Key to Successful School Contacts ü It is important to discuss at all conferences that classroom communication is an important part of the student’s academic success. ü Distribute new school release forms at the beginning of each school year. For example, we will send out the release forms with our September newsletter that is mailed at the end of August. ü Discuss teacher contact at each conference. A release must be filled out even if the parent chooses no contact to be made so that we have it on file. ü Try to complete all first conferences at the school. The more opportunities we have to be at the school for our students the better. ü All attempts of communication are documented in Symp. under appointment tab – new school conference as are all teacher contact notes. ü Building relationships with classroom teachers can lead to opportunities to work with key players at the school. ü Decide whose role it is at your center to oversee and complete the teacher contacts and hold them accountable each month. Continual Follow – Up System ü 1st of month Active Student list is printed ü Email is sent out to all teachers to “check in” on how student is doing then student is checked on list ü If no response by week 2, 2nd email sent, student receives another checkmark. ü Highlight student when response is received ü If no response from teacher after second email, decide if parent communication needs to happen ü Repeat procedure each month School Contacts Ideas Ø Develop teacher email to be reused Ø Make teacher goody bags ahead of time Ø Have a thank you already written so as you leave the school you can ask to have it placed in the teacher mailbox Ø Wear Sylvan apparel and name tag to all school visits Ø Leave a goody for front office Ø Email principal and vice principal periodically to share success stories of their students at Sylvan Ø Always leave coupons for teachers to give out to other students Ø Leave a Sylvan packet with coupons with guidance Ø Sylvia the Fairy Godmother Sylvia the Fairy Godmother! The school secretary is the recipient and she is asked to get the principal’s permission to duplicate and distribute them. These forms are also given to each teacher at a teacher visit. It basically asks the teacher to let Sylvan know of a $50 to $100 classroom wish that they have. We select several each month, contact the principal to ask permission to come in person to a faculty meeting to present the wish in person. This gets us into the schools where we can present a little about Sylvan, as well. We show up with the wish wrapped and as a surprise for the teacher. Utilizing a glittery fairy wand at the presentation really enhances the presentation. Back to School Marke5ng Ideas Teacher of the Week – • Partner with radio sta5on • Teachers are nominated through radio sta5on and Sylvan center. • Winners are announced on radio • Goody bag is dropped off to teacher by Sylvan staff member We’re on EVERY teachers’ desk! • Desk Calendars – 1700 calendars delivered – Schools call to ensure delivery! – We stuff boxes with GOL – We are strategic about who delivers!
