A DataGlyph™ appears as a grey bar with a series of lines on the Cover Sheets. It represents the file locations of documents on your network, and gives instructions on what to do with documents. The data is then sent to the FlowPort server, which distributes paper or stored documents by e-mail, Internet fax or remote printing. Xerox FlowPort™ software helps your organisation thrive in today’s fast-paced, networked world by improving your control over the knowledge contained in paper and digital documents. Through cost containment, enhanced knowledge sharing and work process acceleration, FlowPort can have a significant impact on the way you do business. There is no such thing as a “paperless office”. In fact, more paper documents are being produced at a faster rate than ever before. Yet knowledge is shared more easily and efficiently when it is electronic – not in paper form. What your business needs is a way to move between paper and digital information quickly and smoothly, without wasted time or energy. Digital Documents E-mail Xerox FlowPort™ software helps eliminate bottlenecks associated with paper-intensive business processes. FlowPort uses your current network office equipment such as Xerox Document Centres and Internet Fax devices to merge paper documents into e-mail, workflow, and document management systems. Document Management X marks the spot Paper commands document routing and retrieval. FlowPort converts paper to digital information and processes data with check-box, green-button simplicity: – Route documents anywhere on the network by marking checkboxes on FlowPort’s inexpensive, easy-to-use interface – PaperWare Cover Sheets. – Combine Cover Sheet and documents. – Scan to FlowPort via network scanners or Internet Fax devices. – Documents, and the knowledge they contain, are then instantly available, without transportation delays or fees. – Retrieve documents from repositories supported by FlowPort from anywhere in an enterprise using PaperWare Document Tokens and Document Catalogs. – Both scanned and electronic format documents can be retrieved. Electronic format documents (e.g. *.doc and *.ppt) can be retrieved and routed to e-mail, printers – to all FlowPort document destinations using a PaperWare Cover Sheet. FlowPort interprets cover sheets and routes documents to e-mail, remote printers, document repositories and applications. Scanned Cover Sheets, Document Tokens and Document Catalogs command FlowPort to retrieve and route digital documents. Converting digital documents into paper enables comfortable human interaction, review and annotation. – Converts scanned documents into a variety of digital formats (e.g. PDF image, searchable PDF, RTF and many others) using OCR. – Sends documents via e-mail. – Stores documents in repositories. – Processes documents and metadata with custom applications. Scanning converts paper documents to weightless digital bits that travel the network at Internet speed to be stored, routed, reproduced and interpreted by FlowPort. FlowPort confirms the successful completion of document routing and advises of failures too – printed or via e-mail.
