This is a very important day for you, your family and your friends. In order to ensure that you have an enjoyable and memorable day we ask that you read this ‘Information for Graduands’ document carefully. Please note that a notification letter regarding conferring will be sent to your mailing address (address on the Banner student management system) on or before Wednesday 15th October 2014. If you have not received this letter by Wednesday 22nd October 2014, please email the Awards Office at [email protected]. Information relating to conferring can be found on the DkIT website at: https://www.dkit.ie/conferring For your convenience a student checklist is included at the end of the document. Dates and Venue Conferring will take place in Dundalk Institute of Technology on Thursday 30th October and Friday 31st October 2014. Please refer to the schedule of ceremonies on the website. Each ceremony will take place in the Multi-Purpose Centre (MPC) in the Faulkner Building (see Campus Map on the website) and will last approximately one hour. Please take time to note the day and time that you will be graduating. The MPC is wheelchair accessible. If you or one of your guests requires assistance to access the venue or other parts of the campus, please let us know in advance what assistance you require (See ‘Contact Details’) at the end of this document. The Institute’s car parking policy and frequency asked questions (FAQ’s) can be found at: https://www.dkit.ie/documents/car-parking-policy-faq. Please note that pay parking will not be operation during conferring. Guest Invitations Admission to your conferring ceremony is strictly by ticket only (guest invitations). As a graduand, you are required to collect and sign for your guest invitations when collecting your academic robes (see section ‘Hire of Academic Robes’). Once you have been issued with your guest invitation(s) please keep them safely as they will be required for admittance into the conferring hall (the MPC in the Faulkner Building). When you are collecting your guest invitations and academic robes please ensure you bring photographic identification For health and safety reasons, you are entitled to two guest invitations only. We regret that requests for additional guest invitations cannot be made without exception. Please note that children are counted as guests and no buggies are permitted in the conferring hall (the MPC in the Faulkner Building). Family members and friends, not in the possession of guest invitations can watch the ceremony live in the Whitaker Theatre (see Campus Map on website). Hire of Academic Robes All graduands must graduate in academic robes. Academic robes must be pre-booked on-line using a credit or debit card from the Institute’s robemakers, Armstrong and Oxford (http://www.armstrongandoxford.com) no later than Tuesday 28th October 2014. The cost per graduand is €30.00. If you are graduating with a doctorate degree (PhD) the cost is €35.00. 5 Academic robes must be collected by the graduand in the Robing Collection Area located in M111 (Muirhevna Building) as follows: Thursday 30th October 2014 8.00am - 9.45am for those attending the 10.30am ceremony 10.30am - 12.15pm for those attending the 1.00pm ceremony 1.00pm - 2.45pm for those attending the 3.30pm ceremony Friday 31st October 2014 8.00am - 9.45am for those attending the 10.30am ceremony 10.30am - 12.15pm for those attending the 1.00pm ceremony 1.00pm - 2.45pm for those attending the 3.30pm ceremony Please ensure that you know the exact qualification you are to be awarded (e.g. certificate, diploma, degree, masters or doctorate). Academic robes should be returned to the Robing Return Area located in M212 (Muirhevna Building) after the ceremony. This room will be open until 5.30pm on both conferring days. Dress Code Whilst there is no strict dress code graduands are asked to wear business/formal attire as befitting the occasion. As you will be required to walk up and down steps during the ceremony it is strongly recommended that you wear appropriate footwear. For those wearing high heels please be sure that you can wear them with confidence walking up and down steps. Please note that unfortunately there are no cloak room facilities for graduands and any bags, handbags or coats should be left with your guests. It is strongly recommended that you bring along safety pins and hair clips to secure your hood and mortar board/cap as appropriate. The Ceremony You must arrive at the Multi-Purpose Centre (MPC) at least 30 minutes before the start of your ceremony. Once you arrive and present your guest invitations, you will be directed to your seat which will be marked with your name. You will be conferred in strict order and you must therefore remain in your designated seat at all times. If you are not in possession of your guest invitation(s) your guests will be unable to enter the conferring hall (MPC). In that event, they may view the ceremony in the Whitaker Theatre. Following the academic procession and introductions, each student group will be graduated in turn. You will be instructed to proceed to the podium, where, when your name is called, you will receive your parchment from the President Mr. Denis Cummins. On receiving your parchment, you will then shake hands with the President, proceed to descend the podium and return to your designated seat. 6 Refreshments Following the ceremony, tea and coffee and light refreshments will be served to you and to your guests in the Institute Restaurant which is located to the rear of the Muirhevna Building (see Campus Map on website). Photography Individual Lafayette, the official photographers for conferring, will be located in the Muirhevna Building. Photographs can be pre-booked in advance of the ceremony. Information on booking and pricing including framing can be found at http://www.lafayette.ie (phone number can be found on the ‘Contact Us’ section of their website). Please note that all queries regarding photographs should be made directly to Lafayette. It is strongly recommended not to use any unofficial photographers who may be on the campus on the day. Each year, some graduates complain of non-delivery of photographs or poor quality of work by these photographers. Group Your class group may also be asked to participate in a group photograph (see Group Photography Schedules on the conferring website). Photographs will be taken in the Black Box theatre (Restaurant Building). Graduation Ball The Graduation Ball, which is a ticket only event organised by the DkIT’s Students Union, will take place on Friday 31st October 2014. Please refer to the DkIT Students Union website for more information (http://www.dkitsu.ie/). Non Attendance Ceremony If you are not attending your conferring ceremony please confirm at (under heading Non Attendance): https://www.dkit.ie/conferring Parchment Collection If you are unable to attend your conferring ceremony you will graduate in absentia. Parchments can be obtained from Tuesday 4th November 2014 to Friday 28th November 2014 as follows: 7 1. Collect in person You can call to the Awards Office between 9:30am – 12:30am (Monday - Friday) ensuring you produce photographic identification. Alternatively, you can email [email protected] to arrange a suitable time for collection. 2. Collect by nominated person You can nominate someone to call to the Awards Office between 9:30am – 12:30am (Monday - Friday) ensuring they produce photographic identification and a signed letter from you (the graduate) authorising them to collect your parchment on your behalf. Alternatively, you can email [email protected] to arrange a suitable time for collection. 3. By Post You can make a request in writing to the Awards Office ([email protected]) that your parchment is to be sent to your mailing address (address on the Banner student management system) by registered post. Ensure you enclose a cheque or postal order for €10.00 for P&P with your request. Uncollected parchments will be archived on the Monday 1st December 2014. Parchments requested using the collection options outlined above on or after this date will incur a retrieval fee of €50.00. Outstanding Fees/Fines/Library Books In order to graduate all outstanding fees and fines up to the academic year 2013/2014 must be paid in full on or before Friday 24th October 2014. Overdue library loans for the same period must also be returned by this date. Reserve tickets for Graduation Ball 5. Ensure all outstanding fees are paid in full no later than 25th October 2014 6. Ensure all library loans are returned and library fines paid no later than 24th October 2014 On the day of the Conferring Ceremony 1. Collect guest invitations (maximum 2) from Robing Collection Area in M111 (Muirhevna Building).Photographic identification required. 2. Collect academic robes from Robing Collection Area in M111 (Muirhevna Building). Bring safety pins and hair clips as appropriate.
