Exceptional Art Fair A Bit About the Fair... • Thousands of shoppers come from throughout the metroplex to attend the Aspasians Arts & Crafts Fair. • The Fair has been a bi-annual tradition and is located on the historical Rockwall town square. • The Rockwall area is a booming, highgrowth community located east of the Dallas metroplex, on the shores of Lake Ray Hubbard. Aspasians Arts & Crafts Fair April 25, 2015 9 a.m. – 5 p.m. Wilkerson-‐Sanders Stadium Rockwall, Texas Space Size: 10' x 11' approximately 11’ x 10’ Space Fee: $140.00 per space Table Space Fee: $85 (limited number of table spaces - not large enough for tent – fits 6’ table) If you are going to sell beverages, you must pay an additional $80 fee. Only Aspasians can sell or give away water. Registration: 1. Return registration form and rental fee ASAP. • Make checks payable to Aspasians • There will be a $30 charge for all returned checks. 2. All vendors must submit a photo(s) of their craft with this form. Any application without pictures will be disregarded. 3. A self-addressed 6x9 envelope must accompany your registration with 3 first class stamps, completed application and check. 4. Exhibitors requiring more than a 10-foot by 11-foot space must pay for two spaces. • Requests for adjoining spaces must be mailed together. 5. Registration forms will be processed in the order they are received based on the postmark on the envelope. Special requests are not guaranteed. 6. Confirmations will be mailed approximately one month prior to fair. 7. Exhibitors may NOT set-up prior to 7 pm Friday nor take down booths prior to 5:00 pm Saturday. Please remember, the Aspasians are all volunteers donating their time and talent to create this fair. All proceeds from the fair go to scholarships for high school seniors and other charitable needs. Official Rules... • NO vehicles may enter fair area for take down until AFTER 5:30. Violators will not be accepted for participation in future fairs!! Aspasians reserve the right to reject any person or anything they feel is not in the best interest of the fair, that may pose a risk of danger, that may not be safe, that may be harmful, or in any way is not in the spirit of the fair. Being in a prior fair does not guarantee space in a future fair or the same space. Nothing may be staked/put into the ground. Exhibitors will bring everything needed for display and sale of their work. We do NOT provide tables, chairs, umbrellas, ELECTRICITY, tents, etc. Aspasians have the right to refuse to admit any exhibitor for any reason, at any time, even if an exhibitor has paid. We may or may not issue a refund. Exhibitors may NOT set up prior to 7 pm Friday nor take down prior to 5:00 pm Saturday. Vehicles for break down may enter fair for loading after completely packed, ready to load and after 5:30 p.m. only. Food vendors will be required to have a Rockwall Temporary Food Permit. Exhibitors MUST remove all trash and leave space swept clean. An exhibitor expressly agrees to all rules, lease arrangements, schedule and guidelines, whether exhibitor signs this document or not. Generators are allowed in food court area ONLY! Not in main fair area. NO ONE CAN SELL OR GIVE AWAY BOTTLED WATER. Only Aspasians can sell water. Applications submitted without self-‐addressed, stamped envelope will be processed LAST! For additional information: The exhibitor assumes full liability for any and all damages, death, or injury of any kind to all person(s), whether employees or otherwise, and property arising out of or in any way connected with its lease and agrees to the fullest extent permitted by law to defend, indemnify and hold harmless the Aspasians, its officers, agents, employees, and indemnities from and against any and all claims, losses, suits, damages, legal and otherwise, arising out of or in any way connected with exhibitor’s work including, to the fullest extent permitted by law, the active negligence of the indemnitee. If any claim or demand is made against the Aspasians for any matter enumerated herein, any payment due, or thereafter to become due, exhibitor shall be held by the Aspasians to cover such losses and expenses, including reasonable attorney’s fees. Any property or goods set-up or left the Friday night before the fair is done so at the sole responsibility, risk, and liability of the exhibitor. Aspasians assume NO responsibility and provide no security at any time during, before, or after the fair.
