SSC HR Services coming April 2015 1 This presentation is an overview of human resources (HR) services that will be provided by the Shared Services Center (SSC) beginning April 2015. More detailed information, including new email addresses for requesting and inquiring about SSC services, will be provided in unit interchanges to be held in February. 2 In this module: • New HR services • What’s changing and what’s staying the same • What the processes will look like • What’s next • Resources SSC HR Services – Winter 2015 New HR Services at the SSC Overview Beginning April 2015, the following HR transactional services will be provided by the SSC. • Employment Processing • Time & Leave Administration 3 SSC HR Services – Winter 2015 New HR Services at the SSC Employment Processing The SSC Employment Processing team will work with hiring units, human resources, and What’s New? • • faculty, staff and students. They will assist in ensuring information in the system is correct The key changes are related to I-9 form processing. Currently, units all around campus process I-9s. With shared services, the SSC Employment Processing team will support units in this activity, shifting the workload from unit staff to SSC staff. and adheres to policies, regulations and laws. NOTE: Units will continue to authorize opening, posting, and filling new or currently unoccupied positions; build applicant pools; manage the assessment, interview, disposition, and selection of the final candidate. 4 SSC HR Services – Winter 2015 New HR Services at the SSC Employment Processing- New! Regional I-9 Offices The university is setting up Regional I-9 Offices Special Events for I-9 Processing to support the I-9 collection process. The SSC In addition to supporting the I-9 collection process at the Employment Processing team will support the Regional I-9 Offices, SSC Employment staff are available to attend Unit sponsored orientation events for large groups of Regional I-9 Offices. During peak processing new hires (defined as 15 or more). periods, there may be additional locations Information about how to request SSC attendance at unit and extended hours during those times. special events will be available on the Shared Services Center website later this year. I-9 Regional Office Locations • • • 5 North Pierpont Commons Student Activities Building Wolverine Tower SSC HR Services – Winter 2015 New HR Services at the SSC Employment Processing Process •Recognize need for hiring and begin process SSC •Handle all interviewing activities •Initiate hiring transactions •Request SSC assistance with I-9 special events, as •Verify posting, offer and hiring compliance •Update the applicant management system needed Units •Complete background checks •New employee onboarding and training Units •Facilitate NEO; complete I-9s •Staff unit-sponsored I-9 special events when requested 6 SSC HR Services – Winter 2015 New HR Services at the SSC Time & Leave Administration The SSC Time and Leave team will be What’s New? responsible for monitoring the time entry, • accrual and leave process to help ensure that university faculty and staff time is recorded and updated appropriately. They will also conduct leave plan management. • • The SSC Time & Leave team can assist units with static and dynamic group creation and maintenance The SSC Time& Leave team will conduct leave plan management instead of the Payroll Office Units have the option to subscribe to an email notification service to alert employees / approvers to enter and approve time before cut off deadlines and to manage missing time for employees NOTE: Units will continue to be responsible for time entry and time approval. Units will also continue to contact the Payroll Service Center for questions regarding Time and Leave & Payroll. 7 SSC HR Services – Winter 2015 New HR Services at the SSC Time & Leave Process SSC • Record time and • Follow up on missing time or exception pay • Approve time and exception pay • Send reminder for late time entry or approval • Assist with setting up late approval • Monitor static and dynamic groups static/dynamic groups Units 8 • Leave plan management Units SSC HR Services – Winter 2015 New HR Services at the SSC Summary of Key Changes Employment Processing • New regional I-9 offices • Units may request the SSC staff unit-sponsored special events for I-9 processing Time & Leave • The SSC can create and manage static and dynamic groups on behalf of units • Leave plan management will move from Payroll to the SSC • Optional notification service to alert employees and approvers to enter / approve time 9 SSC HR Services – Winter 2015 New HR Services at the SSC Unit Interchanges Coming Soon!
