QIBT is a higher education provider located on Griffith University campuses in Brisbane and on the Gold Coast. The
College has been offering pathway programs to domestic and international students for fifteen years across a
broad range of disciplines. Eligible graduates progress to the University to complete undergraduate and
postgraduate degrees.
The Quality & Compliance Officer works closely with the College Executive Team and the Senior Manager,
Compliance & Student Administration providing advisory and administrative support across the Student
Administration, Compliance, Academic Programs, and Finance teams. The position is part of the administration
team of the College working to enhance and maintain quality assurance and compliance across the College.
More specifically, the position assists the Senior Manager, Compliance & Student Administration in the provision of
advice and administrative support pertaining to academic and College governance, procedures and policy relevant
to compliance and quality control; research; compilation of data; preparation of draft performance reports, and
committee agenda’s and papers.
Essential

The successful candidate will be a highly motivated individual with well-developed skills that include problem
solving, a high level of accuracy, and attention to detail.

A legal right to work in Australia is a requirement, as is proven abilities in critical and analytical thinking,
written and interpersonal communication, and application of initiative, discretion and judgement.

An ability to work on sensitive and confidential data, including keeping appropriate documentation and audit
trails, are also essential elements for success in the role.
Desirable

Ideally, the successful candidate will have work experience in the higher education industry or related area,
and an understanding of the higher education regulatory framework.

Overview and Objectives of the Position:

Key Result Areas:
The Quality & Compliance Officer will:
1.
Coordinate the College’s Program Advisory Committees, Academic Board and Appeals Committee,
including:

Collaborating with Program Convenors and Student Advisors to ensure that all membership
positions remain filled and formal membership records are maintained;

Conducting induction meetings with each new member to provide context for their decision
making;

Collecting, analysing and preparing a range of performance indicator data into annual
program reports to facilitate academic quality assurance. Performance data may relate to
student pass rates, academic integrity, moderation and benchmarking outcomes, course
review outcomes, tracer studies of graduate performance in subsequent studies;

Contributing to, and providing policy advice, for the development of academic papers;

Managing the preparation of agendas and associated committee and board papers;

Undertaking internal investigations of individual student appeals, and presenting evidence
collected for consideration by the College Appeals Committee;

Attend meetings and recording minutes.
Monitor and facilitate ongoing continuous improvement of the QIBT policy and procedure
framework, including:

Evaluating and reviewing policies within the remit of the role, and from time to time,
drafting new policies;

Providing advice and support for policy reviews to be developed and approved by the
relevant Department staff, and updating changes in a custom built web-based software
system for publication;

Monitoring the annual policy review schedule, and liaising with relevant Departments to
action policy reviews.
Coordinate the preparation and review of the College’s payroll, including:

Monitoring payroll deadlines and ensuring that timesheets are submitted in a timely
manner; using spreadsheets to ensure that data entry is correct;

Ensuring that supporting information, such as superannuation details, tax forms or National
Police Checks, are collected from employees and scanned to Navitas HR Shared Services;

Acting as a key contact for Navitas HR Shared Services on personnel matters (e.g.
“Administrator” for online performance planning system, overseeing health and safety
compliance in consultation with the elected Health & Safety Representative).
Contribute to College regulatory processes, including:

Managing the College’s annual TEQSA Provider Information Request, including collation and
preparation of data on staff qualifications, student performance, and survey outcomes;

Contributing to and coordinating submissions for program accreditations and College
registrations.

Managing a range of regulatory requirements for the Certificate IV Tertiary Preparation
Program; including the “Unique Student Identifier”, record keeping, and AVETMISS
reporting.
Assist the Senior Manager, Compliance & Student Administration as required.

Qualifications and Selection Criteria
Essential:
1. Education, training and/or relevant experience equivalent to completion of a Bachelor degree.
2. High level oral and written communication skills, including the ability to consult with staff and
stakeholders at all levels, and prepare high quality written documentation.
3. Well-developed administration skills that include problem solving, a high level of accuracy, and
attention to detail.
4. Demonstrated ability to co-ordinate and prioritise workloads to meet tight and conflicting deadlines.
5. Demonstrated ability to work under broad direction and exercise initiative, discretion and
judgement.
6. Ability to work on sensitive and confidential data, including keeping appropriate documentation and
audit trails.
7. Demonstrated sound level of research and data analysis experience.
8. Demonstrated experience in the development, interpretation and implementation of policy and
procedures.
9. Demonstrated advanced computer skills, including the use of Microsoft Office (Work, Excel,
Outlook/Calendar), knowledge of student information systems and the ability to function
competently in a web-based systems environment.
10. Demonstrated commitment to cultural diversity and equal employment opportunity as well as
knowledge of occupational health and safety legislation and requirements, appropriate to the level
of the appointment.

regulatory framework.
