Business Trade Show - September 10 – 11, 2013
New Braunfels Civic/Convention Center
The theme for the 25th annual Business Trade Show is “25 Years of Business Success”, the Silver Anniversary show.
Booth drapery colors are black, white and silver. Dividers between booths are black. Table skirts are silver. Exhibitors
are not required to decorate their booth in the theme of the Show or to decorate at all. However, there is a best decorated
booth contest with awards for 1st, 2nd and 3rd places. Awards will be presented to both large and small businesses at the
Sneak Preview. Judging for best decorated booth will take place following the Ribbon Cutting/Opening Ceremony. If
your exhibit booth workers are part of your “decoration,” make sure they are in your booth during the judging period.
Please read Business Trade Show Rules and Regulations. The Business Trade Show reserves the rights to ensure that all
exhibitors abide by the rules of the Show, for the safety and enjoyment of all exhibitors and attendees.
The Booth Selection/Registration Contract required exhibitors to initial by Rule #8 Installation and Removal – Exhibit
booths shall be set up and removed according to the schedule set forth by the Business Trade Show. Booths shall remain
intact until close of the event, when dismantling may begin.
Access to the Civic/Convention Center will be at 8:00 a.m. on Tuesday, September 10 for set-up. Bring your own
handcart or dolly to transport your booth supplies. Handcarts or dollys will not be available at the Civic/Convention
Center. Bring a power strip and electrical cord if you require electricity at your booth. Wireless internet is available.
Booth set-up must be completed by 4:00 p.m. for cleanup.
FOR BOOTH SET-UP AND TAKE-DOWN, EXHIBITORS SHOULD ENTER AND EXIT FROM THE LOADING
DOCK OR SERVICE DOOR NEXT TO THE LOADING DOCK OR THE FRONT DOORS – ALL ON CASTELL
AVE. IF YOU USE THE LOADING DOCK AREA, PLEASE UNLOAD YOUR VEHICLE AND MOVE YOUR
VEHICLE TO ALLOW OTHER EXHIBITORS ACCESS. BRING YOUR OWN HAND CART OR DOLLY TO
BRING YOUR BOOTH SUPPLIES. IF YOU HAVE EMPTY CARDBOARD BOXES AS YOU SET UP YOUR
BOOTH, PLEASE FLATTEN BOXES AND TAKE TO THE DESIGNATED AREA ON THE LOADING DOCK.
PLEASE DON’T FILL TRASH CANS WITH BULK TRASH. THANK YOU FOR YOUR COURTESY.
IF YOU PLAN ON GIVING AWAY OR SELLING SAMPLES OF FOOD OR BEVERAGES, PLEASE SEE THE
TEMPORARY FOOD CONCESSION PERMIT APPLICATION ENCLOSED. PLEASE CONTACT THE CITY
HEALTH DEPARTMENT AT 830-221-4070 WITH YOUR QUESTIONS.
Parking for exhibitors and attendees are in the two City parking lots on Castell Ave. and Garden St. First Protestant
Church has also made their parking lot on Seguin Ave. & Coll St. available.
Door prize giveaways are another way to attract individuals to your booth (but is not required). You will need to provide
registration forms at your booth (many attendees will use a business card to register). This will give you an opportunity
to obtain names for leads and mailings. You may also consider a unique exhibit, giveaway or activity in your booth to
further assist in attracting potential customers. Policy has been set by the Steering Committee that children under the age
of 18 will not be allowed to register for prizes, nor should they take give-away items from booths.
Businesses are encouraged to participate as a silent auction donor. This is another great way to advertise your business.
The silent auction will open and close at the Sneak Preview. High bidders will be named before the show closes at 9:00
p.m.
Ribbon Cutting/Sneak Preview/Opening Ceremonies will begin at approximately 5:50 p.m. You are encouraged to
participate in the Ribbon Cutting. The Ribbon Cutting will include Chamber Blue Coats, BTS Committee members,
Exhibitors & special guests-Chamber member businesses in business 25 years or more. A special photo op and
commemorative plaque will be given to special recognition guests.
As an exhibitor, you receive some show tickets. If you don’t have enough for all of your workers, you will need to
purchase additional tickets. Sneak Preview tickets must be ordered no later than Friday, August 30 at noon.

The Sneak Preview Grand Door Prize will be awarded between 8:00 and 8:30 p.m. The person who’s name is on the
Sneak Preview ticket that is drawn, must be present to claim the prize. The Sneak Preview Grand Prize is sponsored by
WELLS FARGO BANK.
Meeting Rooms 101-103 will have seating available during Sneak Preview.
The Civic/Convention Center will open at 10:00 a.m. on Wednesday, September 11, for exhibitors to re-setup their
booths. You will not be able to enter until 10:00 a.m.
Exhibits open at 11:30 a.m. All exhibitors are to have their booths open by 11:30 a.m. when the doors open to the Exhibit
Hall and Ballroom to the public.
A complimentary lunch, provided by New Braunfels Smokehouse, will be served at Noon. Tables & chairs for seating
will be available in the Seguin Ave. lobby and in Meeting Rooms #101-103 at the Day Show.
A Discussion Panel Seminar is scheduled at 1:30 PM in Meeting Rooms 104-105 (across from the exhibit hall).
The topic is “Silver Lining Successes”. You’ll hear from 5 local Chamber business owners who have succeeded in
business 25 years or more. Hear their personal stories that could benefit your business. Questions will be encouraged
from the attendees. A door prize will be drawn at the conclusion of the Discussion Panel Seminar at 3:00 p.m.
Encourage your staff, customers and the general public to attend the Discussion Panel Seminar when they attend the Day
show.
Entertainment and refreshments are planned for Happy Hour from 5:00-6:30 p.m.
The Day Show Grand Door Prizes will be awarded at 6:25 p.m.


NB MATTRESS donated a 2013 Simmons Beautyrest Classic Luxury Pillowtop Queen Set.
A Day Show ticket gets attendees into all of the activities from 11:30 a.m. to 6:30 p.m. We encourage you to purchase
additional tickets for your clients to help increase attendance and to make the show bigger and better. Day Show tickets
are $5 in advance. What a great way to thank customers for their business or to thank employees for a job well done.
All exhibits must be moved out on Wednesday beginning at 6:30 pm.

Braunfels Chamber of Commerce, Inc. and the Business Trade Show and their agents from any and all liabilities to applicant, its
agents, licensees, or employees that may arise or be asserted as a result of submission of an application or of participation in this
exhibit. The Business Trade Show determines the eligibility of any company or product for exhibit.
This application for space (when endorsed by the Business Trade Show with notice of space assignment) constitutes a
contract for the right to use the space. Should space remain unoccupied at the opening of the exhibit, the Business Trade Show may
rent or use it without obligation or refund. Should it be necessary to cancel assigned space, a full refund will be made if written
cancellation notice is received by the Business Trade Show not later than thirty (30) days before the start of the Show. In addition, the
Show reserves the right to cancel said show and refund all monies.
2. ARRANGEMENT OF BOOTHS - Each exhibit must be designed to face the aisle relating to the numbering of the booth.
Exceptions to this may be allowed only where multiple booths are occupied. Exhibitors may not project beyond their booth space.
Aisles are under control of the Business Trade Show and may not be used for exhibits, demonstrations or the distribution of
literature, souvenirs or samples.
3. USE OF EXHIBIT SPACE - No exhibitor may sublet, assign or apportion any part of the space allotted or any furniture,
decoration materials, electric or other services provided by the Business Trade Show, or represent, advertise or distribute literature,
souvenirs or samples for the product or services of any other firm or individual except as approved in writing by the Business Trade
Show.
In addition, individuals attending the Show may not represent, advertise or distribute literature souvenirs or samples for the
product or services of any other firm except as approved in writing by the Business Trade Show.
4. RESTRICTIONS - The Business Trade Show reserves the right to restrict exhibits which, because of noise, method of
operation, or any other reason, become objectionable or otherwise detract from or are out of keeping with the character of the Business
Trade Show as a whole.
5. CONDUCT - Exhibitors operating any electronic equipment or any other noise-creating devises must do so only at a level
that will not interfere with other exhibitors or add unduly to general acoustic inconvenience, or the Business Trade Show may require
discontinuance of their use.
6. FIRE, SAFETY AND HEALTH - All decoration materials must be flame retardant, and conform with City of New Braunfels
Fire Department requirements. Confetti, glitter, rice or birdseed is not allowed. Loading and unloading is allowed in designated areas.
If this will require a handcart, please provide one. Each exhibitor assumes full responsibility for its compliance with local, city, state and
federal ordinances, laws and regulations respecting fire safety, and health, and regulations.
7. LIABILITY AND INSURANCE - Neither the Business Trade Show nor The Greater New Braunfels Chamber of Commerce,
Inc. assumes any liability whatever for loss or damage, through any cause, of goods, exhibits or other materials owned, rented or
leased by the exhibitor. If insurance is desired, it must be placed by the exhibitor. The exhibitor shall indemnify the Business Trade
Show and The Greater New Braunfels Chamber of Commerce, Inc. and hold them harmless from any complaints, suits or liabilities
resulting from the negligence of the exhibitor in connection with the exhibitor's use of display space.
8. INSTALLATION AND REMOVAL - Exhibit booths shall be set up and removed according to the schedule set forth by the
Business Trade Show. Booths shall remain intact until close of the exhibit when dismantling may begin.
9. INTERPRETATION AND ENFORCEMENT - These Rules and Regulations become a part of the contract between the
exhibitor and the Business Trade Show. The Business Trade Show has full power of interpretation and enforcement of these Rules
and Regulations. All matters in question covered by these Rules and Regulations are subject to the decision of the Business Trade
Show, and all decisions made shall be binding on all parties affected by them as by the original regulations. Exhibitors or their
representatives who fail to observe these conditions of contract or who, in the opinion of the Business Trade Show, conduct themselves
unethically, may be dismissed from the exhibit without refund or other appeal.

(10) consecutive days in conjunction with a single event or celebration. IT IS THE RESPONSIBILITY OF THE

VENDORS
The following requirements are based upon the Texas Food Establishment Rules. The event organizer and the
individual concession operator are responsible for adhering to these requirements at all times.
Critical operational requirements:
Failure to comply with the following rules will result in immediate closure. Closure will be in effect until all
items are corrected.
1. Keep potentially hazardous foods below 41o F or above 150o F. All foods shall be initially cooked/heated
above their minimum cooking temperatures. A temperature above 175 o F. for most hot foods should be
sufficient.
2. Leftover food shall not be reused. During multiple day celebrations, each concession shall begin with new,
fresh product.
3. Hand washing station required. A water container must be designed with a spigot that allows the user to
wash hands freely without continuously depressing the spigot or tilting the container. Following
handwashing, gloves or a hand sanitizer shall be used when handling foods.
4. Provide utensil washing if food preparation involves utensils. Provide 3 basins if no permanent facilities are
on site. First basin is for washing and has detergent wash water only. The center basin is for rinsing and
has only clean water (replaced as needed). The last basin is for soaking utensils for 1 minute in a sanitizing
solution of 50-100ppm chlorine (1½ teaspoons bleach per gallon of clean water). Dry utensils in the air, or
with paper towels only. Remember proper sequence: WASH, RINSE, SANITIZE.
5. Utilize fuel or electricity for hot holding units. Insulated containers with no active source of heat are
unacceptable. Sterno is not permitted for outdoor events. Electric roasters or crock-pots shall be employed.
All electrical connections shall be through outdoor rated equipment and shall be circuit breaker protected.
6. Mechanical refrigeration will be required for multiple day events. Small amounts of food may be held within
ice chest, which are constantly draining. Mechanical refrigeration shall be employed for bulk storage.
Operational requirements:
1. Monitor food temperatures with a metal stem-type thermometer. Thermometers should have a range of 0 o
220 F. Thermometers should be cleaned and sanitized between uses.
2. Use only cutting boards, utensils, equipment, food preparation and serving surfaces that are constructed of
smooth and easily cleanable materials. Clean and sanitize these items frequently during the event.
3. Use a set of utensils and surfaces to prepare raw or partially cooked foods, which are separate from the
utensils and surfaces used to prepare fully cooked foods.
4. Test sanitizing solutions with chlorine test papers. Sanitizing solution must be kept between 50-100ppm
chlorine. Test papers can be found at restaurant supply houses.
5. Use spray bottles or sanitizing solution buckets with paper towels to frequently wipe counters and spot clean
equipment.
6. Store ice for drinks or consumption in their original bag in an ice chest during service. Ice bags shall be
punctured underneath to allow drainage and slit on the top to allow dispensing. Consumers shall not
dispense their own ice for drinks. Ice shall be dispensed with scoops with handles. Nothing other than the
scoop shall be stored in drink ice.
7. Protect all food, utensils and paper goods from exposure to dirt, dust, and insects. These items must be
kept covered or wrapped to minimize exposure to potential contaminants. Keep cups wrapped in their
original plastic sleeves until dispensed.

8. Provide only condiments that are individually packaged or dispensed from an approved covered container.
Foil, plastic wrap, etc. do not provide adequate protection for bowl type dispensers. Use pump-type
condiment dispensers.
Structural requirements/operations:
1. Collect drainage from ice bins, ice chest, beverage dispensers, handwashing, utensil washing, and similar
equipment in buckets or pans for disposal in an approved location. .
2. Provide covered garbage containers with plastic liners.
3. Provide floor covering if your booth is not set up on asphalt or concrete. Flooring must be present in cooking,
serving, food preparation, and utensil washing area. Approved floor coverings are concrete, asphalt,
plywood, linoleum, or a surface approved in advance by the Health Authority.
4. Provide overhead covering above food preparation, cooking, serving, and utensil washing areas.
5. Service tables must be skirted to the ground, if supplies are stored beneath.
6. Restrict public access to sides and rear of food booth, and no food production or dispensing shall occur at
front of food booth.
7. Each concession must have an approved fire extinguisher.
8. Electric fans may be used for fly control if necessary.
9. A minimum of 10’ separation between heat producing sources and combustibles is required. All pits or other
approved heat sources must be restricted from public access. No open faced grills or pits are permitted.
10. Screening on 3-sides with plumbed running water to three compartment sink or three wash basin is required
for extensive on-site preparation; e.g., slicing, dicing etc.
FOOD PREPARED OUTSIDE THE FOLLOWING PARAMETERS MAY BE DETAINED/OR DISCARDED.
1. SERVE ONLY FOODS REQUIRING MINIMUM PREPARATION SUCH AS SEASONING, FOLLOWED BY COOKING; NO FOODS
INVOLVING EXTENSIVE PREPARATION WITHOUT PROPER REQUIREMENTS SHALL BE PERMITTED OUTDOORS.
2. UNAPPROVED FOODS AND/OR UNCONFIRMED FOOD SOURCE PRODUCT SHALL BE DESTROYED/PROHIBITED.
3. HOME PREPARATION OF ANY PRODUCT IS PROHIBITED.
SAMPLER REQUIREMENTS: No fee assessed if applicant can comply with the following regulations:

Gloves shall be worn at all times and changed in between different applications when handling any “ready-toeat” food products offered to the public.

A liquid hand sanitizer shall be provided and used for hand disinfection by food handlers.

Only non-potentially hazardous foods, which are served by & under the control of vendor personnel, are allowed.
Product shall not be left unattended if accessible to the general public.

Sliced fruits and/or vegetables are prohibited for sampling, as are home baked goods.

Reconstituted foods are prohibited; products such as dips or “reconstituted” condiments and/or sauces shall
not be offered.

No open, unmonitored, or unprotected trays or serving bowls may be used. Covered “domes” or other similar
protective appliances may be utilized for product sampling.

Public self-serve of product from communal trays and/or basins is not acceptable. Viral & bacterial crosscontamination is the issue.
 Only single service wares may be utilized; cups, spoons, etc. shall be disposable and must be kept in a
protected location.
