We are happy that you want to learn more about us and how you can work with us to provide low-income families with affordable housing. Our mission: We believe that everyone deserves a We build, repair, and rehabilitate homes in the City of Fredericksburg and the counties of King George, Spotsylvania and Stafford. We offer “a hand up” to families who cannot afford to purchase a home through a traditional mortgage, as well as to those who cannot afford major repairs they need in order to stay in a home they own. We rely on volunteers like you to help families realize the dream of homeownership. From working on our construction sites, to working in our office, on a committee, or helping with special events, volunteers are key to every facet of our organization. safe, decent, affordable place to live. This handbook will guide you through the process of volunteering and provide you with the resources necessary to have a safe, rewarding volunteer experience. Volunteers are the hands, hearts and voices of our mission! 1 What is Habitat for Humanity? A Habitat partner family at the ribbon-cutting ceremony for their new home in Stafford Habitat in Our Community The Greater Fredericksburg Habitat for Humanity affiliate (GFHFH) was chartered in 1995 by a group of concerned citizens who saw a need for adequate low cost housing in our area. Our first family was housed in April 1997. Since then, we have built over 20 homes and performed hundreds of home repairs. In 2001, our ReStore began as a monthly yard sale. In 2004, we moved to our current location and began operating full time. The store hasn’t stopped growing since! Habitat for Humanity is a nonprofit, ecumenical Christian ministry. It was founded by Millard Fuller in 1976, on the conviction that every man, woman and child should have a decent, safe and affordable place to live. The organization is dedicated to eliminating substandard housing and homelessness worldwide. Habitat now has more than 1,400 local affiliates in the United States and more than 70 national organizations around the world. Together, Habitat has helped to build or repair more than 800,000 houses and serve more than 4 million people worldwide. In 2012, the first full-time employees came on board at GFHFH. The addition of staff has allowed us to grow in exciting new directions, but volunteers are still the lifeblood of our affiliate! As the need for affordable housing in our community continues to grow, GFHFH is preparing to meet the need. We have a plan to build 20 more houses by 2020, increasing our production each year. Sustained volunteer efforts are crucial to raising the funds and building the homes to meet this goal! Seeking to put God’s love into action, Habitat for Humanity brings people together to build homes, communities and hope. Its five principles are: The Habitat Model 2. Focus on shelter. We empower qualified working families to become homeowners. Families who apply for a Habitat home must earn less than half the area median income. We accept applications from families whose current shelter is inadequate due to health/safety issues, overcrowding, or disrepair. Applicants must pass a credit check and show ability to make a low-cost monthly mortgage payment. They must complete 500 hours of “sweat equity” by working on their own homes and helping with other homes and Habitat activities. They also complete homeownership classes. We keep our building costs low by utilizing contributions, donated materials and volunteer labor, which allows to offer zero-interest loans to our partner families. The word “partner” signifies that rather than being given a house, they are partnering with us to build the place they will call home. 3. Advocate for affordable housing. 1. Individuals and Groups We are proud to have volunteers of all ages and backgrounds. Over 300 people worked on one of our recent homes! Many were members of church groups or teams from local businesses. Others were dedicated individual volunteers who came out to the build site as often as they could. Still others simply had a spare Saturday and decided they wanted to spend it with Habitat. They all made a difference in the lives of the family who bought the home! No Experience Needed We welcome volunteers of all skill levels! We hear from many people who want to get involved, but hesitate because they have no building or home repair experience. While we can always use the skills of volunteers who are contractors, carpenters, plumbers, etc., we encourage everyone to try building with us. You are sure to learn something new, whatever your background, and our staff is here to teach you. We do ask all our volunteers, whether skilled our unskilled, to keep an open-minded, safety-conscious, and ready-to-learn attitude at all times. Everyone has the same goal on a Habitat site: to build a home for a family who needs it! Please note: Volunteers must be 16 or older unless otherwise noted. 3 Scheduling a Group Working on a Habitat project is a great way for groups from local churches, businesses, sports teams, and other organizations to come together and build something positive. To apply for a build day for your group, submit a Volunteer Group Request Form (see the “Volunteer” section at fredhab.org). Contact the Volunteer Coordinator ([email protected]) with questions. Please keep in mind that our group build schedule fills up quickly. We try to welcome as many groups as possible, but our homes are built through the generosity of local sponsors. These sponsors receive the first scheduling opportunities when we begin a new home. If you’re interested in becoming a sponsor, please indicate on the group request form or email [email protected] Opportunities For Groups Groups help us successfully build new homes. However, there are other ways you can help as a team. Home repairs: Do you have skilled volunteers who can lead your group in performing a critical home repair, such as replacing a floor or building a wheelchair ramp? Or, are you interested in helping with lighter jobs like painting or raking leaves for a senior? Hosting a picnic table build: Our picnic table program is a great way to raise money for Habitat. We can even bring the supplies and instruct you at your own location! Volunteers from Hilldrup Moving and Storage build displays at our ReStore 4 Group Guidelines We usually accept groups of up to 12 people. For safety reasons, group size may be changed at the discretion of the site supervisor, depending on what stage of progress the home is in, and what tasks need to be done on a particular day. We will give as much advance notice as possible before requesting that you bring a smaller group. Unless otherwise informed by the Volunteer Coordinator, all volunteers must create individual accounts and sign up for the correct shift in our VolunteerUp system (please see page 9 of this guide for instructions). Once your group has been scheduled and confirmed, the Volunteer Coordinator will add your group to the system. Your members must select it during registration. At least 3 weeks before your volunteer day, the Volunteer Coordinator will send you a confirmation email with instructions for individuals to sign up. If we do not receive a reply within a week of the confirmation email, we reserve the right to schedule another group for that day. If any members of your group drop out, please contact the Volunteer Coordinator as soon as possible and have them un-register for the build day on VolunteerUp. We can usually work with a slightly smaller group. If you need to cancel, please let the Volunteer Coordinator know as soon as possible, and no less than three days ahead of time. All volunteers must be 16 or older to work on a build or repair site, or in the ReStore. Please ask the Volunteer Coordinator about projects for younger teens. Most groups provide their own lunches. Please speak to the Volunteer Coordinator about any issues concerning lunch plans. We usually schedule groups Wednesdays-Fridays, but there are exceptions. Our standard workday is 9:00 am-3:30 pm, unless we arrange otherwise with your group. If we have to cancel a workday because of weather or another emergency, the Volunteer Coordinator will contact you by 7:00 a.m. at the latest. All volunteers must sign a waiver of liability, available on VolunteerUp or at the end of this handbook, and bring it to the site. It is helpful if group coordinators collect the waivers ahead of time and give them to the site supervisor on arrival, so that the workday can begin on time. A sign-in sheet will be provided to your group upon arrival to the build site. All volunteers are required to sign in. We provide all tools and supplies, but volunteers are welcome to bring their own tool belts, hand tools, etc. We can’t wait to work with you! Email [email protected] or see the final page of this handbook for full contact information. 5 Volunteering as an Individual Individual volunteers are the backbone of our organization. Though we have many individuals who serve on the build site, we also have invaluable volunteers who work behind the scenes to make it all possible. From our Board of Directors, to our theme build task force members, to our office volunteers, local community members like YOU make Habitat successful! Volunteering on a Build Site We post all build days open to individual volunteers on the VolunteerUp calendar. They are usually on Fridays or Saturdays, but often vary. See page 9 for information about how to sign up for VolunteerUp. ALL volunteers MUST register for build days through this system. PLEASE include your email in your profile so you can receive important updates. When you register for any shift on VolunteerUp, you can access complete details (where to go, what time to be there, etc). You should always read the details carefully. Our usual workday is 9:00 am-3:30 pm. Bottled water and soda are always provided. We usually provide a pizza lunch, but will note on VolunteerUp if you need to bring your own lunch. We provide all tools and supplies, but you are welcome to bring your own tool belt, hand tools, drill, etc. We ask that you print and complete our liability waiver (located at the end of this handbook and on VolunteerUp) and bring it to the site, but we will also have copies available. If you cannot make it to a workday, PLEASE cancel your shift in VolunteerUp as soon as possible. If we need to cancel because of inclement weather or another emergency, we will email you as soon as possible, and no later than 7:00 am on the scheduled workday. All build site volunteers must be 16 or over. Volunteers ages 16-17 must have a waiver signed by a parent or legal guardian. HOME REPAIR PROGRAM: We often post openings for individuals on critical home repairs or A Brush with Kindness projects. Look for emails from the Volunteer Coordinator about these projects (requires that you have registered an email in your VolunteerUp profile). Experienced and dependable build site volunteers who are interested in a leadership role should ask the site supervisor about become a crew leader. These volunteers assist the site supervisor in leading tasks and guiding other volunteers. 6 Student Involvement Mary Washington Chapter This student group helps with Habitat projects and schedules their own events in support of our affiliate. They also offer a Habitat alternative spring break program for UMW students. Internships We offer several internships each semester. Most often, we are in need of interns in these general areas: Social Media PR Construction IT Resource Development Other Volunteer Opportunities Building is not the only way you can help at Habitat! Each home we build requires an incredible effort of fundraising, organization, and advocacy. Our Board of Directors and our governing committees are all volunteer-led. Experienced GFHFH volunteers who have shown exceptional stewardship to the organization may be asked to serve as members of these groups. Our Build Committee is very important to our mission. If you have experience and skills in contracting, sitework, plumbing, electrical work, green building, or related areas, you may be a great candidate for our Build Committee! Equally important are our Family Services volunteers, who work under our Family Services Coordinator to guide and support our partner families throughout the Habitat process. Several rewarding volunteer positions give you the opportunity to work directly with the individuals we serve. A social work background is preferred, but an attitude of understanding and professionalism is the most important quality for a Family Services volunteer. The Faith Relations Committee works to build and maintain GFHFH’s relationships with local houses of worship and religious groups. Our Resource Development team is crucial to making Habitat possible in Fredericksburg. All of our affiliate’s funds are raised locally, and as we continue to grow, we need creative ideas and dedicated volunteers to help bring in funds for more and more homes. The Thank You Team supports the Resource Development team’s efforts by sending personal thank you notes to our donors. They work to keep our donors engaged with Habitat so that their generosity will continue. Into social media or advertising? Our PR Team can always use talented individuals to help tell the world what we’re doing. Great PR is key to our mission. Our two theme builds, Women Build and Veterans Build, are led by volunteer task forces. They work hard to fundraise for these builds and publicize them to the community. With the help of additional volunteers, each task force ensures that the building of their home is successful, from the first dollar raised to the ribbon-cutting ceremony. If you’re interested in volunteering in a successful retail environment, consider helping at our ReStore. All the proceeds from the store fund GFHFH and its operations. Volunteers support resale efforts by serving in the areas of cashier/customer service, repair/maintenance, receiving, stocking/cleaning, and office support. ReStore volunteers must complete an orientation and must be 16 or older(sign up on VolunteerUp). Office volunteers perform a wide range of administrative tasks in support of Habitat's business responsibilities. Duties may include filing, answering phones, preparing mailings, or organizing materials for events. As an office volunteer, you are the face of Habitat to those who come through our doors. Finally, from time to time, we ask for volunteers to help with special events (fundraisers, special build weeks, community events) and necessary tasks. If you are interested in any of the committees above, email the Volunteer Coordinator ([email protected]). For all other opportunities, please sign up on VolunteerUp. Once you’ve registered in VolunteerUp, look for email updates about special/ upcoming volunteer opportunities! 7 Volunteer Expectations Greater Fredericksburg Habitat for Humanity (GFHFH) is committed to upholding safety, professionalism and ethics at all times. We expect our volunteers serving in all areas of the organization, including our build sites, to uphold this goal. Individuals must be 16 or older to work on build sites, in the ReStore, or on certain other projects. Volunteers under the age of 18 require a signed parental waiver and cannot use power tools. Failure to comply with any of the expectations set forth on this page may result in disciplinary action, up to and including suspension or immediate termination of volunteer activity. Disciplinary procedure: 1. Verbal or written warning 2. Suspension 3. Termination (In some cases, termination may be necessary immediately and will be the decision of your supervisor.) Volunteers must be honest, accountable, respectful, and punctual at all times. Volunteers must follow GFHFH guidelines for tracking volunteer hours and registering for shifts (please see VolunteerUp information on page 10). The following are strictly prohibited: Theft or unlawful removal of GFHFH property or any other property encountered while volunteering Lying or falsification of documentation Volunteering under the influence of alcohol or illegal drugs (includes prescription drugs that are not in your name) OR possession, distribution, sale, transfer, or use of alcoholic or illegal drugs while volunteering or operating Habitat-owned vehicles or equipment Violence or threats of violence, either physical or verbal Negligence or improper conduct leading to damage of GFHFH’s or another person's property Lack of respect for/refusal to heed instruction from GFHFH staff or leadership Violation of safety or health rules and ordinances Smoking in any Habitat buildings or vehicles Possession of dangerous or unauthorized materials Each volunteer is personally responsible for maintaining such a work environment free from discrimination. GFHFH prohibits any actions, harassment, words, jokes, or comments based on an individual’s sex, sexual preference, race, ethnic background, age, religion, physical condition, or other legally protected characteristic. Any conduct or action, whether overt or subtle, which creates an offensive or hostile work environment is prohibited and will be grounds for immediate disciplinary action. Anyone who feels they have been the victim of harassment or discrimination may report it to a GFHFH staff member without fear of retribution, and an appropriate course of action will be taken. GFHFH Volunteer Grievance Policy: 1. Attempt to discuss your grievance with your supervisor or committee chairperson and work out the problem. 2. If you are unsatisfied, submit in writing your complaint to your supervisor or committee chairperson. 3. The supervisor or committee chairperson should respond within five days. 4. If you are not satisfied within 10 days of your written complaint, you may appeal by submitting your written complaint to the executive director (or if the complaint is with the executive director, then to the president). 5. The executive director or president should respond within five days. 6. If you are unsatisfied, you may ask that your written complaint be taken to the executive committee of the board. Within 30 days the executive committee will act on your grievance, affirming or denying your request, choosing to investigate further, or choosing to take the matter to the entire board. The executive committee’s decision is final. CONTINUED ON PAGE 9 8 Volunteer Expectations, cont. Volunteers are expected to arrive in appropriate clothing for the occasion. If you arrive at a build site or function with inappropriate attire, we may ask you to return home to change. While volunteering, please do NOT wear: Excessively loose or baggy clothing Excessively short skirts/shorts No offensive clothing (including, but not limited to T-shirts with cuss worlds, nudity or reference to drugs or alcohol) Clothing should not be excessively short, low cut, or sheer Expectations Specific to Office Volunteers: Office volunteers must adhere to a business casual dress code. In addition to observing the above requirements, we ask that you refrain from wearing sweatpants, exercise pants, shorts, or flip-flops. Jeans in good condition are acceptable. Expectations Specific to the Build Site: The site supervisor (or, in their absence, the GFHFH staff member or volunteer leading the project) has ultimate authority on any work site, and may ask any volunteer who is detracting from the safety or efficiency of the project to leave. Remember to include an email address so you can receive important updates, like weather cancellations and new opportunities. 6. If applicable, select your group during registration. 7. You may now view the calendar and sign up for volunteer shifts! 9 Please note: You must sign up on VolunteerUp before each and every volunteer shift you work. We may ask you to fill out a paper signin sheet when you arrive. This is for verification purposes and does not take the place of an online registration. The only exceptions are committee meetings and other events for which no registration is available on VolunteerUp. For these events, a sign-in sheet will be provided and hours will be recorded by the Volunteer Coordinator. Accurate headcounts and tracking of volunteer hours are key to the success of our programs. Many volunteers also find it helpful to be able to access an accurate log of their hours online, for their own purposes. If you experience issues with VolunteerUp, let your supervisor or the Volunteer Coordinator know as soon as possible, and we will be happy to assist you! Thank you for your cooperation! This Release and Waiver of Liability (the “Release”) is executed on this _____ day of _______________, 20___, by __________________________, (the “Volunteer”), in favor of Greater Fredericksburg Habitat for Humanity, and any other Habitat for Humanity affiliated organization, and their respective directors, officers, trustees, employees, volunteers and agents (collectively, the “Released Parties”). I, the Volunteer, desire to work as a volunteer for one or more of the Released Parties and engage in the activities related to being a volunteer ("Activities"). I understand that my Activities may include but are not limited to the following: working in Habitat for Humanity offices or Habitat for Humanity ReStore operations; traveling to and from work sites, towns, cities or countries; consuming food available or provided; living in housing provided for volunteers; constructing and rehabilitating residential buildings; and other constructionrelated activities. I, the Volunteer, hereby freely, voluntarily and without duress execute this Release under the following terms: Release and Waiver. I, the Volunteer, do hereby release and forever discharge and hold harmless the Released Parties and their successors and assigns from any and all liability, claims and demands which I or my heirs, assigns, next of kin or legal representatives may have or which may hereinafter accrue with respect to any bodily injury, personal injury, illness, death or property damage which arise or may hereafter arise from or is in any way related to my Activities with any of the Released Parties, whether caused wholly or in part by the simple negligence, fault or other misconduct, other than intentional or grossly negligent conduct, of any of the Released Parties or of other volunteers. I understand and acknowledge that by this Release I knowingly assume the risk of injury, harm and loss associated with the Activities. I also understand that the Released Parties do not assume any responsibility for or obligation to provide financial assistance or other assistance, including but not limited to medical, health or disability insurance in the event of injury, illness, death or property damage. It is the policy of Habitat for Humanity that children under the age of 16 are not allowed on Habitat for Humanity worksites while construction is in progress. It is further the policy of Habitat for Humanity that, while minors between the ages of 16 and 18 may be allowed to participate in construction work, using power tools, excavation, demolition, working on rooftops and similar activities are not permitted for anyone under the age of 18. Medical Treatment. I, the Volunteer, do hereby release and forever discharge the Released Parties from any claim or action whatsoever which arises or may hereafter arise on account of any first aid, treatment or service rendered in connection with my Activities with any of the Released Parties. If the Volunteer is less than 18 years of age, the Volunteer and the parents having legal custody and/or the legal guardians of the Volunteer (the “Guardians”) also hereby release and forever discharge the Released Parties from any claim whatsoever which arises or may hereafter arise on account of the decision by any representative or agent of the Released Parties to exercise the power to con12 sent to medical or dental treatment as such power may be granted and authorized in a Parental Authorization for Treatment of a Minor Child. Assumption of the Risk. I, the Volunteer, understand that my Activities may include work that may be hazardous to me, including, but not limited to, the following: construction; loading and unloading; travel to and from the work sites; and exposure to lead, asbestos, and mold, which may cause or worsen certain illnesses, especially if I do not wear protective equipment, am exposed for extended periods of time, or have a pre-existing immune system deficiency. I also understand there is some inherent risk in consuming local foods and living in local accommodations in the city(ies) or country (ies) visited. I further understand I may be traveling to and from locations where there is a risk of terrorism, war, insurrection, criminal activities, inclement weather or other circumstances that could threaten my health or safety. I also understand that it is the policy of the Released Parties to not pay ransom or make any other payments to secure the release of hostages. I hereby expressly and specifically assume the risk of injury or harm in the Activities and release the Released Parties from all liability for any loss, cost, expense, injury, illness, death or property damage resulting directly or indirectly from the Activities. Insurance. I, the Volunteer, understand that, except as otherwise agreed to by the Released Parties in writing, the Released Parties are under no obligation to provide, carry or maintain health, medical, travel, disability or other insurance coverage for any Volunteer. Each Volunteer is expected and encouraged to obtain his or her own health, medical, travel, disability or other insurance coverage. Photographic Release. I, the Volunteer, do hereby grant and convey unto Habitat for Humanity International, Inc., all right, title and interest in any and all photographs and video or audio recordings of or including my image or voice, made by any of the Released Parties during my Activities with the Released Parties, including, but not limited to, the right to use such photographs or recordings for any purpose and to any royalties, proceeds or other benefits derived from them. Other. I, the Volunteer, expressly agree that this Release is intended to be as broad and inclusive as permitted by the laws of the state where the Activities take place. I further agree that in the event any clause or provision of this Release shall be held to be invalid by any court of competent jurisdiction, the invalidity of such clause or provision shall not otherwise affect the remaining clauses or provisions of this Release, which shall continue to be enforceable. Further, a waiver of a right under this Release does not prevent the exercise of any other right. To express my understanding of and agreement with this Release, I sign here with a witness. If only one parent or guardian executes this Release on behalf of a Volunteer who is under 18 years of age, then the undersigned parent or guardian of the Volunteer hereby covenants, warrants, represents and agrees that he or she is executing this Release on behalf of, and as an agent for, any other individual who may be a parent or guardian of the Volunteer, and that by executing this Release, the undersigned is binding himself/herself, the Volunteer, and any other parent or guardian of the Volunteer, and all of their heirs, executors, personal representatives, assigns and estates to this Release.
