Welcome Letter
Dear Colleagues,
It is our pleasure to invite you to the 21st European Congress of Psychiatry which will be
held 6-9 April 2013, in the exciting city of Nice, France. This Congress marks the 30th
Anniversary of the European Psychiatric Association.
Following our tradition, the cities we visit for the European Congress of Psychiatry have
a special relationship or history connected with psychiatry.
EPA offers you a high-quality, multidisciplinary Scientific Programme that will provide a
full review of the most important aspects of diagnosis and treatment in psychiatry, and
of the latest achievements in this field.
The motto “Europe Challenges the Burden of Mental Disorders”, is a call to contribute to
the European psychiatrists’ efforts to improve mental health in Europe.
Congress highlights will therefore include Plenary Lectures, Pro & Con Debates,
Symposia, Workshops, Free Communication Sessions, a dedicated European Early
Career Psychiatrists Programme, CME Academia courses and sponsored symposia
organised by leading pharmaceutical companies.
We are developing an array of activities that will allow participants the opportunity to
interact and network with colleagues from Europe and around the world.
We invite clinicians and researchers to take part in the exchange of knowledge and
experience to contribute to the Scientific Programme of our Congress by submitting their
proposals for symposia and workshops before 23 May 2012.
We look forward to welcoming you to the Mediterranean city of Nice in 2013!

EPA Congress Profile
About EPA:
Since 1983 the European Psychiatric Association (EPA) has been a community of
individual psychiatrists and professionals in mental health care and national
societies/associations dealing with psychiatry and its related disciplines. The EPA
focuses on the improvement of care for the mentally ill as well as on the development
of professional excellence. EPA has active members in as many as 75 countries
including the international members. Together, EPA members contribute to the life of
the association and to the development of Psychiatry in Europe. Each member has the
possibility to actively contribute to ongoing projects and play a key role in shaping the
future of the Association and its policy with a seat at the annual General Assembly.
One of the important tasks for a European association is to maintain a strong link to
national associations in order to keep a good level of communication encouraging
professional interchange and to support active information exchange. EPA is an
umbrella organisation linking National Psychiatric Associations (NPAs) and is active in
the framework of various European Institutions such as the European Brain Council
(EBC), European Federation of Psychiatric Trainees (EFPT), the Federation of European
Academies of Medicine (FEAM) and the European Union of Medical Specialists (UEMS).
MISSION: To improve psychiatry and mental health care throughout Europe.
ACTIVITIES: EPA accomplishes its mission through the following activities:
 Annual European Congress of Psychiatry
 European Psychiatry journal, published in 8 issues per year, plus supplements
 CME courses, Summer School, Faculty Workshop and other forms of training
under the umbrella of the EPA Academia for Excellence in European Psychiatry
 Early Career Psychiatrists Programme and other projects aiming to give early career
professionals a voice in the evolution of training, research and practice standards
to enable them to take influence on their own future and career progress
 A range of grants and prizes in psychiatric research
 20 Sections, which collect, examine and disseminate information about their
respective disciplines
 Practical guidance and position statements on topics of interest to the mental
health community and beyond
 Initiatives on improving ethical standards of psychiatric care and practice
 Collaborative activities in partnership with international organisations working in
the field of psychiatry and mental health care

An application will be submitted to the European Accreditation Council for Continuing
Medical Education (EACCME) to provide accreditation by the following CME activity for

For the above Satellite Symposia & Meet the Professor Breakfast Session, the following
applies:

The sponsoring company for the Sessions may select speakers and topics.
Special time slots will be designated and will be allocated on a “first come, first served”
basis.
The sponsoring company, in addition to the sponsorship fee, must cover all speakers’
expenses, including registration fees, accommodation and travel expenses. This also
applies in the case where the Sessions’ speakers have already been invited by the
Congress.
All Session Programmes must be submitted for approval by the Scientific Programme
Committee.
In the case where the Scientific Programme Committee does not accept the Session
Programme, each party will be entitled to cancel the booking without paying any
penalty for the cancellation or for any damages caused by the cancellation to the other
party. Accordingly upon such cancellation neither of the parties will have any claims,
demands, suits, towards the other.

Sponsorship
Once a Sponsorship Booking Form is received a Sponsorship Agreement will be sent to
you for signature with an accompanying invoice. This Agreement should be signed and
returned with a 60% deposit payment to the Sponsorship Office. Upon receipt of the
Sponsorship Booking Form the Organiser will reserve the items listed in it.
Exhibition
Once an Exhibition Booking Form is received an Exhibition Confirmation will be sent
to you with an accompanying invoice for 60% deposit payment. Upon receipt of the
Exhibition Booking Form the Organiser will reserve the booth listed in it.
Acknowledgments
Please note that all Sponsors will be acknowledged in the Final Programme and in the
call for papers, on acknowledgement boards at the Congress and on the Congress

PAYMENT INFORMATION
TERMS OF PAYMENT
60% upon receipt of the sponsorship agreement and first invoice
40% by September, 2012.
(After September 2012 full payment is due upon booking)
All payments must be received one month before the start date of the Congress.
Should the Sponsor fail to complete payments prior to the commencement of the
Congress, the Organiser will be entitled to cancel the reservation while cancellation will
be subject to cancellation fees as determined below.

The commercial/technical exhibition will be held in Nice - Acropolis
The floor plan will be designed to maximise exhibitor’s exposure to the delegates.
The Exhibition Floor Plan will be posted online shortly. In the meantime, as companies
are expressing an interest in securing their preferred exhibition spaces, we are pleased
to receive your preliminary bookings. All spaces will then be allocated based on the
confirmed reservations received, on a first come, first served basis.

ALLOCATION OF EXHIBITION SPACE
Space Allocation will be made on a “first come, first served" basis. A completed
Exhibition Booking Form and Contract should be faxed / emailed to ensure
reservation of a desired location. Upon receipt of the Exhibition Booking Form and
Contract, space will be confirmed and an invoice will be mailed. Please note that three
choices should be clearly indicated on the application form. Space allocations will be
made in the order in which confirmed application forms with payment are received.
EXHIBITOR REGISTRATION
All exhibitors are required to be registered and will receive a badge displaying the
exhibiting company name. Two exhibitor badges will be given for the first 9 sqm
booked and one additional for each 9 sqm after. Any additional exhibitors will be
charged an exhibitor registration fee of TBA. Companies can purchase a maximum
number of exhibitor registrations as follows:
Booths of up to 60 sqm – 15 exhibitor registrations
Booths larger than 60 sqm – 25 exhibitor registrations
Exhibitor registrations allow access to the exhibition area only and shall be used by
company staff only.
An exhibitor registration form will be included in the Exhibitor’s Technical Manual.
EXHIBITOR’S TECHNICAL MANUAL
An Exhibitor’s Technical Manual outlining all technical aspects of exhibiting will be
circulated 3 months prior to the Congress. It will include the following:

 Final exhibition details and information
 Contractor details
 Services available to exhibitors and order forms
SITE INSPECTIONS
Exhibitors and Sponsors are free to visit the Congress venue at their convenience.
Please contact the venue directly to arrange this. Contact information can be found in

EXHIBITOR PROFILE
Upon receipt of the booking form, you will be asked to please upload a 100-word
Exhibitor Company/Product profile to a provided link. This will be published in the
list of exhibitors in the Final Programme.
EXHIBITION TERMS & CONDITIONS
The Terms and Conditions of exhibiting are included in this Prospectus. Please note
that signing of the Exhibition Booking Form and Contract indicates acceptance of
these Terms and Conditions. The Exhibition Booking Form will be held as a valid
liable contract, by which both parties will be bound.

EPA LOGO GUIDELINES
Guidelines for the Use of EPA Corporate Identity for Events or Publications Not Organised
Directly By the EPA.
The EPA (European Psychiatric Association) and the European Congress of Psychiatry names,
logos and corporate identity reflects the credibility of and is the sole intellectual property of the
EPA. In general, these logos, names, abbreviations or whatever symbols of corporate identity of
the EPA and the European Congress of Psychiatry MAY NOT be used by any organisation or
individual other than the EPA.
This also applies to activities organised concurrent with or at EPA Congresses/events and
which are not organised by the EPA Scientific Programme Committee or subject to the full
scientific and other reviews of the EPA Congress Scientific Programme Committee.
However, special permission will be granted for sponsors and for scientific activities organised
by approved external parties at EPA Congresses and events, such as for approved satellite
symposia, under the following conditions:
An application must be made to the EPA administration via the Congress organiser (address,
email etc) preferably at the same time as the submission of the scientific contents/Programme
of the satellite symposium.
Written consent must be obtained by 6 October 2012.
The application must:
Indicate the nature of the printed matter / document such as an invitation, flyer, poster or
whatever
Indicate for which activity it is intended (if for a scientific session the Programme /contents
should be attached)
Contain an electronic graphic version of each document, poster, invitation or whatever that
intends to display the logo/ EPA identity. A draft submission may be submitted for first review,
but a final graphic version is required to obtain EPA approval.
The EPA name, logo etc should not be the principal visual identity of the document, and should
not exceed 5% of the surface of any one page or surface. The discretion of the EPA will apply.
Any non EPA event for which such logo/name use is requested must be a bona fide scientific
event, and does not include social events.
The EPA and the European Congress of Psychiatry branding or logos may not be used on
letterheads.
The documents displaying the EPA and the European Congress of Psychiatry logo/identity may
not create the visual impression of being principally organised by the EPA. The actual
organiser/sponsor must be clearly stated.

TERMS AND CONDITIONS
These terms are the contractual agreement between the Organiser
and the Exhibiting / Sponsoring Firm (Exhibitor/s / Sponsor/s).
APPLICATION TO PARTICIPATE
Application to participate will be considered only if submitted on
the appropriate forms, duly completed. Registration will be
confirmed insofar as space is available. Applicants will be informed
in writing of the acceptance or refusal of their application. In case of
refusal, all payments shall be fully refunded. In case of acceptance
Sponsors/Exhibitor will be bound by the Terms and Conditions
listed in the prospectus and/or contractual agreement.
OBLIGATIONS AND RIGHTS OF THE EXHIBITOR/SPONSOR
Registration implies full acceptance by the Exhibitors/Sponsors of
the exhibition / sponsorship regulations. Any infringement of these
regulations may lead to immediate withdrawal of the right to
participate in the Congress without compensation or refund of
sums already paid, and without prejudice to the Exhibitor/Sponsor.
By submitting an application to participate, the Exhibitor /Sponsor
make a final and irrevocable commitment to occupy the space
/items allocated and to maintain his/her installation until the date
and time fixed for closure of the event.
The Exhibitor/Sponsor may only present on his/her stand or space
the materials, products or services described in the application to
participate.
No advertising on behalf of firms not exhibiting is permitted in any
form whatsoever. Transfer or sub-letting of all or part of the
allocated spaces is prohibited.
OBLIGATION AND RIGHTS OF ORGANISER
The Organiser undertakes to allocate exhibition space/sponsorship
items space as far as possible on the basis of the preference
expressed by applicants. Application will be considered in order of
receipt of application forms accompanied by payment.
The Organiser reserves the right, in case of absolute necessity, to
modify the positioning of stands, with no obligation to provide
compensation to Exhibitors/Sponsors. The Organiser reserves the
right to offer to a different firm any stand, space or sponsorship
item that has not been occupied by the event of the opening of the
Congress, with no obligation to provide compensation to the
defaulting Exhibitor / Sponsor.
All exhibits are to be displayed so as to avoid blocking aisles,
obstructing adjoining booths, damaging the premises or the leased
equipment. Exhibitors are kindly requested to allow sufficient seethrough areas, which ensure clear views of surrounding exhibits.
In standard booths, height is restricted to 246cm. Exhibitors are
responsible for the cost and execution of the design, installation
and delivery of their display to (and its removal from) the exhibition
site.
Flammable materials are not to be used. Equipment displayed or
demonstrated must be installed with strict adherence to safety
measures.
Exhibitors undertake to observe the timetable designated for
completion of their display before the exhibition opening and its
dismantling at the close of the exhibition. No dismantling or
packing of the display before the designated hour. It is the
Exhibitor’s responsibility to pack and remove or consign for
shipment all items of value prior to leaving their exhibit
unattended, otherwise the Organiser will arrange for their removal
at the Exhibitor’s risk and expenses.
Exhibitors are obliged to ensure that their stands are permanently
staffed during the exhibition opening hours.
Payment is to be made in accordance with the conditions of
payment listed in the prospectus.
Should the Exhibitor /Sponsor fail to make a payment on time, the
Organiser is entitled to terminate the contract, withdraw
confirmation of acceptance, make other arrangements for the
stand/ sponsorship items or seek compensation for non-fulfilment
of contract.
Participation by Exhibitors/Sponsors is dependent upon
compliance with all rules, regulations and conditions stated herein.
Access to the exhibition is authorised on presentation of a badge
issued by the Organiser. Exhibitor’s badges will not be mailed in
advance and may be collected from the Exhibition Manager’s desk.
Liability Insurance
The Organiser ensures daily cleaning of the aisles. Exhibitors
/Sponsors are responsible for the cleaning of their stands.
The provision of refreshments for the participants by Exhibitors is
only permitted if the catering regulations of the exhibition building
concerned are observed.
Equipment and all related display materials installed by Exhibitors
/ Sponsors are not insured by the Organiser, and the Organiser
under no circumstances will be liable for any loss, damage or
destruction caused to equipment, goods or property belonging to
Exhibitors / Sponsors. The Exhibitor / Sponsor agrees to be
responsible for his property and person and for the property and
persons of his employees and agents and for any third party who
may visit his space through full and comprehensive insurance, and
shall hold harmless the Organiser for any and all damage claims
arising from theft and those perils usually covered by a fire and
extended-coverage policy.
Exhibition areas and fittings made available to Exhibitors must be
handed back in their original condition. In case of damage or loss
of equipment provided, or damage to areas occupied, repair and
replacement will be charged to the Exhibitor.
Any special decoration or fittings must be submitted to the
Organiser for prior authorisation.
Advertising panels and display are not permitted outside the
exhibition areas allotted to Exhibitors.
The Organiser will not approve stands, which do not comply with
the accepted standards, until the necessary changes have been
made.
Exhibition Regulations
The Exhibition Manager, acting under direction of the Organising
Committee, has the final decision as to the acceptability of displays.
Exhibitors are not to share with others any space allotted to them
without prior written consent by the Exhibition Manager.
The Organiser reserves the right to alter the general layout or limit
the space allotted to each Exhibitor / Sponsor, postpone the
exhibition or transfer it to another site if unforeseen circumstances
warrant such action. Should any contingency prevent the holding of
the exhibition, the Organiser will not be held liable for expenses
incurred other than the cost of exhibit space rental fees.
Code of Practice
It is the Exhibitor’s / Sponsor’s responsibility to comply with the
local authority’s regulations, EFPIA (European Federation of
Pharmaceuticals Industries & Associations) www.efpia.org and
IFMPA (International Federation of Pharmaceutical Manufacturers
& Associations) www.ifpma.org Code of Practice on the Promotion of
Medicines. Failure to comply with these regulations may not be
used as a ground to declare the contract void. Failure to comply
with the Rules and Regulations will not expose the Organiser to any
suits, demands by the Sponsors/Exhibitor/any third party.
