken und Jukeboxen in noch stärkerem
Maße an Bedeutung gewinnen. Dabei wird im Archivumfeld
auch zukünftig der optischen Speicherung auf MO, DVD oder
CD von namhaften Marktforschern der größte Marktanteil
prognostiziert. Gerade der neu aufkommende Bereich
Networked Storage bietet die Möglichkeit eine Jukebox als "Plug
and Store" preisgünstig einfach im Netz als Massenspeicher einzurichten.
Inwieweit wird DVD Einzug in die Archivierung
erhalten?
Die DVD, speichert bis zu 4,7 GB (DVD-R) gegenüber der
650 MB bei den CDs. Bisher war die DVD als RAM wiederbeschreibbar und damit wegen der fehlenden Revisionssicherheit
keine echte Alternative zu magnetoptischen WORM. Neuerdings gibt es aber die ersten DVD-R (einmalbeschreibbare) Laufwerke, die auch in Jukeboxen Einzug halten. Die DVD-R wird
damit sicher die CD-R ablösen und im Low End Bereich der
Speicherung an Bedeutung gewinnen. Von Plasmon sind DVDR Boxen zum Jahresende zu erwarten.
Farbscannen ist für Anwendungen wie
Fotoarchive sicher von Nutzen. Machen farbige
Dokumente in der reinen Belegarchvierung
überhaupt Sinn?
In der praktischen Anwendung können farbig markierte Stellen oder nachträglich hinzugefügte Vermerke auf Dokumenten
als Zusatzinformation erkannt werden. Und sobald die Farbe
einen Informationswert darstellt, z.B. bei roten Zahlen auf Rechnungen, ist die Farbarchivierung unerläßlich. Ebenso lassen sich
Briefbögen von Firmen, Rechnungen mit typischen Farben etc.
beim Durchblättern in der Mosaikansicht einfach schneller
erkennen. Und selbst ohne zusätzlichen Informationsgehalt ist
der Umgang mit farbigen Dokumenten wesentlich komfortabler.

The data are directly transferred from the Exchange server to an
EASY ARCHIVE server. This process can be triggered either as
a function of time, or depending on the amount of accumulated
data. The archived Exchange objects can be retrieved in full-text
mode and displayed within mere seconds directly from the Outlook interface of the mail client. All access rights are assigned by
the administrator.

at any time. And: even during Exchange server downtimes,
EASY Exchange nonetheless guarantees secure access to the
archived objects.

EASY WAP basically consists of two main components,
EASY WAP HTTP Server and EASY WAP Runtime.
EASY WAP besteht im wesentlichen aus den zwei Hauptkomponenten EASY WAP HTTP-Server und EASY WAP Runtime.
Through a cellular radio network and an access server, the
request from a WAP client reaches a WAP gateway which translates the WAP request into a Hypertext Transport Protocol
(HTTP) and thus feeds it into an intranet, or the Internet. Via a
COM interface, the EASY WAP Runtime then passes the request
on to EASY ARCHIVE. The EASY ARCHIVE retrieval data
can be displayed on WAP-enabled end units via so-called style
sheets. Per default, EASY WAP offers style sheets for the
NOKIA 7110 and ERICSSON 320 mobile phones. Any WAPenabled mobile unit can be adapted to EASY functionality
through individual style sheets.

that two other distributors decided to put on an event revolving
around the topic of knowledge management together with EASY

first of these joint presentations took place with Schleupen AG
on the premises of the STELLA Erlebnis-Center in Stuttgart.
Quer durch Deutschland: Am 25. Mai fand die erste dieser
Präsentationen gemeinsam mit der Schleupen AG in den Räumen des STELLA Erlebnis-Center in Stuttgart statt. Am 11. Juli
lud die EASY SOFTWARE AG dann gemeinsam mit der WMD
Vertrieb GmbH zum Informationstag für Softwarehäuser ins

Knowledge Management made EASY: Under this motto
EASY SOFTWARE AG invited software companies from all
over Germany to a road show in May.
Numerous software manufacturers were attracted to the
events in the Maritim Hotel in Munich and Hotel Lindner at
Düsseldorf airport. At the road show, EASY demonstrated
various ways in which software companies, using a combination
of EASYWARE and their respective business applications, can
implement state-of the art knowledge management solutions.
The presentation of EASYWARE in particular received an extremely positive response, as most of the company representatives
present had already extensively researched the topics of DMS
and archiving.
The licensing model: The focus of this event was an overview
of the marketing and sales concepts of the manufacturer for integration partners and software companies. The so-called licensing
model ptoves to be increasingly attractive. The advantage of a
licensing contract for EASY partners is the opportunity to
purchase fixed start-up packages on attractive terms directly
from the manufacturer. These can then be passed on to the final
customers, who thus benefit from the "bulk purchase" of the
dealer, independent of the scope of the desired installation.
Das enorme Interesse lockte zahlreiche Softwarehersteller zu
den Veranstaltungen im Münchener Maritim-Hotel und im
Hotel Lindner Airport Düsseldorf. Im Rahmen der Roadshow
zeigte EASY Wege auf, wie ein Softwarehaus durch die Kombination von EASYWARE mit der jeweiligen Business-Anwendung eine zukunftsweisende Knowledge-Management-Lösung
realisieren kann. Dabei stieß gerade die Präsentation von
EASYWARE auf große Resonanz, zumal sich die meisten der
anwesenden Firmenvertreter schon im Vorfeld ausführlich mit
dem Thema DMS und Archivierung beschäftigt hatten.
Das Lizenzgebermodell: Schwerpunkt der Veranstaltung war
ein Einblick in die vertrieblichen Konzepte des Herstellers für
Integrationspartner und Softwarehäuser. Dabei zeigt sich, dass
das Modell des sogenannten Lizenzgebers zunehmend auf sehr
großes Interesse stößt. Der Vorteil beim Lizenzgeberkontrakt
besteht für den EASY-Partner darin, beim Hersteller direkt feste
Einstiegspakete zu attraktiven Konditionen abzunehmen. Die
können dann direkt an den Endkunden weitergegeben werden,
der somit vom "Großeinkauf" des Händlers profitiert, unabhängig vom Umfang der gewünschten Installation.

several companies have decided to conclude partnerships with
EASY within the framework of a licensing contract.

document output will be marketable in future only if they support DMS functions and integrate the corresponding solutions.

quality for users as well as for administrators. Numerous administrator tools in setup and implementation, storage management, flexible use of help files and documentation, and database

required today of DMS applications in central work processes.
"Now it's really EASY for administrators as well", comments
Solsys product manager Stefan Rozsenich proudly.

Upon the occasion of the announcement of the new
release 4.2 of Visual EASY400 by the EASY subsidiary
Solsys, Group headquarters in Mülheim announced that
due to the rapid development of the AS/400-oriented
archiving solution, Easy would be greatly expanding its
activities in AS/400 applications environments. The new
version, available since June, already uses components
developed by the parent company of the group in the
capture and viewing functions. The new version also
offers considerably more comfort and functionality in
form and output management on the AS/400 as well as
in the integration of office, fax and messaging solutions.
At the presentation of the
new version in early June in
Vienna, Rozsenich also presented the integrated new
functions in AS/400 output
management, with which highperformance form management, layout and printout
together with document management form a seamless solution. Now, print formats such as
AFP, PCL, METACODE and
DJDE, which are unsuited for
archiving, can also be converted to a uniform PDF format
with a high-performance load
and import module.
Visual EASY400 Strategic Archiving Solution for
AS/400 in the EASY Group
With visible pride, EASY board member Markus Hanisch
and Solsys managing director Erwin Stern announced that the
new version of the Solsys solution Visual EASY400 shows that
the desired synergy effects in development are already reflected
in a meteoric increase in the scope of performance and in new
functionalities (see the interview). To quote Markus Hanisch:
"...we (can) offer the AS/400 users not merely an overlaid COLD
complement (...), rather, with Visual EASY400 we can provide
them with complete archiving functionality in the form of integrated AS/400 modules." Hanisch and Stern make it clear that
the Solsys solution, contrary to all speculations, will remain an
independent solution which uses numerous components developed by EASY, but still has its own solution philosophy - relational database and application enabling - specially tailored to the
needs of small and mid-sized companies with AS/400 systems.
With the newly introduced integrated module for AS/400
output and form management, Solsys has reached yet another
signgnificant milestone for DMS solutions in AS/400 environments, which cements the independence of Visual EASY400.

einem Guss werden. Ab sofort werden auch die für die Archivierung ungeeigneten Druckformate AFP, PCL, METACODE,

einheitlich in PDF umgewandelt und archiviert.

Das ist für uns eine klare Sache, wir nehmen den AS/400
Markt ernst. Visual EASY400 und das Team von Solsys tragen
strategisch die Hoffnung und die Erwartung der EASY Gruppe,
auf dem für uns extrem wichtigen AS/400 Markt erfolgreich zu
sein. Und zwar mit einer richtigen AS/400 Lösung statt der sonst
üblichen technischen Kompromisse.
Stern:
Mit der Erwartung kann Solsys gut umgehen, da wir den
Markt und die Aufgabenstellungen kennen. Wie die neue Version zeigt, sind wir keinesfalls Stiefkind, sondern finden doch

EASY ARCHIVE and AS/400 appear to have developed in
parallel in the past few years. There are more than 30 different
COLD solutions in this environment. What is the outlook for
the future, and what can EASY users in the AS/400 environment
expect?

bestenfalls eine Parallelentwicklung zu nehmen. Es gibt immerhin mehr als 30 verschiedene COLD-Lösungen im Umfeld. Wie
geht das weiter und was können die EASY-Anwender im AS/400
Umfeld in Zukunft erwarten?

Well, with a bit of pride we have to say that EASY ARCHIVE, despite lacking its own integration in the AS/400 environment at first, has found a large number of friends among AS/400
users. And we certainly do not begrudge our partners, who have
found their own solutions for AS/400 spool file archiving, their
good, solid business if these solutions suit the needs of their
customers. However, our own market experience in the rather
independent AS/400 market demonstrates very clearly that we
cannot simply fob off the majority of AS/400 users with a
COLD accessory that has been hastily cobbled together, but that
we must provide the complete archive functionality as an AS/400
integration module. And with Visual EASY400 we have accomplished exactly that.

Nun, mit ein wenig Stolz müssen wir wohl sagen, dass
EASY-ARCHIV trotz zunächst mangelnder eigener Integration
in die AS/400 Umgebung eine ganze Reihe Freunde bei AS/400
Anwendern gefunden hat. Auch gönnen wir unseren Partnern,
die eigene Lösungen für die AS/400 Spoolfile-Archivierung
haben, ihr gutes und seriöses Geschäft, wenn es den Bedürfnissen der Kunden angemessen ist. Allerdings sagen uns unsere
Markterfahrungen im doch recht eigenständigen AS/400 Markt
ganz klar, dass wir das Gros der AS/400 Anwender nicht nur mit
einem übergestülpten COLD-Zusatz abspeisen können, sondern
dass wir die komplette Archivfunktionalität als AS/400 Integrationsbausteine zur Verfügung stellen müssen. Genau das haben
wir dann ja mit Visual EASY400 realisiert.

In the AS/400 werld we meet companies, users and IT specialists who have been spoiled by extremely dependable IT structures. To put it another way, these people have a deep, unshakeable trust in "their" AS/400. The AS/400 itself has thus developed
from an initially proprietary system into a leading server system
worldwide, which offers dependability, integration capability
and an abundance of software for all sectors. This has created a
relatively homogeneous and demanding customer base with clear
expectations which can actually be fulfilled only with an AS/400
solution. Important components for a DMS solution include the
integration of Lotus/Notes and, increasingly, output management, as well as the integration in the world of e-commerce. This
is only possible with Visual EASY400!

und EDV-Verantwortliche, die von extrem zuverlässigen EDVStrukturen verwöhnt sind. Anders ausgedrückt haben diese
Leute ein regelrechtes Urvertrauen in "ihre" AS/400. Dabei hat
sich die AS/400 selbst von einem anfangs proprietären System
zum weltweit führenden Serversystem entwickelt, welches
Zuverlässigkeit, Integrationsfähigkeit und reichlich Softwareauswahl für alle Branchen bietet. Das schafft eine ver-gleichsweise
homogene und anspruchsvolle Kundschaft mit klaren Anforderungen, die tatsächlich nur mit einer AS/400-Lösung erfüllt werden können. Wichtige Eckpunkte für eine DMS-Lösung sind

to the PAISY product line, fully digitized personnel files including fulltext retrieval and revision-proof archiving are now a reality. The interface is certified for its full scope of performance by
ADP Employer Services GmbH.

EASY ARCHIVE is controlled directly from the PAISY user
interface. Link for PAISY facilitates archive access through the
COM objects of the standardized archive interface EASY LINK
OBJECTS. The standard import to the human resources archive
is performed by means of printer spool files (COLD archiving)
and facilitates convenient revision-proof filing of the PAISY data
in an EASY ARCHIVE including indexing. The data archived in
this fashion can be accessed in mere seconds at any time using
menu commands for the full text search, and can also be moved,
complemented and processed at a later point. The authorizations
of the employees to access the various documents are set within
PAISY, as the PAISY data protection ring works all the way
down to the archive system. Thus an independent authorization
management for the archiving system is not required. After logging on, the user can search in the shared archives and document
types allocated to her.
EASY-ARCHIV wird direkt aus der PAISY-Oberfläche heraus gesteuert. Link for PAISY realisiert den Archivzugriff über
die COM-Objekte der standardisierten Archivschnittstelle
EASY LINK OBJECTS. Der Standardimport in das Personalarchiv erfolgt über Druckspooldateien (COLD-Archivierung) und

Die so archivierten Datensätze stehen jederzeit über Menuebefehl für den sekundenschnellen Zugriff per Volltextrecherche
bereit und können auch nachträglich verschoben, ergänzt und
bearbeitet werden. Welche Dokumente welcher Mitarbeiter
sehen darf, wird einfach in PAISY festgelegt, denn der PAISY
Datenschutzring wirkt bis in das Archiv-System. Eine eigene
Rechteverwaltung für das Archiv-System wird also nicht
benötigt. Der Anwender kann nach Anmeldung in den für ihn
freigegebenen Archiven bzw. ihm zugeordneten Dokumententypen recherchieren.

The ADP solution PAISY, with 1100 installations, is the leading accounting system for mid-sized and large companies in
Germany. Nearly 15,000 companies process their monthly payrolls for more than seven million employees with PAISY - oneout of five payroll statements in Germany is thus generated using
products or services of ADP Employer Services. PAISY is "at
home" in all sectors and can be used for all pay scales both on the

EASY Link for PAISY is an OLE server and was created

lists up to and including complete human resources files. Multiple users have simultaneous access to all documents of the human
resources department through a network. With PAISY

SHARP: SAP R/3 and Intranet Retrieval with
EASY Archive
SHARP Electronics (Europe) GmbH represents the group’s
European IT center and acts as a distribution base that offers
support all over Europe. The company's demands on a central
archiving system are high, as archiving application data from the
SAP™ R/3®database is hardly conceivable without a really good
electronic archive. Ernst Schorning, an IT project manager with
SHARP in Hamburg, explains the company's decision to go
with EASY.
Our goal was to keep the continuously growing amount of
data as easily accessible as possible; this has had a positive impact
on the total time used for SAP R/3 business processes. For one
thing, it included revision-proof archiving of SAP data that need
to be accessible for evaluation, taking into account the legal
requirements of the European SHARP corporations. Outgoing
SAP R/3 documents and incoming paper documents were to be
archived as well, along with non-SAP documents including outgoing documents generated from our mainframe-based "European Parts System". For these documents, the intention was also to
simplify retrieval with an electronic archive in order to replace
the cost-intensive, awkward-to-handle microfiches. Finally, like
everybody else, SHARP is facing the EURO conversion. A
system downtime, due to the conversion of tables from DM to
EURO, may cause the systems to be unavailable for days, depending on the size of the database. With an electronic archiving
system in the background, the downtime is significantly reduced
if all data have been archived beforehand.
After researching the solutions available in the market, we
settled on four products for closer evaluation: iXOS, HYPArchiv, IBM Common Store, and EASY. EASY Software finally
had us convinced by meeting all our requirements. The full-text
based retrieval was an additional bonus that we considered indispensable, keeping our users in mind as well. Another key factor
in our decision for EASY over the competition was its reasonably priced licensing model.

Sharp : SAP R/3 und Intranetrecherche mit
EASY-Archiv
Das Unternehmen SHARP Electronics (Europe) GmbH,
Vertriebsbasis mit europaweiter Supportfunktion, das auch als
IT-Europazentrale fungiert, stellt hohe Ansprüche an ein zentrales Archivierungssystem. Denn ohne ein gutes elektronisches
Archiv ist die Archivierung von Anwendungsdaten aus der SAP™
R/3® Datenbank kaum vorstellbar. Ernst Schorning, IT-Projektleiter bei Sharp in Hamburg, berichtet über die Entscheidung für
EASY.
Unser Ziel war es, die ständig wachsenden Daten so performant wie möglich zu halten, was sich letztlich auf die Gesamtlaufzeit der SAP R/3 Geschäftsprozesse positiv auswirkt. Dazu
sollten zum einen SAP-Daten revisionssicher archiviert werden,
die zu Auswertungszwecken verfügbar sein müssen. Hierbei
waren auch die gesetzlichen Vorgaben der europäischen SHARP
Gesellschaften zu berücksichtigen. Zur Archivierung standen des
weiteren ausgehende SAP R/3 Dokumente und eingehende
Papierbelege an. Und schließlich sollten auch Non-SAP-Dokumente archiviert werden, darunter auch Ausgangsdokumente,
die in unserem mainframebasierenden "European Parts System"
erzeugt werden. Bei diesen Dokumenten war auch beabsichtigt,
die Recherchemöglichkeiten mit einem elektronischen Archiv zu
vereinfachen, und somit die kostenintensiven und umständlich
zu handhabenden Mikrofiche abzulösen.
Zusätzlich steht auch SHARP die EURO-Konversion bevor.

existing IT infrastructure, the EASY software was installed without any problems. Configuring the message types in SAP R/3 for
all European SHARP organizations proved to be a little trickier.
No further adjustment programming was necessary, however.
After a few days, our test runs already proved successful and
completely satisfactory. In a second project phase, the EASYCOLD (Computer Output on Laser-Disk ) component was
installed. This function serves to import non-SAP documents
from the IBM mainframe into the EASY archive. Before, these
documents had been filmed on microfiches and could only be
retrieved via centrally located readers at great expenditure.

Today, we archive around 40,000 incoming and outgoing
documents per month. Specifically, the archiving system is used
to achieve the following tasks: In accordance with the SAP standard (ArchiveLink), documents from all European SHARP sales
organizations (SAP Sales System) are archived. The outgoing
documents are primarily accounts receivable documents. Cumulative Accounting balance reports, as well as sum total and balance ledgers, are currently archived as print lists. This process uses
Level 1 of the EASY Link for SAP R/3 interface, which is certified for all options. Accounts payable documents are scanned
according to the SAP scenario "Late acquisition" and archived
electronically instead of filling up file cabinets as before. Prior to
internal processing, the paper documents receive a barcode that
is automatically read into the R/3 entry mask with a hand-held
scanner. An external service provider scans in the originals and
makes the documents available for archiving as TIFF files on a
CD. These files are identified by the EASY software via the barcode, linked to the entry, and imported into the archive. The
documents are thus made available to the user at the touch of a
button in the familiar SAPGUI interface.
Das Archivsystem läuft auf einem Fujitsu Siemens PrimergyServer unter Windows NT und speichert die Daten in einer Jukebox auf WORM-Disks. Nach der Einbindung des Archivservers
in die vorhandene IT-Infrastruktur wurde die EASY-Software
problemlos installiert. Etwas schwieriger waren die Einstellungen der Nachrichtenarten im SAP R/3 für alle europäischen
Sharp Organisationen. Weiterer Programmieraufwand zur
Anpassung war nicht erforderlich. Bereits nach wenigen Tagen
verliefen die Testläufe erfolgreich und zu unserer vollen Zufriedenheit. In einer zweiten Projektphase wurde die Komponente
EASY-COLD (Computer Output on Laser-Disk ) installiert.
Hiermit werden Non-SAP-Dokumente vom IBM- Mainframe in
das EASY-Archiv übernommen. Diese Dokumente wurden
zuvor auf Mikrofiche verfilmt und konnten nur unter hohem
Aufwand mit zentral aufgestellten Lesegeräten recherchiert werden.
Access to the mainframe documents that were archived with
COLD occurs decentralized via the WEB LINK for EASY
archives that was developed by Workflow Management & Document Consulting (WMD) GmbH of Ahrensburg, Germany. This
application enables full-text retrieval via intranet or Internet.
Currently, some 50 workstations in Hamburg take advantage of
this archive access. Our next goal is to enable archive access via
the SAPGUI or the WEB browser for the currently around 800
authorized employees in Europe. The Italian sales company,
whose employees are able to retrieve the archived data via WEB
LINK, leads the way for this implementation of WAN access. It
is also planned to link the "European Manufacturing R/3
System" to the archiving system.
The new archiving system is quite a success with the users,
especially with regard to the comfortable retrieval of stored
documents. The amount of time needed for archiving and retrieval of documents and information has decreased significantly; as
a result, assisting SHARP customers with their requests has also
become much faster and more dependable. Handling the
accounts payable has become a matter of two hours per week, or
less; we would like to emphasize that, subsequently, the documents can be retrieved from anywhere within the company without having to "bother" the accounting department with requests.
Another goal in this context, again, is to "free up some shelf
space".
Nach einer Sichtung der auf dem Markt befindlichen Lösungen haben wir vier Produkte in die engere Wahl gezogen: iXOS,
HYP-Archiv, IBM Common Store und EASY. Die Software von
EASY hat uns schließlich überzeugt. Sie erfüllt alle Ansprüche,
die wir an sie gestellt haben. Die volltextbasierte Recherche war
ein weiteres Bonbon, auf das wir auch im Sinne unserer Anwender nicht verzichten wollten. Gegenüber den Mitbewerbern
spielte aber auch das preisgünstige Lizenzierungsmodell von
EASY eine Rolle bei der Entscheidung.
Heute archivieren wir monatlich ca. 40.000 ein- und ausgehende Belege. Im Einzelnen wird das Archivsystem dabei für folgende Aufgaben eingesetzt: Nach dem SAP-Standard (ArchiveLink) werden Dokumente aller europäischen Sharp-Vertriebsgesellschaften (SAP Sales System) archiviert. Bei den Ausgangsdokumenten handelt es sich vorwiegend um Debitoren-Belege. Als

The SHARP employees have a positive attitude towards electronic archiving. Certain reservations that were expressed by a

few people were met with an open discussion about the advantages of archiving, as this transition also means that some of the
accustomed work procedures will change. We put special emphasis on training courses for team leaders as well as users. It is
important to seek the dialog with employees, to explain the reasons behind the introduction of the archiving system, and thus
motivate them to approach the new tool with a positive attitude.
This is basically true for the introduction of any new system; any
reservations the users might have should be addressed this way.
Our experience with the EASY archive system, which has
been very positive indeed, has confirmed our plans to introduce
the EASY link for SAP Level 2 as well. Moreover, we intend to
implement EASY WEB in order to be able to retrieve SAP documents via the Internet.

einem Barcode versehen, der mittels Handscanner in die R/3
Buchungsmaske automatisch eingelesen wird. Das Einscannen
der Originale übernimmt ein externer Dienstleister, der die Belege als TIFF-Dateien via CD für die Archivierung bereitstellt.
Diese werden dann von der EASY-Software anhand des Barcodes erkannt, mit der Buchung verknüpft und in das Archiv

Der Zugriff auf die Mainframe-Dokumente , die über COLD
archiviert wurden, erfolgt dezentral über den von der Firma
Workflow Management & Document Consulting (WMD)
GmbH aus Ahrensburg entwickelten WEB-LINK zum EasyArchiv. Diese Anwendung ermöglicht die Volltextrecherche über
Intra- oder Internet. Derzeit wird der Archivzugriff von ca. 50
Arbeitsplätzen in Hamburg genutzt. Nächstes Ziel ist es, den
derzeit ca. 800 berechtigten Mitarbeitern in Europa, den Zugriff
über SAPGUI oder den WEB-Browser auf das Archiv zu
ermöglichen. Vorreiter für einen solchen Zugriff via WAN ist die
italienische Vertriebsgesellschaft, deren Mitarbeiter über WEBLINK in den archivierten Daten recherchieren können. Des weiteren ist geplant, das "European Manufacturing R/3 System" an
die Archivierung anzubinden.

Bei den Anwendern kommt das neue Archivsystem und vor
allem die komfortable Suche nach abgelegten Dokumenten sehr
gut an. Der Zeitaufwand für die Archivierung und das erneute
Auffinden von Dokumenten und Informationen ist deutlich
gesunken, so dass auch Sharp Kunden bei Rückfragen erheblich
schneller und zuverlässiger bedient werden können. Das Bearbeiten der Kreditorenbelege benötigt max. 2 Stunden in der
Woche. Wobei hier zu betonen ist, dass danach die Dokumente
unternehmensweit recherchiert werden können, ohne die Buchhaltung mit Nachfragen zu "belästigen". Ein weiteres Ziel ist
natürlich auch hier, möglichst "freien Platz" in den Regalen zu
bekommen.
Die Mitarbeiter von SHARP stehen der elektronischen
Archivierung positiv gegenüber. Vorbehalte von einigen Wenigen
begegneten wir mit offener Diskussion über die Vorteile der
Archivierung, da durch diese Umstellung auch Änderungen von
gewohnten Arbeitsprozessen eintreten. Das haben wir besonders
durch Schulungen für Teamleiter sowie die Anwender erreicht.
