Checklist to Prepare for State Leadership Conference


















Set chapter deadlines for registration and payment
Determine student cost to attend with your chapter, including registration fees, lodging, meals,
travel, etc.
Provide students with necessary conference information, including cost
Send a letter to parents with event details
Discuss dress code requirements with students
Collect student payment before registration deadline
Register all students, advisers, chaperones for the conference by the deadline
Print e-mailed invoice and check, double-check, triple-check for accuracy
Submit invoice to bookkeeper for payment
Mail conference payment to Georgia FCCLA
Book hotel rooms
Follow the deadline checklist for all State Leadership Conference forms
Review State Leadership Conference tentative agenda with attending members
Ensure proper dress attire is packed with students before departure
Ensure all Multiple Release Forms are properly completed, bring copies with you to State
Leadership Conference in a large envelope with certification form (Appendix B) on the outside
Sign up for Emergency Notification System (Remind)
Have all attendees follow and like Georgia FCCLA on social media sites to receive conference
updates and emergency information during the conference
Discuss National Leadership Conference information with students, so they are prepared if they

General Information
State Leadership Conference Description: While attending the Georgia FCCLA State Leadership
Conference, students will have the opportunity to expand their leadership potential and develop skills
for life planning, goal setting, problem solving, decision making and interpersonal communication
necessary in the workforce. Activities at the conference will include personal and professional
development workshops, competitive events and motivational general sessions.
Objective: To provide a learning environment that challenges FCCLA members’ intellectual potential;
nurtures personal development through the teaching of leadership skills and community values; and
prepares them to pursue their goals, live a healthy life, and be responsibly, involved citizens.

All affiliated, paid FCCLA members are eligible to attend the State Leadership Conference. Chapter
advisers, parents, alumni, local administrators, teacher educators or others are eligible to attend. Every
person attending the State Leadership Conference MUST be registered and paid and have a name badge
to enter any session.
Chaperone Ratio
A ratio of one adult for every members is recommended. A male chaperone is required for male
students. When attending Georgia FCCLA conferences and events, advisers are expected to provide
adequate supervision for his/her students. All chaperones must follow the Georgia FCCLA code of
conduct. Chaperones are expected to attend all workshops or meetings with the members and advisers.

Hotel Registration Deadline: March 3
Lodging arrangements are the responsibility of each individual chapter. Listed below are the Athens
hotels that have blocks of rooms reserved for the State Leadership Conference. These rooms are
available on a first come, first served basis. Contact the hotel directly and make a reference to Georgia
FCCLA to receive the special rates. Tax exempt should be discussed while booking rooms to confirm the
process with the hotel. No transportation will be provided by Georgia FCCLA.
Do not forget to tell your delegates about the additional costs incurred by making local/long distance
telephone calls from a hotel. Members should also be informed about movie costs, room service and

FCCLA Dress Code
FCCLA members are expected to display a professional image at all functions. Members should always
be respectful to administrators, exhibitors, parents, advisers and other members. Advisers will ensure
that students look professional and in appropriate attire at all times. Students in inappropriate clothes
will be asked to change clothes before returning to the meeting.

**Advisers and guests are encouraged to follow the dress code. However, business casual attire is
appropriate. Blue jeans and beach footwear are not appropriate attire.
Inappropriate Attire
The following should not be worn to any FCCLA activity, including in hotel hallways and lobby:
 Clothing and accessories which are sexually suggestive, which advertise drugs, alcohol or
tobacco products or display profanity.
 See-through, tight fitting, spaghetti straps, strapless, extremely short or low-cut
blouses/tops/dresses/skirts.
 Pants or skirts that are worn below the hip bone; no undergarments may be showing.
 Spandex, leggings, stirrup pants, leotards, short shorts, cutoffs or pajamas. If leggings are worn,
shorts/skirt/dress must be an appropriate length over the leggings.
 Clothing which is stained, torn or ripped.
 Bare feet
FCCLA Code of Conduct
FCCLA members and advisers should follow the following guidelines while attending a Georgia FCCLA
sponsored event:
1. Behavior at all times should be such that it reflects a positive, professional image of you, your
chapter, your state and the organization.
2. Delegates shall keep their adult advisers informed of their activities and whereabouts at all
times.
3. Local advisers will be responsible for their delegates’ conduct.
4. Delegates will attend all general sessions, workshops and activities.
5. Delegates will be prompt and prepared for all activities.
6. Identification badges will be worn at all times except when outside the hotel or meeting area.
7. The dress code will be enforced at all times. (The Dress Code is listed in the Adviser Guide.)
8. Any accidents, injuries or illnesses should be reported to the adult chaperone or state adviser
immediately.
9. All delegates will observe the curfew set by the State/National Office.
10. Delegates will spend the night at the assigned hotel and in their assigned room. They will be
quiet at curfew.
11. Delegates are not permitted in sleeping rooms with members of the opposite sex, unless
accompanied by an official chaperone.
12. Inappropriate physical conduct is not allowed and will be subject to disciplinary action.
13. No student shall leave the hotel unless accompanied by his/her adviser or chaperone.
14. If a student is found responsible for stealing or vandalism, the student and his/her
parents/guardians will be expected to pay all damages.
15. Delegates attending the FCCLA Conference may not purchase, possess, consumer or be under
the influence of alcohol or illegal drugs at any time. Violators will be subject to disciplinary
action.
16. Smoking, or the possession of tobacco, is not allowed.
17. Delegates violating or ignoring any of the conduct rules will subject their entire chapter
delegation to being unseated and their candidates or competitive events contestants (if
applicable) being disqualified. Individual delegates who disregard the rules will be subject to
disciplinary action and be sent home at their own expense. In the case of student delegates,
parents/guardians will be notified.

Multiple Release Forms
All members must have a completed Multiple Release Form (Appendix A) on file prior to the beginning
of the conference. Put the completed Multiple Release Forms in a large envelope, with the Certification
Form (Appendix B) taped to the front of the envelope. Bring this envelope with you to conference
registration.
Parking
The Classic Center Parking Deck is adjacent to The Classic Center. Parking for cars is $1 an hour or $7
maximum for day parking. Bus parking is available behind The Classic Center, in the pavilion, for $20 per
bus per day.
Emergency Notification System: Remind
Georgia FCCLA will be using Remind for an Emergency Notification System during the conference, as well
as a way for advisers to receive alerts of any updates or changes taking place. Follow the instructions
below to receive texts. At least one adviser from each school will need to subscribe in order to collect
your conference materials at the conference. You must subscribe via text for easier access, but you may
also subscribe via email as a secondary form of communication. Don’t miss out on the alerts and
reminders, subscribe!

Voting Delegates
Each chapter is entitled to one Voting Delegate. We recommend that Voting Delegates not be STAR
Events participants, if at all possible.

Region Meetings
Note the new time for Region Meetings: Sunday, March 20th from 4:00 – 4:45 pm. During Region
Meetings, the Region Adviser will share any updates. All delegates will listen to state officer candidate
speeches from their region. Voting Delegates should pay close attention to these speeches, in order to
cast a vote for the candidate that represents the chapter’s vote. Chapters will be recognized for state
project and national program participation.
State Officer Elections
The 2016-2017 Georgia FCCLA State Officer Team will be elected during the State Leadership
Conference. We need committed and enthusiastic officers, please encourage your chapter members to
apply. The State Officer Handbook and Application can be found online under Events and State
Leadership Conference.

According to our bylaws, a committee of FCCLA members and advisers serve on a “state officer selection
Committee” to interview the state officers and place them in offices. These committee members can’t
be involved in STAR or state events on Monday, as they will be in interviews all day.
Business Meeting
This year, the Business Meeting will be held on Monday, March 21st from 1:30 – 3:30 in the Theater.
Voting Delegates are required to attend this meeting to conduct the business of the organization. There
will be bylaw amendments and voting on National Officer Candidates and Middle Level Representatives.
All voting delegates attending the Business Meeting will be entered into a drawing to win $150 for their
chapter.

STAR Events Orientation
The STAR Events Orientation will be led by STAR Events Lead Consultants on Sunday evening, March
20th, from 9:00 – 10:00 pm. Each event will have its own, separate orientation that is geared toward a
specific event. FCCLA members will sign in, be given a short orientation regarding guidelines and be
given any changes. If a competitor does not attend this orientation, points will be deducted according to
the rubric.
STAR Events will happen all day on Monday. Members should be prepared to give their presentation in a
large room, with multiple presenters in the room at the same time. Please alert members to this strong
possibility.
Culinary STAR Event
The Culinary STAR Event guidelines are specific to Georgia. Find these guidelines HERE. Culinary Arts
teams will be developing their own menus surrounding chicken as the protein. Culinary Arts STAR Events
Orientation will take place on Monday morning.
State Events
Georgia FCCLA is pleased to offer state competitions. These are separate from STAR Events
competitions, but members cannot compete in both STAR Events and state events. (Exception: Thinc.
Week) State competition guidelines can be found online HERE. (Go to www.gafccla.com, click on the
Trophy – Competitions from the left-hand menu, scroll to state events.)
Courtesy Corps
The Courtesy Corps team is made up of members attending the conference who are not competing and
can volunteer their time serving others. For students interested in attending the conference but unsure
about competitive events, this is a great chance for them to see behind the scenes and learn about
events from the “inside”. Sign members up for this opportunity in the online registration system. There
are two opportunities:
Competitive Events Runners
Members will be assigned to an event to help the Lead Consultant carry out his/her duties. Members
will report for their assignment at 8:30 am on Monday and serve until their event is finished.
Ushers
Members will assist opening the doors immediately prior to the general sessions. The orientation for
this duty will be Sunday from 6:30 – 6:45 pm in the Theater lobby.
Judges
Do you know adults that would make great judges?? Have them complete the Judge Form and following
the directions to submit to the Georgia FCCLA Judge Coordinator.

Opening Session
The Opening Session will kick off the Georgia FCCLA State Leadership Conference on Sunday, March 20th
at 7:00 pm in the Theater!
Chapter Presidents
Chapter presidents (or a representative) will walk across the stage to represent their chapter during the
Parade of Presidents. Presidents (or a representative) will need to report to the Theater, on the left side
of the stage, at 6:30 pm before Opening Session on Sunday.
Banner Challenge
Each chapter president is asked to bring a poster or banner to carry across the stage during the Parade
of Presidents during Opening Session.
National Anthem Contest

Georgia FCCLA is looking for member(s) to sing the National Anthem during the Opening Session. To be
considered, a YouTube audition link must be uploaded by February 15th.
Recognition Session
This session, held Monday night, March 21st, features chapter recognition, scholarship winners and the
keynote speaker.
Keynote Speaker
Evelyn “Vonn” Banks personal highlight of 2015 was motivating FCCLA members.
Banks met State FCCLA Officers when she visited the Lincoln Memorial in
Washington, D.C. Her plan to formally deliver her retirement speech from the steps
where Dr. Martin Luther King stood was thwarted by a government shutdown. “I
knew if I came here, I would meet someone who would listen to my speech,” she
said, and the bonds formed that evening continue today as Vonn returns to inspire
new generations of FCCLA leaders.

National FCCLA offers several National Programs: Career Connection, FACTS, Families First, Financial
Fitness, Leadership Service in Action, STOP the Violence and Student Body.
Program Award Applications must be completed online:
 Log onto the FCCLA affiliation system
 Once logged in, select the “Program Awards” tab
 Select the correct national program section
 Select “Apply Now” for either Middle or High School (Be sure to select the correct application)
 Fill out all of the required fields (*) as specified on the application, then hit “Submit”
o Please note: Once you submit your application, you cannot make any changes. Double
check all of your answers before submitting.
o If you are not finished with the application yet, hit “Save” and you can come back and
finish your application at another time

 You are required to upload 3 photos to a photo sharing website and provide National FCCLA
with the link to the photos on the application.
 You will have the option to provide up to ten supporting files, such as promotional pieces (e.g.

articles, TV interview video, etc.) that help tell the story of your project to Dropbox and provide
the link to the files on the application.

National Leadership Conference Preparation
Celebrate the nation’s birthday in style!! The FCCLA National Leadership Conference will be held in San
Diego, California, July 3-7. Members can attend workshops, experience motivational speakers and
leadership academies. The National Leadership Conference promises to be quite eventful and
educational.
National STAR Events Competitor Meeting
Winning STAR Events at the State Leadership Conference can be one of the most exciting experiences
for any FCCLA member! There will be a brief, mandatory meeting for those that advance to National
Leadership Conference following the Closing Awards Session.

Frequently Asked Questions
Q: How many STAR Events entries can we have per chapter?
A: One entry per category per chapter per event.
Q: I have a member/chaperone who backed out after the deadline, what can I do?
A: You can replace the member or chaperone so your registration number stays the same, but no
refunds will be given after the registration deadline. Events may not be changed after the deadline.
Q: What meals are included in the conference fee?
A: This depends on your hotel and the conference registration. Some hotels may provide breakfast as a
part of the room fee. Check with your hotel for details. If you’ve selected the package fee, it includes
one meal.
Q: My student did not place in their STAR Event at the region competition; can they still attend the State
Leadership Conference?
A: Yes, members can participate in the state competitions or attend the conference for leadership
development.
Q: Can my student compete in more than one event?
A: Students may compete in only one event. The two exceptions are Statesman and Thinc. Week. These
students may participate in Thinc. Week and/or Statesman and another event.
Q: Can my student compete in a STAR Event and a state event?
A: Students may compete in only one event. The two exceptions are Statesman and Thinc. Week. These
students may participate in Thinc. Week and/or Statesman and another event.
Q: What should I wear to the general sessions?
A: See the Dress Code section in the Adviser Guide.
Q: Can my students wear costumes in their STAR Event?
A: See individual event guidelines. Each competitive event has its own dress code.
Q: My student has another commitment (band competition, basketball tournament, etc.), can they
compete at an earlier/later time?
A: Competition times are randomly assigned, so exceptions can’t be guaranteed. Competitions should
be taken seriously and considered a priority.
Q: It’s not possible to select a student as a Voting Delegate who is not competing. What do I do?
A: Let Jen know via e-mail ([email protected]) about this situation.
Q: Do I send hotel payment to FCCLA?
A: The hotel is a separate payment from FCCLA. The hotel will need to be taken care of prior to arrival or
by school check/credit card upon arrival. Check with your specific hotel on payment policies.
