Selecting the tour operator: - by clicking on the TO name in the tour operator list - or by typing ‘OES’ or ‘Neckermann’ in the field ‘Tourop./Cat.’ Some Buttons: • • • • • Continue: Launch search request Add. Criteria: Gives you the option of typing other search criteria. Package: Allows a fast and targeted search. (See as well chapter ‘Package Mask’). Clear All: Basic mask is cleared. Service List: If all data have already been recorded in the basic mask they are transferred automatically by clicking on ‘Service List’. Page 3 May 2010 TRANSPORT LIST– AVAILABILITY OF TYPES OF TRANSPORT Click to sort Transport List Columns: Depart: Arrival: Number: Av: e.g. Service: Date: Persons: Departure time Arrival time Airline and flight no. Availability 1-9 = Free seats >9 = More than 9 seats free CC = Closed (and the line in the list is marked grey) Route/chain/class Date You can select the desired flight in this column. If both outward and return flights are selected from one line this can be transferred by double-clicking on the line. If the selection consists of various different flights you can select the correct one manually simply by clicking on the grey ‘Persons’ section. TIP! You can also sort data by clicking on the grey column header bar e.g. click on ‘Depart’ to sort by departure time etc. Page 4 May 2010 Transport List Buttons: Print: When the ‘Print’ button is clicked, the system transforms the inputs into a flight list overview mask which can be printed out Clear all: Any selection is cleared More: More flights can be listed as long as this button is active Srv.list: Takes you directly to the Service List Continue: Continue with booking process – move to Arrangement List TIP ! The ‘Change’ button gives you the option of changing search criteria. Clicking on ‘Search’ will show the new availability. ARRANGEMENT-LIST Columns of the Arrangement List: Place: The place where the hotel is located Code: Arrangement code according to catalogue Arrangement: Name of the Arrangement Cat.: Category of the Arrangement Types: Room types and availability 9 9 rooms are available RQ Room is on request You can choose the desired arrangement by double-click or see detailed hotel and catalogue info by marking the arrangement with one click. If the button ‘More’ is active you can request other arrangements. Page 6 May 2010 The button ‘Change’ offers you the option to change your search criteria. By clicking on ‘Search’ the system works out a new availability. With a click you navigate in between Transport / Arrangement List. Service List buttons: New Srv.: Book new service Cust.Req.: Record Customer Requests Persons: Record passenger name and date of birth Details: Retrieve travel details Check: Check price and availability Option: Create an option Book: Create a fixed booking !Attention! By reservation of a long hall arrangement an option of 3 work days is automatically set. (3 days – reservation date included). After these 3 days the booking is automatically fixed. Exception: Scheduled Flights ! Please note special tariff regulations and conditions of transportation ! Page 11 May 2010 INSURANCE After the ‘Check’ a window opens automatically to compare and change eventually manual the insurance code. Page 12 May 2010 NEW SERVICE With the ‘New Service’ you can book additional services or forward an alteration. Page 13 May 2010 CUSTOMER REQUEST To record a customer request please click on the service line: A customer service can be dedicated to the hotel segment or the passenger segment . !Attention! Customer requests are non binding services ! Page 14 May 2010 You select the appropriate customer request by double-clicking on the line It can also be recorded in free text. TIP! Type a short free text to guarantee a complete transfer of the information in the reservation. Page 15 May 2010 Record the customer request and save it by clicking on ‘Save’. ClearAll: Cancel: Deletes all data recorded so far Cancel By clicking on ‘Continue’, the customer request is transferred. Page 16 May 2010 On the Service list you can check the recorded customer request. Page 17 May 2010 PERSONS to record the passenger details. The columns: Type: Mr, Ms, Child, Inf. (baby) Name : Family name Firstname: First name Birth/Age: Age in numerical form, i.e. ‘5’ / date of birth The system automatically allocates one line per passenger! Should you still need more lines, either click on the ‘New’ button or use the following symbols: Arrow = add persons; Scissors = delete persons Buttons: New: Add a person ClearAll: Delete names and details of all participants recorded so far Save: Save data and return to Service List Cancel: Cancel Page 18 May 2010 DETAILS With a click on the button you can choose between a display with or without travel agency commission. A detailed display – booking details: Print: Print Page: Print Preview: Mail: Close: Lets you print the display Details are printed Details in print preview form Details can be sent in link form by e-mail The display is closed Only if details without commission were retrieved the additional function ‘Mail’ is active. Page 19 May 2010 CLOSE BOOKING creates a connection to the tour operator and checks the availability of the complete offer if you click on the ‘Check’ button. You can close the reservation by clicking on ‘Option’ or ‘Book’. After clicking on ‘Option’ or ‘Book’, the operator can still provide specific notes, which must be confirmed by clicking on ‘OK’! !Attention! This information is binding for the travel agency! Page 20 May 2010 SERVICE LIST – CLOSING IMAGE When the booking is closed the services are shown in blue. Now this mask can not be changed anymore. It is possible to check the customer details and to print travel details. Booking Number: Neckermann Booking Number Creation Date: Creation date Total Price: Total price of booking Status: Status (example: ‘Option, getting fix 21May2010’) Page 21 May 2010 MODIFY BOOKING To modify a booking that has already been closed, you will need to bring up the booking via ‘Modify Booking’. Access booking using the booking number (by inputting booking number and clicking on ‘OK’ or by going to ‘Booking List’ and subsequently clicking on booking number. Page 22 May 2010 Click on the line you wish to change. The service window opens, and the service can be changed (e.g. different hotel availability). click TIP! You can also use the button ‘Search’ to go to desired availability (e.g. to change data and search for a new flight availability – transport list etc.) Use the tab stop key on your keyboard to move in the fields of the service window. Page 23 May 2010 By click on the button ‘Modify’ you are changing the reservation. If services are shown in blue and the ‘last modified’ date has been inserted the booking is definitely changed. Page 24 May 2010 CANCELLATION – DELETE BOOKING To delete a booking retrieve the reservation by ‘Delete Booking’. Click on the button ‘Delete’. Page 25 May 2010 A window appears with the cancellation charges to give you the possibility to decide about the cancellation. The booking status is changed into ‘XX’ and the appropriate information is shown in the Service List and the ‘Storno Details’. With a click you navigate in between Transport / Area Transport List. Page 29 May 2010 NECKERMANN – PACKAGE MASK Chose the catalogue: e.g OES OES FERN short haul destinations only long haul destinations only etc. and click on the button ‘Package’. With the ‘Package’ function you can pre-select the availability by various criteria. Page 30 May 2010 From Date Duration Dep. Click on ‘Search’ to launch the request. Page 32 May 2010 double click On the left-hand side you will find flight data, on the right-hand side the suitable hotels with detailed hotel information relating to the selected arrangement (by click). Chose the offer with a double click and the request will be transformed into the Service List. Page 33 May 2010 Adapt the insurance code if necessary. The navigation bar lets you return quickly to the Package List. This gives you the option of choosing another arrangement or changing your search criteria by clicking on ‘Change’. Page 34 May 2010 BOOKING EXAMPLES CITY Flight & Hotel A life flight check in about 60 different systems is activated ! Example : London, 16.09.2010, 3 days, from/to VIE, 2 PAX The flights are checked and you receive a list with flight connections and tariffs. The processing time might be longer as there are different systems checked! Chose the flights by double click and ‘Continue’. Page 35 May 2010 You receive a hotel availability from which you can book the room type by double click. Detailed contact data are shown in the Arrangement Type List when a hotel is chosen by a click. A ‘Check’ is necessary to get the flight terms and conditions. Page 36 May 2010 !Attention! This conditions are binding ! The reservation is fix immediately ! No Option possible ! Page 37 May 2010 Extra services (e.g. musicals etc.) can be searched by the button ‘New serv.’ and the category ‘Miscellaneous’. Please check the suggested insurance. Page 38 May 2010 !Attention! The button ‘Option’ is active but the flight conditions are binding and eventually no option possible! Booking Details: With the button ‘Booking’ you process an immediate fix booking. Page 39 May 2010 HOTEL / SPECIAL SERVICES ONLY – OES TIHO Rental Car + Hotel in Cuba Chose the catalogue (OES TIHO) – a click on the button opens directly the ‘Service List’. With a click on the button ‘New Service’ you can type the arrangement code of the special service in the menu ‘Extras/Insurance’. Page 40 May 2010 !Please note! An extra Service charge according to the catalogue is shown in the booking details total price but NOT in the price per person! Page 41 May 2010 COMBINATION – ROUNDTRIP, RENTAL CAR + HOTEL Book the flights as usual. and open direct the ‘Service List’ mask. Page 42 May 2010 Fill in the destination and one week as travel period to search the availability for the different round trips by clicking on the button ‘Search’. With a double click on the line you book the round trip. After you press the button ‘Continue’. Page 43 May 2010 With the button ‘New Serv.’ you can fill in the travel period to receive the hotel availability for the second week. Page 44 May 2010 With the button ‘New Srv.’ you book the rental car for the round trip period. !Attention! Allocate the car to one person only! After you checked the insurance you can close the reservation as usual. Page 45 May 2010 ARRANGEMENT WITH SPECIAL SERVICES - HYDROPLANE Book flights and hotel as usual and ‘Check’ price and availability. Please note the flight information: Long haul flight over night! Page 46 May 2010 With the button ‘New Srv.’ You can reserve the hydroplane. Please keep the definite arrival date in mind, e.g. 03.10. fill in the duration 1 and the hydroplane arrangement code according to the catalogue. With the ‘Cust.Requ.’ you can add e.g. a note ‘honeymooners’. After you ‘Check’ and ‘Book’ the reservation as usual. Page 47 May 2010 KOMBIKNÜLLER – COMBINATIONS In the basic mask you fill in the arrangement code according to the catalogue. !Attention! Do not fill in the fields ‘Destination’ and ‘Arrang.Dest.’ ! With the button ‘Continue’ you receive the exact services of the combination and you can fix the reservation. Page 48 May 2010 HOTEL ONLY WITH TRANSFER, HOTEL DAY USE, ADDING FLIGHT INFORMATION Hotel only: Empty field ‚Destination’ Chose the Hotel and ‘Check’ the availability to receive the transfer info ‘Please book the transfer S 84054 U with duration 1 day’ You add the transfer by clicking the ‘Extras/Insurance’. Page 49 button ‘New.srv.’ in the mask May 2010 With a click on the button ‘Cust.Req.’ you can add the flight information, click as well on the hotel service line to allocate the request. Input: flight number / time If reservation of a day use room due to a night flight is necessary: Click on the button „New Serv.” and fill in the date and destination ‘Search’ Chose the required hotel with a click on the line Page 50 May 2010 Service List: Booking Details: Page 51 May 2010 ITALY – FLIGHT ARRANGEMENT Fill in the Service Code according to the catalogue in the basic mask. With a click on the button ‘Continue’ you receive the info that the room type added in the mask ‘Additional Criteria’ is necessary. confirm with ‘OK’ and type the code for the room category in the mask ‘Criteria’. Booking Details: Page 53 May 2010 LAST MINUTE – HOT OFFERS If you search Last Minute arrangements by clicking the ‘Hot Offers’ you receive a mask to fill in the demanded criteria. Page 54 May 2010 With a double click you choose an offer. And the last minute offer is transported to the Service List. Page 55 May 2010 POWER SEARCH FOR OFFER: With a click on the ‘Power Search’ button you receive the research mask: With the Power Search mask you can transfer as well an offer in the Service List. If you want to search for a booking with other criteria (e.g. according to booking status, customer name, destination, booking date or travel date) use the button ‘Booking List’.
