El Caballero Country Club Event Director will:
Recommend special event professionals to provide wedding coordination, music, flowers,
photography, and other wedding services
Act as menu consultant for all food and beverage selections
Detail your banquet event order and wedding outlining all of your event specifics, and ensure that it is
communicated flawlessly to the operational team of the Club
Create an “estimated bill” outlining your financial commitments
Create a letter of agreement confirming the date and outlining the details of the event
Arrange and attend your menu tasting
Personally oversee the details of the event
Oversee the ceremony and reception set-ups, food preparation and all other operations
Be the on-site liaison between your wedding coordinator and operations staff
Ensure a seamless transition to the Club’s banquet managers
Your Hired Professional Wedding Coordinator will:
Assist with etiquette and protocol for invitations, family matters, ceremony and reception
Create a timeline for your wedding day, including the ceremony and reception
Work with you to organize and coordinate your ceremony rehearsal. Remind bridal party of all
pertinent “call times”, and “don’t forgets”, on the day of the wedding
Confirm call times and details with all vendors several days prior to the day of the wedding
Be the liaison with your family, bridal party, band/DJ, florist, photographer and other vendors to create
a seamless operation
Provide the guest count and quantity of entrées at each table if multiple entrees are selected
Assist you with your gown, and any additional needs of the bridal party
Ensure the ladies have their corsages and bouquets, etc., and assist with the pinning of the men’s
boutonnieres
Set up ceremony programs, place cards, guest favors, guest book, champagne flutes, and any other
personal items
Please review the attached list of preferred vendors. Should you decide to retain the services of a party planner other than those listed, El Caballero Country Club will require two letters of recommendation from
equally reputable venues. Country Clubs are preferred.

Function Services and Information
Catering
All food and beverages must be supplied, prepared and served by El Caballero Country Club. Menus and decorations for special
events can be custom tailored by our Clubhouse Manager.
Pricing
Please refer to our menu selections. Menu prices are based on a minimum of three (3) courses for luncheons and evening events.
Prices are subject to change with guaranteed pricing ninety (90) days prior to the function. All food and beverage prices are subject
to a 20% service charge and prevailing California State Sales Tax.
Alcoholic Beverages
The sale and service of all alcoholic beverages is regulated by the California State Liquor Commission. El Caballero Country Club is
responsible for administration of those regulations. No alcoholic beverages may be brought into the Club for a banquet function. The
Club reserves the right to refuse to service to any member or guest of the Club. We urge you not to mix drinking and driving.
Guaranteed Guest Count
A minimum guarantee of attendance is due by 12:00 noon five (5) days in advance of your event. You will be charged for the minimum guarantee or the number of guests served, whichever is greater.
Deposit
A $6,000.00 deposit, $3,000.00 of which will be credited towards the cost of your function, is required to confirm your date. We
require that 100% prepayment of estimated charges for food, service and tax be received 48 hours prior to the function date. Any
charges above the estimate plus beverages will be billed after the event.
Security
El Caballero Country Club shall not assume responsibility for damage or loss of any merchandise or articles brought in the Club.
Security officers must be arranged through the Club’s catering office.
Deliveries
Packages for events may be delivered to the Club three days prior to the function. All items must be delivered through our receiving
area. No deliveries will be permitted through any public entrances to the Club.
Rates
For private parties requiring re-opening of the Club, there will be a minimum charge of $15,000.00 for food and beverage.
A $3,000.00 opening fee is required, which is included in the total deposit of $ 6,000.00. ($3,000.00 will be credited toward
the cost of your event.)
A cake service charge of $4.00 per person will be charged when providing your own cake.
A corkage fee of $15.00 per 750 ml bottle of wine and champagne will be billed when you bring in your own bottles.
An additional labor fee of $150.00 will be charged if host provides chairs for all or any part of the dining room.
An additional labor fee of $400.00 will be charged if host provides tables and chairs or alternate seating for all or any part of the
dining room.
Ceremony charge is $1,200.00 including chairs for outside ceremony. Inside ceremony is $1,000.00.
All parties lasting past 12:00 a.m. will be billed a labor charge of $500.00 per 1/2 hour.
All current sales taxes will be added to your bill. A service charge of 20% will be added to your bill.
A charge of $10.00 per waiter, waitress or bus person for white glove service, per each course served
Three (3) security officers at $ 200.00 each are required for children’s events and one (1) guard is required for all other events.
Cloakroom attendant is $100.00 (optional).
